Urgent - further steps to bank reconciliation.

Dear All,
I had confirgured the following things:-
1. configured the T. code FBZP for automatic payment program.
2. w.r.t. bank configuration, i had done upto the following:-
Configured Global Settings for EBS (IMG) 
     - Create Account Symbols 
     - Assign Accounts to Account Symbols 
     - Create Keys for Posting Rules 
     - Define Posting Rules.
and done the three steps in the manual bank statement (ie upto created variant of manual bank statement)
As this cinfiguration is manual bank statement (ie the soft excel file bank statement).
i would like to know,
1. what is the further steps like upload of bank statement (HDFC bank statement),
2.  how the linking should be made w.r.t. bank statement and the bank GL clearing accounts.

Hi shammi,
while i executed the FF67 t code, it asked for the variant and entered the same. After which "process bank statement" appears, in which all the parameters like statement no, date, op bal cl bal has been entered. Then a screen appears for the columns which has been defined in the variant.
so what exactly the screen says? should i have to enter the whole statement or how it works?
and also i would to know what is the further steps for uploading the bank excel statement etc...

    I have configured all the necessary steps of manual bank reconciliation but the batch input session is not generated.
    Further m preparing the statement for first time so i have entered the opening balance in the Main Bank G/l. I have entered the opening & closing balance in manual bank stat.But while posting the statement m getting an warning mesg " Amt entered does not correspond to the account statement account" & still the statement gets posted but the batch input session is not generated.     There is no error log...as batch input session is not generated..When i go to FF67 - Overview ...it shows Manually Entered in statement.
    Amount entered does not correspond to the account statement amount
    Message no. FV072
    Diagnosis
    The account statement can only be saved if the total of the entered amounts       3,000.00 matches the difference       3,000.00- between the closing balance       3,000.00- and the opening balance           0.00.

    Correct the line item entry or opening balance or closing balance (Goto - Change Control

    To enable the bank statement to find the item to be cleared in the vendor direct debit transaction, the bank details must be maintained in the vendor master record. The bank statement finds the vendor using the bank details and the item using the value (if unique).
    For algorithm 012, the number interval of the document numbers must be entered in the import report. For algorithm 026, the number interval of the reference document numbers must be entered (SD number assignment = XBLNR in the FI document). For further information on searching for the reference document number, refer to SAP Note 0107592.
    The UNALLOCATED transaction results in the bank statement being imported, even if the external transaction code has not been created in Customizing. The transaction is posted to the interim account +++++5 (bank subaccount, depending on bank). Take a look at this interim account after the bank statement has been imported and post the items to the correct accounts where necessary. To ensure that the transaction is contained in the system the next time the statement is imported, define the new external transaction code in Customizing and assign an appropriate posting rule.

    The posting keys and rules have already been set up for the electronic bank statement. The posting keys and rules for the manual bank statement are the same as those used for the electronic bank statement.

    In this step, you define transaction codes for cheque deposits and assign them to a posting rule. You have to specify these transaction codes in the Tran (Transaction) field on the initial screen for cheque deposits.

    Define Posting Rules and Posting Keys for Cheque Deposit
    Two posting rules have been created: Direct cheque deposit and Cheque deposit via interim account. These rules represent two ways of posting cheques in the system. This is of particular importance when you have a lot of cheques and you have to ensure that all the cheques in Bank Accounting are posted by 10:30 a.m., for example.     Steps :
    1 ) Take converted file from Bank
    2 )  Upload that file in Text format into System then system automatically update FF67.
    3)  Go into FEBA , then we got cleared items but we are not able to get Accounting Document Number .
    How we can get Accounting Document Number in FEBA ??

    Sorry, just today I checked your message.
    Instead of processing BDC, you have to post through FEBA.
    ie. Download the statement with the option Do not post or post online.
    Then process the error lines or all documents through FEBA. Then you can able to see the document number.
    If the posting is done at the background through batch jobs, then there will not be any document number visible through FEBA.
    Let me know if you need any more information.

