Dear Subbu,
from ABAP point of view invoice is the billing document which can be processed via the transactions VF01 (create), VF02 (change), VF03 (display). There are some additional transactions for invoice processing like VF04, VF11 etc., which you can check.
The invoice is the subsequent document to sales order or delivery. It contains header (table VBRK) and item (table VBRP). Thec copy control is available under transactions VTFA and VTFL.
Customizing and system menu is located under "Sales and Distribution" and then go to Billing.

    What is Invoice List
    The invoice list lets you create, at specified time intervals or on specific dates, a list of billing documents (invoices, credit and debit memos) to send to a particular payer.
    The billing documents in the invoice list can be single or collective documents (collective invoices combine items from more than one delivery).
    The standard version of the SAP R/3 System includes two types of invoice lists:
    for invoices and debit memos
    for credit memos
    If you wish, you can process invoices, debit memos, and credit memos at the same time. The system automatically creates a separate invoice list for credit memos.
    A payer may be the head office of a buying group, which pays all the invoices for goods that are shipped to individual members. The group payer takes responsibility for paying the invoice lists and then collecting payment from the individual members. In return for these services, the group payer usually earns a factoring or del credere discount.
    Depending on the tax structure of the payer's country, the payer may be liable to pay taxes on factoring discounts that he earns. In Germany, for example, factoring discounts are taxed at the standard rate of 15%. During invoice list processing, you can reimburse the payer in advance for this tax liability by creating special condition records.

    What does invoice reversal mean in Oracle payables?
    In the AP_invoice_Distributions_All table, there is a column Reversal_Flag. What does this mean to an invoice.

    1) When a reversal is done to a distribution line, it does not create a new invoice. Isnt it? No it does not.
    2) When a line is reversed, the original line Reversal_FLag column is changed to Y and the new column has a Reversal_Flag column as NULL as this is >the new line.
    ( I mean the line which had the mistake, now has a Y flag on Reversal_Flag and the new corrected line has a NULL value). Is this thinking right? Yes, you are.
    3) Lets suppose, Line 1 had a mistake, and it was reversed, and line 2 was created. And then we realized that Line 2 also has a mistake, and >reversed it to Line 3. So what are the statuses of LIne1, Line 2 and Line3 in the Reversal_Flag column in AP_Invoice_Distributions_all table?Line 1=Reversed (Yes)
    Line 2=Reversed (yes)
    Line 3=Null

  • Creating a Report to track what was invoiced for each month then quarter

    I was wondering if anyone knew how to create a report adding up each month then adding it up by quarter.   This is what i am working with:
    Job:  Invoice Date 1,2 ,3 and Invoice Amount 1, 2, 3
    Job 2:  Invoice Date 1, 2 and invoice amounte 1, 2
    one job might have a invoice date with May as #1 and then # 2 is June when the next job could have 2 invoice dates in 1month. 
    the way i have the report set up currently it will take the final date and file it under that month then it will calculate all the amounts for the one month..;
    does anyone have any ideas how to seperate the amounts?  and maybe add the job to more then 1 month if needed based off the invoice date?

    I have tried to do that but the only problem is i have more then 1 invoice for some orders because we have shipped partial orders. 
    I have my search set up on invoice date 1, 2, and 3 but if a order has 2 deliverys invoice 1 is in the previous month it still calls it up because i have to include the field for the other orders and don't know how to tell it not to add that value into the specific month i want..
    I don't know if i am making any since?

    1.Invoice correction request is one type of sales document.This doc enables us to correct the quantity and/or the price for one or more items in the invoice.Each invoice request that is made in reference to an invoice.We can not create an invoice correction request in reference to a sales order or delivery doc .
                   If there is any thing wrong in price or qty information in the billing doc then we can go for invoice correction instead of invoice cancellation.The doc type used for invoice correction request is RK. With ref to any billing doc only we can create a invoice correction request.After creating invoice correction request ,with ref to that we can create either credit memo or debit memo respectively basing on the difference between the old and new invoices.
    2.Free of charge delilveries :In this process business can deliver the goods to the customer for free of cost.In this process the items which are in the order are not relevant for pricing and billing .
    The doc type used to create Free of charge del is FD
    Item category is KLN.
    Hence this process is not relevant for billing there is no billing.
    If business launched a new product and he is going to give as a sample to his customer then business will go for this.

    thanks for your reply. assume that PO total is 150. invoice is created of 100. in this case should i see an amount in Invoice Price Variance? im not seeing any change in Invoice Price Variance. for me what happens here is Transaction Amount - Accounted is shown -50 as its still to create an invoice of amount 50 which is in fact the accrual balance. pls give me a feedback on this. i want to produce a scenario which will make the invoice price variance more or less than 0.

