Update Design in InCopy CC

How can a script detect that an InCopy Assignment has updates pending from its parent InDesign document and how do you script applying the updated design to the InCopy file?

I have another project that is behaving the same way. Anyone have any ideas? I changed the copy in a text box in a multi-page book. This text area was never assigned to InCopy users. However, it also does not update in Incopy. It does not say the design is out of date. If they open the .indd document in Incopy, then it shows the latest. I need them to be able to proof some of this stuff. Should I assign all content I want them to proof? Or should I have them start opening the .indd documents rather than the assigments? What would the negative drawbacks of that be?

    I am running InDesign CS5 on a mac, and my copy team has InCopy CS5 on their PCs. We are working on a layout that had elements on the page that were not made into assignments and not intended for the copy team to edit. After a round with the client, we were instructed to remove these elements. However, the .icma files that my incopy users open still show these elements on the page. The options to update content and design are grayed out. If they open the .indd file with incopy, they see the latest layout, but how can they see these layout changes with the assignment files? This is important for our workflow because sometimes the copy team will write to a picture, but not have editable access to that picture. I need to make sure that they are seeing the latest and greatest layout for copy proofing purposes.

    Yes, it does. The point is can your computer use full Internet Recovery with the firmware update or not. If not then you have to begin with the Snow Leopard DVD that came with your computer and do an Erase and Install.
    Clean Install of Snow Leopard
    Be sure to make a backup first because the following procedure will erase
    the drive and everything on it.
         1. Boot the computer using the Snow Leopard Installer Disc or the Disc 1 that came
             with your computer.  Insert the disc into the optical drive and restart the computer.
             After the chime press and hold down the  "C" key.  Release the key when you see
             a small spinning gear appear below the dark gray Apple logo.
         2. After the installer loads select your language and click on the Continue
             button. When the menu bar appears select Disk Utility from the Utilities menu.
             After DU loads select the hard drive entry from the left side list (mfgr.'s ID and drive
             size.)  Click on the Partition tab in the DU main window.  Set the number of
             partitions to one (1) from the Partitions drop down menu, click on Options button
             and select GUID, click on OK, then set the format type to MacOS Extended
             (Journaled, if supported), then click on the Apply button.
         3. When the formatting has completed quit DU and return to the installer.  Proceed
             with the OS X installation and follow the directions included with the installer.
         4. When the installation has completed your computer will Restart into the Setup
             Assistant. Be sure you configure your initial admin account with the exact same
             username and password that you used on your old drive. After you finish Setup
             Assistant will complete the installation after which you will be running a fresh
             install of OS X.  You can now begin the update process by opening Software
             Update and installing all recommended updates to bring your installation current.
    Download and install Mac OS X 10.6.8 Update Combo v1.1.
    However, if you can use full Internet Recovery:
    Install Yosemite, Mavericks, Lion/Mountain Lion Using Internet Recovery
    Be sure you backup your files to an external drive or second internal drive because the following procedure will remove everything from the hard drive.
    Boot to the Internet Recovery HD:
    Restart the computer and after the chime press and hold down the COMMAND-OPTION- R keys until a globe appears on the screen. Wait patiently - 15-20 minutes - until the Recovery main menu appears.
    Partition and Format the hard drive:
    Select Disk Utility from the main menu and click on the Continue button.
    After DU loads select your newly installed hard drive (this is the entry with the mfgr.'s ID and size) from the left side list. Click on the Partition tab in the DU main window.
    Under the Volume Scheme heading set the number of partitions from the drop down menu to one. Click on the Options button, set the partition scheme to GUID then click on the OK button. Set the format type to Mac OS Extended (Journaled.) Click on the Partition button and wait until the process has completed. Quit DU and return to the main menu.
    Reinstall Lion/Mountain Lion. Mavericks: Select Reinstall Lion/Mountain Lion, Mavericks and click on the Install button. Be sure to select the correct drive to use if you have more than one.
    Note: You will need an active Internet connection. I suggest using Ethernet if possible because it is three times faster than wireless.
    This should restore the version of OS X originally pre-installed on the computer.

  • Incopy won't update design changes made in InDesign

    Hi,
    I'm using InCopy CS3 and InDesign CS3 on macs.
    When our designer updates the design of the document (i.e. changes sizes of text boxes, etc.), incopy users do not get the yellow caution sign letting users know that their current version is out of date and that they need to update the design.
    Strangely, incopy users are only notified that the design needs to be updated when our designer creates a new assignment.
    Any help ASAP would be greatly appreciated.

