Using html in Data Merge

We need to print several thousand cards using data merge with data coming from an Excel file. The data in that Excel file contains formatting in html: <i></i>, <b></b>,<sub></sub>, &#956;, etc. which we would like to carry over to ID and use so that we don't have to redo the formatting and special characters in ID. I've been searching forums for a couple of days now and found this:

So can InDesign "read" html or no? Is there any other way to do this?

You're absolutely right. If it were only one little card, or a dozen, or even a hundred, we could do this. But it's thousands of cards we have to print. If I follow you correctly, I'd have to split the contents of the cells in that column that has the html in it and sort the snippets of text out according to their formatting, adding more columns, and each new column should fit inside a neat little box in the InDesign file, where it gets its formatting. I think I can do the split with sql and then turn it into csv. But then, the difficulty is that the cards we need to print don't have a recurring design pattern inside that html cell, hence the need to preserve the html. Did you check out the stackoverflow link? Is it possible to "teach" ID to "read" html formatting coming from DataMerge?
You can also use F/C to apply character styles based on tags for text which does not match the paragraph style. I don't get this. When you say "tags", what are you referring to? What paragraph style do you mean?
And now we have a new problem. Yesterday, ID would accept my csvs as legit data sources. Now, nothing I do can make it accept new csvs as data sources. I get:
The data source cannot be opened. Confirm that the file exists and that you have rights to open it, then choose the Select Data Source command again.
What is the right setup for a csv file so that ID will want to perform Data Merge with it?

  • Can I use InDesign's Data Merge for more than just address labels?

    I am a Graphic Designing working on a new science exhibition in Melbourne, Australia.
    I'm trying to streamline the way we import our label content into InDesign (currently cut and paste from Word which is slow and leaves room for error). I've been going down the path of having a macro developed which converts the Word content into a csv file so I can then import this into InDesign through data merge, however the import is falling over.
    Through testing we can conclude that data merge doesn't like paragraph breaks, en-dashes and apostrophies (and possibly more we haven't come across) and will only import data up until one of these items occurs in the data. We've tested a number csv file formats however we can't find a solution.
    Has anyone come up with a solution for this? My macro developer would be keen to get a hold of a working csv file that deals with these issues...

    I have done what you are describing, with Word & InDesign, on a daily basis, for years. Word is not the best choice for this kind of workflow, of course, but if I had to choose between placing Word & doing a data merge with CSV, I'd be torn. Neither one is really the tool for the job. XML import would suit you better, but if you're already midstream in VBA development, there's no point in trying to describe why placing carefully styled RTFs and clearing overrides is better than writing VBA to clean up Word files and turn them into CSV.
    (Look at style mapping in Import Options when placing a Word file for future projects.)
    (Also: it's not extra codings that you want to apply in VBA, it's purging Word-specific "Symbols" and just using true Unicode values for em dashes and other typographical symbols.)

  • Using Indesign CS4 Data Merge on spreads in a book

    I am creating a Date Book and trying to merge the dates, which are in an excel document, onto the pages of the spreads in the book using the Data Merge feature. I have a 2-page spread master page which has the dates flushed on opposite sides of the pages.
    When I merge the data, I get the same date on both pages of the spread. Is there any way to get the data to change from the left to the right page so the next date appears in order?

    The problem I am having is that the placement of the date (data) is in a different location from left page to the right.
    As you suggest, if I make a document with 365 single pages with Master page A, apply the data merge and then Apply the Master page B to the right pages, the correct date that was merged stays where it is, but then the date on the Master "B" pages changes to the same date that is on the "A" page next to it.
    The only thing I can think to do is take the date off the Master "B" page, then after I merge the data, I move the dates to the correct position on the B pages.

  • Indesign pages used in a data merge txt file

    I need to import several images using data merge. In the text file I put an @ in front of the column with the file names for the images, and the file names should look like "imagename.jpg" without the commas. But instead of jpg, and want to use pages from an indesign document. I tried to use "file.indd:3" (just like it would show in the links panel if I import manually the third page from the "file.indd") but it doesn't work.
    Does anybody have an ideea?

    Yes, it works if I remove the ":3" part - it imports a page from the indesign document.
    No, specifying another page after importing an indd file isn't an option, as you have to reimport the file with the "show options" checkbox checked. I want to automate the proces, not to specify one by one what page I need...
    It is an ideea worth looking - the one that replaces the text with the image (deleting the "@" in the txt file), but I think that I will meet te same question: will the script recognise that I want a specific page from the indd file I'm telling it to import... I will give it a chance. Another thing I dont like with this ideea is that if I had any adjustments or scaling to the image frame in the indd file I want to merge (not the one I want to import) I will lose them by transforming the image frame to text frame and running the script.

