When to use Managed Metadata service in Sharepoint 2013 and 2010

Hi Folks,
I have been working on sharepoint from quiet some time now. I have been using managed metadata service also.
What I have not been able to find out so far is when should I be using MMS.
What are the real advantages that I can draw out of it.
I have one application that has Managed Metadata installed and has various terms stores and terms.
The Managed metadata service  created is utilized in search,
What I do not know is what is why are we using it at all.
What is benefit of it.
Managed metadata service could also be used in navigation is what i know.
But what confused me is when is the best scenario to use it for navigation.
Why can we not use the navigation provider in the managed metadata service.
There might be other uses also, but that is not clear to me.
Can any one tell me why and in which scenario to really use it.
I know how to configure the mms and how it works though the jargons around the managed metadata.
Regards

Managed Metadata has some specific advantages that make it useful for certain situations.
A managed metadata column has the following advantages over a lookup or choice column:
A managed metadata term set can be shared across the entire SharePoint farm, so you can use it in different site collections.
You can set up "synonyms" so that multiple similar terms resolve to the same underlying piece of information
Terms can be hierarchical (terms can be nested under other terms), and the SharePoint interface allows hierarchical filtering. For example, if I have a term set for Location, and one of my terms is North America, with terms below that for United States,
Mexico, and Canada, I could choose to filter my list to show me all records with any North America location (inclusive of US, Mexico, and Canada), or to filter on a specific term (such as Mexico).
You can allow people to enter new terms, which will then appear in the term set.
You can specify information owners/stakeholders who maintain the term sets without them needing elevated access to sites; normally only site owners can mess with site columns and content types. Managed metadata lets you separate information management
(what terms/synonyms should be used) from site management (granting access, creating groups and lists, etc).
There are some disadvantages too. For example, with a lookup column, the lookup list can store additional columns of information. A managed metadata term set (on the other hand) only really stores terms (and descriptions/synonyms), but not related
info. You might be tempted to do something like create a term set for part numbers, representing every part that your company produces; the term set would handle the part numbers just fine, but wouldn't let you add extra columns of information for
description, weight, price, etc. In such a case, a lookup list is the better option.
Microsoft has some suggested guidelines for when to use managed metadata/term store:
SharePoint 2013:
http://technet.microsoft.com/en-us/library/ee519604(v=office.15).aspx
SharePoint 2010:
http://technet.microsoft.com/en-us/library/ee519604(v=office.14).aspx
A brief summary...
Managed metadata is a good option when the potential metadata meets the following criteria:
Is something for which a user will select a valid value
Represents information that is likely to be used multiple times
Has valid values that can be organized hierarchically
Includes synonyms or abbreviations that should be aggregated
Can be applied in one language, but might be viewed in other languages
Managed metadata is not a good option if the potential metadata meets any of the following criteria:
Is represented by a built-in column (such as “last modified date”)
Has an infinite number of valid values
Has different valid values in each location that it is used (such as different values for the “version” attribute depending on which product team’s site the item appears in)*
Has only “yes” and “no” as valid values
*This type of metadata could still be captured in site collection-specific term stores

  • Update Managed Metadata field in SharePoint 2013 Designer Workflow for O365

    Hi Guys,
    I need to update the managed metadata field in SharePoint Custom List using Workflow but its not working. I have also tried to use the HTTP WebService POST Operation but no luck.
    Am doing this for a SharePoint Online (O365) Site.
    Has anyone worked on something similar and was able to get it running ?
    I saw a post to create a custom Workflow Activity but I don't have a choice to go with the custom code option.
    http://patrickboom.wordpress.com/2013/07/23/workflow-activity-set-managed-metadata-column/
    I was able to achieve this by creating a SP 2010 based Workflow for O365. Which means that it worked well with SP 2010.
    Is there a different way to do it in 2013 ? I tried almost all options apart from creating custom Activity but nothing worked out.
    Any help would be great.
    Thanks,
    Nutan

    Hi Nutan,
    According to your description, my understanding is that you want to update Managed Metadata field with SharePoint 2013 Designer for SharePoint Online.
    As far as I know, there is not an OOB action to achieve your requirement with SharePoint 2013 Designer for SharePoint 2013. Customizing a workflow action is a better option to achieve it.  Why didn’t you customize a workflow action as Patrick’s blog?
    In addition, please take a look at the article about Nintex workflow, check whether it is useful for you:
    http://habaneroconsulting.com/insights/setting-managed-metadata-fields-in-a-nintex-workflow#.UykBSf6KDHo
    As this issue is about SharePoint Online, I suggest you create a new thread on SharePoint Online forum:
    http://social.technet.microsoft.com/Forums/en-US/home?forum=onlineservicessharepoint . More experts will assist you.
    I hope this helps.

