Unique workitem in multiple users inbox. ?

Hi,
Please help me I have a peculiar case ,
I am having a work item if deadline is reached the same work item should appear in two other users. It means 3 users should be able to view the same work item, if any one user attempts to approve the workitem remaining  users should have workitem  removed from their respective users inbox.

Hi ,
In your deadline branch put a task and use a rule for the deadline agent.
In this rule populate the three actors so all of them will get the new deadline task.
For removing the task when one of them executes, It is taken care by SAP and you dont have to do anything.

              i am sending a work item to multiple users for that i have created a multiline attribute the scenario is for plant maintaneance notification i am manipulating and passing the users into that attribute when i execute it manually in the log i can see the agents name in the attribute i have also added US infront of the users name . but my workitem is not getting displayed in the corresponding users inbox .

    check whether the task is a General task or not. If not make it general and then test. You should test by executing Tcode SWU_OBUF and then logout and login.

  • Forwarding the workitem for multiple users

    Hi All ,
    I need to forward a workitem which is ready in ready status to multiple users , but I am not sure how is that possible.
    1.I tried doing it with SWW_WI_FORWARD but it throws error that WI in ready status cannot be forwarded. how to achieve this
    Moreover I have learned that by doing some settings in my SBWP would allow me to forward the work item from workflow administrator ,
    2.the seting is  goto sbwp->settings->workflow settings->personal settings->enable forwarding to multiple users , but i am not sure how it would enable me to do it,
    please anyone can throw some light on the above two queries.

    Hi,
    Go to transaction SWIA, put the workitem id, execute. then select the row and press Administrator Forward button(Shift+F12). before the button press, double click on the row and go to menu settings, click on Personal workflow setting, check the check box "Enable Forwarding of workitems to several users".
    After pressing the Administrator Forward button(Shift+F12) button, Choose Agent pop up will come. Press the F4 button at Choose Agent pop up. Then Value range pop up will come. go to Users by Address data tab. Then press multiple selection button at the Users field. then put all the agents you need to forward and execute.

    I have developed a wofkflow application to sent SAP mails and Workitems to multiple users. I Have a Container which has the property as multi line. and i mapped this container variable with expression of my mail step. This means i can send multiple mails at the sae time....Its working Fine. But the problem is,
    Suppose I am sending mails to User1 & User2. Both are receiving the mail, But if user1 read the mail user2 mail is set as read document instead of unread doucument.....
    How to Solve this? any solution ?

  • Remove open workitem from user inbox after the workflow starts again.

    I have heard that there is a possibility to remove a open workitem from the user inbox, after the workflow starts again for the same object (data update), via a termiantion event. I have searched in the sap workflow dokumentation but i could not find out how to use this. Could somebody provide me some detailed documentation or examples how to use this for my problem?

    Hi Sudhir,
    the workitem which should terminate is a decision task with two results. The wolkflow looks as follows:
    Activity: Read Data
    Decision: Approval Check Decision
    Activities: Approve or Reject
    How should it look like in your opinion with the termination? How looks this option to terminate this workitem? The workitem should terminate automatically from the userinbox if the workflow starts again for the same object (with updated data).

    i have used the standard WS20000075 WF for PO Approval,
    i have assigned a user to it, activated the Eventlinkage,
    but when i create a PO, i do not find any workitem in that users Inbox.
    please suggest,

    Hi Aditya;
    You have to configure your MM Strategy (for release codes) at SPRO -> Mat.Managment -> Purchase Order -> Specify Strategy (or something like that). When you configure the release codes, put 1 on workflow gridline for each strategy code, then check out on Workflow menu for the relationshift with Organitational Unit.

    FM SAP_WAPI_WORKITEMS_TO_OBJECT that i am using to get the instance of the workflow. but i am not getting any FM that execute 'In Process' Task of the workflow.
    Suppose in a workflow any task can be in process at any instance of time. How would you get the task executed from workitem id of the current workflow instance.

    Hi experts, in the workflow step, i assign an organization unit as the responsible agent in this unit, it has mutiple users. . in the task level, it is general task. i am really confused with when the workitem will be sent to mutiple users' inbox or when it is only sent to one of them.  any one can help explain this?