    For general information about these terms, it is better you search the internet.
    In simple terms:
    1. Picking List - List of materials that need to be picked and is given to the person given the picking
    2. Packing List - List stating which materials are packed in which box, and is given to the Customer
    3. Invoice List - A list of invoices that is given to a third-party for payment collection from customers.

    I am developing Functional Specification Document (CV.040); Need to understand the Assumptions, Approach and Which data needs to be extracted from Legacy System.

    Thanks for your response, Here are the answers to your questions.
    1) The invoices that you want to convert - Do they already have revenue recognition on them?
    Ans: Yes they have Revenue Recognition On Them.
    2) Are you bringing only Open Invoices? What about Invoices that are closed (paid), but still have unrecognized revenue on them? DO you want to bring them
    over? If no, how will be mage the recognition of those invoices?
    Ans: We want to bring only Open Invoices. i.e the following scenarios want in Data Extraction
    a) Invoice is Fully Paid (REC is Zero) and Unearned is Full Invoice Amount, Revenue is 0
    b) Invoice is Partially Paid (REC is Partial) and Unearned is Partial, Revenue is partial
    c) Invoice is fully Paid (Rec is Zero) and Unearned is Partial and Revenue is Partial
    d) We do not want to bring the invoices with Fully Paid and Fully Recognized, Unearned is Zero
    3) What about partially paid invoices? How do you want to bring them in?
    Ans: See above scenarios.
    4) Do you want to bring in all Invoice details,or just bring in a summary line with the outstanding amount?
    we assume only Summary, but if the Invoices with Several Lines and Different Accounting Rules, We may have to bring them too

  • Excise invoice num entery atthe time of line rejected material sending back

    Hi Experts,
    My question is we want to send back line rejection material to vendor back. so we are creating return po against which we are doing goods receipt against purchase order with 161 movement & returns item is also ticked.
    Now the probelm is that what excise invoice number should I enter because we already have received all material against our old po means we have already inwarded all material agaisnt vendor excise invoice. If I put same excise invoice number system gives me error all material has been received against that invoice.

    Vendor line rejection through PO -
    1) create return PO (chek for return indicator in PO)
    2) GR against return PO
    3) Excise invoice through J1IS(refer 161 mtrl docuemnt here use MLTD)
    4)invoice through J1IS will be the outgoing document from the factory.

    Can any body tell me what is Invoice split and Delivery split and how it is done?

    Please make use of the "Search" option b4 posting your question, as the question what you posted has been answered so many times.
    1)  Delivery Split
    If you want to combine multiple sale orders in one delivery, the following should be same in all sale orders
    -  Ship To Party
    -  Inco Term
    -  Delivery Priority
    -  Shipping Point
    -  Transportation Group
    If any of the above differs in any sale order, you will get delivery split which means, multiple deliveries will be created
    2)  Invoice Split
    As like delivery split, if you would like to generate one invoice against multiple sale orders / deliveries, the following should be same in all preceding documents
    -  Payer
    -  Inco Term
    -  Payment Term
    -  Actual GI Date
    -  Exchange rate in case of exports
    If any of the above differs, then you will get multiple invoices which is nothing but an invoice split.

    Please help me in this regardWhat all you have studied is basics. And in the institutes they only teach you 5% of actual work, Yes only 5%. They can not teach the whole 5 years learning just in few classes.
    In real time When you are working as a technical consultant, you get to speak to functional consultants a lot of time for developing reports, customization, creating custom forms.... So thats why the interviewer has asked a mixture of both technical and functional.
    The questions they asked also depends on the number of years experience you have in the resume ;).
    How ever you can gain more knowledge from blogs and forums like this.

    What is the difference between  "vendor invoice" in accounting module and "logistic invoice verification"  in MM module ?
    I know logistic invoice verification to validate between po, gr and invoice, but what vendor invoice for ?

    Accounting-wise both has the same result as in both the scenarios you can debit expense and credit vendor. The advantage of Logistics Invoice Verification over Vendor Invoice is, in Logistics Invoice verification, we have three way matching of documents ie PO,GR and Invoice. So if there is any mismatch between these, the invoice will get blocked for payment. Also it checks for accuracy between PO and invoice and GR and invoice, so that the expenses are accounted accurately and price diff account also effected appropriately.
    In Vendor invoice booking, it is just like your normal journal entry and so it has not got that much authenticity over the correctness of transactions. In vendor invoice booking, there is every possibility of duplicate booking of invoice, whereas in LIV, the invoice will get blocked for payment.
