UWL notification mail to Outlook inbox-How?

Hi,
We have a requirement to send all UWL notification emails to Outlook Inbox of the users.
Is it sufficient to make the appropriate settings in
Syst admin>Syst Config>UWL>workflow>Mail
Are any other settings required?(Groupware transports,system creation etc)

I have been able to use the program RSWUWFML2 to perform the task. I would like to know two things:
1. I see this only is valid maybe for the time you are logged in. For it to work, you have to run it again when you log in again. Correct? How then do you make it so that it is always active?
2. If it sends the mail to the outlook inbox of the approver, can I customise it so that it sends to another approver in the next level if the first one does not approve in the first 2 days?

Hi Firends,
when the User opens his outlook inbox and finds the Notification Mail.
At end of the matter, Is it possible to give the URL link.
when the user clicks on that URL link then the SAP LOGON initial screen must be opened.
where he can provide his UserName and Password.
Please guide me, step by step if it is possible.

Notification Mail in SAP Inbox is not going to External Mail.

Notification Mail (Simple Mail and not workitem) triggered from workflow are reaching the sap inbox. I need to send this to Outlook also.
In workflow I am using 'send mail' step to and uisng sap userid. With this the mail reaches SAP INbox.
But This doesnot flow to Outlook. Here i am only reffering to mail and not workitem.
I know we need to configure job (RSWUWFML2) to send workitems to outlook. but do we need to do the same for sending simple mail to outlook?
I noticed if we send mail using email id it is flowing to outlook but if the mail is sent using userid from workflow its not flowing.
Do i need to use some program to send notification from sap inbox to outlook.
I checked RSWUWFML2 but this has no option to send only mail and doesnot send the mail from sapinbox to outlook.
Any help clue appreciated.

Hi,
As per my understanding... You would be using Mail step to send mail from your workflow, right?
If this is the case then in mail step-> recipient type would be "Organization Object"... so make it as "E-mail address" and and pass or bind mail id to it. Now you need to go to SOST and check that mail is displayed there or not...
and If your don't want to use Mail Step in your worklfow, then you can use Mail FM - SO_NEW_DOCUMENT_ATT_SEND_API1 to send the mail... Here you need to pass mail id and the text to it and you can see in SOST.

IS it possible to provide URL link in Notification Mail and logon to SAP

Hi firends,
when the user gets a notification mail to his outlook,
he opens that notification mail in outlook.
Is it possible to provide a URL Link ? in that notification mail.
When the user clicks on that URL LINK, then is it possible to open the SAP Initial Screen,
where user can provide his User name and Password. and logs on to the SAP.
If these things are possible.
Please guide me step by step.

Workflow - Sending mail to Outlook

I am new to workflow and have some basic questions. I am working on 470 with WAS 620. I can currently send e-mail to Outlook without forwarding from SAP Inbox with the help of Send Mail functionality. In this case I can read outlook e-mail id of the user and send a mail with Send Mail functionality of Workflow.
My SCOT transaction is configured to send e-mails outside SAP.
Question:
1. I was told that we can use agent assignment based on the Org structure and configure sending of e-mails based on a condition. Is this true?
2. If 1 is true then can we use agent assignment and send e-mails to Outlook inbox directly i.e. with out forwarding mails from SAP Inbox to Outlook inbox.
I have tried to find some solution.
Based on the OSS Note: 627397.
With WAS 620: It is no longer necessary to specify a forward address in the Business Workplace user settings in order to receive notifications.
Instead user master record (transaction SU01) is always used to determine the e-mail addresses.
Note with WAS 640: E-mail address can be read from the PD org structure (info type 1205) instead of user's master record (transaction SU01).
Does that mean that I can still use agent assignment? If yes what is the difference the note is talking about between WAS 620 and 640. Do I need to do something special to read this mater record the note is talking about?

You have mentioned that we can read user profiles and send e-mails with help of agent assignment. But, you have also mentioned that this is the case where HR is not implemented. So did you mean that where there is no Org Structure?
In my case, we have HR implemented and we have an Org Structure. In the PO/PR release strategy we use Org Structure and Position to decide whom to send E-mail.
Now what is it that I need to do differently to make sure that the E-mail is sent to Outlook directly not via SAP Inbox.