  • InDesign missed to update a linked InCopy

    Hello the following happened in a InDesign/InCopy-Workflow:
    We have several Editors and a view Designers. Everyone is working with PC (Windows XP) InCopy CS2 and InDesign CS2. The Files (incx and indd) are stored on a centralized filestore, so no copying is done.
    A Designer opened a Indesign file yesterday where several InCopyFiles are linked. This morning the editors made several changes on these InCopy Files.
    This afternoon the designer again opened the InDesign-File updated the linked articles and checked an article out to make some fine tuning and checked it in again.
    After that an editor regognized that his changes of this morning disappeared in the InCopy-File.
    Investigations at backup (hourly snapshot) showed:
    - that the InCopy had been stored with the content of the yesterday's InDesign-File.
    - that the editors saved there documents in a correct way
    Had anyone had such a problem before or does anyone know what the problem could be?
    Normally it should be impossible, I think. Nothing the less it happend at least once. (Maybe it happened before, editors mentioned lost editings three times over the last two years, but there where no snapshot available anymore, so we thought the editor missed to save or something like that)

    Are you absolutely sure that it's not the other way around - i.e., that the linked file gets corrupted, which then causes InDesign to crash? I ask this because we recently had a client with a similar sounding problem. At first we also thought that InDesign was corrupting the file, but eventually discovered that the file server on which the links resided had some bad RAM which was causing the PSD files to occasionally get corrupted.
    Photoshop is apparently more tolerant of some corruptions than InDesign. When we'd open one of the problematic PSDs in Photoshop, we'd get a dialog box alerting us that there was corruption, but the file would open. InDesign, on the other hand, would crash VERY hard when placing or updating such a linked file.

  • InDesign CC is crashing when I try to update assignment from inCopy CC.

    Workflow is: 
    I set up inDesign file, select text boxes and create assignments, then send to editor by email. 
    Editor works on file in inCopy and sends me back the assignment.
    When I try to update the text-- by double-clicking the returned assignment which opens the matching inDesign file-- inDesign crashes and says:  "Adobe InDesign is shutting down. A serious error was detected. Prease restart inDesign to recover work in any unsaved inDesign documents."
    Before changing to CC I worked with this scenario with editor for the last couple of years.  The last publication issue prior to now worked seamlessly.
    Help.  I am on deadline. 

    This sounds like it might have been a problem with the selected import options (for example, setting a crop option for a crop box that isn't actually defined in the PDF). These options are "sticky" until changed, so when you have a problem like this it's a good idea to try again and show the import options.

    Indesign stürzt ab und zwar in 90% der Fälle, dass ich "bearbeiten-Rückgängig" bzw. Ctrl-z betätige.
    Nun möchte ich zunächst mal evtl fällige Updates installieren. Bekomme aber stets folgende Fehlermeldung:

    Also weder Updates noch Absturz-Problem gelöst...Hoffe, hier kann jemand helfen.

    Kann Dein Problem völlig verstehen...
    Investiere seit über 20 jahren in die Software.....die Suiten Abos wurden mit der Aussicht auf unbegrenzte updates verkauft!!
    Dann kamen neue Suiten...dann kam die Cloud (ich musste damals Kredit aufnehmen um anfangen zu können, da Adobe schon damals in der Industrie konkurenzlos war und man nur kaufen konnte)....Mittlerweile gibt es keine updates mehr, mit Glück darf man dann upgraden, aber die Default setting ist automatisch auf Cloud, jetzt hat jeder mit 50 € im Monat sämtliche updates und Software zur Verfügung...und wir mit unseren älteren Verträgen werden als veraltet und überholt abgestempelt.
    (ich habe auch schon agressives marketing betrieben....dies ist aber sehr grenzwertig....in internationalen Foren wird schon zum Boykott aufgerufen, Du bist also nicht allein mit Deiner Frustration)
    Hatte das crashen auch schon, vor Allem nach längerem Arbeiten an docs. und über shortcuts oder über bearbeiten scrollbar, stürtzte das Programm up (denglish muss sein)....mir hat dann nur geholfen auf restart zu gehen und dann ging es wieder für ein paar Stunden....

    You have downloaded software from untrustworthy sites like CNET, Softonic, Download.com, Macupdate and the like : they often enclose crap in the installer: download only from trustworthy sites.
    2.   I recently installed Intego security software  , these sort of tools are counterproductive, or crap.
    ad 1: your mac has indeed been infected: download  AdwareMedic  from   thesafemac.com  (A very trustworthy site) and run it, it will solev the problem. Then uninstall Cocktail: rubbish and counterproductive.
    ad 2: uninstall the Intego software.

  • Updating old project sheets to new updated design?

