Updating Referenced Image Folder names

Hi,
My Aperture library is a Referenced Library. My referenced images are stored on an external FW 800 drive and my file system is setup as: Folder Name/Project Name. This has worked great for me, but causes issues when I make changes to the organizational system of my library. I know that Aperture is smart enough to still link the correct files even if the folder/project system is off.
My question is: How do you keep the folder system synced and intact when using a Referenced Library after making changes to the names of Projects, etc? Is this possible? If not, what system of fouler organization works best for keeping things simple, organized and in sync with as little confusion and downtime in terms of work flow?
I'm looking for some general (and specific) ideas from users here.

First, thanks for the lengthy and helpful response. In thinking about what you wrote, I probably don't need to worry about my Master file storage structure. So long as Aperture is able to find my Masters no matter the folder, project, album they sit in, I should be fine. My initial thinking was that if I wanted to access my Masters (for some reason) outside of Aperture, it would be easier for me to know where everything was. That being said, I don't really ever need to do that, as everything can be done straight from within Aperture. Still, it just makes me a little uneasy knowing that my images are organized and structured one way in Aperture and another outside of it where those images are linked to.
Don't let it make you uneasy. Even if they are all in one 55-gallon bag (or Finder folder), they are easily sorted by date (and time) taken, and by file name. These two alone -- esp. if you have renamed your Masters with a good and rigorously applied file-naming convention -- should meet every need you might have.
Moreover, your Aperture Library of images should be deeply hyperlinked. That's a big reason to use Aperture. None of those hyperlinks are create-able in a file storage system.
At the risk of being (even more) off-putting than usual: think on that. Beginning to understand that difference allows you to manage your data in much more successful ways.
The second reason I was asking is because when I import into Aperture as a Referenced Library, I also back up those images to a second external hard disk. I generally keep this back up archive organized and structured the same way as my Masters structure. If I ever deleted a Referenced Master and then later on wanted to re-import it from my back up archive, it makes it easier to find things, etc if they are organized the same way.
I don't buy it. Can you give an example of a situation in which you need to find a file and you don't know the date it was taken (at least roughly) or some part of the file name?
Your Masters need almost no storage structure at all.
IME, once I started using Aperture's extensive image management tools, I found I had almost no -- zero, nada -- file management needs beyond back-up.
If you read what I wrote just above, I guess this plays to that. How do you manage your back-up file management system if things change in ways that I have suggested, i.e. renaming projects, etc and moving things around from one project to another?
I try to keep two additional copies of every Library and every set of Referenced Masters at all times. One set is kept off-site. It's not hard to do -- but I do run copy operations that last all night. Aperture's Vault can serve as one of the Library copies. I have found it easier to manage when I don't use Vaults, so I stopped using them. If you find Vaults convenient, use them.
Just to be clear: My main goal is to make sure that my back-up file management structure mimics my Aperture Library Folder, Project, Album (well, not album as you can't organize at this time by album name) structure. I am not talking about the structure of where my Masters are stored, but rather the structure of my back-up. I hope this makes sense.
This does not make sense. +File management+ refers to Referenced Masters and not to Aperture Folders, Projects, or Albums.
Your Aperture Folder, Project, & Albums (all of 'em) structure is part of your Library. Back up your Library, and you have backed up that structure.
The files an Aperture user needs to back up are
- your Aperture Library (an OS X package of hundreds of thousands of files)
- all your Referenced Masters.
That's it.

    Check the option to Keep iTunes Media organized under Edit > Preferences > Advanced.  The Copy files to iTunes Media folder option should also be checked if you want to make sure that all media is stored under the iTunes Media folders.

  • Relinking changed folder name

    I am in need of a script that will, when prompted to relink broken links, update the path of a changed folder name.
    So no matter where the "old file name (X)" is in the link path, it will be updated to "New folder name (Y)"
    Also I now very little about scripts so if anyone knows a simplified website that explains how to utilize them that would also be super helpful.

    I am experiencing Mavericks failing to copy subdirectories from usb sticks, I am backing up game saves from a console. Both sticks I use are fine, same permissions of course since the console wrote the files. Sometimes it copies, sometimes it doesn't. It seems to be related to the mounting process.
    Thank God Apple hasn't (yet) broken bash.

