Want steps to start HR workFlow

Hai Guys,
   I am new to HR wf . when ever an employee changes his/her marital status,home address or emergency contact details thru ESS.I have to trigger a workflow email to employee reminding to other associated actions like name change.etc..
any body can guide me regarding this.if there is any Business object is already exists r any wftemplate is avail.

triggering workflows in HR are a bit different then the rest.
transaction SWEHR2 has the standard event creation for changes on infotypes. It uses a FM to determine which event was triggered after anm infotype was changed.
TR SWEHR3 can be used to create your custom event creation.
important BO's in HR are BUS1065, EMPLOYEET, FAMILY
Sometimes in HR you don't have to create a workflow, if changes on an infotype should trigger a simple functionality you can use something called dynamic actions for that. Ask your local HR functional consultant for more info, or search the HR forum here on SDN.

    First of all
    Not recommend use that for all records in your repository or for many records
    Second of all
    for autolaunch workflow sap mdm have many conditions
    Of course you can use MDM API (Java) for workflow management - that is simple way if you know JAVA programming language
    and more hard way if you wolud like it without programming:
    1) add tech field in repository
    2) create your workflow and set
    trigger action: record update
    active : yes
    Max Records:0
    autolaunch : Immediate
    once in time interval wich you set in mds.ini file workflow will be launch(by default every 5 minutes)
    3)create file for import some value to that field for all records
    (remember about my warning!!!)
    4) configure mdis for automatic import that file
    5) configure some task manager - it should to put your source file once a day to your inbound directory(use standard task manager for windows or "Cron" for Unix-like systems or some another program)
    each another way the same just:
    in point 3
    Import Manager options set Checkout/Workflow =[your workflowname]
    in that  case after import your workflow will be start immediatly for all updated records

  • Programatically pprove/Disapprove user decision step in a waiting workflow.

    Hi Experts,
    If I have the approval step work item ID,can I programetically resume the waiting workflow by providing the input (approve disapprove).
    The use case is that the workflow is started. The workflow has a approval step and it is now waiting for user decision.
    When the workitem is created,I get the workitem id thru an exit.
    Now assume the user decision is got thru another means and now I want to resume the waiting workflow by providing the decison into the waiting workflow.The workflow should now continue with the subsequent steps.
    Is there any WAPI to do that.

    Ad Hoc Approval should be done with transaction SWIA.
    If this occurs a lot then a redesign of the flow is in order. One where with deadline monitoring you can take certain actions when workitems are idle for an amount of time.
    Also setting up substitution is advisavle for this scenario.
    Programmatically doing stuff is done with the SAP_WAPI function modules, check out if sap_wapi_decision_complete works for you.

    Please go through the wiki. There are plenty of instructions. Also, this is commonly discussed topic, so try to search first. The key for your problem is that there are function modules to tirgger workflows (either directly or with an event).

  • How to start a workflow when a value in specific column is changed?

    I would like that  my workflow will run only if a value on a specific colunm will change.

    Hi,
    According to your post, my understanding is that you wanted to start a workflow when a value in specific column is changed.
    When you create workflow, if you check the “start the workflow automatically when an item is changed”, the workflow will be started automatically once the item is edited.
    In the other word, no matter which column we changed, the the workflow will be started automatically.
    As a workaround, we can add condition or action to make the workflow excute the next step only if the value in specific column is changed.
    There are two options to achieve it.
    Use the “Wait for Field Change in Current Item" action”. If you add the action at the first,  the workflow will excute the next step until the column is chaned to the specific value.
       2. User the “If any value equals to value” condition. If you add the condition at the first, the workflow will excute the next step if the condition is satisfied.

    Is it possible to add authentication step into standard signing workflow? We cannot use any other signature handler except the standard one (PPKLight) - there is a restriction in the documents. But we need to authenticate user once she wants to sign,

      Thank you for your attention to my question!
      By the requirements we need to make user enter password every time when he/she signs document.
      We are aware of the strong private key protection for digital IDs from Windows Certificate Store and about digital ID files in Adobe. But in case of Windows Certificate Store Adobe asks for password only first time when user sign document, all the next are skipped; in case of digital ID files Adobe allows user to adjust password timeout - we need somehow restrict this option for user so he/she cannot set anything except entering password "Always".
      There are 2 open questions now for us and it would be very helpful if you knew the answer:
      1) How to overcome the "certificate caching" in case of Windows Certificate Store or how to restrict adjusting password timeout for digital ID files in Adobe?
      2) It would be even better if we could authenticate user in third party system every time he/she tries to sign document. I was looking for some kind of authentication interceptor which Adobe could use right before starting signing procedure, but no luck so far. Do you know if it is possible? And if yes then how?

  • Is it possible to remove the contribution step in the basic workflow?

