What is your backup and/or archive workflow?

I am a wedding photographer who has been using Ap for a few months now, and am trying to come up with a good backup system and a method to archive projects to save space on my MacBook Pro.
Here is my simple workflow. I'd appreciate any recommendations for improving it.
1. After a shoot I import all images directly into Aperture (managed). A typical wedding will yield 10-20 gigs of raw files (depends on number of shooters and how long).
2. After importing, I update my Ap Vault on a 500gb external FW800 drive.
3. As I work on the image the next few weeks I update my vault every day.
4. When I'm completely done with the project I export the whole project to an "archives" folder on my external drive, and then delete it from my aperture library.
5. I then update my vault again.
6. Therefore, my vault only contains a backup of projects I'm currently working on (and are in my main aperture library), and I have a file with a growing number of individual projects that have been archived. If I want to access pictures from another project I have to re-import that project into my main library, and then delete it when I'm done.
QUESTIONS:
- Would it be easier for me to put all those archived projects into a second library for fast retrieval? How would you do that (I've noticed you can directly drag-n-drop them into the Apperture package...)?
- Would your recommend also backing up to an optical media, even though the projects are so large (20gb)?
- How can I use multiple vaults and/or libraries to make my life easier?

After all your advice, I think I definitely will start referencing to my images on an external drive. I'll keep current projects on my local HDD, but after I'm done with one I'll move the referenced images to an external drive for archival purposes. I'll also use a combination of external drives and DVDs to backup (I'll never use solely optical media as I've had to learn the hard way about the long-term integrity of optical discs....)
When all is said an done, I imagine my workflow will work something like this:
1. Shoot a wedding, importing all images into Aperture and referencing to all masters in a local folder.
2. After the wedding, immediately backup the project (including referenced files) to a portable firewire drive.
3. When I'm done working with the images, move the referenced files to an external "archive" drive.
4. Export the project (including referenced files) to a double layer DVD and stick it in the clients folder with other paperwork, etc.
5. Update my Aperture Vault (including referenced images) to a separate "backup" drive.
This way I will have all my older images on an "archive" drive and linked to AP for easy reference. I'll also have DVD backups of each project, plus a huge backup drive with my AP vault with ALL projects and images. When this drive fills up, I'll buy a new one. Hard drives are cheap, and getting cheaper. Besides, that's just the cost of doing business.
Hopefully future version of AP will have integrated DVD burning, and the ability to span a project across multiple discs.

    No, but anything else is way more work. Without using RMAN you would have to find another way to keep track of applied logs.
    RMAN make this very simple :
    RMAN> CONFIGURE ARCHIVELOG DELETION POLICY TO APPLIED ON ALL STANDBY;Using another method would be like using the handle of your screwdriver as a hammer.

  • Thinking about getting a new iMac to use as the main computer.  Has anyone done this?  What is your experience and recommendations?

    We have a 2009 MBP, 2010 MBP, 2011 MBA, an IPAD 2, and several ipods.  Currently, my 2009 MBP is the main computer, holding all the music and pictures.  This has used up the majority of the available storage and definitely slows it down some.  I do back up the full computer to a backup drive and also remove the large movie files to another external drive.  I'm thinking about getting a new iMac to use as the main computer.  Has anyone done this?  What is your experience and recommendations?

    A good share of my music was added via my CDs, but now everything is added via itunes and occasionally amazon.  Almost all my pictures and video are added through my cameras via iphoto although I have added some with the 'add image to iphoto library' function also.

    If this is really Memeo Backup and you want to get rid of it for a better backup program like Carbon Copy Cloner the the following shows all the stuff that Memeo Backup installer installs (based on Memeo Backup 2.5.141 which I found with a google search and downloaded):
    The primary file to disable Memeo Backup would be that file in LaunchDaemons.  Remove it and reboot and the rest is just taking up disk space.

    - My database drop in 05-Nov with disk error (no datafile, no redo..).
    - I have no any RMAN backup from (01-Nov -> 05-Nov)
    How can i restore my database to 05-Nov?