  • No values for refiners for managed properties based managed metadata columns in SharePoint 2013 on premise

    On a SharePoint Server 2013 setup (on premise) we want to use a number of managed metadata columns in the search as refiner. The managed metadata column is called "Document Language" and so it automatically creates a managed property called owstaxidDocumentx002Language
    which I can use to do a keyword query by typing owstaxiDocumentx0020Language:"NL" in the search box and it returns results. I also marked this managed property as refineable (in the service search application) and it appears in the
    seach refiners selection box but it states that there are no values for this refiner.
    So I decided to create a new managed search property "DocumentLanguage" and maps this to "ows_Document_x0020_Language" - I marked it as queryable, searchable, refineable, retrievable and sortable but this managed search property
    is not being filled up.
    I already executed a number of full crawls but this does not seem to work. Anyone know what to do next?
    Rgds,
    Joris [http://jopx.blogspot.com]

    It happened with me many times that the automatically generated managed property is not properly mapped to the crawled property and to get the correct crawled property  get the document item
    $web=Get-SPWeb http://webUrl
    $list=$web.Lists["documentLibrary"]
    $list.Items[0].Xml>>item.xml
    View the item.xml and check if the ows_Document_x0020_Language contains data

    I've been trying to create new Managed Metadata services but get this error when trying to manage them:
    The Managed Metadata Service or Connection is currently not available. The Application Pool or Managed Metadata Web Service may not have been started. Please Contact your Administrator.
    I've checked that the application pool that the Metadata service uses is running and that the account it's running under is in the farm administrators group. I've checked that the WCF hotfix is applied on the system by re-downloading KB971831 (I have Windows 2K8 SP2) and trying to run it again but it says it doesn't apply to my system (as I had installed it before installing SharePOint)

  • The tagging service is unavailable - Managed Metadata Service issues

    After SP1 I am unable to use the tagging service in my test farm of SharePoint 2013. Users see the error message popup "The tagging service is unavailable. Please try again later."
    I've ensured that the Managed Metadata service is up and running and is the location for keywords.  I've tried deleting and re-creating the service to no avail.
    Any ideas on what might be happening?  The service looks fine, the database looks fine but no tagging....

    Hi,
    According to your post, my understanding is that you were unable to use the tagging service.
    Per my knowleadge, even if the Managed Metadata Service is associated with the web application and term store is accessible from within the site collection, it still needs to be set as the default for the web application.
    To set the service as the default you need to click on the proxy service, and then select the top two check boxes.
    For more information, please refer to:

  • 401 Unauthorized Error When calling a SharePoint REST web service from SharePoint 2013 Workflow

    We have our Workflow Manger installed on the same server as our SharePoint 2013 WFE development environment. When creating a SharePoint 2013 Workflow all Calls to a SharePoint 2013 REST web service results in a 401 Unauthorized error.
    As an example I created a simple workflow that should return a JSON result. The REST Url returns the results in the browser without error.
    Set Variable:webServiceUrl to https://<hostnamedsitecollection>/_vti_bin/client.svc/web/lists/getbytitle('ISR%20Approvers')/Items?$select=Title&$filter=Title%20eq%20%27General%27
    then Build{...} Dictionary (Output to Variable:requestHeaders)
    then Call [%Variable:webServiceUrl%] HTTP web service with request (ResponseContent to Variable:responseContent |ResponseHeaders to responseHeaders | ResponseStatusCode to Variable:responseCode)
    The RequestHeader is set to the requestHeaders variable though the web service call properties
    then Log Variable:responseCode to the workflow history list
    After manually running the workflow in SharePoint on a list item in the ISR Approvers list it Logs "Unauthorized" in the Workflow History Log. It does this with every SharePoint REST web service call that I have tried through the workflow.
    It doesn't have anything to do with the Workflow Manger being installed on the same machine as the SharePoint WFE does it?
    Thank You for any insight

    Hi,
    According to your post, my understanding is that you had 401 Unauthorized Error when calling a SharePoint REST web service from SharePoint 2013 Workflow.
    Please make sure you use the ‘Call HTTP Web Service’ correctly.
    You can enter the URL into the brower to check whether it is correctly.
    You need to
    create the Request header requestHeaders
    using a Dictionary:
    Accept : application/json;odata=verbose
    Content-Type : application/json;odata=verbose
    To associate the
    requestHeaders variable, select the Call action
    property, set the RequestHeaders property to
    requestHeaders.

  • The Managed Metadata Service or Connection is currently not available. The Application Pool or Managed Metadata Web Service may not have been started. Please Contact your Administrator.