    Hi,
    Our client wants complete control on the the steps and users for each step of the workflow.
    This is the approach they want to follow.
    There would be a default workflow associated for all content. Any updates to any manged content will have to go through this workflow. There will be only one step having one user for this workflow. Whenever content changes the workflow routes to this user. This user will then decide to define the steps and users for the steps of workflow to be asscoiated to this content.
    We thought of making it simple by using a critera workflow and basic workflows to achive this. The default workflow which I was saying would be the criteria workflow. Now once the workflow taskt comes o the user's basket he will then create a basic workflow for the content id with required steps and the users. He will then accept the criteria workflow and start the basic workflow immediately. But we have to ensure somehow that this content of criteria workflow should not be published. We are using content publishing uitility. Hope we can do something there. What I mean by not published here is that content changes made in the basic workflow should not be visible to the end site but they should be visible in the basic workflow.
    Now the concern is that in basic workflow there is a mandatory contributor step which is not really required for us. How can we avoid it. And we how to ensure that the approved contents of criteria are not published unless the basic workflow is approved?

    Pratap,
    I think you will have to mix several standard mechanisms to achieve what you are looking for.
    Note that there are two basic ways to achieve that an item is not accessible:
    - item's state (sending an item to a workflow or leaving it in pending state before the item is published belong to this option)
    - item's security (security groups, accounts, ACLs, etc.)
    If you want to have an item in a state that it has not entered a workflow (I'm not sure, but I think it wouldn't be a good idea to mix criteria and basic workflows), but it has to be accessible to a certain group of users, you may have to:
    1) check the item in so that it is accessible to the selected group of users only (published, no workflow)
    2) have the users start the workflow
    3) somewhere (most likely at the beginning of the workflow) relieve the security restriction so that "normal" users can access it during the workflow
    4) as soon as the workflow finishes, it will be available to everyone
    as for 1) I'd consider ACLs (Collaboration Manager component)
    Another option is to write a component with your own logic - if from any reason the standard mechanisms will have too many obstacles to overcome.
    I'd also recommend to consider using BPEL workflows rather than basic workflows - they are equally flexible (if not more) and they can be more easily combined with criteria workflows. You could:
    1) create a general criteria workflow which would grab any new item
    2) the criteria workflow would have just two steps: step 1 - grab an item, wait until BPEL workflow is defined/selected, then continue; step 2 - a synchro step which wait until BPEL workflow finishes, then continue or finish right away

    What settings do I need to change so that I can start a workflow for a list item created by another user?
    I have a SharePoint 2013 workflow (let's call it LSR Status Workflow) that is associated with a list (called
    LSR List). When a user creates an item in the LSR List, it automatically starts the
    LSR Status Workflow. That is what I wanted, but sometimes I make changes to the workflow (via SharePoint designer) and then I would want to terminate the existing workflows that are running and restart them.
    When I try to start a workflow for anyone other than a list item that I created, I get the following error:

    If I created the list item, I can stop it and restart it without any problems, but this is not the case for list items created by someone else.
    What settings do I need to change so that I can start a workflow for a list item created by another user? I am the owner of the SharePoint site and am able to make changes to permissions if needed.

    You don't need to re-do the fields. If you create a new version of the PDF
    file just open the old one and use the Replace Pages command to insert the
    pages from the new version over the old ones. This will give you a new
    version of the file, with the existing form fields still in tact. Of
    course, you might need to adjust their location and/or size, but at least
    you won't have to start all over again...

  • Problem with custom sharepoint designer approval workflow - check box: 'Start this workflow to approve publishing a major version of an item' is greyed out

    I wanted to create a simple approval workflow. Hence I opted to start from scratch rather than copy the OOTB approval WF. Using SharePoint Designer (not Visual studio) I created a reusable workflow and have added the built in 'Start approval process' action.
    It's saved and published globally.
    Everything works fine except that when associating the WF with a list the 'Start this workflow to approve publishing a major version of an item' check box is disabled.
    Major and minor versioning is enabled for the library.
    What am I missing here? Or do I have to start from the OOTB approval WF to get this to work?

    Again - new ideas pop up right after defining the issue as a problem. :-) Problem solved!
    I solved this by creating a new workflow from the original publishing approval workflow (copy and replace), but instead of tweaking the already defined approval process (WF action) I deleted it, then deleted all initiation form and local variables,
    and then added the 'Start approval process' action again. This re-installs all the necessary local variables without any initiation form involvement, which is just what I want.
    From here I can tweak the workflow to make it more user friendly, much like
    described by Bobby Chiang in his great blog.
    Remember to add action Set Workflow Variable 'EnableContentApproval' to Yes right before the Start Approval Process action, else the document's status won't be set to 'Approved' or 'Rejected' as an output of the workflow.

