Vendor Evaluation for Purchasing
Go to SPRO --> Materials management --> Purchasing -
> vendor evaluation
Define the weighting keys in SM30 - V_T147J.
Weighting keys 01 and 02 are defined in the standard system. You combine the following
weighting shares for the standard main criteria:
Main criterion Key 01 Key 02
Price 1 5
Quality 1 5
Delivery 1 2
Gen. service/support 1 1
Ext. service provision 1 2
Define the criteria in SM30 - V_T147G - Double click on the line items
In this step, you define the criteria by which the system computes scores for vendors and
specify whether the scores for the subcriteria are computed manually, semi-automatically, or
automatically.
You can also store your own methods of computation for the scores for subcriteria in the
form of user exits. The enhancement MM06L001 is available for this purpose.
Define the scope of list in SM30 - V_T147M - Double click on the line items
Define Purchasing Organization data for vendor evaluations in transaction OMGL.
An example :-
How the system calculates the score for the automatic subcriteria
"On-Time Delivery Performance"?
The system uses the statistics-relevant delivery date in the purchase order
(Items -> Delivery Schedule) and the goods receipt date to calculate date variances.
You use the statistics-relevant delivery date, for example, if you know that the vendor
will not deliver the material as scheduled on September 15 but on September 30. Enter the
delivery date as September 30, but enter the statistics-relevant delivery date as
September 15.
In calculating the score for on-time delivery performance, the system will then not use
the actual delivery date, but the statistics-relevant delivery date. This has a negative
effect on the score for this goods receipt.
However, materials planning and control uses the realistic delivery date (September 30)
which the vendor will actually adhere to.
The system considers only goods receipts against purchase orders and scheduling agreements
into stores and the release of GR blocked stock into stores. In the standard system, these
are the movement types 101 and 105.
Minimum Delivery Percentage - OMGL in the On-time delivery section
If you do not want a vendor to receive a very good score if he delivered the goods on time,
but did not deliver the required quantity, you can maintain a minimum delivery percentage
in Customizing.
Assume you set the Min. del. perc. parameter to 60% and the vendor delivers the goods on
time, but only 55% of the ordered quantity. Although the goods receipt is punctual, it is
not included in the calculation of the vendoru2019s score for on-time delivery performance. So
that the non-scoring of the on-time delivery performance criterion in this case does not
bring an unfair advantage in comparison with a poor score, the vendor is awarded a low score
for quantity reliability. On-time delivery performance is thus always to be seen in
conjunction with quantity reliability.
Standardizing Delivery Date Variance - OMGL in the On-time delivery section
To rate delivery date variances in days, maintain the Std.del.time var. parameter.
If you assign a lower standard value, this means that relatively low date variances produce
high percentage variances. If you set a higher standard value, this results in a relatively
low percentage variance:
The Std.del.time var. parameter has the value 20. The goods receipt took place on Nov. 27;
the statistical delivery date was Nov. 15. There is thus a difference of 12 days.
The system calculates the percentage variance as follows:
12 / 20 x 100 = 60
If the Std.del.time var. parameter had the value 60, the variance would be 20%
(12 / 60 x 100 = 20).
If you do not maintain this parameter, the system calculates the delivery time variance via
the firm zone in the case of scheduling agreements, and via the order date and the
statistics-relevant delivery date in the case of purchase orders

    Hi,
    The table ELBM is filled in the info record. If you go to transaction ME12 and then to Extras/Vendor Evaluation, there you have a field Market behavior. This is the way this table is filled.

    Dear Team,
    Our requirement for ontime delivery criteria is - for delays up to 10 days from PO delivery date to GR date 100 points, 11- 15 days delay -98 points,16-30 delay -95,31-45 delay-93,46-60 delay -90 , >60 - 1 point. how to configure this points in SPRO -points for the auto matic criteria.
    Also what is the logic taken for assigning point scores for standard purchase organisation available in SAP 0001(Einkaufsorg. 0001). IF WE ARE TAKING A COPY OF THIS AND TRYING TO EDIT, SOME VALUES ARE NOT GETTING DELETED & SOME VALUES NOT GETTING SAVED.