    Many thanks for your speedy response.  First of all, I must point out that I'm a Brit and a technophobe.  This may explain my possibly foolish questions and answers.  I don't need a voltage converter but do need some kind of surge protector.  I've lived in India so have experienced first hand the devastating impact of fluctuating electricity. I said I needed a line conditioner because according to the recommended guide book: "The electricity supply in Albania is theoretically 220 volts AC.  In practice it is often very much lower.  Laptop batteries are usually resilient enough to cope with power spikes, but if you are travelling with sensitive equipment which could be damaged by voltage surges or brownouts, you should obtain a line conditioner......."  I checked on google and two recommended ones were APC Surgearrest 3020J and Tripp-Lite SK 12OUSB. I don't remember seeing Targus, Belkin or Kensington mentioned. What I'm really looking for is a good efficient one which is small enough to carry with me on any trip to a country with a dicy electricity supply.  The price is less important.  As you rightly said, it's important not to cut corners with electricity.  My main concern is protecting my UK bought Mac.  I'd be really grateful for your advice.     /rpool
    /export/
    /export/home
         1. re install the OS

         5. restore all the file in  /restore

    assuming you are using RMAN for backup -
    backup ( archivelog all );
    backup ( archivelog all delete input ); - to delete from file system.
    If you are not using RMAN but backup using a script which puts the tablespaces in hot backup mode then you just need to backup archive log directory.
    The archive logs are required when you need to do a database recovery. You don't recover archive log files.

  • How do I locate an iCal calendar from a backup and restore?

    I need help in restoring a calendar that I deleted. I haven't used Time Machine since May, but I do use SuperDuper and have a clone of my hard drive backed up through yesterday. I am pretty sure the file is there somewhere, I just don't know where or how to get it back into iCal.
    Here is what happened...
    *I use Mobile Me to sync my iMac (primary), MacBook and iPhone.*
    A week ago I was trying to get my "Sports" calendar subscribed to my daughters old iMac. After reading the forums, the suggestions were to rename the calendar and try again, which I did. Changed it to "Kids Sports" and it seemed to allow her to subscribe, although updates/additions/deletions never made it to her computer. I left it alone at that point, knowing it still wasn't working properly but she had the brunt of her schedule.
    Then sometime in the last few days I downloaded a schedule for my child's soccer tournament using my MacBook. It placed 3 games (with all the times, locations, etc) onto my MacBook, I thought wow, how cool, I didn't have to type all the info myself. I have never downloaded a calendar file before.
    I noticed a little while later that those 3 games did not sync to my phone or iMac. I investigated and thought the time zone may have been the culprit, I can't remember what was listed but it wasn't a time zone, it was something like "undetermined" or along those lines (can't see it now because the calendar is gone), so I changed each of those 3 events to Central Time manually. Later they show up as 5 hours earlier than Central Time.
    Yesterday I open up iCal in the MacBook and it's showing my "Personal" calendar with thousands of duplicate entries that are selected to "never" end, going back to around the year 2000. I have no idea how my "personal" calendar got this way, I haven't changed anything with it. Since I've been working on the "sports" calendar mess. I deleted the events in the "personal" calendar from October 1st going forward, of course everything prior to that is still there. About 4 events listed for everyday and to never end.
    I also get a message that I have over 2200 entries that need to be reviewed in iCal before syncing last night. It's the calendar labeled "kids sports". I can see that in iCal I now have 2 sports calendars, "sports" and "kids sports", they both seem to have the same information in them, so I sync with the "kids sports" calendar to be deleted. WRONG answer! All that is left are the 3 events from the calendar I downloaded online, in the calendar labeled "sports".
    Everything is already deleted from MobileMe as well.
    Soooo, is it possible to pull the "kids sports" file from somewhere in the applications area and put it back where it belongs from my back up?
    It seems like once a year I have a major issue with MobileMe duplicating, but I have yet to understand what I am doing wrong!

