Using SharePoint as Content Server - Need

Hello,
A customer is using Sharepoint to store all the documentation related to applications.  Now they have decided to use Solution Manager for the project management.  They want to discuss the advantages or not of moving all the documents into Solution Manager, whether they will loose some good features from Sharepoint. Also, do you find any issue, restriction regarding keeping all the documentation in the external Sharepoint, and just linking through URLs. 
I would like to get your point of view regarding this integration, any experience, recommendations?
I appreciate your inputs so that we have a good base for the discussion with the customer.

We have been moving our entire application documentation from Lotus Notes to SAP Solution Manager this last year. Here is what we've learned.
When consolidating your documentation within Solution Manager you get some advantages and disadvantages, you can use your documentation seamless in your ITIL processes if you are using Solution to support this. We're unfortunately not using this feature
On the other hand one of the disadvantages when using Solution Manager is that you cannot make deep search, meaning that you can only search in document titles, not in the document content. To do this you need the [SAP TREX|http://help.sap.com/saphelp_nw2004s/helpdata/en/a4/929d4206b70931e10000000a1550b0/content.htm] search bolt-on, which we've found a bit expensive
I'm currently lookin into the solution you described: Using Sharepoint as a DMS, enabling us to conduct search in document content.

    Hello,
    I am trying to connect Sharepoint as Content Server in SAP. I have already read about a third party product from E.link to be able to do this. I also read about Duet. I dont know if Duet allows this integration.
    Another option I have read is to configure Webfolder link as a vault in SAP DMS.
    I tried to configure this in OAC0 tx:
    Document Area: WEBDAV
    Storage Type: HTTP Content Server
    But I am receiving http 502 error (Bad gatway) in test connection
    If this third option is possible, then I would like to know if this error is due to some fw problem or security problem.
    If not then I would like to know if this the way to configure Sharepoint as COntent Server in SAP or the only way to do this is using another software (http interfaces).

  • Use of a content server to store attachments in SRM

    Hi all,
    We already have an SRM system in production storing many large attachments on table BBPCONT.
    We are facing huge performance problems because:
           a) SRM holds the whole file content in memory during document upload.
           b) During the process of saving the document, SRM creates one record in VBDATA table for each row that will be stored in BBPCONT. For large files, this process of inserting data at VBDATA takes a very long runtime.
    I have two questions:
       1) Anyone already handled this situation ?
       2) We are thinking about using an external content server to store attachments. My concern is related to the attachments already stored at BBPCONT. Will these documents be available to the user or it is necessary to build conversion programs to move attachments from BBPCONT to the external server ?

    Hello Roberto,
    1) Yes, but we anticipated this performance issue by switching to an external Content Server. I also remember one performance issue: when you are uploading an attachement in your session, the system will store it in a temporary table BBP_TRANSCONTENT (the content is not stored in memory). It will be definitively stored in BBPCONT only if the user saves the purchasing document (otherwise we pollute the final table).
    2) You have to "migrate" old documents from BBPCONT to the new Content Repository (ex:Content Server). There is a report for that : RSIRPIRL.

  • Using a single Content server for DMS and also for Archive link documents

    Hi,
    We have Planned for a single content server for managing the documents in DMS, parallelly as DMS Standard SAP objects are not available for all SAP transactions, i have proposed for making use of SAP Archivelink funtionality to maintain the documentations where Std SAP DMS does not provide a Solution.
    so here the question is
    can a single content server be used as a content repository for Both DMS and archivelink,
    can any one having done this pls state if it is possible to create different or Many Content repositories for DMS, Archive link in the same server,
    is this a virtual creation or can we assign each repository a specific storage space which it should not exceed.

    -- Through the ArchiveLink docuemnt Management interface, an SAP sytem can use various content servers as storage media. similarly, one contnent server can be used by multiple SAP systems.
    -- A Content server always has a single database assigned to it. A database can therefore be used by only one content server.
    -- A databse is split into as many repositories as necessary. The design of the repository is mapped in the SAP system.A repository contains documents.
    Depending on your requirements,(if u have limited documents or with low requirements)  you can use the same content server for both DMS and Archivelink.
    The number of documents stored on the content server is limited only by the size of the database.
    Its better to have an external content server for archiving purpose, if your database size is increasing. Since the archiving systems storage is not dependent on the database.

