Using KPro

Hi Gurus,
i´ve been reading a lot of stuff concerning document management inside SAP the last 2 weeks. Now I want to try storing some documents but I have several problems. But first I´ll give you a short overview what I want to do:
I want to store business documents within a Business Object. These docs should be accessible through GOS in e.g. orders etc.
- Therefore I defined a content repository (sap table)
- linked the business object with the repository
- added a document type in Kpro (set 'storing with Kpro')
So far, am I on the right track? If yes, how can I upload documents to Kpro and link them to any type of business object in background? I found documentation concerning the Kpro API, but this is just a list of functions, not a documentation in general -.-
Hope somebody understands this, I´m new to DMS.

Specifically,coming back to your questions,In document type,(T-Code DC10),select/check the attribute 'kPro'. This will ensure that all documents that you check in will be stored in kPro storage area.Also, for object linking, select the document type(created above) and click on 'Define Object Links'. Herein,you will be prompted to select business objects from a list.Once done, the link b/w documents and std business objects get established-refer below link for details:

P.S. Storage location is dependant on the volume of documents,usage pattern etc. Based on this, your options are:
1. 'DMS Storage' option(may store in SAP DB,Vault,RFC Archive), you can store upto 2 originals/documents and 99 additional files.
2. 'kPro Storage' option(may store in SAP DB,HTTP Content Server), you can store 'n' originals/documents and 'n' additional files.

  • How to customize DMS for EH&S using KPRO

    Hi all,
    I am triing to configure DMS for EH&S using KPRO. It seems there are some specificities link to EH&S for using DMS with Kpro.
    Id like to find documentations and / or help to know the different steps to achieve for configure DMS for EH&S using KPRO.
    Anybody can tell me the different steps to do and / or give me some documentations?

    Hello Ludo,
    As Documentum is a separate document storage system, it requires a connector (Standard Interface) to connect to SAP-DMS.
    As I am not expert in this field so will not be able to help you but still I have some information like, Documentum will be used as the Main Application & all data & objects will be created or linked to SAP objects in the Background and the Content Services for SAP application integrates the Documentum content management system with the SAP R/3 system. It is an interface to the SAP R/3 system based on SAPu2019s standard DMS and ArchiveLink interfaces.
    I think your question is more relevant for DMS forum. May be you can post your theread there, so that you can get right answer or may be on this forum someone else can help you who has worked on this scenario.

  • How to customize DMS, linked to documentum, for EH&S using Kpro

    I am working on configure a DMS in order to link EHS and a content server DOCUMENTUM using Kpro.
    I have done some actions but it seems there is some specificities by using DMS for EH&S.
    I have some problems for define data carrier:
    - is the name of the data carrier must be the same as the name of the content server?
    - what is the link between data carrier and content server?
    So, i am looking for informations about data carrier...

    Hi Ludovic,
    You define data carriers if you want to save original records in a secure area using the SAP DMS (and not use the knowledge provider). The configuration is done at Data carriers under Document Management > General Data > Define Data Carrier

  • Use Kpro or Vault for .cad documents?

    Hi All!
    I would like to know, how the best way to storage .cad documents through DMS, Kpro or Vault?
    I didn't get to understand what the really difference between this two ways.
    In Kpro I use the web like front end, and vault I use SAP? It is right?!

  • Confuguration of DMS using an external content server and KPRO

    Hello all,
    I am working in a new EH&S SAP environnement.
    The aim is to configure a DMS to link EH&S with an external content server Documentum using Kpro.
    I have done the following IMG activities:
    - Specify Content Servers (Tcode: OAC0)
    - Maintain Categories (Tcode: OACT)
    - Specify links
    - Specify Data Carriers
    - Define document types
    - Assign EH&S Document Types to Data Carriers
    But i am facing to the following problems:
    - CG36VEN: error: "could not create report for specification XX, variant XX and lang. EN.
    - CG34: error: cannot display document MSDS
    - CG4B: error: cannot display document TEST
    Are there other actions to be done in the IMG activities?
    Any idea to help me please?

    More details:
    I am working in a new EH&S SAP environnement.
    I have installed a new DMS link witn an external documentum content server and he is working fine.
    My aim is to configure EH&S to link SAP EH&S with my DMS.
    Actually my connexion between EH&S and DMS is not working.
    Can you tell me what are actions to be done to link EH&S to my DMS.

  • Use of Document Area/Document Space in KPro

    Hi,
    I hope this is the correct forum for my question. If not, suggestions are welcome.
    We are using KPro to store documents for quality notifications.
    While configuring content repositories (Tx OAC0) and content categories (Tx OACT) I found the field "Document Area" (sometimes referred to as "Document Space"). The documentation on that topic is not very helpful. Could anyone tell me, what's the use of a document area/space? Examples would be very helpful.