    Hi,
    I'm not able to access the term store. I get an below mentioned error.
    "The Managed Metadata Service or Connection is currently not available. The Application Pool or Managed Metadata Web Service may not have been started. Please Contact your Administrator. "
    Since this is happening on my local machine (Dev environment). I have full control on the term store and the all the site collections.
    Hence, this is not a permission issue.
    I have checked, the Metadata service is active on the machine. All the application pools in IIS is running.
    After reading one of the recommendation on internet, I created a new Managed Metadata Service.
    After which I was able access both (old and new) MMS from Central Admin only (highlight the MMS from manage service applications and click Manage ) and not from the site collection (term store management).
    Now again its not working after I did an IISRESET.
    The managed metadata service (Managed Metadata Service Connection) is grayed out.
    ULS Error says:
    Failed to create ManageLink for service proxy 'Managed Metadata Service'. Exception: System.TimeoutException: The request channel timed out attempting to send after 00:00:09.9999999. Increase the timeout value passed to the call to Request or increase the SendTimeout

    Please let me know if you need more information.

    Hi Victoria,
    Thanks for your reply
    I tried making all the changes you had recommended and which are mentioned in the link you have provided.
    I tried making all possible combination of changes to the web.config and client.config files but it does not make any difference to the environment.
    One thing is that, my error in ULS logs has changed.
    Error 1:

  • Cascading Dropdown using managed metadata.

  • Caml query using managed metadata column

    hi,
     I am having a console appln, where i want  to pass the one paramater in the form of siteCol1:subsite1:subsite2  where  siteCol1:subsite1:subsite2 is the path of subsite which is in MMS.
    Can i pass this string paramter to the splist which contains a taxonomy column   and match this paramter in the listitemcollection and fetch only those recordw which matches this crirteria.
    and it should fetch the values which matches in a splist. the caml query it expects contains the taxonomy -managed metadata column - , but i am stuck with
    SPList splistLIST = parenttWeb.Lists.TryGetList("LIST1");
                          if ((splistLIST.Items.Count > 0 && splistLIST!= null))
                              SPQuery   objnodeQuery = new SPQuery();
                              objnodeQuery.Query =
                                  string.Format(
           "<OrderBy>" +
              "<FieldRef Name='ID' />" +
           "</OrderBy>" +
           "<Where>" +
              "<Eq>" +
                 "<FieldRef Name='myTaxonomy' />" +
                 "<Value Type='Text'>{0}</Value>" +
              "</Eq>" +
           "</Where>", _mcurrentPathTermSet);
                              SPListItemCollection nodeItemCollection = splistLIST1.GetItems(objnodeQuery);
    am not able to retrieve the listitems which passes this as a parameter and retrieve those records where it matches this taxonomy column.
    my doubt is, how to pass a string parameter to the splist contains taxonomy column and fetch those records

    Hi,
    Managed metada column does not supported in lookup column as the thread below:
    https://social.technet.microsoft.com/Forums/en-US/0dee5ba4-9648-445f-a774-8c59cf01b81c/confirmation-needed-cant-lookup-managed-metadata-field-with-lookup-column?forum=sharepointgeneralprevious
    If you prefer managed metadata in Search, then I'd suggest you find workaround to use managed metadata column in lookup column. You could use a workflow to copy the managed metadata column to a text field, make the text field to be hidded from the list if
    necessary. Then lookup this text field in other list.

  • How to change 'Modified By' column value when a new file is uploaded in SharePoint 2013 using Client Object Model?

    I want to change 'Modified By' column value of a file that is being uploaded using Client Object Model in SharePoint 2013. The problem is that the version of the file is changing. Kindly help me. The code that I am using is:
    using (System.IO.Stream fileStream = System.IO.File.OpenRead(m_strFilePath))
        Microsoft.SharePoint.Client.File.SaveBinaryDirect(m_clientContext, str_URLOfFile, fileStream, true);
        Microsoft.SharePoint.Client.File fileUploaded = m_List.RootFolder.Files.GetByUrl(str_URLOfFile);
        m_clientContext.Load(fileUploaded);
        m_clientContext.ExecuteQuery();
        User user1 = m_Web.EnsureUser("User1");
        User user2 = m_Web.EnsureUser("User2");
        ListItem item = fileUploaded.ListItemAllFields;
        fileUploaded.CheckOut();
        item["UserDefinedColumn"] = "UserDefinedValue1";
        item["Title"] = "UserDefinedValue2";
        item["Editor"] = user1;
        item["Author"] = user2;
        item.Update();
        fileUploaded.CheckIn(string.Empty, CheckinType.OverwriteCheckIn);
        m_clientContext.ExecuteQuery();

    Hi talib2608,
    Chris is correct for this issue, when calling update using ListItem.update method, it will increase item versions, using SystemUpdate and UpdateOverwriteVersion will update the list item overwrite version.
    these two methods are not available in CSOM/REST, only server object model is available for this.
