Use of SAP DMS & SAP Archive Link both together

Dear DMS Experts,
I am little bit new to DMS and have very less idea about functionalities and capabilities of SAP DMS & Archive Link.
I have got few questions:
1. Is it possible to use both SAP DMS & SAP Archive link togther.
For example, there are certain objects like GRN, Invoice, Employee etc which are not supported in standard DMS.
However, they are supported in archive link.
But at the same time, there is requirement of setting and resetting of some statuses of the documents attached with PM notification or with PR / PO. This functionality is available with SAP DMS.
So I want to know, is it possible to use SAP archive link for few objects and SAP DMS for other objects.
2. In case of SAP archive link configuration, we need to define link between Object Type, Document type and content repository
in node "Edit Links" under "Basic Customizing" under "ArchiveLink".
Here we can not use all the content repository which we have created normally. But we can use only limited content repository ID.
How does system decides, which content repository id can be used.? Where can i define that.?
3. With SAP archive link, can i store my documents in the same content repository in which I am storing my all the documents with SAP DMS. I mean to say, both the SAP DMS & Archive link, can share the same content repository.
We are having a seperate content server and requirement is to store all the documents in content server only.

Yes,you may use Archivelink for static documents that would be required purely for reference while DMS can be configured to handle documents that are more dynamic in nature (that require status change,version,revisions et-al)
..both the SAP DMS & Archive link, can share the same content repository.We are having a seperate content server and requirement is to store all the documents in content server only...
Yes,you may store DMS and Archivelink documents can reside on the same Content Server.Content repository is a logical area/partition,hence you may create one content repository for DMS and another for Archivelink(on the same Content Server).

    Christoph already answered that question in regard to document info records.
    Regarding documents from OAWD, your question is a bit surprising. The main idea of OAWD is to trigger a workflow for linking an external document to a SAP object (document in FB03 or whatever). This is done via ArchiveLink, so all documents linked via OAWD will appear in transactions like MIGO or FB03. Once more, please refer to the documentation:

    Hi Experts
    I need some information on SAP DMS and SAP KM connector.I need to pull the data which is stored in the content server to SAP KM.Is there any built in connector in SAP which will connect to SAP DMS and SAP KM.
    I heard that there is a Business package in SAP which is used to connect both.
    Apart from the business package, Is there any JAVA API's are available to retrieve data from content server.

  • SAP DMS - SAP ECC network traffic

    Hi all,
    I have the following situation:
    The SAP ECC servers are hosted outside my company and we are planning to install a SAP DMS server.
    We have 2 options: host the SAP DMS outside or install SAP DMS in our datacenter.
    When the SAP user attaches or reads a file to/from SAP DMS, how is the network traffic ?
    Is there any traffic fom SAP ECC to SAP DMS or the file goes to/from DMS from/to end-user ?
    How SAP DMS impacts my WAN ?

    Leonardo,  I have done some research /  trouble shooting and architectural changes to raise the upload / download speeds, there are several dependencies like Network, Application, hardware etc but to your question:
    First of all, DMS is a core functionality of ECC and utilizes both ECC for execution and Content Servers (recommended for Obvious performance reasons) for Data Storage. For your case I recommend that you host Content Server at the Data Center (assuming you have no other option) and have a Cache Server installed Onsite. (This requires minimal maintenance). When the user uploads a file the traffic is high as the entire File needs to be transferred to the data center, on the other hand Cache server (if installed onsite) considerably reduces the retrieval time.
    Again having said above there are several other parameters that could affect your upload / download speeds.

    perhaps some remarks to SAP Records Management. SAP Records Management (and SAP Case Management) is a powerful infrastructure for creating cross-component application since you can organize any SAP and Non-SAP information object as a record (tree) in a role based view.
    One classical application is the HR personnel record. You collect documents (archived documents as well as DMS documents (with versioning)) together with personnel master data and other information. For each employee there is a record instance.
    Another application is a machine record for a machine producer. It is a collection of SD objects and of engineering documents.
    A record can also be business partner record collecting information about the business partner and for example other records that refer to the business partner.
    Since SAP Records Management is designes as a Service Provider Framework you can integrate any kind of information objects both in SAP and in non-SAP systems.
    So, also SAP DMS services can be wrapped as SAP Records Management service provider and hence be used in SAP Records Management applications.
    The focus of SAP DMS is the handling of engineering documents and their behaviour in production. Based on SAP Knowledge Provider it is more a document management service.
    SAP Records Management is stressing the aspect of building cross component applications and their business flow. SAP already provides a lot of standard service providers but you can also build your own service providers and hence integrate your own objects.
    For more information, see the documentation and get a first flavour by starting the transactions ORGANIZER and SRMREGEDIT.
    By the way in contrast to SAP DMS, SAP Records Management is part of NetWeaver.

