Word data merge into UnDesign

I was sent a letter and data merge of a letter constructed in Word taddressed to 1000+ parents in our school district. They asked to have that letter placed on the district letterhead that was constructed in InDesign CS 5.5.
I set up that number of pages in InDesign, placed the letterhead on the master page, but cannot get the Word doc to flow into InDesign so that the pages match on both documents. Any suggestions?

If you are looking for an exact match in appearance between the Word doc and the ID doc, I'd recommend printing the Word file to PDF (or postscript file and distill), then place the PDF into a new ID file. Data Merge into Acrobat

I am attempting to create a pdf that has the ability to personalize certain fields based on defined criteria. I understand the "Mail Merge"-like function in Acrobat but it only does half of the job required. There will also be personalized images for each pdf document. The Manage Form Data function does not allow for anything but text to be imported.
Does anyone know of a plug-in or existing feature that will allow both text and images to be "Data-Merged" into an Acrobat file?

It's possible to do when using an FDF file to import the data. To import images, you have to set up a button on the PDF to display the image as its icon. You then have to contruct the correct FDF. The source of the images needs to be a PDF page that is marked as a template. You then point to the PDF and template within the PDF as the source of the image destined for the button icon. I realize this sounds a bit involved, but it does work.
An alternative is to load the images as document icons and assign a document icon to a particular button icon. This requires JavaScript, perhaps in a batch sequence.

Multiple record data merge into paragraph styles-applies the wrong style

Hi, I've been working on this project for sometime and everytime I manage to get one part of the workflow to work another seems to break. My agency publishes catalogs in multiple formats: large-print, audio, braille, and HTML. I've been trying to redesing our work process so that the catalogs will be laid out from merged data out of comma-separated file. The data merges have worked fairly well in Word, but InDesign is a challenge. I'm merging multiple records on a page, like a mailing label. The paragraphs need to be formatted and I'm trying to apply a paragraph style to them. After much work, I think I've finally got the data merge to work correctly, but the wrong paragraph styles are applied. I'm going to apply a new master page to the data once the data is merge that uses the paragraph styles for text variable running headers and I need to build a table of contents based on the paragraph styles so I need this to work. Attached are some screenshots.

I don't remember this happening in past versions. But I mainly use XML. And a quicky test converting your file to XML worked fine (and besides, it ends up all in continuous text frames...).
I don't do much GREP. But you can do this via a Find/Replace.
First, in your main document, you can delete the tags--but do this on a second copy of your working file!
Change your Content Placement options to not remove blank lines (these are in the Datamerge panel).
Then after the merge, change the format of the two blank lines at the beginning of the records without the two lines of data:
Note the Change Format style is changing those two paragraphs to Title.
Then rerun the find to remove the two blank paragraphs.
I suspect this can be done easier. I am sitting awaiting an appointment and cannot go much further than this for now, sorry.

CS4 Data Merge into single story

Hi,
I layout catalogs that are very unstructured in their layout. I use data merge to quickly format hundreds of records which I then cut and paste (as text) into these facing page layouts. The layout is so inconsistent that creating a strict template for it doesn't work.
Is there a way to merge all of the data of a file that has 200-300 records with 10 or so fields for each record into one single story that automatically generates new pages as needed rather than one story per record?

Data Merge creates a sepatate story for each record, but you can run a script aftwards to stitch the stories together. One possibility is http://www.rorohiko.com/wordpress/indesign-downloads/textstitch/

In Design Data merge into separate pdf files with variable data name

Hi all, thank you for taking the time to read this.
Here's what I have.
I've created a file in indesign using a 65 page document.
With this document I've set it up to have specific data in certain areas with data merge. I have that part setup and it works fine.
When I go to export PDF it creates one massive pdf document with all the variable data in it. However here is the scenario I would like.
1. Indesign to create a separate pdf file for each record. So in this example it would be 100 different 65 page pdfs since it should have different pdfs for each record and there are 100 records in the csv.
2. The pdf should be named after each variable record. For example record one says name "Joe", record 2 name "Frank". So it should create joe.pdf, frank.pdf etc.
How can I accomplish this?

Data merge into a PDF

Can you have a data merge that will allow 1 designed PDF to be automatically updated with names addresses and signatures?
The name and address is a .csv file and the signature is a .jpg
Any help would be great

will this work if the PDF pages are already created?
we are going to be provided about 300 already made PDF pages in which I need to do something like , put JSP or Java tags in a form field that will fill the form field with data that the tag queries for....