    Company re-branded when I joined, and I want to update all of our project sheets (architecture firm) to a new layout I created. I could do each by hand but we have 200+. Any help?

    You found the right way to do it.  Never import an iPhoto Library into iPhoto. Just open the iPhoto Library by double-clicking it. You are lucky, that iPhoto prevented you from importing the iPhoto Library. It would have created a terrible mess of duplicate photos in all sizes.

  • InDesign crashing when updating associated InCopy files

    We just upgraded to CS6 and Creative Cloud. When graphic designers are using InDesign and writers update the affiliated InCopy files, when the designers hit the Update button to pull in the updates, it crashes InDesign. Here is Pastebin link of a recent crash log.

    Designers are using Macs, writers are using PCs, we use DropBox to share the files, and re-placing the files seems to be ok, just not using the actual Update button. We've tried a ton of potential fixes, including resetting preferences, placing the file on to a new document, saving as IDML, exporting InCopy links separately.
    Anyone know of any fixes?

    This is the same for our department and the workflow sounds very similar except we are using Stand alone installs and not creative cloud with both design and editoiral using PCs.
    We have really experienced the problems when using previously designed templates from CS4 and are now having to go through systematcally and redo these from the ground up which seems to fix most but not all and is really annoying. Adobe of yet have not released a fix for this even thou there have been quite a few pastbin reports sent to them.
    CS6 using Indesign and Incopy is a real disappointment considering all the excellent features under the hood.

  • Updating qms0012f.fmb in designer with qms0012f.fmb from 6.5.2.2 patch

    Hi,
    I have recently updated our headstart templates/objects with patch 6.5.2.2.
    I would like to update designer with these more up to date libraries and forms.
    I have been able to do a design capture of the libraries (eg. qms0012l.pll) back into
    designer but I am having a bit of trouble with the form (eg. qms0012f.fmb). The
    form capture doesn't seem to work. It is possible that I have missed the procedure
    to do this in the documentation. If so can you please direct me to the right spot.
    Is it possible to receive an export so we can import it back into designer?

    Do not put too much effort in design capturing forms (fmb files). This is NOT 100% real-roundtrip-
    reengineerable, I gathered that hence my question in this forum :)
    in opposite to the forms pll libraries, which can be generated 100% after a succesfull >design capture.The reason for my attempt to capture the form qms0012f is to keep the module in designer in sync with the fmb file we received in the patch.
    What we would like to do is customise the form (which we have previously done in designer). If we make the changes in the fmb file itself then it means it is not held in designer which would really defeat our efforts in 100% generation. How do you suggest we do this?

  • InDesign auto-size frame feature not working in real time in InCopy why?

    We have just recently migrated from InCopy CS4 to CS6 to take advantage of the new features like the auto resize frame option, however it now seems that this feature is not working in real-time.
    Basically the steps are needed to be complete before it auto-resizes the frame in InCopy, we use both layout and assignment based workflows:
    1. From an ID document ('doc1'), exported a 'layer' to IC, certain frames are set to auto-size in height using the text frame options. So that editorial can review and make changes to text and the frame should resize according to the specifications set. IC stories are saved to a folder located in a content folder inside the top issue working folder.
    2. Editorial opens the IC software, then opens the ID 'doc1'. Check’s out correct .icml file and makes edits to frame with auto resize.
    3. Frame does not resize according to text frame set options and InCopy file does not respond in same fashion as InDesign.
    4. Change only occurs when InCopy file is closed and updated in InDesign, which is frustrating as this feature would save huge amounts of time serving editorial requests.
    Has anybody experienced this type of workflow problem? If anyone can provide mw with some pointers as to what can I do to get this to update in real time perhaps run a script? Update file in InCopy and refresh I will very much appreciate their assistance. I have run out of ideas.

    We've had all sorts of problems with this feature as it should've worked straight out of the box but after some testing we have found that its something to do with the way you open the actual file in InCopy. Which is far from ideal and should have been UAT by Adobe before release.
    This will not work consistently work if you open the designed .indd or .icma file in InCopy using the file open command within the application.
    If you need this to work, the InCopy user has to open the .indd or .icma file by dragging and droping from OS windows explorer into InCopy, we use Windows 7 acrros all the teams. Check out .icml files add text changes to the set auto resized frames, this process will expand/collapse the frames to fit the content but as you have to use the drag and drop method to open the .indd and .icma file, 2 users cannot access the same time doc at the same time (a serious flaw in the programming architecture!) which stops people working in parallel. Save changes, check in .icml content and close .indd or .icma.
    However the flaw comes in if you then open the .indd and .icma file in InCopy using the file open command within the application, before an InDesign user opens and saves the file (updates the design). The corrections added in the previous stage above, will not show the frames expanded/collapsed to take in the added text and instead show over matter???? The only way around this is to ask an InDesign user to open, update and save the design that way the InCopy user will see the same result no matter what file open method they use.
    Another suggestion is to design the page to have some of the auto resize frames anchored within main body of text and that way the frames will expland/collapse when checking out and editing the content. However, this does cause issues with InDesign crashing etc. so we have tried to stop this method within the working group.