    Help: I have a very well defined folder structure. Folder are located in a Master location and organized by State. Inside of these are my master RAW file folders organized by location. For example: West Virginia > BIRI_RAW_2012, BLFA_RAW_2013, NERI_RAW_2013, etc. After I set up the masterful following a shoot, I go to LR and import the images. At one time I inadvertently imported the NERI_RAW_2013 masterful set as a subset of something else and it was not appearing in my LR Module in the organization I prefer. So I went to my master folders on my drive and moved the NERI file into the West Virginia state folder. When I went back to LR, as expected the NERI folder was grey with a question mark. So I right clicked to find the files and relink, and it did not work. The folder name disappeared. The RAW files are still in the catalog and show up in a missing photos search. I can't reimport because they are already there. I just need to restore my folder structure and get the images back to the right spot.

    It didn't disappear, it moved (because you told Lightroom to move it). It moved from the incorrect folder location, to the new folder location. Please look in the new folder, in whatever location it is in, not in the old folder and the old location, and you will find the photos.

    You're question is hard to follow. Are you looking to rename your master files to the version name? Or are you looking to do something with IPTC caption field and the masters?

    I changed the names of Album folders using Windows Explorer. How can I make the new folder names appear in the Album list within Itunes?

    iTunes doesn't display the folder names, it displays imnformation in the library database which it takes from the tags. If you want to chamge what iTunes displays, use Get Info to edit the information.
    But if you change folder names in Windows explorer, iTunes will no longer be able to find the files as the path has changed and iTunes doesn't do folder watching.

    Im using the most recent version of Lightroom 5.3 (updated through CC - even though this has shown up on previous version) on Windows 7 and all the folders in my library are showing up with the directory path in front of my folder names. How can I get rid of this? I do not see any options in preferences to turn this off. I have also turned off preferences in Windows > Folder Options Control Panel "Display full Path in Title bar" option.
    I have Lightroom on several computers and have set up preferences the same on each workstation, and this only shows up on one workstation.
    Any help would be appreciated.

  • Images folder in Robohelp 7 project only lists a small fraction of the images actually there

    I added an image to a topic. The image had an identical name to an existing image in the project. The image appeared in my main project folder, which is where all images initially show up in my project. I then move them to an images folder. I moved this image, expecting to get a message asking if I wanted to replace the exsting image with the same name. i wanted to update all instances where this image appears. Instead I got a message that this file was in use and could not be replaced. I clicked on my images folder to see if the original image was in a topic that was open and maybe that was why it would not overwrite. At this point i noticed most of the images in the folder were not listed.
    I can use Reports Used and I see all the files that are supposed to be in my images folder, but when I go to the Images Reports tab, only the files that are listed in my images folder in the Project Manager are shown. So Robohelp knows the files are in the images folder and that they are in use, but it does not recognize them as images and will not list them as such.
    i have no idea how this happened or how to fix it.

    If RoboHelp allowed you to replace the image and it were a different size, you could have problems in the existing topics. I suspect that is why it is not allowed to replace it in that way.
    As far as "missing" images are concerned, try renaming the folder to say Images2. They will likely all appear and then you can revert the name.

  • How to get right folder name/location on import?

    I can't seem to get LR 3.x to import into the desired folder structure like I used to do with
    LR 1.x and 2.x.  I'm trying for a structure that looks like this:
    I want LR to automatically create a folder with the date stamp in it and located in the right year and then let me enter the the last part of the folder name that identifies the subject matter before the import starts.  So far, all I can get is the auto-generated folder name by date with no ability to edit that or a fully custom folder name where I have to both locate it properly and type the entire name including date.  In LR 1.x and 2.x, this was really easy.  LR would suggest the folder name (or multiple folder names if the images span multiple dates) with the date in it and I could just double click on it to add to the supplemental name before the import.  Can't find any way to do that in LR 3.x.  What it means is that I have to do the import, wait for it to complete, then come back and manually rename each folder it created.  This is particularly a pain when there are multiple folders (across multiple dates) and/or when my backup program has already kicked in and done a backup of the auto-generated date before I come in and manually rename it.
    So, my question is, how do I get LR to auto-suggest the right date-based folder name in the right folder location and let me add something onto the end of it before the import?  This was very easy in LR1.x and 2.x import.

