Work Status Setup

Hi All,
I have a question regarding basic work status setup for BPC 7.5 NW.
When I set to Manager in Controlled by at Work Status, we can modify                                                               
work status for the parent group.  
Is the above statement true.                                                                               
When I set to Owner in ControlledBy, we can modify the work status for                                                            
base member, but cannot modify for the parent group until we finish                                                                
changing the status for base member.                                                                               
When I set to Manager in ControlledBy, we can modify the work status                                                              
for parent group as well as the base member.
What are your thoughts on these basic setups.

Hi Krish,
There are few thumbrules, which we need to remember:
1. The default method for managing work status is bottom-up. That is, the status of a parent cannot be higher than the status of its children.
2. The maximum state a parent can be set to is the lowest state of its immediate children.
3. If the status of a parent is set to Locked, you cannot unlock the children.
4. The minimum state a child can be set to is the state of its immediate parent. For example, if the parent state is Submitted, the child state must be at least Submitted.
5. The owner of an entity can set the work state to any state designated as an Owner state.
6. The manager of an entity can set the work state to any state designated as a Manager state.
7. A manager is the owner of a parent-level member. The owner of a parent level member is the manager of all its descendants.
Now, coming back to your question:
1. If the user is acting as an owner, they can select a work status controlled by Owner or Both.
2. If the user is acting as an owner and the selected member has no parent, the user also acts as a manager (top of the hierarchy) and they can select a work status controlled by Owner, Manager or Both.
3. If the user is the parent owner in the role of Manager, then they can use the Include All Children option (to push the work state to children). This option is not valid for a base member, the Owner role.

    Hi Gurus,
    I am trying to design security for users. For users who can approve the plan i am setting the authorizations with task profile as "set work status". But when user logs in to BPC web to change the work status, The data region is either blank/white screen. The user is not able to proceed to next step.
    I have maintained owner dimension also. But when gave user authrizations as secondary sys admin + lockings  user is able to see the data region and proceed to next step.
    My question with only set work status authorization can user change the status? or user needs to have secondary system admin + locking tasks assigned to complete status change.

    I'm pretty sure that users can be owner of a work status node, even if they have read-only (not write) access to that node. This is easy enough for you to test; just change the member access profile for that one user, and see if it solves the problem.
    But I suspect it won't solve it.
    You say that users with secondary admin rights can change work status, which means you have most f the setup (at the application and dimension levels) correct. There must be something about these users, or their task profiles, or their member access profiles, or the assignment to them of the OWNER property of the drive dimension, which is not correct.
    Make sure you double-check all these, and then process all the dimensions in the application & process the application itself. It's a bit of looking for a needle in the haystack, but there must be something that's not correct. The fact that it works for other users means that you're very close.

  • Need clarification regarding Work status rule

    I have a work state "Submitted" which is controlled by "owner".
    My work status is driven by following dimensions in the application:
    u2022Entity  - Owner dimension
    u2022Category
    u2022Time
    Entity hierarchy is as follows : A
                                                      |____B
                                                      |____C
    Now considering that user is owner of member "A", I set the work status to "Submitted". (Note: B and C does not have any owner)
    It gives error "controlled by rule has been violated".
    On the other side, one of the document tells states that "If the user is acting as an owner and the selected member has no parent, the user also acts as a manager (top hierarchy), they can select a work status controlled by "Owner", "Manager" or "Both"".
    Going by this rule, in the scenario which i have explained above, it should set the work status as "submitted". But it is throwing error.
    Kindly clarify if my understanding is wrong.

    The problem is arising because as per the setup, only the owner can change the work state to submitted. However, there are no owners for the child members.
    You can try changing the setting to manager. If you login as owner of A, then you will be able to change the work state of A (since you are your own manager because A is the top node) and you will be able to change B and C also (since you are the manager).
    Alternatively, you need to maintain the same user as the owner of B and C.
    You have rightly indicated the statement "If the user is acting as an owner and the selected member has no parent, the user also acts as a manager (top hierarchy), they can select a work status controlled by "Owner", "Manager" or "Both"".
    However, if you take a look at this statement, this is valid if the setting is manager. But in your case, the setting is owner. And there are no owners of the children.

  • Member Validation in Work Status settings

    Hello,
    Within the workstatus set up on application level (work status settings) one can define an owner dimension in the work state column and also define which dimensions are relevant for work state by indicating 'yes'.  How this works is clear. But for the other dimensions indicated as 'no' one can define member validation, the meaning and function of this is not clear to me.
    Has somebody any idea what this is about?