    Depending on the agents assigned to the work item... it will either go to multiple users or single user.
    If a work item has to be executed by multiple users then it would be sent to multiple users and even if a
    work item is said to be executed by multiple users but one after the other then it is also sent depending on
    the confirmation of completion of task by the first one, then it is sent to the second and so on.
    Lets say after the execution of work item it goes to MM01 transaction...
    Firstly if it has been sent to MM functional guy and then after his completion it has to be send to PP functional guy to fill the MRP details and then to the FICO guy to fill the financial related information..
    so here after the completed of MM this has to be sent to PP and then to FICO..

    I have a requirement like "  Decision workitem is going to two SAP Users Inbox , when one user opens the work item and choose the cancel and keep workitem in inbox in that case also its disappering in other user's SAP Inbox"
    is there any way to keep the work item in both users inbox when one person selects CANCEL AND KEEP WORKITEM IN INBOX ?

    it is intresting to see that case if one of approver reserves it for the purpose of evaluating later.
    the thing is our onsite  consultant asked like  is it possible to keep the decision in the two approvers SAP Inbox  after selecting cancel and keep workitem in the inbox.

    There is requirement, when the PR is created by user, first it has to go his department Head and then to Manager, AGM, GM, etc. There are different departments.
    I'm maintaining organizational structure and giving positions in Release Strategy. Now how can i know who has created and to whom it has to go first. Shall i create different release strategy for that ?? Or is there any other way ??
    And i tried to create custom workflow and using two release steps instead of one. And giving Rule in my first release step. And in second release step i'm using the strategy. When i create the PR and release, it is not removing from User Inbox.
    Do anyone know what could be the problem ??

    From your requirement, its not a good idea to have all department heads assigned to a single position.
    But, you can have different positons for different departments and the association between department and the corresponding position number can be maintained in  ztable. Then have a custom rule based on function module which will make a call to this ztable and find the corresponding postion given the department of user, get this position out and use it as agent assignment in step. However to use above first you should be able to find the Deparment to which a given user belongs to.
    the position that you are talking about in your question, is it a position with relevance to HR structure or is it just that you have created for workflow purpose. In general its a good idea to have bit strong dependency with HR structure rather than going for workflow specific positions. If your position is a HR position then probably with bit of reengineering the HR organization structure with respect to your departments would be good and with a good design of org structure you can also get rid of any new custom table to maintain the relation between department and corresponding position.

    check these steps:
    Configuring the SAP inbox for automatic mail forwarding.
    1.     Go to SAP Inbox (Transaction Code SBWP).
    2.     Go to Settings u2018Office settingsu2019. A pop up will appear
    3.     Choose u2018Automatic forwardingu2019 tab.
    4.     Click on u2018Createu2019 button.
    5.     Enter the mail address to which you want to send mail in u2018Forward tou2019 field.
    6.     Select u2018Internet Addressu2019 from the drop down in the field right of the u2018Forward tou2019 field.
    7.     Update the time period as desired.
    8.     Ensure that u2018Forward all documentsu2019 is selected.
    9.     Ensure that u2019Also place in inboxu2019 is selected.
    10.     Click the green check mark to save private office settings.

    How can I have multiple users on iTunes (in order to connect to a shared office iPad)? Currently each of us has our own iTunes account, so I've made an "all office" Apple ID. However, I can't seem to get two different accounts (my personal and the office) to work on my machine. Even when I login as "the office", my personal library is still showing. Additionally, when I try to setup with a first-time use in iTunes, I get an error that I don't meet the minimum age requirement - no matter what birthdate I enter!

    The library exists regardless of which user is logged in.
    The only way around that is to create different user accounts on the computer.
    There is no way to have 20 unique iTunes users access a shared iTunes under a single login on the computer.

