What are Smart Forms?

Hi All,
What are smart forms and what's it's use? As a functional consultant, what do i need to know about it?
A User asked me about creating a SmartForm to gather information (from different dept of the business - Finance, Quality, Purchasing...etc) to create a new Material Master.
What is the transaction code for this? Are smart form something like PDF? Can this be saved to desktop and email to people via outlook? Are data input to the form also saved with the form?

As a functional consultant you need to know the standard forms available for different scenarios. If you need to develop a new layout, you need to give layout design and proper logic to ABAPer.

In addition to the tool, SAP delivers a selection of forms for central business processes. This includes forms in Customer Relationship Management (CRM) as well as in the applications SD, FI, and HR.
Smart Forms offers the following advantages:

-        Adapting forms without any programming knowledge due to entirely graphical user interface

    Thanks for that clarification. So, now it appears that the ultimate purpose of a Smart Mailbox is to point to all emails that meet the criteria in a single place, so if they are spread among several mailboxes, you will be able to see them all together. Here is an article from Apple that describes it:
    A Smart Mailbox displays in one location messages that are stored in other mailboxes, so you don’t have to move messages between mailboxes. The messages displayed by a Smart Mailbox are based on criteria you define, and are automatically updated to include new messages that match your criteria. For example, you might create a Smart Mailbox that displays all messages found in all mailboxes from a specific sender.
    If you change a message in a Smart Mailbox, such as marking the message as read or unread, or moving or deleting the message, the change is reflected in the mailbox where the message is actually stored.
    So, adam, I would think that, if you had mail going to a lot of different places, and wanted to be able to see a particular set of those in a single place, you would use a smart mailbox. Maybe use the rules to direct your mail to different places to start with, but a smart mailbox to bring a set of common ones all together into a single smart mailbox?
    Maybe you have Rules move your Amazon mail to an Amazon folder and your Apple mail to an Apple folder, but then you have a Smart Mailbox that contains any mail that has the word "Receipt" in the Subject line?

    1. Forms are like templates.Forms define the text format and page layout of documents, which can be formatted (in accordance with the definitions) for display on the screen or for output to a printer.
    2. Executable program that allows users to read and evaluate data in the database.
    You can either display the output of a report on the screen or send it to a printer. You can also save it, so that it can be displayed as often as you like. It is important to be able to do this, because reading large volumes of original data can impair performance.
    Examples of reports are ABAP reports, queries, and drilldown reports.
    In short, forms are only templates and reports will retrive the data from system in certain format.

    What a smart folder "keeps" is not the same as what it "displays" in the window that you see when you open it.
    A "smart folder"  as stored on disk is not a folder at all, but is only a very small file, of type "Saved Search Query". The default location for storing these files is  your home>Library> Saved Searches folder.  That small file contains only a saved set of spotlight-type instructions for a search, and doesn't "keep" anything at all.  When that smart folder file is opened by the Finder, the Finder effectively carries out a "command-F" search using the instructions in the file, and displays the results in a window very similar to a command-F Finder search window. And just as with an ordinary command-F search, what you see in that search window are not copies or aliases, but the actual items that you have searched for. If you delete something from that window, you are deleting the item itself.

  • Licensing with Smart Forms

    Are Smart Forms included as part of the standard SAP licensing agreement if my client has purchased SAP ERP?  Does this apply even when I create my own custom Smart Form?  We are investigating the decision criteria of when to use Smart Forms vs. Adobe Interactive Forms.  I would appreciate any references out there that provide insight as to when to use one versus the other.  Thanks.

    Smartforms come with your standard R/3 only.
    as for choosing between the two, Adobe forms are next version of smartforms they can give better look feel and as addition they can also provide you facilities for user inputs which is not there with smartforms.

    Difference with SMARTFORMS vs. SapScript(SE71)
    The Following are the differences :-
    a) Multiple page formats are possible in smartforms which is not the case in SAPScripts
    b) It is possible to have a smartform without a main window .
    c) Labels cannot be created in smartforms.
    d) Routines can be written in smartforms tool.
    e) Smartforms generates a function module when activated.
    f) Unlike sapscripts (RSTXSCRP), you cannot upload/download Smartform to your local harddisk.
    It was said that it was provided in CRM 3.0 version, but not available in R/3. You can download smartforms into Local PC in a XML format. In the same way you can upload this XML format into Smartform. From the smartform editor itself you can call download option, if you are working in CRM 3.0 environment.
    In R3 also, you can download into XML format. However, it's not sure about uploading. Refer to the program 'SF_XSF_DEMO'.
    In 4.7 Enterprise, other have seen this utlity which is completey missing in 4.6c. There is functionality to downlaod a complete form or only a particular node. (Utilities -> Download form). It will create a XML file and save it in the hard disk.
    For others, if you want to download/upload the Smartforms source, you will need the help from the Basis people. What you can do is to create a Transport and then FTP down to your local harddisk. When you need the Smartform source in another system, you have FTP up the Smartforms file back to the SAP server. Finally, the Basis team, will tp it into your system.
    g) The protect and endprotect command in sapscript doesn't work with smartforms. For example on a invoice: First data of position no 80. is printed on page one, other data of position no 80 is printed on page 2. And there's nothing you can do about it. Actually, there is something you can do about it. By using a folder node and checking the 'protect' checkbox, everything in that folder will be page protected.