    You can change the work status settings for each application. Changing the work status settings involves identifying three to five 'work status dimensions,' and then defining specific members for the remaining non-work status dimensions used for validation purposes. You must determine which account you will use for validation of the data at the time the work status is changed. The validation account must be ”0u201D at the intersection of the 3-5 variable members and the members designated for the non-work status dimensions.  If the account is not ”0u201D then the owner/manager cannot set the work status.  This is an option feature.
    The dimensions you select as the work status dimensions are the variables in your business process. For example, the entity, category, and time might change based on who is submitting data, but the account, data source, reporting currency, etc., remains static. (Typically, Time is a work status dimension since data is usually segregated based on time.)
    For example, lets say that you set Entity, Category, and Time as your work status dimensions for a given application. You then set your other current view members to the following:  Account: Validation; DataSrc: TotalAdj; Intco: All_Intco; and RptCurrency: LC. In addition to assigning work status dimensions, you also specify which dimension is the 'owner dimension.' The owner dimension includes the Owner property. The owner property determines who can edit a work status setting. The following figure shows this setup, where Entity is the Owner dimension.
    A user attempts to post data to the current view shown in the following table. The system checks the 'validation' account to make sure the intersection equals zero (0). If so, the data is posted, and a success message is displayed. The user can now set the work state to 'submitted' on that intersection. Subsequent submissions to that exact intersection will be rejected. Users can only send data to the same intersection if the Entity, Category, or Time member changes.

  • Work status change = send email

    Dear all,
    Has anyone setup some sort of functionality where automatically an email is sent out as soon as the work status is changed /updated? Is this at all possible in BPC?
    Any suggestion, hints or tips is more than welcome.

    Thanks Said.
    It is in the Step A(first I put step D and later edited later to Step A), we select the owner. By using the two drop down menus, we can specify a number of days prior to the start of, or after the start of the BPF in the step C, the users shall be notified. In the step D, the processes are defined and there we need to select the box for 'Enable Alerts'.

  • Issue with Work status in SAP BPC 10.1 Unified Model

    Hi Everyone,
    I am are tying to setup work status functionality in SAP BPC 10.1 Unifed Model. But I am not getting any dimesions to select in the Owner dimension dropdown in the BPC Web Admin.
    Is there any pre-requiste for setting up work status in Unified Model. Is there any document related to it? Any help would be greatly appriciated.

    Hi Ramanathan,
    Had the same problem when I began using 10.1 Embedded.
    In BW you need to identify which infobject will be used as the "Owner Dimension"  to control work status, access, etc.
    To this infobject you must add an attribute to contain the string (userid in BPC) of the owner.  The name of the infobject can be anything.
    I used 0ORGUNIT as the "Owner Dimension" control infobject and added attribue ZBPCOWNR.  I maintained ZBPCOWNR with the userid's.
    This is the value to be entered into Owner Property:
    HOWEVER, this will not be presented until the Owner Dimension contorlling infobject has a HIERARCHY!  The hierarchy must have at lease one leaf node.
    Once I added the attribute, maintained the attribute, and added the hierarchy I was presented with my choices in the dropdown boxes.

  • Work Status Report Date and Time Setting

    Hi all
    We are running BPC10 on servers configured with Central European Time which is currently 2 hours ahead of GMT allowing for Daylight Savings Time.
    From what i can see in BPC10 date and times are now stored in GMT (Zulu time) in the Audit activity tables so when a user updates the work status at say 11:00AM local CET time then a value of 09:00AM GMT is stored in the Audit Activity Header table.
    We have a report in excel that uses the EVLCK formula and will return the correct value of 11:00 am however if we run the Work Status Audit report on the Planning and Consolidation home page with user preferences set to Central European Time +1 then the time is displayed as 10:00am suggesting that daylight savings time is not accounted for. We need to set the time to Eastern European time +2 hours to display the correct figure.
    Can anyone explain why this happens? Has DST been overlooked?

  • Work Status Report

    Hi,
    I was wondering if there is a work status report available in the system?  What I would like to see is a summary of which dimensions are locked in BPC so that I can monitor it to ensure that someone doesn't accidentally open something by mistake. 
    Currently I have to go through BPC Web and check the dimensions manually.  If there is no report can someone confirm where the work status data is stored so that I can have one built.
    Is this the table (where "finance" is the application)   -  [dbo].[tblFinanceLock]  ??