Notification mails are not sent using RSWUWFMLEC

Hi Experts,
We are using SRM 4.0 and we have an issue with Notification mails,
The report RSWUWFML2 for sending notification mail to outlook for work item,which we have been using .
We have recently started using the report RSWUWFMLEC for sending the offline approval mails to users who have the attribute Forward_WI.
We have given privelage only to few of the users to approve through offline.
So, the report RSWUWFMLEC sends them the offline approval mail.
We also have the report RSWUWFML2 which needs to send the notification mail to all the users, irrespective of the Forward_WI attribute.
As we are using both the reports simultaneously we are facing the problem.
Can you suggest a way so that we can send approval mails to the users who have attribute u201CForward_WIu201D checked and notification mails to all users by using report : RSWUWFMLEC

Hello Sandeep,
Using both RSWUWFML2 and RSWUWFMLEC reports, just give a different job suffix (selection text P_JOBSUF ) using a variant for each report: by default, it is '2' for both.
In this way, in SWU_WLSCAN table, you will have one entry for each report (field CURR_NUMB ). So, last date and time for report execution will not be the same for both reports, which cause behavior you described.

How do I stop Notes on my ipad from e-mailing my documents to my outlook inbox on my laptop and then deleting the document from notes on my ipad?

I amhaving a problem where if I work on Notes on my ipad, the ipad e-mails various emails of that document to my Outlook inbox on my laptop. Therefore on one given day, I can get various e-mails with the document that I am working on in my outlook inbox on my laptop. It also deletes the Notes document from the ipad. How do I stop this from happening?

Does this happen if the earbuds are not connected?
Are your earbuds the ones with the remote and mic?. If so, they can start the music playing even if the Music app is not running.

How can i autoforward that mail from SAP INBOX to the outlook

My Requirement is that,
I have to send an email to outlook, whenever PO Created in SRM System
I have created custom workflow, i have added a sendmailtask step, i given the SAP userid to send SAP Mail to the user.
It is sending SAP Mail to the User to his inbox perfectly.
Now, how can i autoforward that mail from SAP INBOX to the outlook. This is has to work for all users.
Please give some suggestions. ot it can be achived any other way.
Note: This is Email Message not a workitem.
I have doubt that RSWW program will work only for workitems.*

Hi ST,
what I understand from your requirement is that you are able to send messages using SendMail Step to SAP Inbox and now you want it to be sent to users Outlook.
Here you need to create a container which would store users email address of Outlook (which would be stored in SU01 or in a ztable), use this container in your Send Mail step and in the Recepient Type as email.

for that i tried as

How can I get recent notifications to show up in UWL notification tab?

Hello,
Is it possible to get items that appear in the recent notification iView to show up under the Universal Worklist Notification tab.
For example, when I subscribe for documents in the KM document repository the subscriptions and any changes appear in the recent notification tab. How can I get them to show up in the UWL notification inbox? I've changed the subscription service channnel to add the variable Null on top of e-mail and it does not work.

I wanted to clarify. The steps we followed in the post mentioned above In GP how to get work items in outlook inbox, did work for the UWL tasks that were created within UWL. An email was sent to outlook. Thank you for that information.
It did not work for GP. We have found that even though GP creates a task in the UWL, it does not use the UWL's email configuration to send a notification. In order to achieve that, we have manually tested the GP Callable Object. Is this the only way?

Go to the Business workflow ...then follow the below steps ...!
its kind of configuration needed in the SAP System no coding required.
Step1..go to the Business Workplace
Step2..
Access the settings by choosing SETTINGS - OFFICE SETTINGS.
Choose the automatic forwarding tab.
Here you can create new forwarding rule using the create button.you will get new window then..
Step3...
Insert your email address into the forward to field and choose External address from the drop down box.
Choose the time period of this forwarding rule. In this example want to keep this forwarding for a long time.
Step4....
If you dont want to keep copies of received SAP office mails remove the option.
Choose copy to save the values
If your email address is already maintained in your user profile you will receive a following pop up
Step5...
Now you can save the new forwarding rule and all of your SAP Office mails will be forwarded to you outlook inbox.
You can also remove the forwarding rule anytime you want.

currently i am working on sap ess workflows . i have customized standard workflow (ws12300111) where when manager approvesor rejects the leave in portal, mail has to send to user's portal inbox and email id assigned to user .
in workflow level - i have used 'sendmail' step and given agent as initiator . now mail is going to sap inbox .
can you please guide me (step by step if Posiible) how should i do it.

Not sure if you want a email or SAP mail. Can you clarify the above statement?
If you want to send a notification mail which needs to be displayed in UWL
Search for keyword SONIC in this forum and blogs section. You will get the solution
If you want to send a notification email to the email id of the user
You need to determine the email id of the user and use the sendmail step to send email (your SCOT settings need to be condigured by your BASIS team)

1. Navigate to System Administration > System Configuration > Universal Worklist & Workflow > Workflow > Engine.. Set the parameter
Notify Assignees On Task Creation to true and the Notifivation Service to Java Mail
2. Navigate to System Administration > System Configuration > Universal Worklist & Workflow > Workflow > Mail. For SMTP Host enter the SMTP server of your company.