  • Data Merge Hanging Up on Import

    Hi,
    I'm using InDesign's Data Merge to build a catalog from a CSV file saved as .csv with Excel.  Every time I try to import the data, InDesign stalls out and then "quits unexpectedly" after about 5 minutes.  I can't imagine the data file is too big to import, as it has only 50 or so records now (there will be close to 1000 when the database is complete).  Any troubleshooting tips?

    InDesign won't even make it to the preview stage, when I select the data source is when the program freezes.
    As for the line breaks, all the records are the same length with no split cells or anything in Excel.  However, there are cells with no values (empty, not zero).  In the .csv that is translating to item A, item B,,,,, Item G and so on, which worked fine before the formulas came along.
    I have a lot of logic formulas going on in the Excel spreadsheet to get the values into certain cells.  Its actually befuddled Excel to the point of shutdown now, so I'm assuming that if Excel can't handle it then I can;t expect InDesign to fare better.  However, in my InDesign catalog I need, on a table row, to have a field with a label displayed for it if there is a value in that field in the .csv, and have no label displayed if there is no value for that field.
    For example, if the record has a hooked beak, I need the label to be beak:  so the line to read beak: hooked
    If the record has no beak, then InDesign would skip that line altogether and go on to the next one. Like so:
    <<record name>>
    <<beak>><<beak value>>
    <<tail>><<tail value>>
    <<etc>><<etc value>>
    where <<beak>> and <<tail>> are also fields in the Excel spreadsheet, each cell's contents a logical expression based on the existence of a value in the corrosponding beak value and tail value cells.  English: "If value does not equal empty, then write beak: , else write nothing."  When converted to a .csv, the field's values are preserved, not the formulas.
    Does that make sense? And is there a way to do that with InDesign so I don't need umpteen thousand formulas going in Excel?  That would pobably solve the clog.

  • How Do I get data merge to work without creating duplicate pages in a single page native file?

    I've called Adobe about this and they indicated it was some kind of setting that needed to be changed in InDesign, but wouldn't tell me how to do it unless I paid for an "incident pack" and talked with technical support.
    Problem: I have a single page document in InDesign CS5. It's a direct-mail postcard with large high-res images and complicated graphics on it. I want to merge a list of recipients names/addresses from Excel with this single-page design. Excel document has 2,000 names in it.
    I successfully create the merge using InDesign's data merge feature, but it creates a new InDesign document with 2,000 pages in it. Each page is a duplicate of my original file, but with different addresses on each page. Because of the multiple records and the high res images it has created 2,000 duplicates of - InDesign crashes. It also took about 4 hours to do the merge.
    There has got to be a better way to merge data w/o it created the same page over and over again.
    I can't make a pdf to solve this problem becasue I have to work with an in-house printer and they do a poor job of printing from pdf. So, I always send them native files. This printer does not have variable data software. However, if that is the fast and easy solution to this problem - I will force them to purchase it.
    Any advise or solution to this problem would be appreciated. Is there a setting in InDesign that needs to change so it doesn't repeat the single page design 2,000 times and cause InDesign to crash?

    That's exactly how Data Merge works. If it's on the page, it gets duplicated. 2000 records is a lot, so I'm not sure if the images or the sheer number is what's slowing things down.
    One thing you can try is to moove everything EXCEPT the merge placeholders to a master page, then assign the [None] master to the page with the placeholder anbd do the merge. Change the master to the one with your static content after the merge. That might speed up the merge, but it won't do anything for the file being 2000 pages that each has to RIP for printing. The best way to deal with this is to find a printer who can do VDP printing and give him the template file and your data file, and let him do the merge in the print stream.

  • How do I tailor a data merge to reverse the layout for facing pages?

    I have used multiple record data merge to create a product catalog. I would like to reverse the content on only one side (i.e., the left pages) so that facing pages are mirrored. I can do this easily one page at a time using Flip Horizontal (and Clear Transformations), but I have not found a way to apply this to half of the document in a more automated way.
    Any help would be much appreciated!!

    Data merge with multiple records doesn't work that way. All the pages will be identical after the merge, no matter how you set up the template (and the template itself can have only one page).

  • Is there any way to name the records from a data merge?

    I have a spreadsheet, that has all the names for the images I'm using for a data merge. What I want to do is name the resulting records after the filenames in one of the columns in the spreadsheet. Is there anyway to do this? Or is there some other way to individually name the records from a data merge? I don't have any scripting prowess, so I can't really mess with that. Any help is greatly appreciated! Thanks!