    You're right, work status information are stored in "tbl<App>Lock".
    Concerning your first question, you can build a BPC for Excel report that retrieves work states.
    Having for example an expansion on all entities, you can use EVLCK function (from 5.1 version) or EVASV function (in CPM 4.2). You can then do whatever you would like to send it to others via distribution list or other.

  • Issue with setting work status

    Hi Gurus,
    I am using the standard work status (copied from Appset), in the applications work status setting I have set entity as owner and time and category as yes for work status. In the entity dimension under owner and reviewer property I have keyed in the correct user ids. I am using one of the owner user id to perform the activity mentioned below
    The issue I am facing is when I select modify work status from Esubmit menu it takes me to the web interface for setting the Work status after selecting the value for the 3 dimensions mentioned above when I click on OK it pops up a message that you are not authorized to change the work status setting please contact system administrator. The owners have admin profiles for auth so they should be able to do pretty much everything.
    would appreciate help on this

    Make sure all the members within the parent hierarchy you are using have owners assigned.
    In BPC terms; Managers are the owners of parents, owners are the owners of members.
    For example the owner might be a clerk entering forecast data for a single/set of entities, (base level members). The manager owns the parent.
    Also, when testing, make sure you login to the system/server/domain/network, (whatever) with the userid you will be testing with and then login to BPC. (Just to be sure.)
    This should do it if you have everything else laid out!

    I have built a work status custom report. The user was able to change status. When i run my custom EVDRE report no values are retrived for status, user and date/time stamp columns. I am using simple
    EVLCK function. I think something is blocking/filtering retrival of data.

    Hi Experts, I configured and triggered a BPC e-mail notification for Work Status change. However, there are few areas I would like to improve on. Please help. A sample notification message is attached below. Areas highlighted in red are the areas I would like to improve on.

    The periodic scripts or launchd would have to send the email. I don't think you have to do anything to send mail, just receive it, you can check that from the command line:
    mail [email protected]
    When you finish your message put a period on a blank line and hit return, that indiecates the end of the message.
    The one butt biter is that Apple puts a .forward file in all home directories that says to direct all mail to /dev/null , essentially it sends it to a black hole. You'll need to edit this file and put in your email address (if you want the email to go there) or the mails (should) wait for the user to run the mail command to read their messages.
    The mail command has a fairly extensive man page:

  • BPC 7.5 - Multiple Usernames in the owner property for Work Status Update

    Good Day,
    We have an issue in our BPC system, where our organisation dimension(entity) has an owner property which is maintained with multiple usernames. The issues comes in when we have to update the Work status for locking. The system recognises the first username as the owner property and only that first username can change or update the workstatus in BPC. We have a problem with that because we have a team of people that manages process.
    The error that we get when one of the usernames other than the first one tries to update the work status is - "User not a Manager/Owner, Work status cannot be updated".
    Please advise of the solution we are BPC 7.5 SP17

  • BPC 5.1 SP7 patch 3 - Work Status not updateable

    Hi All,
    We have just upgraded to SP7 and applied patch 3, and suddenly we cannot "roll-back" Work Status from eSubmit / Modify Work Status.
    Previously I (as Administrator) could change a status from Approved back to Submitted or Unlocked. Now, once something is Submitted it is greyed out (not able to be changed). (Both the "Include children in data region" and the Work Status dropdown are unavailable")
    I've searched SAPNotes and on the forums, but cannot find anything related.
    Any ideas?

    I have the script logic file, with code, for example:

    Work status is established for (ENTITY=C1113; CATEGORY=ACTUAL,PLAN;TIME=201007) as Approved (data is locked).
    Will execute this logic for (ENTITY=C1111;CATEGORY=ACTUAL,PLAN;TIME=201007)? Should I divide this script logic for C1111 and C1113?

    I have 2 entities (companies) - C1111 and C1113.
    I have the script logic for calculation keyfigures for this entities (it is automatic chain).
    C1113  has entered the data and has locked it. When the C1113 will enter the data, the script logic will not been executed.
    I have tested it and I have received that:
    the script logic has broke when system has tried to write data into database after "Error Work Status check".
    If I change the line of script logic as
    *XDIM_MEMBERSET ENTITY = C1111,C1113
    calculation for C1111 is executed.