    coming up to an Interface:
    Interface is a system or a device that is used to connect two unrelated or non-understanding entities.
    This definition to an interface could be the key to your answer.
    As you might already know, Interface does not provide any implementation but just defines a set of protocols that can be implemented by any class.
    Let us consider a few examples...
    You and the bicycle. Both of you are not related in anyway. But you want to ride the bicycle. How do you interact with the bicycle? You do it via the pedal which is an interface between you and the bicycle.
    You could extend this concept to 'You' and the 'Television' where the interface is a remote control.
    conversions :
    SAP provides a conversion for SAPscript documents to SMARTforms.
    This is basically a function module, called FB_MIGRATE_FORM. You can  start this function module by hand (via SE37), or create a small ABAP which migrates all SAPscript forms automatically.
    You can also do this one-by-one in transaction SMARTFORMS, under 
    Utilities -> Migrate SAPscript form.
    You could also write a small batch program calling transaction SMARTFORMS and running the migration tool.
    Enhancements :
    CMOD is the Project Management of SAP Enhancements (i.e., SMOD Enhancements). SMOD contains the actual enhancements and CMOD is the grouping of those SMOD enhancements. 
    User exits (Function module exits) are exits developed by SAP. The exit is implementerd as a call to a function module. The code for the function module is written by the developer. You are not writing the code directly in the function module, but in the include that is implemented in the function module. 
    The naming standard of function modules for function module exits is: 
    EXIT_<program name><3 digit suffix> 
    The call to a functionmodule exit is implemented as: 
    CALL CUSTOMER.-FUNCTION <3 digit suffix> 
    For Example: 
    The program for transaction VA01 Create salesorder is SAPMV45A
    1. If you search for CALL CUSTOMER-FUNCTION program SAPMV45A you will find ( Among other user exits): 
    CALL CUSTOMER-FUNCTION '003'
      exporting
        xvbak   = vbak
        xvbuk   = vbuk
        xkomk   = tkomk
      importing
        lvf_subrc = lvf_subrc
      tables
        xvbfa = xvbfa
        xvbap = xvbap
        xvbup = xvbup. 
    The exit calls function module EXIT_SAPMV45A_003 
    2. How to find user exits 
    Display the program where you are searching for and exit and search for CALL CUSTOMER-EXIT 
    If you know the Exit name, go to transaction CMOD. Choose menu Utillities->SAP Enhancements. 
    Enter the exit name and press enter. 
    You will now come to a screen that shows the function module exits for the exit. 
    or use this ABAP program to search for user exits :-

    3. Using Project management of SAP Enhancements 
    You want to create a project to enhance transaction VA01
    - Go to transaction CMOD
    - Create a project called ZVA01
    - Choose the Enhancement assign radio button and press the Change button
    In the first column enter V45A0002 Predefine sold-to party in sales document . Note that an enhancement can only be used for 1 project. If the enhancement is allready in use, and error message will be displayed
    - Press Save
    - Press Components. You can now see that enhancement uses user exit EXIT_SAPMV45A_002. 
    - Double Click on the exit.
    Now the function module is displayed. Double click on include ZXVVAU04 in the function module
    Insert the following code into the include: E_KUNNR = '2155'. 
    Activate the include program. Go back to CMOD and activate the project. 
    Goto transaction VA01 and create a salesorder. Note that Sold-to-party now automatically is "2155"

    Hi ,
    I Have one doubt.. about the Smart Forms  are Client Independent.
    Client Independent  Means  Smart Forms are generated function modules. 
    For example I am generated function module in client 100, can i use this same function module in client 200??
    and also can i move the Samrtform from client 100 to client 200??
    OR Independent means it is depending Sytem LAND SACPE??
    I am confuse. Please any one clarify what  EXACTLY MEAN  by  Smart Forms  are Client Independent..

    HI Vijay,
    Your Reports are client independent, this means, if you create a report in one client 100 of a dev system, then  you can see this report in client 200 of the same dev system.
    But SAPscripts are client dependent , this means if you create a script in client 100 you cannot see it in 200 unless you import it using SCC1.
    Similarly Smartforms are client independent means you dont have to import it into different clients, it will be available to all the clients once you create in one client 100, like the reports.

    Upto 99 main windows are possible in scripts and only one in smarforms.
    To create multiple main windows in scripts, you just have to give the window type as MAIN whnever you create a window.
    Scripts still exists but smartforms are in use from 4.6c version, now the lastest version of these two is adobe forms
    SAP Smart Forms is introduced in SAP Basis Release 4.6C as the tool for creating and maintaining forms.SAP Smart Forms allow you to execute simple modifications to the form and in the form logic by using simple graphical tools; in 90% of all cases, this won't include any programming effort.