    We managed to resolve the problem (We were using the wrong namespace in the XML mapping file).
    So to confirm, it is possible to use the document function in an XSL transform within a BPEL process.

  • How to check in document in default storage when using CV01N?

    Hi community!
    I was in the process of configuring content server for an ECC 6.0.
    I had installed the content server version 4.6 in a separate system and its working well.
    Then i finished all the configurations relating to creation of repository and linking it to content server through CSADMIN. I am setting in DC10 use KPRO. In transaction spro  Cross-Application Components --> Document Management --> General Data --> Define Profile. I am  create a profile, which can be assigned either to a role. Under "Determine definitions for applications" i am define a storage category to a workstation-application. However, when I go to CV01N, and try to check in a new document i did not even get the drop down list instead of my default value. Saves if I manually select "Check In". Am I missing a step??

    Hi Igor,
    If there is no profile based on user-id then it calls FM SUSR_USER_AGR_ACTIVITYGR_GET to check if there are any roles existing with the user-id assigned to it. For example: it returns one role.
    Now if this role is assigned to two different profiles, then the system picks anyone profile and accordingly use the settings maintained to this profile.
    Please make sure that if a user-id is assigned to more than one role and both these roles is used in different  profiles then in this case you have to explicitly mention the user-id in the profile directly rather than using  only the role name.
    Below is the explanation with example :
    Consider that USER_1 is assigned to ROLE_1 and ROLE_2. And this USER_1 is linked to two different profiles  using these roles. If you want that USER_1 should use Profile_1 please make the settings as below :
    Profile_Key     Role      User Name
    Profile_1       ROLE_1       USER_1
    Profile_2       ROLE_2        -
    The below settings does not work, as system can pick wrong profile.

    Profile_1       ROLE_1        -

    Another solution for controlling which storage category will be choosen is to use an implementation of BADI DOCUMENT_STORAGE01 with method BEFORE_LIST_STORAGECAT.

    Hi Wei,
    based on your description I would kindly ask you to check if the flag 'USE KPRO' is set for the document type 'DRW'. Because as storage category you hand over the value 'SAP-SYSTEM' and this is not a KPRO storage category. So if the 'USE KPRO' flag is set then this original won't be displayed in CV03N.
    Is there maybe a difference in display between transaction CV02N and CV03N?

    Hi,
    based on the posted coding I think that the reason for this behavior is that the used document type has set the flag 'Use KPRO' in transaction DC10. Because the storage category 'SAP-SYSTEM' is not a KPRO storage category like DMS_C1_ST. So if this flag is set in the customer then only originals checked in to a KPRO storage category are displayed. Without this flag the originals in "older" storage categories are displayed (e.g. SAP-SYSTEM, archive,...).
    Regarding the limitation of 2 originals per document info record, I can inform you that this is a standard restriction of you do not
    check in your originals to a KPRO. With the KPRO storage there is no such limitation.
    Generally I'm asking myself why you are using the BAPI_DOCUMENT_CREATE2 and then also the CHECKIN BAPI. Because you can enter the original data also at the CREATE2 BAPI. If you want to checkin files to the KPRO then the filedata has to be
    handed over in table DOCUMENTFILES. If you want to check in originals to SAP-SYSTEM then the data has to be entered in table DOCUMENTDATA. For further information please see SAP note 766277 which has a complete BAPI documentation added in its attachment area.

  • Customizing KPRO for an external Content Server

    Hello !!
    Could you help us about this problem .
    We need to install document's archiving onto a external  Content Server (product Documentum), using KPRO.
    We have customized thus :
    OAC0 : Content Repository = Z1 for DMS ( DocArea) and version 045.
    CSADMIN : We receive the message HTTP command adminContRep (operation configGet) is not possible for Z1 (only as of 0046)  when we validate .
    OACT : (Maintain category) , Z1 is affected to SOFFHTTP .
    SKPR08: Categories for physical doc classes , the category SOFFHTTP is affected to the class SOFFHIO.
    With the transaction CV01N , used to create a FID and to join a document , we receive the following error when we try to archive the document :
    "Error during the archiving of D:\Carte..".
    Nevertheless we can find the joined document onto the server Documentum.
    Do we forget a customizing   ???  Thanks a lot .

    i don't know the version of SAP ERP you're using but nevertherless you should bear in mind this detail:
    CSADMIN: "digital signature" not checked means you are not using it.
    OAC0:"No signature" SHOULD be checked if you are not using it (to be consistent with CSADMIN)
    However i am not sure this is solely responsible of your errors; in case of SAP content server, if it works for one user, it will work for the others.
    Please be more clearer in your last part  ???
    Do you mean only the user having done the check-in of the file who can afterwards access the original (in display and change) ?
    what do you mean by "For the other people, it doesn't find the original location" and also by "unless we create the same original location, or we change the original location".
    In case of SAP Content Server, we don't care about "location", whether the file comes initially from a fileserver X or Y or Z, as far as the file has been correctly checked-in the content server, it should be accessible for anybody (as far as user rights allow it)

  • DMS Storage in SAP Database with Kpro.