    I implemented the EBS in my company 4 month ago and here are some advises on the problems i experienced in the setup process. As for the setup process it is straightforward just read the manual at help.sap.com.
    We used the MT940 format for importing bank statements from our bank.
    The first thing i would advice you to do is make a list of all the possible transactions that are to be handled by the EBS application.
    Then make estimation of how many payments that are recieved in constant structured way which the EBS can handle. (invoice number in the text)
    The people in our accounting department complained alot about the output format in the EBS not being userfreindly compared to the advises they recieved in e-mail form from the bank so if not the bulk of your payments can be processed automatically it might not be worth the trouble to implement it. (i still think they uses the the email to postprocess the transactions that was not automatically cleraed)
    Make sure you havent got any other applications handling some of the transactions that are contained in the bank statement because this wont work. eg. we had a program automatically placing fx trades on customer and bank account which meant that when we recieved the fx trade on the statement it was already placed and therefore had to be placed on a interims account for later reversal.
    We get alot of bankcharges on our payments and we set up the EBS to place them automatically on a bankcharge account if the difference between the recieved amount on the invoice was less that 30 dollars.(we just assume that a difference is a bank charge) This means that a customer if he wants to always can pay x dollars under the invoice amount because it will be automatically processed and therefore go unnoticed.
    Establish a contact in your bank who knows how their MT940 format has been structured. 
    Then contact your bank and get them to provide some test statements of old bank statements.
    Make sure that you are not the first customer for using the MT940 format or else you will end up being ginny pig for the banks possible mistakes.
    As i learned the way banks interpret the MT940 format guidelines can varry quite alot eg. the ocmt field our bank interpreted as the original payed amount in its original currency. SAP inprets this field as the recieved amount in its original currency and therefore it always try to clear the OCMT amount if availleble which meant it always tried to clear the original amount even though there had been taken som bankcharges underways.
    I also found out that our bank didnt really bother to specify the type of transaction (interest, fx contract, bank charges, check and so on) which meant we only had two external transaction codes availleble s103 for incomming payments and ntrf for outgoing payments. This gave alot of trouble as i had to identify the type of transaction through seach algorithms.
    Our bank also had trouble creating the MT940 file because it has a limited number of characters availleble which meant in the initial file that it only gave the first x characters of each line and then left out the rest. This meant that the text was broken into alot of pieces and you hardly ever had a complete invoice number to clear on. We had the bank altering their format so they now leave out text at the end of the transaction instead.
    In the implementation process we experienced that the EBS application created a payment advice each time the amount of the payment didnt match the invoice in the system. We implemented a note from service.sap which disabled this and just assigned the difference to a bankcharge account.
    I dont know if you can use these advices but just felt i would try to warn you about the potential problems that i experienced in the process. .

    I wanted to ask that when we usually post an incoming payment or an outgoing payment in SAP the respective subledger accounts and the bank clearing accounts are debited or credited as per the situation.
    Now when we configure for Bank reconciliation and we set the posting rule why then again do we need to do two steps of the posting area 1 and the posting area 2. Where we have bank account entries in the posting area 1 and then in Posting area 2 we have the subledger clearing. I also wanted to understand how then the posting type works here.
    In some cases such as Bank charges we use post to gl which is posting type 1. For other how is it used.
    Please provide the conceptual understanding for the same.

    Scenario 1:
    Vendor payment (done in APP):
    Accounting entry at the time of APP:
    Debit:  Vendor Account
    Credit: Outgoing Clearing Account
    Accounting entry at the time of EBS posting:
    Debit: Outgoing Clearing Account
    Credit: Main Bank Account (House Bank)
    In this scenario, we only have posting rule 1 for Main GL posting. There is no need to posting rule 2 for sub-ledger posting. This is because only one entry is passed at the time of EBS posting and the sub-ledger postng is done at the time of APP.
    Scenario 2:
    Customer Receipt (EBS posting):
    Accounting entry at the time of EBS posting:
    Sub-ledger posting
    Debit: Incoming Clearing Account
    Credit: Customer Account
    Main GL posting
    Debit: Main Bank Account (House Bank)
    Credit: Incoming Clearing Account
    In this scenario, we have posting rule 1 for Main GL posting and, also posting rule 2 for sub-ledger posting. This is both the entries are being passed at the time of EBS posting.
    Scenario 3:
    Bank Charges (EBS posting):
    Main GL posting
    Debit: Bank Charges Account
    Credit: Main Bank Account (House Bank)
    In this scenario, we only have posting rule 1 for Main GL posting.
    Scenario 4:
    Vendor payment is not done in APP instead, posted in EBS:
    This situation will be similar to Scenario 2 with opposite entries in Sub-ledger and Main GL entries. Here also we have posting rule 1 for Main GL posting and, also posting rule 2 for sub-ledger posting. This is both the entries are being passed at the time of EBS posting.

    In order to ensure that your client is able to perform their first bank reconciliation correctly, you need to perform the following steps:
    First we'll create an example:

    Oustanding unpresented Cheques                           = $50
    Opening Bank Statement balance                           = $150
    Step 1:
    Firstly enter the Cashbook balance via Incoming Payments as:
    Dr         Bank Account        $100.00
    Cr         Cashbook Opening Balance Suspense account   $100.00
    Step 2:
    Secondly enter each oustanding cheque via Outgoing Payments against the bank Account
    Dr         Bank Account (Contra)    $100.00
    Cr         Bank Account (with Chq No)        $100.00
    Step 3:
    Open you Bank Reconciliation via Banking - Bank Statement + External Reconciliation - Manual Reconciliation.
    Enter:
    Opening Statement Balance  =  $  0.00
    Closing Statement Balance   = $150.00
    Statement Date = Date before Go Live
    Tick / Select Opening $100 + All Dr Balance Cheque Entries.
    Once Reconciled you will be left with the Oustanding Cheqs, which will clear once the User starts on their Post Go Live entries.

       d.setup payment method per co code for payment transaction
       e.setup bank determination for payment transaction
    Please go for Cheque mangement using T code FCHI     (IMG/FA/ARAP/BT/OP/AutoOp/PaymentMedia/CheckManagement) and for void reasons FCHV. You can create Bank Reconcilliation statement by TC FF67 (SAP/AC/Treasury/CashManagement/Incomings/ManualBankStatement) . Don't forget to keep the opening Balance as zero. Use FBEA for post process.
    All the steps together will lead to (FF67) Bank reconciliation statement.