    I see my daughter's old iMac still has the "kids sports" calendar showing up with all the info still showing on her iCal, but she is subscribed to that calender versus syncing with it. I'm not sure if she has it set to manually refresh or automatically refresh.
    If the calendar shows up fine on her computer the easiest way to get it cleanly is to get it from her computer if that is your goal. I'm assuming this is a calendar you created on your computer and then published and then she subscribed to it?
    _Go to her computer.
    _Click on the calendar in question on the left hand side once.
    _Go to File > Export > Export and save to the desktop.
    _Bring the resulting .ics file to your computer.
    _Delete the current kids sports calendar from your computer.
    _Double-click the .ics file your brought over and add it to a "New Calendar"
    _Now you can re-publish that calendar.
    I don't understand why I can't use Superduper! to find the deleted calendar (deleted today and sync'd)
    I'm afraid I've never used Superduper! so I can't offer any suggestion there. You may want to ask the maker of that software how to restore from their backups. I use Time Machine. However if SuperDuper! clones your hard drive as you say then all your calendars are stored in Your User > Library > Calendars on that backup.
    You don't restore individual Calendars with iCal because it is one large database (in truth you can but it is very time consuming as every single event has it's own individual .ics file). So when you want your calendar from a certain restore point in time (when you made the last backup) you can follow these steps:
    _Quit iCal completely
    _Go to Macintosh HD > Applications > iSync
    _Open iSync
    _Go to iSync > Preferences and remove the check mark for "Enable syncing on this computer"
    _Reset Sync Services: http://support.apple.com/kb/TS1627
    _Remove Your User > Library > Calendars to the Trash
    _Copy the Calendars folder from your backup and put it in Your User > Library where the old one used to be
    _Launch iCal and check for your calendars
    _If the calendars show up ok go back to iSync and re-check the box for "Enable syncing on this computer"

    If you encrypted the backup, there is no way around it. You will need to configure your iPhone as a new device.
    From iTunes: About iOS backups:
    In the iTunes Summary screen, select "Encrypt iPhone backup" if you want to encrypt the information stored on your computer when iTunes makes a backup. Encrypted backups are indicated by a padlock icon, and a password is required to restore the information to iPhone. You may want to write down the password for your backup and store it in a safe place. If you use a Mac, when you set a password you can select to store the password in the keychain. With iOS 4 and later, you can transfer the iOS keychain backup to a new device if you encrypt the backup.
    Warning: If you encrypt an iPhone backup in iTunes and then forget your password, you will not be able to restore from backup and your data will be unrecoverable. If you forget the password, you can continue to back up and use the device, however you will not be able to restore the encrypted backup to any device without the password. You do not need to enter the password for your backup each time you back up or sync.
    If you cannot remember the password and want to start again, you must perform a full software restore and when iTunes prompts you to select the backup from which to restore, choose set up as a new device.

    Fork is something that will give you more than one branch. The fork step gets completed only when the mentioned number of branches are completed. For example you have a requirement for approval and there are 3 approvers and the requirement is such that atleast 2 approvers should approve the request then you will go for a fork of 3 branch with minimum 2 for completion.

    To back up to your computer, right-click on the name of your iPad on the left side of iTunes and click Back Up.  (If running iTunes 11, first go to View>Show Sidebar.)
    To get your iPad to back up to iCloud again, try deleting your last backup (if you have one) by turning off iCloud Backup in Settings>iCloud>Storage & Backup, then tap Manage Storage, swipe across your backup and tap Delete, then go back and turn iCloud Backup back on again.  If it still won't back up, you may have an app that is preventing the backup from succeeding.  To locate which one, go to Settings>iCloud>Storage & Backup>Manage Storage, tap the name of your device under Backups, under Backup Options tap Show All Apps, then turn them all to Off (including camera roll) and try backing up again.  If it succeeds, then the camera roll and/or one of your apps is preventing the backup and you'll have to located by process of elimination. Turn the camera roll On and try backing up again.  If it succeeds, turn some of your apps to On and try backing up again.  If it succeeds again, turn some more apps to On then try again; repeat this process until it fails.  Eventually you'll be able to locate the problem app and exclude it from your backup.
    If it still won't back up you may have network issues connecting to the iCloud server.  Solutions to that include power-cycling your wireless router (unplugging it for 15 seconds, then plugging it back in), resetting network settings on your phone (in Settings>General>Reset), updating the firmware on your router, and changing the router's DNS settings to use Google's public DNS (see https://developers.google.com/speed/public-dns/docs/using).

  • Why your backups are so slow and what you can do about it.