    You merge it along with the others, just like any field. ID cannot do the naming for you during the merge, but most spreadsheets have lots of logic capabilities that should allow you to extract a name for the record from the filename in the column of your choice. The only reason ID knows to find the image instead of writing the filename is that you've used a special name for the field.

  • Variable text files in CS 5.5 data merge

    I have a document that I need to change the text in the document based on a variable in the data file that is being used for the data merge. For example if the are in group A the get letter from text document A, if they are in group B they get the letter from text document B.
    Can the data merge in CS 5.5 do this?

    not with text and not by itself, but a solution is workable.
    indesign's data merge can't place text files as if they were merging pictures, but it can place pictures from jpg, eps, pdf... if the text which changed was a picture, say a PDF, then this would be fine.
    as to telling data merge what is variable, indesign won't parse the data as such... it'll just put the data wherever the placeholders were. if you want if/else statements, these need to be done in the excel file first prior to saving as a text file for indesign.
    so yes, what the OP wants is do-able, but not "off of the shelf" - some manipulation in excel is required.

    in Acrobat X, there is a feature under the pages panel called split pages which lets users split a PDF into various sizes, whether it be based on amount of pages or file size.
    As for titling the PDFs appropriately, the above method won't do that, BUT i'm sure i've read about this somewhere before on this very forum. Do a search of this forum for Data Merge Split or something similar... if I find it I'll post it here.

    Created this desription for someone looking to help, may clarify:
    So here’s my workflow and goal result for these files.
    I am creating special business cards for a handful of people in our company. And since our print vendor usually handles proofs and approvals per individual, I’ve got to try and replicate that process for this piece.
    I created an InDesign file with the fields I need to populate from a spreadsheet with all their contact information.
    Data Merge works like it should, and my merged document contains the front and back of each card for each individual in the handful of people. But now, I need to send out a copy of each for the recipient to approve.
    Another helper here has been manually splitting the documents and sending them out for approval, but I’d very much like to streamline the process (from merge, to proof, to approval, to printer). And the printer will likely be needing these in separate files for shipping reasons.
    So now that I have a merged document, my goal would be to export every 2 pages with a filename of the “<<LastName>><<FirstName>>-COE_BC_PROOF.pdf” so our helper can get them sent out for approval.
    A second step may be to re-do this process with bleed for the printers (or if that seems too much, the proofs will just include bleed and what not so we can forward them straight to the printer).
    So wadda ya think?

  • Strange Behavior with Data Merge (CS4) - Advice?

    This is the most bizarre behavior and I may have to chalk it up to a full moon or something since I can't reproduce it and I cannot find any hints as why this happened. This is my last attempt at figuring a solution...maybe someone has experienced this??? Anyway, here's what happened...
    I do a data merge for addressing envelopes. Been using the InDesign data merge feature for a couple of years now, no problems.
    My address list is approximately 1200. It's in a .csv file with the following fields: fname, lname, company, address1, address2, city, state, zip
    For my last mailing, approximately 300 addresses were merged wrong. Here's the crazy thing it did: instead of using the address1 field for the current record, it used the address1 field from the NEXT record, and ONLY the address1 field.
    Here's more bizarre-ness. The NEXT record was merged correctly.
    For example:
    Record 1 (address1 should be 555 Cherry Lane, Apt 5)
    John Smith
    Smith Company
    123 Main Street, Apt 5
    Small Town, CA 12345
    Record 2 (John Smith's address used THIS address1, but NOT address2 or any other field! Jane Doe's address is correct)
    Jane Doe
    Doe Company
    123 Main Street, Suite 300
    Big Town, TX 56789
    I've tested. I've looked for commonality in the records, where it's placed, if there was something unusual about it's format. I come up empty. The incorrect data seem randomly interspersed.
    One thing that I have to do is break up the actual merge. Either my computer memory or InDesign can't handle 1200 merge records. So, I merge approximately 200 records at a time (I make 6 print files). I don't know if this has anything to do with it (like I said, the incorrect data is interspersed all through out), but, thought I'd mention it.
    Any advice is appreciated. I'm hesitant to use it again until I can understand why this happened.

    CS was soemtimes flakey in this way with Data Merge.
    Are you updated to the latest patch? Most issues were resolved at some point.
    That said, I recall another user with this problem, and it never resolved with his particular file. I examined the data file and couldn't find any issues, but it behaved identically on my system tot he way it did on his so I can only conclude there was still some bug, or something about the data file that we were unable to detect. I seem to recall that the same data file merged correctly in CS3, but I don't recall if I saved it long enough to test in CS5. I've not had any issues with my own files in any version.
    Open the file in a plain text editor and look for any odd characters (I'd start the search where the merge first fails). Also do a Save As from the text editor to make sure there is no possibility of formatting from your spread sheet having found its way in.