  • Content Server / Content Repository / Archive Link and co.

    Hi,
    i have installed a content server on an external Windows 2003 Server Plattform using MAXDB. The Server is now running and working properly. The test of the content repositories were positive too. Now im a bit confused about all the actions which are required to make a content rep known to SAP System via Archive Link. Is it correct to start the content server service in the SCIF transaction? Do i need to perform the Archive Link Workflow and Costumizing wizard. Which tables have to be altered?
    I would  be very greatful if anyone could tell me the steps which need to be done in order to succeed.

    Not required
    the actions which are required to make a content rep known to SAP System via Archive Link.
    Create a content repository  in OAC0 using document area Archivelink and storage type HTTP Content Server.
    To use full functionality of  Archlink, other set of Archivelink configurations required one of them e.g.OAC3 to use this repository to be used by business objects.

  • Attachment list in ME23N using SAP Archive link not working

    Hello Everyone,
    We are using Documentum as our document management system and have linked it to SAP through Archive link to link scanned Invoices against purchase orders.
    After we run a query to link a PDF document to a purchase order in Documentum and then Login to ECC and tcode "ME23" and display the purchase order->Environment->Display Originals the document attached to the purchase order is getting displayed in Document viewer. But we want to display the document in "ME23N" and also against the Invoice document in "MIR4".
    Can anyone please help me in finding a way to display the document in ME23N. I would greatly appreciate your help.

    Do a search. There are plenty of posts which cover the configuration of DMS and ArchiveLink as separate issues. Its not something you could add as a single post, its an entire module in itself.
    On the issue of versioning, some products do support versioning with ArchiveLink but TRIM is not one of them. To get versioning on TRIM, you would need to use SAP DMS using TRIM as a repository. Open Text supports ArchiveLink with versioning with a product called Extended ECM which is designed to give similar functionality to SAP DMS but driven from the Open Text product as opposed to the SAP DMS. I.e. you create documents and publish them to SAP rather than creating them in SAP and storing them in the 3rd party content server.

  • SAP Archive Link and DMS integration configuration

    Hi SAP Gurus,
    I have always come across that SAP DMS is very well integrated with SAP Archive link, is that means SAP Archive link can be used as an storage location for storing original application files, in normal DMS check in original CV01N transaction.
    does this Archive link appear as an option to be selected to store the original application file at CV01N Transaction, just like we get DMS_C1_ST (default SAP) or any ZDMS_SC01/02 (customised Storage catagories for checking in originals.)
    another side iam also comming across SAP Archive link is an entierly different Module and involves different transactions to store documents and original.and no where related to DMS.
    iam not able to draw at any conclusion weather to suggest Archive link as an storage medium for DMS check in originals, as i have not used it earlier in DMS.
    Can this SAP Archive Link server be used as an sole and single original applicaion file storing system for DMS?
    if so will it support all the DMS funtionalities, if not what is this fully integrated means, is it limited to make an copy / transfer of excess DMS files in SAP Archive server from existing DMS server? iam confused
    please clarify.

    let me put it in a better way,
    1) You can store a document against a DIR with the GOS icon instead of in the originals area (called Document Archiving), i did not understand this solution please eloborate. where is this GOS icon in DIR,
    2) There is one thing in menu path: Environment / check in archive.
    so can we store originals in a Archive server directly by going in to the CV01N transaction.(iam not speaking about transferring Original already stored in a content server)
    3) we are having a single archive server to Archive SAP data, can This SAP Archive  server be used as an sole and single original  file storing system for DMS Also?
    4) if so will it support all the DMS funtionalities, if not what is this fully integrated means, is it limited to make an copy / transfer of excess DMS files in SAP Archive server from existing DMS server? iam confused to suggest this solution, as the client is not kneen on buying a separate server to store DMS files.