    I'm a laboratory manager in charge of a hospital project which will be using pdf forms to send and receive data from our end users across the city. I need help with the last part of our pdf form, specifically with a js that will do a bit of text-field autopopulation magic. This, unfortunately, is a beyond what I have taught myself about pdf js functionality.a
    The problem:
    I need to provide my end users with a text field containing a set of data [A, B, C, D, E, F ...] and the total items in this set [tot#]. The end user needs this information as part of the implementation of this particular laboratory machine.
    The particulars
    When the end user asks for an experiment to be run, we must specify some pieces of data to help them interpret the results. These are constructed as panels which contain discrete data elements.
    For example - One experiment may use two panels, Panel#1 and Panel #2. Panel #1 includes the items A, B, D, E, Panel #2 includes the items A, B, C, F, G.
    Thus, the panels may share some of the same items, but, I only want the unique members to be displayed in the text field. If I make a drop down box or checkboxes with the panels, I want to  be able to select the panels that we ran and (in this example) have the text field display only the unique items among all the panels that were used:
    textfield outpute = A, B, C, D, E, F, G - 7 total.
    Any assistance from the pdf community would be very much appreciated.

    1) Where should I embed this script? Within the 'selection change' area of
    my listbox?
    2) Can I replace the term 'arr' with the names of the various items in my
    listbox or should I put 'arr#' as the output value for each term?
    3) Will this script find and display the unique values when a user selects
    multiple items in my listbox?
    4) How does the script know where to output the unique members of the
    combined set?

    I'm NOT in any way a Terminal Services expert and I need help trying to get an application program working in a multi-user environment.
    The issue is that the printer changes for every user that is logged in. The application needs to print NOT to the default printer, but to a "special" printer which is selected in the application... let's call it a label printer to simplify the explanation.
    You have your default regular printer, easy for the application to find that one, and then you have a special printer that labels get printed onto. The application needs to know what printer is the label printer. So we allow the user to select that in the
    application and the selection is stored in a config file in 
    C:\ProgramData\mfgr\prog\setting files
    I don't have access to the application so I can't change how this works.  
    In the "regular" world, selecting the label printer driver to use should be per machine, NOT per user. When a new user logs into a machine, the physical printer doesn't go "poof" and a new printer suddenly appear. Same printer for all
    users.
    Yet in terminal services, the physical machine is "merged" with the virtual machine on the server. And there can be many users logged in at the same time. So each users real machine (and real printer) is injected into the "fake" terminal
    services machine. The name of the printers is made unique for each user. So the printers DO go "poof" and change names depending on the user logged into terminal services.
    So user "A" logs in and sets up the application to print to "LabelPrinterForUserA" (or whatever the name of the printer happens to be), that setting is stored in the ProgramData subfolder, and all is well. Later, user "B" logs
    in, and when they print, the application tries to print to "LabelPrinterForUserA" which doesn't exist for user B or is only accessible by user A. If user B re-configures, that breaks it for user A. 
    SOLUTION 1: The way that /should/ work (in my mind) is that you define one "generic" printer in Terminal Services... call it "Virtual Label printer" and when the user wants to print to it, the print job gets re-directed back to whatever
    physical printer is actually connected to their local workstation. There is a map of virtual printer to actual printer depending on the current user. The application is told once to print to "Virtual Label Printer" for all users.
    SOLUTION 2: Or... there should be some way to make the ProgramData sub folders separate per user. E.g. when user "A" tries to access:
    C:\ProgramData\mfgr\prog\setting files
    they actually get 
    C:\UserData\UserA\AppData\mfgr\prog\setting files
    and user "B" gets
    C:\UserData\UserB\AppData\mfgr\prog\setting files
    So the question I have is: Does either of those solutions exist hidden somewhere in the setup of terminal server? Or is there another way around this issue that I don't know?

    I don't really have a "for sure" answer to this, but because people here can't seem to deal with a question that hasn't been answered I'll provide the best answer I did receive from ServerFault.com user Nathan:
    I can feel your pain with using old software on terminal servers ...the solution I've come up with definitely won't scale as it requires some manual configuration, but I've gotten this method to work with our label printers (which require to be
    printed to an LPT port...yep, that old).
    Share your USB-connected printers to the network on each machine. Then, have the user log in on aunique session for each of them
    (a TS account cannot be shared among computers for this to work) and install a network printer pointing to the USB one they shared. Try to use a DNS name to account for possible DHCP movements.
    After, it should work. Each user can do this since display names can be identical as long as the ports are different (which they are).
    This was clarified by the following series of comments:
    I think you are on to something here, and I originally advised the admin to do this. The problem he ran into is that it setup the printer names in the TS as "printer on usersworkstation"
    and he could not rename it except to change the "printer" to whatever. E.g. the "on userworkstation" remained. I believe there is another way of installing the printer which avoids this, but I can't find it. Ages ago, one used to do NET
    USE LPT2 \\computer\printer password /USER:domain\user /PERSISTENT:YES and then tell the driver to print to LPT2 –  James