    We have a SP 2013 farm with Aug 2013 CU. While trying to start an SPD 2013 platform workflow from browser I get an error "Something went wrong. To try again, reload the page and then start the workflow."
    I could also see the following in ULS:

    2. Authentication for this web application is Windows NTLM

    I have checked User Profile service and it is started and running fine. The user who is trying to start the workflow (me) has a profile created. I'm not starting wf as system account and my account is not added to web application user policy. Workflow isn't
    even firing when I try to edit list item.
    I tried to edit the list item as system account and workflow started this time. But it does to suspended state with the following message:

  • Starting a workflow from an XML file

    Does anyone know if there is anyway to have a workflow poll a folder for the existence of an XML file and start a workflow with it? When looking in the documentation, there is a mention of a scheduler. I need to integrate with a fairly old system that can only read and write text files. Any help is appreciated.

    Hi Dave
    This is actually quite easy to achieve. We use this design pattern regularly, and it works very nicely.
    Here are the steps:
    * Download and deploy the DocumentImport, FolderWatch and FileCopyMove QPACs from http://www.avoka.com/avoka/qpac_library.shtml
    * Create a workflow that is your "Watcher" process.
    Step 1 in this will use the FolderWatch to wait for a file in the designated folder, capturing its name when it appears.
    Step 2: use the FileCopyMove to move the found file to a "Processed" directory. (Click the current-date checkbox to include the current date as a sub-folder - very handy.) Moving the file ensures that it won't be reprocessed on the next iteration.
    Step 3: Use the Chain QPAC (or our ChainPlus) to start the real process, passing the name of the newly moved file as a parameter. Then, have this Workflow loop back to step 1.
    If you make this workflow asynchronous, then it will even survive server restarts, so no need to restart it each time. The Watcher workflow will create one "real" workflow for each file that arrives in the watched folder.
    * Create the real workflow. It should have one "in" variable that is the name of the file. Step1: Use the DocumentImport QPAC to import the file into a process variable. You mention XML, so import into an XML variable. If the file is a properties file, then we also do have a properties file import QPAC. You're done, you can do the real workflow now.
    If you have any problems with this, please let us know.

    PS You should periodically stop and restart the watcher process. The reason for this is that you will get a LOT of entries in the audit trail for this process instance in adminui, and stopping and restarting keeps this to manageable numbers.

  • How to get the Asset's current step under a specific workflow process via API?

    Is there a way to get the asset's current step for a specific workflow process by the WebCenter Sites API? We are showing out the asset created within the WebCenter Sites in another application via its API. We would like some actions get to be done once determined assets went into a specific step of a workflow process. Any suggestions are welcomed.

    Here is some information from the FDK Programmer's guide page 115:
    IMPORTANT: A valid text range can span multiple paragraphs, subcolumns, or text frames.
    It cant span multiple flows, footnotes, table cells, or text lines.
    It is possible for a document to have no text selection or insertion point at all. This can occur in
    the following circumstances:
    ● One or more graphic objects in the document are selected
    ● One or more entire table cells in the document are selected
    ● There is no selection of any type in the document
    So, I did select one or more entire table cells in the document in my first test. It's logical that the result was not like expected.
    But selecting one or more entire table cells is a crucial requirement for my plugin, is there anyway to get things straight?
    Simply put, I want to enable users to select one or more table cells in the document, and I want to get the object handles of the first cell and the last cell through Framemaker API calls. How?

    For the Operator 'NX' u need not enter any comparison value. U click on the condition in the condition step type . A window appears and u click on the internal table in expression 1 and the operator as 'NX' . It doesnt need a comparison value.
    Now u check this with the test data in the same window . U will have an icon in the bottom of window to enter test data and another icon to evalutate it . U check it with data and without data. It will work .
    In ur reply to Kasi , Ur answer is not at all related with what kasi asked for .U can check the initial property while the data is in workflow container itself . Instead u r passing the data from workflow container to task container and then to method container and then the processing has to take place in BO and again the reverse should take place .Which is Unnecessary .

    I created a document library with the "Start this workflow to approve publishing a major version of an item" on, and saved the site as a template. However when I create instances using that project site template, the document library doesn't
    have the "Start this workflow to approve publishing a major version of an item" option on, like the site that was used for the template have.
    Is this option not possible to save on a project site template?
    Here are the steps I did:
    On a document library I set the versioning for major and minor version
    I create an “Publishing approval” workflow and set it to “Start this workflow to approve publishing on a major version”.
    But when I create a project instance of this type, the document library on the project site has the “Start this workflow to approve publishing on a major version” turned off.

    I recommend to create a  WebProvisioned event receiver.
    We need to create an event handler and register it with the Web Provisioned event. In the event, we need to find the specific Library and set SPList.DefaultContentApprovalWorkflowId property.
    When the site is provisioned, the event handler is activated. Then the "Start this workflow to approve publishing a major version of an item" option will be checked.