  • Data Merge: Cannot get multiple records per page

    I am working with a client who is trying to do a directory in Indesign. There are about 1,800 people with information like address, title, employer, phone, etc. This info is on an Excel spread sheet. I made a text, tab delimited and a CSV file from the spreadsheet. I set up a two column text box on each page and want these entries to fill the columns. I am only able to get one person's information per page. Multiple records per page yields no different result. I also had the multiple records option grayed out on a couple tries. I have tried this many times, even tried setting up a simple spread sheet with 9 items. No luck. HELP! I'm brand new to this feature.

    the data merge function in indesign doesn't make "next record" merges  like word does, but instead merges to fields within fixed text boxes, so  one frame = one data merge result. when doing mailing labels in word,  there is a field called "next record" which then calls in the next piece  of information.
    the "next record" field is a vital field which indesign doesn't have and  i'd like… but that doesn't answer your question. i can see four ways  of doing what you want to do:
    1) do a mail merge in word and use the "catalog" feature and do the  merge in word. format the word file appropriately using stylesheets, and  once the merge is made, save the file and close it. THEN, place the  file in indesign and then change the imported stylesheets into something  which resembles more like what you want.
    2) use indesign's data merge but make sure that multiple record  layout is selected in the first dialog box when creating merged  document; and that when previewing the records, the records appear to be  in one column (even though they are still in separate text frames).  merge the document, and in the new document, select all the text frames  in the page and then run the MergeTextframes_ID.jsx script which can be  found at http://ajarproductions.com/blo…..-indesign/ .this  will have to be done page by page and then rethreaded each page, but  it's a workaround
    3) if the data in the datamerge is a csv, convert the csv to xml. if  the csv is small (less than 100K) there is a converter online where the  contents of the csv is copied into the converter. it is at http://www.creativyst.com/Prod/15/ . The next step is complicated and needs some knowledge of XML. my  advice is to get hold of a book called "Designer's Guide to Adobe   InDesign and XML" by James Maivald, and specifically read chapter seven  and base your merge on this.
    4) visit the third party providers link within the indesign page of the adobe site and have a look at products marketed there... i think teacup software and cacidi software sell products which do more advanced merges within indesign. they're not free though but are designed to handle big catalogues.

  • Speeding up Data Merge

    My company has really embraced the variable data craze, with one problem. It takes far too long. I've been primarily using InDesign's Data Merge function, but I routinely get system lockups and InD crashes even when merged the simplest of documents. I often find myself having to split the file into several small (less than 1000, or sometimes, less than 500) pieces in order to get the merge to complete. This is a huge ordeal when dealing with lists over 10,000.
    These haven't been very complex documents, for the most part; usually some text and a graphic or two, like a signature or a PDF form.
    However, we've done one very complex merge, a very nice peice with lots of color, and it took - and this is no exaggeration - over 30 hours to complete the PDF export.
    There's got to be a better way, doesn't there? Will throwing RAM and/or new processors at the problem help much? I'm running CS3 on a G5 with 1GB RAM (yeah, I know, but I don't control the purse strings).

    I've found a neat method to avoid this kind of InDesign bulkiness. Basically, you can use the Watermark feature of Acrobat 8 to take a PDF of only the variable data, on otherwise blank pages, and add the PDF of the static text as a watermark background on every page.
    You can even nudge the watermark image around until the variable and static areas match up precisely, then apply it to all pages (or a subset, or odd/even pages only, etc.)
    I use InDesign's Data Merge and Text Variables for some complex labels that are driven by a spreadsheet, and it's been sometimes unreliable. The Acrobat watermark feature can go a long way to making it more reliable I think.

  • Has anyone run into trouble data merging foreign languages i.e. French and German?

    I am using Indesign to data merge several hang tags that will need to be translated into French and German.  I have the translations into the spreadsheet, however, it stops populating when getting to French and German.  I noticed that both languages have accents on the letters.  Could my CSV not be formatted correctly?  I just saved the excel document as a normal CSV with all of the languages on the file (on a Mac).

    Thank you for helping with the questions.  It seems there are two points to this puzzle.
    I saved the utf-8 and tab delimited file and then it came out jumbled like in the photo.  It seems the accents have translated into symbols unrecognizable.  I'm unsure if my file is working correctly but came out like this below:
    And assuming that I made the excel file correctly with removed line breaks/hard returns, I'm also unsure how column headings could be named improperly.  It seems they are named exactly how they are tagged.  Here is another photo of the tags and the excel headers.
    I'm new to data merging in a different languages but am hopeful that this process can be finessed so that it's not manually entered for the 50 iterations.  Your help is greatly appreciated