    @JamesNewton That's actually the exact method we used. The way around the "network printer" part is to install it as local printer and map it to a TCP/IP port that way. –  Nathan

    You mean in the case where the printers are TCP/IP connected and not local USB / LPT to the users workstation? That makes sense. Wonder if this will work for USB connected printers... –  James

    @JamesNewton You'd share the local printer on the client's PC then on the server connect via TCP/IP to it. You'd need static addresses or use DNS names if DHCP, though. –  Nathan

  • HERE'S HOW TO SHARE iCAL w/ MULTIPLE USERS on 1 Mac

    Here's how to share iCal calendars among multiple users on a single Mac.
    What you need to do is to move the iCal folder to a shared folder that is accessible to all users and then replace the iCal folder in each user's library folder with a "symbolic link' to the shared iCal folder. The symbolic link looks like an "alias", but if you try this using "aliases" to the shared iCal folder it will not work (trust me). You can create symbolic links using the Terminal, but I have no idea how, and the idea of using the Terminal scares me. The easiest way that I know of to create a symbolic link is with a shareware application called Cocktail. It allows you to do a number of different things including System Maintenance, Network Optimization, etc. It took me a while to remember how to do this; I originally found the information in the Discussions when iCal was first released, but apparently none of those original postings are listed in the forums anymore.
    Here's how to do it (you must have Administrator privileges):
    First locate your iCal folder (your user name > Library > Application Support > iCal) and make a copy of it (Finder > File > Duplicate). Drag the copy to your Desktop until you're sure iCal is being shared between users.
    Next move the original iCal folder into a Shared folder in the Users folder (Hard Disk > Users > Shared > iCal). To make sure all users can access the information, select the Shared folder, choose File > Get Info, click the little Lock icon, then under "Ownership & Permissions -> Details" make sure that the "Owner" is "System", "Group" is "Wheel" and "Access" for Owner, Group and Others is "Read & Write". Do the same with the iCal folder within the Shared folder, but this time, under "Ownership & Permissions -> Details" make sure that the "Owner" is "your user name", "Group" is "Staff" and "Access" for Owner, Group and Others is "Read & Write" and click the "Apply to Enclosed Items" button. I basing this information on what the Ownership & Permissions are for each of the folders in my system.
    Open Cocktail (I'm using version 3.6.5). Once the app is open (you must enter an administrator's user name and password) click on the "Files" button, then click on the "Links" button. Where it says "Create Symbolic Link" click on the "Choose" button. Navigate to the iCal folder (Hard Disk > Users > Shared > iCal) and click "Choose" again. In the "Save As" box that appears enter "iCal", then navigate to the Application Support folder in your Home folder (your user name > Library > Application Support) and click "Save". Quit Cocktail and open iCal. You should see all of your calendars as you did before.
    Log in under each additional User, move that User's iCal folder (user name > Library > Application Support > iCal) onto the Desktop, then create another Symbolic Link to replace it, using Cocktail as described above. In each case you should see the same calendar information as when you were logged in under your user name. As a test, add a New Event or To Do in iCal under one user, log out and back in under another user and you should see the changes when you open iCal.
    Once everything appears to be working, you can delete the iCal folders from each User's Desktop.
    As an additional maintenance measure, use Disk Utility to repair Disk Permissions.
    Unfortunately, if each User has his/her own calendars in iCal they will not be in the shared calendars. Only the calendars in the first iCal folder used to set up the shared folder will be available and I don't know of any way to merge or combine the other user's calendars into one.

    If every user first exports their calendars (with unique names) and then the "First" user imports them, before all the other set up, everyone's calendar will be there.
    Also, iCalShare lets you publish and subscribe on a computer or across a local network, without having to let everyone see and edit all your calendars.