    The implementation partner has done all the uploading in the bank. It was almost 4 months back. Now we are working as the support team. After the upload they didn't touch the bank reconciliation. Now they want the same. How i will proceed?
    I am having little awareness in this. Please help me through steps 1 by 1.

    hi brs are two types one is manual bank statement another one is eloctronic brs
    in MBS the following steps are awailable.
    1. define posting keys and posting rules for manual bank statement under this u can create
    A. Create a/c symbols
    B. Assign a/cs to a/c symbols
    C. Create keys for posting rules
    D. Define posting rules
    2. Create and assgin business transactions
    3. Define manual bank statement variants
    In EBS the the following steps are awailable.
    1. Make global settings for Electronic bank statement under this u can do
    A. Create a/c symbols
    B. Assign a/cs to a/c symbols
    C. Create keys for posting rules
    D. Define posting rules
    E. Create transaction types
    F. Assign transaction types to external transaction types.
    G. Assign bank accounts to transaction types.
    E F G steps are different from MBS to EBS ok.
    mbs transaction code is FF67
    electronic bank statement is FF_5

  • External Bank Reconciliation Report in 8.81 PL04

    Hi There.
    When clickin on the new Bank Reconciliation Report, the Selection Criteria window opens up. Show Acc code, and Reconciliation nr. Its 2 drop down lists. However, the problem is that there is no accounts I can choose from in acc code, and no reconciliation nr in reconciliation nr.
    I did do a manual recon, and it still does not give you any options in the selection criteria.
    One of the other databases I have, I did a manual recon, and in the report it does give me option to choose from one acc code, and one reconciliation nr.
    What do I need to do for the selection criteria to appear in my bank reconciliation report?

    Hi,
    Please update the path which report you are trying to fetch.
    If a manual reconciliation is performed, it would not be displayed as reconciled in the External Reconciliation.
    Kindly let us know the exact window you are checking so that we can further check.

    we are doing BRS manually for all collections and disbursement accounts.
    The details of the bank accounts are
    1. HDFC                                       - Collection Account
    2. Deutsche Bank                     - Collection Account
    3. Standard Chartered Bank - Disbursement Account
    Currently it takes lot of time to reconcile manually and now its decided to move from manual to System BRS for better control and time saving.
    Is it possible in sap. If So where we have to configure in sap?
    Otherwise please provide me the alternatives to manual bank reconciliation.

    Hi,
    BRS can be automated in SAP system, you need to configure additionally 3 more steps in addition to the manual BRS configuration steps to avail this funcationality (Electronic Bank Statement)
    Path:- Financial Accounting (New) -- Bank Accounting -- Business Transactions -- Payment Transactions -- Electronic Bank Statement -- Make Global Settings for Electronic Bank Statement
    1) Create Transaction Type
    2) Assign External transaction type to posting rules (Banks generally have there own codes for various transactions)
    3) Assign Bank Accounts to transaction types
    The Various formats that are available for Bank Statements can be found in T. Code FF_5, in Elect. bank statement format field.

  • Deriving the profit center / segment during Bank Reconciliation

    Hi SDN,
    One of our requirements is to generate a Financial Statement by Segments.
    For this reason, we also need to derive / tag our Bank Reconciliation documents (Manual and Electronic) to the corresponding profit centers or segments. The problem though is that during FF67 or FF_5, there's no way we can enter these data.
    At the same time, we can't set a default profit center via FAGL3KEH since these bank accounts may be used for multiple profit centers and not defaulted to one only.
    My question now is, can we use the document splitting functionality so that we can "inherit" the profit center / segment from the payment document during bank recon?
    To give you an idea here's a sample flow of what we wanted.
    Customer Invoice (GL view)      - OK in the system
    Dr  Accounts Receivable  (profit center 1) *inherited
    Cr  Revenue Account (profit center 1)
    Incoming Payment (GL view)     - OK in the system
    Dr Incoming Clearing (profit center 1)
    Cr Accounts Receivable (profit center 1)
    Bank Reconciliation        
    Dr Main Bank             (profit center 1)
    Cr Incoming Clearing (profit center 1)
    Currently, system does not inherit the bank reconciliation document to the right profit center. Is there any way we can do this in the system?

    Dear,
    During bank Reco system inherit the Profit Center from the document which it is clearing. There is no need to maintain Default the same in FAGL3KEH.
    Please activate splitting at Profit Center level.