    Hi,
    Vendor Evaluation (t-code ME61) has the following features:
    Wighting Key: in Std. SAP two keys are given (with equal weighting & unequal weighting). Based on the criteria you have, you can either accept & follow one of these std. settings or create one for yourself in IMG.
    Suppose you select equal weighting as the key to be followed: there are 4 criteria viz. Price, Quality, Delivery and Service.
    Each of these criteria have sub-criteria for them. For Ex. Price has 3 sub-criteria: Price level, Price history and Price behaviour.
    So, for each sub-criterion, you allocate different marks (based on your business). Again, for each sub-criterion, there is a scoring method in Std. SAP. You can't create any new scoring method of your own. You only have to follow one of the 16 scoring methods given.
    Thus, the total score would come to 100 and you get vendor evaluation based on these criteria chosen.
    In your case: you have descending marks (points) for delay in delivery. So, pl. make one according to those criteria & sub-criteria. Please go through the help.notes and also some links in SCN. Regards, KrishnaM

    Hi SAP gurus,
    I want to know if anybody has used de Invoice criteria in Vendor Evaluation, that is available in ERP 2005.
    The subcriterias Price Variance and Quantity Variance are automatic?
    Can we use them only with MM Module or do we need the SRM functionalities?

    In invoice main criteria we have
          -  Quantity variance
          - Price variance
    Quantity Variance
    With this criterion, you evaluate how exactly the quantity to be invoiced agrees with the quantity actually invoiced.
    Price Variance
    With this criterion, you evaluate how exactly the price to be invoiced agrees with the price actually invoiced.
    In order for evaluation results for the two last-mentioned subcriteria to be generated automatically, you must activate invoice evaluation for the company code. In the process, you also define the maximum points score per company code.

  • Vendor Evaluation-- Points and Scores

    Dear Gurus,
    On what basis are the scores assigned for the percentage that is assigned.  For Eg. what do you mean by the following:
    Percentage   Score
    20.0-        10
    10.0-        65
      2.0-       100
      2.0        100
    10.0         50
    what does 20.0- mean and how is a score of 10 assigned to the same.same is the case for all the entries.
    Kindly explain me the entire process as to what does this percentage mean. Assume that we are evaluating the vendor based on Price.

    The system calculates the scores for vendor evaluation as follows.
    Calculating the Overall Score
    The system derives the overall score from the scores for the various main criteria, taking the
    weighting factors assigned by Purchasing in the system settings for each main criterion into
    account.
    The following example explains this process:
    Example
    The table below shows the scores for a vendor and their weighting factors:
    Main criterion Score Weighting factor
    Price 70 40
    Quality 85 25
    Delivery 50 10
    General service/support 50 5
    Converting Weighting Factors into Percentages
    To make the weighting factors clearer to the user, the system converts them into percentages.
    1. The system adds the factors together and equates the total with 100 %:
    40 + 25 + 10 + 5 = 80 equals 100 %
    2. To express the individual weighting factors as percentages of 100%, the system first divides
    100% by the sum of the weighting factors:
    100 / 80 = 1.25 %
    3. Then the system multiplies the weighting factors the buyer assigned to the main criteria by
    this figure:
    40 x 1.25 = 50.00 %
    25 x 1.25 = 31.25 %
    10 x 1.25 = 12.50 %
    5 x 1.25 = 6.25 %
    4. The following are the results of percentage of overall score
    Main criterion Score Percentage of overall score
    Price 70 50.00 %
    Quality 85 31.25 %
    Delivery 50 12.50 %
    General service/support 50 6.25 %
    However, internally, the system uses the weighting factors to compute the overall score.
    1. The scores for the main criteria are multiplied by their weighting factors.
    70 x 40 = 2800 points
    85 x 25 = 2125 points
    50 x 10 = 500 points
    50 x 5 = 250 points
    2. Total points = 5675.
    3. This total is divided by the sum of the weighting factors:
    5675 / 80 = 70.94 points
    The vendor is awarded an overall score of 71 points

  • Vendor Evaluation scores sub criteria price level and price history

    Dear all,
    I have configured vendor evaluation with subcriteria price history and price level as automatis.
    For test, I created a vendor and a material. Assigned market price for year 2009 and 2010.
    Also info record price maintained for the vendor material combination.
    Vendor XYZ
    Material ABC
    For 2009 Market price 8 and effective price 8.5
    For 2010 Maket price 8.2  Effective price 8.5
    Variance calculated 8.43% and score is 15. This was calculated correctly.
    Now I created another material and maintained master data for that mater
    Vendor XYZ
    Material DEF
    For 2009 Market price 18 and effective price 20
    For 2010 Maket price 20  Effective price 22
    Variance calculated 1% for which the score is 50.
    When I go for vendor evaluation through ME61 , system is not considering the average of 2 scores. But giving a score of 50. Score bands are as follows.
    5     Price behavior     5.0     10
    5     Price behavior     10.0     15
    5     Price behavior     20.0     20
    5     Price behavior     50.0     20
    5     Price behavior     99.0     10
    5     Price behavior     5.0-     50
    5     Price behavior     10.0-     100
    5     Price behavior     50.0-     20

    Pls help me resolve the issue

  • Score problem in vendor evaluation for sub criteria Quantity Reliability...