    It slipped under the radar when redoing the new import window.
    Hopefully, we'll get it back in next major update. In the meantime. you
    can add the additional text post import by right clicking on folder name
    then choosing Rename from context menu.
    Thanks Ian.  I hope it does indeed come back.  Renaming the directories manually is what I do now - it just extra work from how I used to do it and it doesn't fit smoothly into the workflow because LR seems to get confused sometimes if I rename while it's still importing or while still building thumbnails.  For a big import, that means I have to go away, let the thumbnails build, then remember to come back promptly to rename the directory before my backup scheme starts backing up the wrongly named directory.  I've managed since 3.x came out, but it finally annoyed me enough I thought I'd post in hopes I was just missing a way to do this.  I sure hope this comes back in a future version.  Organizing by named "shoot" is a very natural way for me to do it.

    1. Open file browser of your machine
    2. go to network places, and turn of left panel
    3. Add a new network place and enter the ip address based share
    127.0.0.1\c$
    4. Save this new network place
    5. open >Administration->System Initiation>General settings>Paths in B1 and select the address from network places you have saved.
    My XP has been automatically converted the shortcut of the network place into ip address based share.

    Use the system information to detect the field names in OADM and OADP table.

  • Publishing bug with FTP servers - Spaces at end of file/folder names

    I'm sharing what I've found after lots of troubleshooting with my Mom's iWeb website. I originally came across this in the previous version of iWeb, and have seen it again in the current version.
    For the sake of this example, she had an image gallery on her site. The image file she added to iWeb had a space at the of the filename, just before the file extension, something like "image name .jpg"
    In the old version of iWeb (iWeb 08), we would publish the site to a folder on her computer, and it would generate a folder for each image in the gallery. These folders would hold the original image and thumbnail image. Each folder name was the image's filename, minus the extension. In this example, the folder name was "image name " with a space at the end, which is valid on the Mac OS X file system.
    When we uploaded it to the FTP site (which happened to be GoDaddy) using a 3rd party FTP tool, certain images would always fail to upload. After much testing and troubleshooting with other FTP software, we found that the FTP server did not allow spaces at the end of folder names, and it automatically replaced them with underscores. So, we tried to upload a folder called "image name ", and ended up with one called "image name_". As a result, we couldn't upload any of the files that were supposed to be IN that folder, because it could not be found under it's intended name.
    Fast forward to today, using iWeb 09. Now the software allows you to upload to a 3rd party FTP server, so we've stopped using the other FTP software and do it all in iWeb.
    She added a new image to her gallery and tried to publish changes, and got the error: "There was an error communicating with the FTP server. Try again lager, or check with your service provider"
    Once she removed the image, publishing worked again. It turned out the original image had a space at the end of the filename, just before the extension again. Once this space was removed, everything worked again.
    Hopefully this helps somebody else down the road. If you have trouble with certain files, check them for spaces at the end, just before the extension. Perhaps in a future release, Apple could update the site publishing code to trim leading/trailing spaces from folder names.

    It would be nice if Apple could make their error messages more descriptive of the actual problem so we have a better idea of how to solve it. I am "the mom" who had the problem B2Ben posted about.
    The error message seemed to place blame on the ftp server or my ISP, consequently I wasted a lot of time with these people when it wasn't even remotely their fault.
    As with most computer problems, I ended up learning a lot from it and it always helps with gaining confidence. This is my 20th year as a Mac user!.. yes, since 1989. I look forward to seeing what some of you have experienced with this same issue.

  • Address Book Images Folder = 3 gigs and 30,000 files

    Can anyone tell me why Address Book's images folder (Library/Application Support/Address Book/Images) gets to take up 3 gigs of space and contain more than 30,000 files? I like to have photos for people and companies in my address book, but I can't imagine why an address book with 354 cards would have a supporting images folder that friggin huge. Is this just bad programming on Apple's part? Using Quicklook, I can see that there are several images that are duplicated with different file names. What actions generate these duplicates? Is there a way to clean up this folder without completely dumping the contents?

    Unless you have copy/pasted information for Address Book and contact information from the internet or e-mail, that's the only way I can think that could happen.
    I don't see why you can't delete those images if they aren't in use.
    If you are running 10.4, try installing the 10.4.11 combo update.

    As with any update, repair disk permissions.
    Quit any open applications/programs. Launch Disk Utility. (Applications/Utilities) Select MacintoshHD in the panel on the left, select the FirstAid tab. Click: Repair Disk Permissions. When it's finished from the Menu Bar, Quit Disk Utility and restart your Mac. If you see a long list of "messages" in the permissions window, it's ok. That can be ignored. As long as you see, "Permissions Repair Complete" when it's finished... you're done. Quit Disk Utility and restart your Mac.