    As far as we can see this is a major flaw in how the application(s) work, we have an enterprise agreement with Adobe and purchase a large volume of Adobe products globally but so far the technical support team are unable to find a solution to this and I'm not hopeful of any resolution soon even with the new release of Adobe CC.

  • Changes to layout in InDesign don't go over to InCopy

    Hi all,
    recently we have been running into a strange phenomenon:
    If the designer is just doing changes to the positioning of text frames (ie no edits that change the wrapping of text) updating the assignments does not work reliably.
    I can replicate that on my machine (InDesign 5.03/InCopy 5.03; all files reside on a local file server in a folder I have full access to)
    I created an InDesign file with several text frames that are exported as an assignment.
    If I just move the frames and use "Update all assignments" or "Update assignment" nothing happens and the layout will not update in the opened InCopy assignment.
    Afer several attempts (and some waiting in between) I can see the progress bar when updating the assignment - then the changes also show up in InCopy.
    The problem is that our designers and editors are working from different locations - the editors will never notice the design changes if they don't show up in InCopy.
    Can anyone shed some light on this - we're just starting work on another large cooperative project involving one designer and several editors using InCopy and I really don't want that to happen there...

    ps2: It seems that the "Update all Assignments" button does not work at all in this case. Selecting the assignment and using "Update Assignment" works better, but not always.

    Mike, "Update All Assignments" will only update assignments that are out of date... ones that show the out of date yellow triangle in the ID users's Assignments panel. I know it's not very clear... the command should read "Update All Out of Date Assignments."
    Before I get into details about why Adobe doesn't consider an assignment to be out of date when you've clearly changed it, you should know that the command Update Selected Assignment (select it first of course) will force an update even if ID doesn't think it's necessary. So use that command, and have your editors keep an eye on the out of date icon/title bar message in IC so they can choose Update Design.
    There are many changes you can make in ID, even to checked-out text frames in an assignment, that don't cause ID to make that assignment go out of date. Moving them around, for example, doesn't make the assignment go out of date because (the thinking goes) the IC user still has the same amount of room in the text frame. Ditto for adding/adjusting non-workflow items to the master page that controls an assignment's spread.
    And anything you do to a frame that's not part of the assignment, such as deleting it, adding new ones, changing its size ...again none of these actions directly affect the text of the frames that *are* part of the assignment (assuming text wrap is not involved) so according to ID, the assignment doesn't need updating. So choosing Update All will not do a thing.
    BUT if an IC user opens an assignment *after* you've made and saved those changes to the ID file, they'll see the latest version .. with the moved-around text frame, with the new background color from the master page, etc.
    I think Adobe is trying to keep a lid on how often the designer needs to push an update to an assignment, reduce the network traffic. That's why the out-of-date icon on an assignment only shows when you've resized/changed columns etc. of a workflow story, or added a new story (exported it to IC and included it in the assignment), or removed a workflow story.

    When the designer updated a few Incopy stories in the Indesign file, the text disappeared. Anyone seen this before?

    Text disappearing when you update a TOC is usually a symtom of havint put the TOC in the main story thread. The TOC must be in a separate story, not thread to anything else, becasue updating replaces the entire story.

  • Editing tables in InCopy

    In my InCopy layout, I'm having trouble editing tables that were created in InDesign?
    Should I have this functionality?  Some of the tables in InDesign were not created in the text threads, but in separate text boxes so they could span the 2 column layout in InDesign.  Is this why I can't edit them?

    Tables always exist inside a text frame. Even if it looks like a stand alone table, it's within a kissfit frame.
    In order to edit a table, you have to check out its parent frame first.
    Click inside one of the table cells. Look at the assignments panel, where all the editable stories (text frames) are listed. Is one highlighted? That will be the frame that the table belongs to. Click the Check Out button at the bottom to check out the selected story, or use any method you like to check it out.
    If you can select text inside a table but there is no story highlighted in the Assignments panel, then the designer forgot to export that text frame to InCopy format. It's read-only and uneditable by you in InCopy. Ask them to export the text frame. Then you can File > Update Design (or just close and open the file) in InCopy and you'll be able to check it out and edit it.
