Version: WebCenter Spaces 11g PS3
WebCenter provides some inbuilt workflows on content. Is it mandatory to use Oracle Content Server as a connected repository to avail the built-in workflows.
If we want to use Sharepoint then what needs to be done for implementing the workflow in Spaces ?

It is not mandatory to use oracle content server only.
In this context, you want to use sharepoint. So go to EM by accessing the url:(http://<server address:port [usually 7001]/em) and navigate to webcenter spaces.
Mention your content repository.
otherwise you can user adapters to meet your requirements.

Edit option not enabled for workflow content from within Content Presenter in Webcenter Spaces

I have a webcenter spaces portal page with a content presenter displaying a html page using the default out of the box template. The html page is located in webcenter content / UCM under a folder on which the " All Reviewer" seeded workflow is enabled. The issue i am seeing is when the file is in workflow the edit option is not being enabled even though the reviewer should be able to edit/approve the content in this step. The other functions like workflow approve or reject and switching between workflow version and published version are all enabled. Also when rejected the content does not show edit option from the content presenter (cntrl-C option) for the original author to make any updates.
What would need to be done to enable editing from within the content presenter for workflow content?

We are using WCP 11.1.1.8.5
To recreate the issue
1) Login to WCC Portal: Spaces as admin user , create a New Page under a webcenter spaces portal
2) Under the space , Pages Section , select the page and click edit
3) In Design mode , choose Content Management and Add Document Explorer and Add Content Presenter on the page
4) The Document Explorer will default to the Current Space/portal directory under MyWebcenterSpaces in UCM
5) Create a directory "content" under the Portal space using the document explorer.
6) Right Click on Content folder and choose details. In Details view , go to File->workflow settings and pick a seeded workflow -> MyWCSAllReviewer. Add a user as workflow approver
7) After workflow is enabled on this folder upload a basic html page with simple text into this folder
8) Now in the design mode choose edit in the content presenter and select the "single content view" with default template to display an Image or HTML. Click browse and select the html that was added to workflow
9) Save the Page and view the portal. Workflow should now be enabled for any content changes to that html page.
10) Click Cntrl-shift-c in portal/space as an authenticated user with edit access to content and make an edit to content , this will trigger worklow . The author currently will see edit option get disabled once content enters workflow
11) Login as approver to the portal and cntrl-shift-C to the portal and workflow options(approve and reject) are enabled but the edit option is not. If you reject content , the author should be able to edit content in the content presenter mode, this also is not available. The issue is the content is now no longer available for editing from wthin content presenter if it is in workflow to either the approver or the original author depending on workflow step. If you check the same content under the document explorer the option to edit is enabled. Is this a bug /issue with content Presenter or some option needs enabled?

How to add Content workflow to Webcenter spaces/ custom application

I would like to add Content work-flows ( Add - review - publish of content) to Webcenter spaces.so that users of Spaces/ application can work with add- publish-review cycle. I want to know if any thing like portlet or something available that can be added.
I have a webcenter 11g associated with OCS 10.1.3. Does the suites Content Portlet Suite/Content Integration Suite contain these workflows? Please help me in this regard thanks.

Yes. it is the same way. once the Portletsuite is integrated you can create a workflow in Oracle conent server using Workflow Manager Applet. Extenal Identity store needs to be configured.
But I have some problem with webcenter spaces users on external Ldap server. In contribution checkout step ,I am not getting the checkout link. i am getting exception like "not suffient privilage".
But the workflow seems to work fine in idc application.

Workflow Question in WebCenter 11g

Hi all, I'm new in Oracle Product. So I don't have any ADF knowledge. My boss ask me to create a workflow for a folder in a WebCenter 11g Space. He wants the document only visible to the author and approver after uploaded. Once the document be approved, it will be visible to all. Or if the document is rejected, it will only visible to the author. May I know is it hard to create this kind of workflow? Any ADF knowledge need? Many Thanks.

It requires no ADF knowledge - if you want some additional customizations (most likely not needed in your case), you might need idocScript, WCC's proprietary scripting language - the link above should give you enough details.