    Hi Experts,
           For the subcriteria  Quantity Reliability i have calculated the score like below,
    pur.order quantity  - 1000.
    receipt qty - 900.
    var = 900-1000/1000 *100 = 10%.
    10% var = 90 pts.
    old score - 41
    new score -90
    smoothing factor - .30
    41 * (1-.30) + 90 * .30  = 56. Am getting,but
    system calculates 59.how.Is there any configuration problem.
    I hardly need to solve this.pls anyone help me.

    Hi,
    to answer your question satisfactorily we need to knwo about more details.
    what are the minimum delivery factors, overdelivery and underdelivery tolerances?
    these all are considered in the score calculations.
    to adjust the score the system gives high priority to average score that is 1-smoothing factor.
    if you have just updated the score for same delivery then the score calculation is different.
    in case of further queries please find the MMSIV document you could find it in some fo the posts.

    I have one requirement from client. A vendor supplies many materials. My client want to get report of vendor rating of the vendor for each material and material groupwise.
    Can this objective can be achieved?

    Hi,
    When you run Vendor Evaluation (for all criteria), sysytem keeps log of all material level points the Vendor has achieved. You can view the same in transaction ME64.

               each sub criteria scores will be cal based
                    1.maual
                    2.semi auto
                    3.automatic
    if auto means u need to define points score for each sub criteria.once u define criteria for scoring based on that system automatically allot score for each sub criteria
    if semi auto means u need to enter score manually at inforecord level for each  subcriteria for each operation u do in purchasing.Here u r not defigning criteria for alloting score to sub criteria u need to enter manually for each operation.

    Points scores for automatic subcriteria: The intervals for the automatic subcriteria used must be maintained, otherwise nonsensical scores may result. In addition to the F1 documentation, you should take account of SAP Note 51054. The limit values -99.9% and 99.9% must be maintained. Similarly, the invisible limit 0 must be observed.
    Variance             Score
    -99.9%               1
    +99.9%              100
    A variance of 0% brings the vendor 100 points, whereas a variance of -1% results in a score of 1 point.

    Hi ZEYNEP,
    1) Effective price - End price after taking all conditions (for example, cash discounts, delivery costs etc.)  into account.
    2) Total Price - Price arrived at after taking all discounts and surcharges into account
    3) Total value = total quantity x price
    When a price changes, the value of the stock changes, since the value is calculated from the price:
    4) Effective (actual) price: Net price minus cash discount and plus miscellaneous provisions and delivery costs as well as non-deductible input tax
    In simple - Total Cost - Expenditure on material till Goods Receipt (Procurement) and Effective cost - including all expenses till delivery from factory or some times till reach the consumer (vary depend upon the nature of business).
    Here is an example
    Material Price is $ 1000/-
    & Discount is 10% and tax is 10% and freight is $ 50/-,Fixed( it may also %)
    So Here the Material Price is called Gross Price $ 1000/-
    Gross Price ($ 1000/-)- Discount {$ 100/-(10% of $ 1000/-)}= Net Price $ 900/-
    Here Net Price $ 900/-
    Tax $ 90/- ($ 900/- +$ 90 = $ 990/- is called sub-total)
    Freight $ 50/-
    $ 1040/-
    The Total Price ($ 1040/-) is called Effective Price.

    We have defined vendor evaluation in such a way. Price, Quality & Delivery - Automatic Evaluation and Service - Manually Entered. When we do Automatic evaluation thru T-Code ME61, Score of price, quality and delivery appears in the system. How can we see the backend data from which these scores derives. So that we can explain user, that the scores have come due to following data / calculation done by system in background.
    Can anybody help me. Full points to helping answers.

    Hi GR,
    In Help documentation you have the details how each score is getting calculated. We can use this documentation to explain to the client. Also you can take the help of OSS notes.

    Regarding to know how the system arrived at that score, is very difficult as it calculates the score by taking all the trasactions happend for that period. And no where in the system it shows how it calculated per transaction-wise.
    But if you are so determined, note down the previous score for the vendor, then do one transaction ( PO and GR). Manually Claculate the for one perticular criteria score as defined in the Help documentation. Then run the evaluation and cross check your manually calculated score to the new score.

    2. Will there be sudden impact on the other areas in the system ?

    you can just activate the quality criteria (it is already exist in the system)

    Yes if you want the system to be calculated automatically otherwise make the quality criteria as manual and enter the points when you run vensor evaluation.
    if you keep automatic than it will read from usage decision and to have that the QM should be active.