    I am working in a new EH&S SAP environnement.
    The aim is to configure a DMS to link EH&S with an external content server Documentum using Kpro.
    I have done the following IMG activities:
    - Specify Content Servers (Tcode: OAC0)
    - Maintain Categories (Tcode: OACT)
    - Specify links
    - Specify Data Carriers
    - Define document types
    - Assign EH&S Document Types to Data Carriers
    But i am facing to the following problems:
    - CG36VEN: error: "could not create report for specification XX, variant XX and lang. EN.
    - CG34: error: cannot display document MSDS
    - CG4B: error: cannot display document TEST
    Are there other actions to be done in the IMG activities?
    Any idea to help me please?

    I am working in a new EH&S SAP environnement.
    I have installed a new DMS link witn an external documentum content server and he is working fine.
    My aim is to configure EH&S to link SAP EH&S with my DMS.
    Actually my connexion between EH&S and DMS is not working.
    Can you tell me what are actions to be done to link EH&S to my DMS.

    Hi SAP Gurus,
    with the details gathered from the forum we could suggest the client to go for Archiving there Documents for storing there HR related Documents, like Resumes, salary hike litters, leaves etc....
    but as we do have DMS here and intending to get a Content server for DMS, can we use the same content server for archiving the HR documents also,
    or the other way round if we go a Big archiving server, can we store DMS documents there using it as Content Server,

    Yes, you can use the content server. Just create an ArchiveLink Repository on the server and you can use it for HR.

  • Displaying content item -(IContentItem) in portlet using Content Server API

    I am using the latest Content server API in my remote server to get the published content items. I have to display the content item in the JSP portlet.
    So how to display the content item in the portlet, if you have the IContentItem Object retrieved from the content server ? Is there any mechanism to get the HTML code/JSP code that corresponds to the IContentItem object?(All the content item will be an html or jsp )
    Currently we are extracting the publish url and opening an http connection to retrieve the html, which is not a good solution if you have mutiple portlets in the same page. So please suggest how can I display the content item (IContentItem Object) in the portlet.?

  • Do we need an External Content Server to be configured with OLM

    Would like to know if an external content server is mandatory for Oracle OLM on R12.
    I have read notes that Content Servers cannot be hosted on the middle tier of Ebiz but have also been told from other sources
    that it can be hosted but has some limitations interms of file types supported.
    Would like to know if the above is true and if so what are the limitations

    An external content server is not mandatory for OLM rel. 12.
    You can use an OLM content server, an external content server or any other server that can serve up the content based on URL's.
    Oracle does not support an OLM Content Server being hosted on the eBiz middle tier, even if it has been seen to be working in some installations.

  • DMS Document Storage in External Content Server

    Dear All,
    We are working on a DMS scenario, where we need to store the document in an external content server, and not in SAP DB. We are evaluating the solutions around the content server, and we see that SAP provides a HTTP Interface to SAP Content Server, and this interface can be configured through OAC0 and OACT, and managed through CSADMIN. Now, a set of questions:
    1. If we intend to use SAP Content Server, do we need to purchase additional license for it? Our understanding is that the software is delivered with SAP Installation DVD, and as such no licensing charges are required.
    2. If we DO NOT intend to use SAP Content Server, and rather use an external content server (Possibly utilizing the File System at the OS level as a repository), how will the configuration of OAC0 and OACT look like in such a case? We definitely can not use HTTP Content Server as storage type, How will the entries be organized in this case?
    Has anyone worked on a scenario like this? It will be really nice if you can share your experience and expertise in this regard.

    Thanks for the clarification. Do I understand correctly that, for a external content server (without an installation of SAP Content Server) also, we need to specify the storage type as HTTP Content Server ? But in such a case, how will the work processes be handled? As I understand, SAP Content Server engine will handle the incoming/outgoing requests through a Web Server. So, don't we need a similar arrangement for an external content server also? In that case, will the connection parameters be for a HTTP Content Server or for RFC Archive, where we can specify a RFC Destination of type G and connect through it?