How to create multiple editable PDFs from data merged Indesign file

This is quite complicated but I'm hoping someone can help me and hoping I can explain it too!
I am working on a project for a client. She wants to send 150 people a 6 page PDF with fields to complete and return to her.
She has an Excel spreadsheet with some of the fields completed already so these will be Data Merged into InDesign CS6.
The short version of the question goes like this:
Can you automate the process so that once all the data is in the InDesign file, it can then create a PDF every 6 pages all in one go?
For those still interested, the long version of the question goes like this:
I have created 3 pages in InDesign with fields to complete and used the 'Data Merge' facility to add the Excel info.
I have created 3 more pages with blank fields to fill in.
Then I have made all fields editable using the 'Buttons and Forms' facility in the Interactive menu.
Then I have created an interactive PDF. Then I have opened that PDF in Adobe Acrobat X Pro and saved it as 'Reader Extended PDF' and 'Enable Additional Features'
I now have an Editable PDF with half the fields filled in and half blank to be filled in and this can be saved and returned.
Now, this would be great if it was only one or two. But I need to create 150 different versions and this is just for the Pilot study. If all goes well, this will go to 5,000 people and I can't be creating 5,000 seperate PDFS!!
At this stage, I am just focussing on the 150. So again, going back to the original question, is there a script that could be written either to break up the 1st PDF every 6 pages into 150 different PDFS? Is there even a way of extending that script to Save as Reader Extended etc? Is there a simple idea that I'm missing? Are there any ways to do this? I can use 'Created Merged Documents' to make 150 x 6 pages in Indesign so can anything be done from there?

Lost In The Docs / Data Merge

Hey,
I'm trying to cook up a script that would add one of the items in my "data merge" into a text frame.
I have the code below, and I'm trying to understand the scripting help file, but so far I was only able to output some kind of resolve(....) text.
The "310-7251" is a name of one item in my data merge list. I want the text frame to contain it's.. um.. reference(?), the "<< 410-7251 >>" text that I would get if I did this manually, that would turn into the field's value when I would create a merged document.
What am I doing wrong?

Well, I gave up and wrote a function that would traverse all the items and find the one I want.
With my extremely limited knowledge of the language, it seems there's a bug with the item() method; it doesn't accept field name string properly.

Data Merge Multiple Records Per Page

I am working on a directory of 235 names. All the information, ie., name, addresses, emails, phone numbers etc. are in an excel file.
What I need is not each name on individual pages. Is there a way to have the data flow together, like a phone book.

Data merge multiple recrds per page

i am rying to place an illustrator file on an "in-design"page and have it print two up on one piece of paper with two seperate address then cut them apart to same money on my printer/contract
all the proper choices are available - IT SEEMS - but i can't get it to work the second record seems to be placed on the second document in my two up layout HELP PLEASE

Help working with complicated data merge

Hello indesign community
I am and have been using CS3 for a while now and use the data merge feature with great success.
I have been asked to produce a report at the school I work in that will go out to parents which isnt to much of a problem all data will come from an assesment programme in a spreadsheet.
This is the problem the booklet contains reports on subjects and not all students do all subjects, I only want the subjects to appear that they will be taught in. Is there any way that anyone knows that I can use to drop a page if its not having any data merged into it.
Any thoughts on this matter would be usefull

I don't hink Data Merge is sophisticated enough to skip a page if the entire record is null, but it will skip blank lines if there is a null field and nothing else on the line.

Data merge with football tickets. Printing causes out of memory errors. Can only print 10 at a time!

Here's the deal. Printing football tickets for the local high school. 10 tickets per 8.5 x 11 sheet. All black and white. I couldn't data merge into one whole document of tickets because it was failing to do that. So, I end up with 3 documents. First two have 50 pages of tickets and the last has 37 pages.
When I go to print, I can only print 10 pages at a time or InDesign straight up crashes or I get an "Out of Memory" error which is bull because I've got plenty of ram available (unless it's complaining about lack of HD space for some reason)
Incredibly frustrating.
Each ticket has 3 images on it. Two of the images are the same. Those two images are about 103kb .ai files. Very very simple. The other image is a TIFF that is about 76kb. So there are 1000 .ai files / document and 500 TIFFs.

Also, when printing, I have the Send Data set to Optimized Subsampling instead of "All". That's not seeming to help.

I just ran a sample on my laptop.
AI file, duplicated, is 284k. Image is roughly 200k. The CSV has 2054 records, and the merged document with 10 per page is 250 megabytes. PDF is just under 50 megs.
This laptop has only 4 gigs memory but has a lot of free disk space. It took a good amount of time to do the merge, a bit longer to create the PDF-X1a PDF.

For publications such as a directory with contact information, it would be easier to manage the layout by merging multiple records into one text box. However, it seems like the only option in InDesign is to merge the records into each of their own text boxes.

Thanks, SRiegel, now that I’ve added the apostrophe in the title of the photo column, the Data Merge box DOES indicate photo. The problem is, when I do the Data Merge, it says the photos can’t be found. Here’s an example of how I have the photos listed:

Is that path correct? Can you place that image outside of data merge into another document, and doe it say that's the path?

Can you place text from a word document using data merge?

I'm working with a charity that is giving away scholarships/grants. I need to create a ducument that pulls in various application data plus their submitted essay (docx format). I would like to do this via data merge but cannot find any reference if it is possible.
Please help, I really need to automate as much as possible since this is a side project.

Data merge only collects info from CSV format - which I expect you would export from Excel. (I think it'll take tab-delimited as well, but that's it.)
MS Word files can be placed, but Data Merge is not the tool to automate placing of Word-file content. If there is no formatting of their essays, I suspect you could use VBA to cause entire essays to occupy a single cell in Excel. But that would be the only way to use Data Merge to automate import of essays into InDesign.
Maybe if you tell us more we can give you some more automation suggestions. (I spend a lot of time automating translation workflows, but I still place Word files. All day long, in fact.)