    Could you please advice whether archive link can be used to store documents from SAP R/3 enviroment to KM Repository. I have verified the storage types that archive link can support (Like HTTP Content Server) . But i couldn't see any storage type out there which is compatible with KM Content storage.
    If it is not possible, Could you please advice is there any way to store the documents from SAP R/3 environment to KM Repository.

    until now I haven't found a solution in detail, but some ways to verify the connection.
    I wrote about a tool that export the pdf to the filesystem, this wont be able at this time, it must developed, because a function will place the data in a sap table and from this point there we can export it on the filesystem after we've develop some abap code.
    I thought that was already available, but that what i found was the Report RSTXPDFT4 in the sap system, with this you can transfer spool to pdf and store the file in dialog on a filesystem, there will webdav be able to use, but it must be batch.
    So I search to a new way, I try to set the repository for rooms from persitence from db to fsdb, this works, but with our patch sp9 there are some errors, so i must patch it to sp 15/16 first.
    I'm able to make the netshare on windows, so the repository is reachable with an unc Path. If the report, that must be written can access such unc path (normaly thats works in the same domain) we can store the Files in the room workspace document folder an the portal synch job can make the rest. >IN the sap system there must be a table to map the rooms to the responsable folder.
    This way should be work, but it isn't fine for productive, I heard from a way to transfer the data with  java. In CRm System there should be a fnction from sap CRM_ISA_ORDER_CONVERT_TO_PDF and the isa use the java-stream to transform it in pdf, but this is nothing for me, that must be checked from a java developer, a colleague of my will check this.

  • Using a single Content server for DMS and also for Archive link documents

    We have Planned for a single content server for managing the documents in DMS, parallelly as DMS Standard SAP objects are not available for all SAP transactions, i have proposed for making use of SAP Archivelink funtionality to maintain the documentations where Std SAP DMS does not provide a Solution.
    so here the question is
    can a single content server be used as a content repository for Both DMS and archivelink,
    can any one having done this pls state if it is possible to create different or Many Content repositories for DMS, Archive link in the same server,
    is this a virtual creation or can we assign each repository a specific storage space which it should not exceed.

    -- Through the ArchiveLink docuemnt Management interface, an SAP sytem can use various content servers as storage media. similarly, one contnent server can be used by multiple SAP systems.
    -- A Content server always has a single database assigned to it. A database can therefore be used by only one content server.
    -- A databse is split into as many repositories as necessary. The design of the repository is mapped in the SAP system.A repository contains documents.
    Depending on your requirements,(if u have limited documents or with low requirements)  you can use the same content server for both DMS and Archivelink.
    The number of documents stored on the content server is limited only by the size of the database.
    Its better to have an external content server for archiving purpose, if your database size is increasing. Since the archiving systems storage is not dependent on the database.

  • Problem viewing .xlsx and .xlsm file in DMS using Display from Archive Link

    Hello All,
    We are using IXOS as a content server for storing the documents through SAP Archive Link.
    We are not storing any documents in SAP DMS.
    The client has an requirement to manage .xlsx and .xlsm documents.
    1. xlsx - We defined a new document class xlsx under SAP NetWeaver ..-> ArchvieLink  and made the required mime and sheet settings. This allows to upload a .xlsx file to IXOS server succesfully (using Check in Archive) link.
    But whenever we try to view the file using "Display from Archive", the browser gives a warning message that the file is in different format than xls. Do you want to still open (Standard Excel application message). On clicking yes, the file opens in .xls format instead of .xlsx.
    The client doesn't want to change the format to .xls. What can be done to preserve the .xlsx files.
    2. xlsm - Any clue as to does SAP ECC 6.0 support this file type for DMS? And if how the config settings are to be done?

    based on your description I think that maybe SAP note 1289314 could help here and made sure that the local copy also has extension XLSX or XLSM.

    I need link SAP DMS to KM (Content Server), How can i attach files content in km to SAP DMS from transactions CV01N and CV02N. What´s customizing activitys i need apply?