You mentioned, however, that your workflow will be operated from WebCenter Portal: Spaces. In fact, (and that's the question to WebCenter Portal forum) I'm not sure if Portal's task flows that are responsible for integration with Content repository, such as Document Explorer, take this into account. I think I have seen a thread which discussed that all items were displayed. This can be easily verified. On the other hand, it that comes true, you'd have to customize the WebCenter Portal task flows (and there ADF would be necessary).

Number of workflow can create in WebCenter Content

I wonder that, How many criteria workflow we can created in WebCenter Content? If I create about 200 criteria workflows and enable all of them. So, what will happen with performance of system?

As for performance there is one step in CHECKIN_* services which evaluates whether or not the item should enter a workflow, so may expect an insignificant (200 is not that much) delay in check-ins.
Note that you may have one generic workflow which always starts and then redirects processing to the appropriate sub-workflow, or finishes.
Depending on setup (how many workflows are eligible to a single user?) you may expect the number of items in a user's workflow queue to increase, which may slow down display of of pages such My Workflow Assignments. If you have a user with hundreds of workflow items (regardless whether it comes from one or 200+ workflows) these form might take tens of seconds to display, which can be annoying.
Where I would be definitely concerned is a) usability and b) maintainability
With 200+ workflows are you sure what happens if you check-in an item? What workflow needs to be modified, if a change request comes? Etc.
Workflow Admin applet is not exactly an IDE where you want to maintain so many workflows.
Have you considered using BPEL/BPM workflows?

"Content Less" workflows with WebCenter Content

Hi,
"BPEL Process Engine" comes along with WebCenter Content for restricted use (for developing workflows/processes within or between WebCenter Content components only).
And as per the documentation only Basic (human triggered workflows with a document etc) and Criteria (auto triggered by an event - uploading a document etc.)
But, can we create a workflows without a document/content? E.g. a simple workflow of leave application where no document upload is required. Or a simple process for Customer on-board where there is no document involved.
Can anybody help me in understanding this?

Hi ,
For that you would have to set Metadata Only check-in which does not need a primary file . What it does is use the check-in form details and creates a file by itself (without having used any primary file) and creates the assets .
So , from the WF point of view there need not have any changes . Only thing is from WCC check-in side .

Webcenter Content Workflow

Hi,
I have a requirement, where I need to display a Webcenter Content Workflow displayed in one of the Content Check In Profiles. It may or may not have more than one workflow in the drop down for users to choose. Can I display a workflow choice list in one of my content check in profiles? How can I do the same? Any help or pointers.

Unfortunately, it is not that simple - don't forget that security group is the mandatory parameter for criteria workflows, so you'd need all potential combinations of SG x WORKFLOW NAMES.
Another option, which might be a little more manageable, but requires a bit of coding is to have one generic workflow (per security group) and perform a jump to the appropriate subworkflow which is based on a workflow template. This also enables the selection of the workflow to become the first step of a workflow (if the person who selects the workflow is different than the contributor), if necessary.

How to manage workflow of a content from Webcenter?

Hi,
Is there a way to manage the UCM content workflow from Webcenter portal ?
We are aware of the Components like Document Explorer, Document Manager, etc. But none of this seems to provide the workflow functionality (approve/reject etc) by default.
Would this be possible by doing customization to any OOB component ?

Hi Shalin,
You can use Workflow Queue Portlet part of Oracle Content Portlet Suite (CPS). We have successfully use in Spaces 11GPS4.

The only limitation we found with this portlet is that you can't assign workflow to a group/role.

WebCenter Sites Mobility Server, SSXA and workflows

Hi all,
I am trying to evaluate if "WebCenter Sites Mobility Server" adapts to the requirements of a new project. I have been reading the documentation intensively but I have not been able to find the answers to the two questions below.
1) Is it possible to use Site Studio for External Applications with WebCenter Sites Mobility Server?
2) Is it possible to use workflows with Mobility Server so that a contributor can accept or reject changes?
Any help would be really helpful.