  • Content Server not working correctly

    Hello,
    I am having problems with my Tandberg Content Server. For several years, we have used the Tandberg Content Server (TCS) in combination with our Tandberg Management Server (TMS) to schedule and record video conferences. I schedule 60 video conferences a week to roughly 20 rooms, using the TMS. Of these, about 14 video conferences per week are recorded.
    Originally, I only had one recording alias on the TCS set up, and it worked fine. But I recently added a second recording alias, due to the growing number of requests for recordings of the video conferences. It seemed to go okay.
    Now, however, the Content Server isn't working quite right. It will record two different video conferences at the same time, but once it's finished encoding them, the link that you get to send to people is messed up: often (but not always) the link merges two seperate video conferences together in one video. Two one-hour video conferences will be merged together in one two-hour recorded conference.
    The problem only occurs with video conferences that occur at the same time. Strangely, if I search the Content Server's F drive, under Data/Media, the recordings are all there, and they are seperate. They are only joined together on the Content Server link.
    I have made sure that we are indeed recording on seperate recording aliases.
    Because the videos in the Data/Media bin are always labled something like O1110292903-0593923929.wmv, I can use guesswork to reconstruct a valid URL to get a working link, but it's a lot of extra work: I want to be able to log in to the Content Server admin interface and be able to send someone a link in a few minutes.
    Any ideas on what's going wrong? I created a trouble ticket with Cisco earlier in the week, but have not heard back from Cisco tech support, so I thought I'd open it to the Cisco community.

    HI Ron.  Good morning.  Since our webex the last time, I do believe we can use participant templates in the mean time until we find out whats going on when using TMS this way.  When using the recording drop down and all the systems aren't registered to Gatekeeper seems to be the trigger here, but to get you running, this is what I propose we try and do here. 
    You may have to purge the Content Server out of TMS so TMS doesn't "know" about the IP address of the Content Server. 
    You will have to examine your routing and preferred MCU in routing here, and make the two changes:
    Administrative Tools>Configuration>Conference Settings.  All the way at the bottom you will see:
    I had to change this to Always and Preferred MCU type in routing to MPS.  This is logical since this is the only MCU you have and you need the MCU in each booking (from my understanding of what you said during the webex).
    So:
    1) Jot down all the conferences that have the Content Server involved, and remove the recording from each conference.
    2) Purge the Content Server from TMS.
    3) Add participant template with just the IP address of the content server: Booking>Participant Templates and build one like shown below.  The number field should be the address of the content server and IP zone should be IP zone for your system. 
    Go ahead and save the template. 
    Make booking with this template and another endpoint (don't add the MPS since it should automatically).  Check the connection settings and the MPS should be call the IP of the TCS and the other endpoint. 
    Click Save conference. 
    If the conference saves ok, build another with a different room and same template again, and click save conference. 
    The caveat is that when calling the IP of the TCS, the TCS will use what you have configured as the default recording template under Configuration>Site Settings
    Just choose which one you want to use all the time if you can.

      Yes my users are over a 10 state area geographically, with u201Cpotentialu201D handheld access to the documents that would be attached to functional locations and equipments using the CV0*N access.  They would have no need to u201Ccheckout/checkinu201D documents in the field, but would need view access or print access from their field device via a work order wrote against the equipment or F.L. to which the documents would be attached.  I envision a separate small group of users that would actually u201Cmanageu201D the documents themselves such as u201Ccheck out/update/check back inu201D to the separate server location where the file(s) are located. 
      I understand in principle (I think) the DMS storage, but again, if I select u201Ckprou201D (currently unselected for my document type) you make the following comments: u201C2. 'kPro Storage' option (may store in SAP DB,HTTP Content Server), herein you can store 'n' originals/documents and 'n' additional files, AND
    HTTP content server  You may either use the SAP Content Server or an external/third-party content server.Typically, content server is opted for when operating in a distributed environment(users accessing from several locations)/index based search is needed/n:n mapping scenario exists. 
    Logical repository
    This storage type allows access to different physical repositories, independently of the client and the system ID.u201D
    So based on these comments, are you saying I should select u201CKprou201D for my particular document type and that I should define the external server as either an u201CHTTP content serveru201D or either a u201Clogical repositoryu201D?  If yes, then as I commented in my 1st ask, please advise how u201CI should use for "Maintaining the Storage System" since based on the selection of "Storage Type" whether HTTP content server or Structure Storage System, or Logical repository decides how the rest of your screen looks for further selection.u201D  Thanks in advance.