    Hi Jhonny,
    in the standard of transaction CV01N or CV02N you see the original area at the bottom tab ‘Document Data’ or you can navigate directly to tab ‘Originals’. Both times you find the same small icons. To add an original you can use whether the ‘CREATE’(white sheet) or ‘OPEN’ button. If you choose CREATE a pop-up window appears where you can enter all original related data (workstation application, description, …). In the path field you can enter the path to the original manually or you can browse for it using the F4 help.  Since you select the correct file on your PC or Server please press OK and the path will be entered in the pop-up field automatically.
    After you entered all this data and confirm you will return to the CV01N or CV02N screen and see that the original file is added. However the displayed lock sign is still open which means that the original is not checked in at the moment. Please use the small green CHECKIN icon and select a suitable storage category on the next screen. After confirming your selection and saving the document the original is checked in correctly.
    Regarding the customizing I would kindly ask you to check the following settings:
    1. Storage category:
    Please check if a storage category is maintained in your system. I would recommend you to use the Content Server (KPRO) storage type. Therefore please go to transaction DC10 and choose the
    relevant document type. Display its details and you will find a flag called ‘Use KPRO’. Please flag it to use the KPRO storage type which is recommended by SAP. You can manage your storage categories and KPRO settings by transaction CSADMIN.
    2. Workstation Application:
    To store originals in DMS it is necessary to have some workstation applications defined in transaction DC30. These applications are necessary to handle originals correctly. Please maintain a workstation application for each file format to avoid problems in the future. For all further information please see the blue information button in transaction DC30.

    Can anyone verify the correct OSS for the migration of documents from an RFC Archive repository (non SAP) in SAP DMS to a SAP Content Server HTTP Repository. Most of the OSS notes seem to indicate HTTP to HTTP migrations or based storage category migrations.
    Which is the most suitable for this?

    If you want to move the originals from an archive or vault to a Content  
    Server, please use the DMS_KPRO_CONVERT and DMS_KPRO_CONVERT2 report I   
    would kindly ask you to see teh documentation on DMS_KPRO_CONVERT report 
    in transaction SE38, which explains the whole process and gives          
    necessary information.                                                                               
    This conversion program offers two possibilites:                                                                               
    - Complete migration:                                                    
    The meta data of the document info record and the checked-in original    
    application files are migrated together. The checked-in original         
    application files are transported into the storage catgories.                                                                               
    - Step-by-step migration:                                                
    In the first step meta data is migrated. The original application files  
    remain in the old storage data. The migration of original application    
    files starts after you have processed the files with the integrated      
    viewer and checked them into a secure storage area.

  • Mass upload of documents through SAP Archive Link

    Hi Experts,
    Our client is having a requirement, to upload legacy (old) data from third party tool to DMS Content server through Archive link. Tool is implemented and it works fine for attaching individual document along with SAP Object like, Purchase Order, material, etc.
    We dont have any idea as how to upload bulk of drawings for material, need your advice on this.

    I am trying to get more info on how to bulk upload employee documentation through SAP Archive Link' OpenText Enterprise Scan into the categories in OAWD. Once the documents are in Enterprise Scan the Administrator needs to link these to the categories in SAP. This is a manual process - is there a way to bulk upload these documentation to the right categories? Since these documents vary I am not sure that OCR will be a help.
    Pleae could you help in this regard.

  • External Storage Repository for SAP Archive Link

    We are about use SAP Archive Link as part of a document scanning process. For storage, the intention is to use EMC Centera. We are on SAP ECC 6.0.
    Does anybody know if any additional software or hardware is required, or would we already be capable of  retrieving images from Centera storage without anything additional.
    If we start to store the scanned images on filestore, would it be possible to migrate the images to EMC Centera storage in the future without losing the link to the documents in SAP?

    If Centera storage is certified by SAP for Archivelink you will be OK.
    In my company, we use Filenet and we had to purchase a special Archivelink connector.
    We scan incoming invoices, do OCR, create automatically the SAP invoice and make the link with the scanned invoice in Filenet.

    I don't think so, because the link in SAP is an identifier in the storage software.