    So you know your backup us slow and want to know what's wrong.
    Here it is:
    1) Transferring files from the iPad to your computer happens at an unacceptably slow rate of ~100 KBytes per second, even though it is connected via USB2. (You are using a USB2 port, right?)
    2) The iPad/iTunes backup process introduces a multiple second pause between each and every file that gets backed up. Ugh!
    As bad as problem #1 is, it's really problem #2 that is causing everyone serious problems.
    Here's what happens: Some applications create many very small files. The free NPR app is one. If you have lots of photos, that can be another. When you back up these tiny files, even though they may be only 1 KB in size, they can take up to 5 seconds each to transfer. In the case of NPR, each jpeg is stored separately and is backed up separately. If you have 500 jpegs, each one is only 2K in size, but there is a 5 second lag between files, you have to wait an extra 2500 seconds (41 minutes!) to back up that 1 megabyte of data.
    Why this lag between files? Only Apple knows for sure. My guess is that it is due to the creation of the metafiles sent to the computer during the backup process. If the iPad is generating the metadata as an actual file in flash, the delays might be caused by read-modify-write cycles in flash. I want to say to Apple, why hasn't this been fixed? This problem is obvious to anyone who bothers to take a close look at the backup process. I can't believe they don't know about it. Do you really need so much of a lag between transmitting files? But I digress.
    The real question is, what to do about it? The answer is that you have 3 choices:
    1) Do nothing and live with it.
    2) Turn off backups. There are several apps out there that can do this, just Google it.
    3) Figure out which applications are guilty of producing large numbers of files and can them.
    To go about #3, get a copy of AppleSlowBackupLiveView from http://files.m4ko.de/applesync/
    Start a backup, figure out what folder the backup is being written to, then paste that folder into AppleSlowBackupLiveView and hit the "Check This Backup" program.
    Each time a new file is being backed up a new line will appear. If you see the same application appearing over and over and over again, you know that this application is partly to blame. You can hit the Remove Duplicates button to combine all of the entries for a given application into one line and then look at the "Total s" column to see how long it took to back up that application.
    Apple really needs to address these two issues, especially the second one as it should be very easy to fix. Simply find out what the iPad is doing between file transmissions and eliminate that problem. If it is prep work, start a new thread on the NEXT file to be backed up while the current one is being transmitted. There are ways to fix this. Please do!

  • What is your Premiere, After Effects and SpeedGrade Workflow?

    Hi Everyone,
    I am an experienced editor who's switched to Adobe's CC barely a year ago. At the moment I'm in the midst of finishing up a corporate project and trying to think of the best workflow between Premiere, After Effects and SpeedGrade. I'm loving the Dynamic Link workflows, but at the some time I'm facing some obstacles, and am wondering how you guys do your work.
    Let's say I finished the edit of the project and send the project via Dynamic Link to SG. I finish the grade and then decide to use the Dynamic Link to AE to add some titles with shapes and effects such as Fast Blur. This is where I'm facing the first problem. When I choose a clip to be 'Replaced with an AE Composition', the color correction is gone, and now if I grade in SG, it will naturally grade the titles I added. So, it seems as though my color grade is a waste of time and I have to do it the old school way of first absolutley completing the color grade, exporting, re-importing and then heading for titles and effects. That makes you lose quite a bit of "dynamics" in your work (and time aka money), if my clients want changes for example.
    For simple animations with text, and shapes, this is not a big issue since you could easily add the titles to a second Video track. But when you use After Effects which changes the acutal image of a clip by adding effects, things don't work out too easily. But in any case, these might just be the limitations to the relativley new Dynamic Link workflow.
    In my specific example, how would you go about it? What is your workflow? Maybe I'm missing out on some tips & tricks.

    I'm also looking for a solid workflow solution since adopting (and actually really liking) Speedgrade.  So below is what I'm going to try which should work and will follow this thread to see if any other workflows pop up.  Also typing this out here to help me with plan of attack
    Project Specs - 3 minute corporate video with text animation, interviews, broll, and computer screen replacement
    Edit in Premiere
    Dynamic link to SpeedGrade for color correction
    Open back up in Premiere, confirm all color corrections are applied, and then duplicate sequence to an AE Prep extension
    In AE prep sequence, take all AE "base" shots (for computer screen composite or anything needing stabilization) up onto their own track (i.e. V5 & V6)
    Add 10 frame handles to in & out, checkerboard clips as needed
    Delete all other remaining content but keep blank spaces / no ripple deletes
    Export this out to a ProRes4444 QT movie
    Import ProRes4444 QT movie back into premiere, add over existing video layers in AE Prep extension sequence, and then there time out the screen shot replacement content to cover effect duration
    Dynamic link AE Prep Premiere Pro sequence to AE
    Do the AE work
    Dynamic link back to Premiere