    Hello SAP Gurus,
    we are using the ECC 6.0 client and still have not configured any content servers for storing the originals,
    but i could make use of Kpro Tick in Document type and attach n no of file to DIR,
    also i have tried using KPRO tick and also making the file Size as 00000,
    but its working and allowing me to store originals in DMS_C1_S1 content repository.
    But when i dont give Kpro tick in document type, then original is not checked in using KPRO, (but again it is also storing original in SAP Database), then it is at this point it is required to give the file size or else it is giving the error,  what is the reason for this strange behavior,
    as in both the case the document is getting stored in SAP database only.
    as content repository DMS_C1_S1 is again using SAP Data Base itself. (Verify from OACT transaction.)

    as i have detailed in my quiry,
    i could see  if we use Kpro we can attach more than 2 originals in a DIR, and also get the advantages of Kpro,
    and if i dont give Kpro tick only 2 originals can be attached in the original.
    but in both the cases the original is being stored in the SAP Database only.(in my case as content server is not yet installed)
    i want to know as the original files if stored in SAP DMS either with Kpro or with out Kpro, can this original files stored be copied in to external storage device say CDs and opened with out SAP logon. (like opening the files in normal windows system)

  • Configuring KPRO for generic object services

       I have a requirement where I have to configure KPRO as the storage for generic object services. We are using the generic object services for materials and hence using the Business object BUS1001. Please let me know of how to do the same or if we have any documents for configuring the Generic object services and KPRO please provide me the same.

    i reply to the question you posted in my thread:
    I solved the request without using Kpro. Kpro ist just a more comfortable way in managing documents. But using ArchiveLink and GOS is all you need if you just want to upload documents and view them in a linked transaction. I would be able to give you a better help if you would give a short introdcution in what you plan to do in detail.

  • Attachments with KPRO / Content Server

    I am trying to store Shopping Cart's attachment in KPro using Archive Link on SRM 5.0 and ECC 6.0.
    Here find what I did:
    1. I created my Content Repository ZA (CSADMIN & OAC0) - All is green
    2. I created a new Global Document ZBBPATT in TCODE OAC2.
    3. I created the link between my document, the object type and the content repository as follow: ZBUS2121 | ZBBPATT | X | ZA | TOA03
    But when I created a SC my attachment is store somewhere but not in CS.
    What's wrong ? Did I miss something? - it seams yes
    Next step is to transfer the SC in ECC.

    ¡        Enter an internal number range interval. You can use an existing interval or create a new one in transaction CV90. The internal number range must be used, because the GUID of the SRM attachments has more digits than the number in the backend system.
    ¡        Maintain the number exit. The number exit is a program exit for document numbers. It controls number assignment and version numbering for documents. The default setting is MCDOKZNR. If you want to control the number assignment or the version increment via a USER_EXIT, then you have to replace the program MCDOKZNRwith a company-specific program. You can find further information in the field help for number exit.
    ¡        In the screen area Field selection, enter u2013 in the Document Status field.
           3.      Go to the dialog structure and double-click the entry Define object links. Define the new object links EKPO and EBAN. Maintain object link descriptions for EKPO (Purchase order item; Scr.no. 248) and EBAN (Purchase req. item; Scr. no. 247)
           4.      Define the workstation application in transaction DC30.
    All required file types should be included in this list.

  • Migration of orginals between two KPro storage systems

    Hi Friends
    I have created a document and checked in the originals into Storage category - SAP-SYSTEM (DMS_C1_ST-Default storage DMS (main files)).I have checked "Use KPro" configuration in "Define document type". Now, I need to migrate this originals into a fileshare system, which i have created as a new storage category(ZNEWDMS).How can I go about?
    I know there is program DMS_KPRO_CONVERT available. But this program migrates documents from DMS storage(Vault, Server, Archive) to KPro storage. My requirement is to migrate the originals between two KPro storages ie From DMS_C1_ST to ZNEWDMS.
    Could anybody help me on this?

    Hi,
    I noticed this thread is a bit old, but I thought I would ask anyways.
    I have the following situation:
    Multiple SAP Instances, each with their own KPRO. A consolidation project to move towards a single SAP Instance. The multiple KPRO's stay as is.
    I am assuming the easiest wat to go about this is to ALE all the metadata of the various SAP instances to the new instance. Would the KPRO links remain intact?
    As part of the consolidation, Objects like materials and equipments have changed, e.g. Material 100 has changed to Material E100. For this I would assume a Bapi to update all the DIR's with the new Objects? This I am hoping would sever the old Object Link and create the new one?
    Any suggestions please.