You can not use SSXA or SiteStudio with Mobility Server. Also deep workflow integration is not there.
You should think about Mobility Server as a preview and publishing extension of Sites. You would create and approve all your assets in WebCenter Sites the way you normally would. Mobility Server accesses those assets via REST but uses it's own pubishing model to deploy the mobile site. It's integrated to via REST and the Preview UI (which sits in the Sites container as a App next to the contributor interface). That is the extent of the integration we have today.

Why not using Alert management if you are in SRM 5.0 :
Supplier Relationship Management -> SRM Server -> Cross-Application Basic Settings -> Event and Event Schema for Alert Management ->....
You should have a look here, you may be able to define event for document status.
For more information on Alert Management, see the SAP Library (SAP R/3 Enterprise, Release 4.70)

Process not listed in Workspace when domain is webcenter enabled

I am trying to integrate Process Space with BPM 11g. I have installed SOA, BPM, Webcenter and have also created a domain which has all these enabled. I have linked discussion, wiki and content to the web center space and also can see the process space. I am able to successfully deploy my BPM application too.
But when I try to access it through the process workspace, I find that the process link is not listed under the applications. I am able to deploy the same process and use the process successfully if the domain does not contain webcenter. Log has the following information :

one of problem is that I think DEV schema is Created when we install RCU , I've Created UCM and PORTAL schema through RCU .. But mistalenly I've Removed the DEV schema as well

11g Webcenter + SOA on separate machines - which libraries for Webcenter?

We needed to move our 11g applications from a single developer machine with Webcenter and SOA suite to *2 separate* production machines.
Webcenter hosts our front-end applications including the SOA suite's human task details form applications.
There are a few libraries/configuration that needs to be added to the Webcenter machine in order to accomplish this.
We followed the documentation on +"How To Deploy a Task Display Form to a non-SOA Oracle WebLogic Server"+ at :

After attempting the above instructions we received several classDefNotFound errors
There were a few NoClassDefFoundError messages that were resolved by installing the following jars to the Webcenter machine (as libraries):

We weren't certain which jar file contains the above class or why it wasn't being found.
Installing 11g SOA suite on the Webcenter machine even though it takes a little more disk space seems to configure and install the necessary libraries however.
We would like to in the future install just the necessary libraries, this has not been tried with patchset 1 (11.1.1.2.0)
Has anyone been able to deploy a human task to a non-soa machine which doesn't contain soa libraries?

I specifically got new drives for this release, I was so excited. Bring on Aperture 3.2 now already. It's not like the images want to stay in Aperture forever, we want and need speedy exports, preview generation, zoom levels etc.
I have the same slow export problem too but I didn't want to mention it for fear of being labeled a whiner

Integrating BPM with WebCenter Content

To integrate UCM and BPM, I followed this tutorial written by J@n van Zoggel.
At the moment, I've already set up everything exactly as instructed in the tutorial. However, when I viewed a task in BPM Workspace, I still cannot see the Attachment section. In the log, I saw the following error:
Ensure that credential store map WF-ADMIN-USER with key WF-ADMIN-CREDENTIAL
contains UCM server admin username/password. Also ensure that Workflow configuration parameter
UcmIdcUrl contains IDC socket connection url to connect to UCM server and UCM server has permission
to let SOA server connect to it using IDC protocol.

One thing I'd like to ask is that in all tutorials or articles I've read, the authors are always testing in the environment in which both the UCM and BPM servers are on the same machine. In my case, I am trying to connect my local BPM server with the online WebCenter Content server of my company, I wonder if I have to make any additional settings for this to work. I'd be very grateful if you could share with me your experience in integrating BPM and UCM.

I don't believe that noone has ever tried to connect the local BPM environment to a remote WCC server before. Please let me know if you've ever experienced the same problem. Otherwise, even a simple "I tried to do the samething and I succeeded using the same steps in the tutorial" would help too .
Another thing is that yesterday, I talked to the tech-lead and I learned that our WCC server environment doesn't have BPM installed yet. I am wondering if this would cause the WCC server to not understand the request from my BPM server. In addtion, I've also upgraded my local BPM server using the lastest SOA bundled patch. Should the same patch be applied to the WCC server environment too?
I'd be very grateful for any advice .
