Workflow approval in SRM 7.0

Hello all, I am working in SRM 7.0 and I have this issue:
1) One user creates shopping cart using shop on behalf function for this user.
2) First question: This user only have availables all parameters that he/she has in his/her organizational structure? I am talking about cost centers, plants, etc... Because when you put shop on behalf function, you are linking an user for all users that belong to a organizational unit right?
3) I have activated  one step approval for SCs
4) When SC was saved by first user (user A) using shop on behalf function (user B), I need that this SC throws a new workflow activity. I need that user B was first approver and then other user was second approver. But only when the SC was created using shop on behalf not other procedure.
What do you recommend for this?
I thought use conditions for workflow in this case, but these are for old workflow version no? How can I do it with new workflow version for SRM 7.0?

Answer: Yes it is possible..

Answer: According to POWL concept and F4 help functionality it will not work in the way you explained above..
4) When SC was saved by first user (user A) using shop on behalf function (user B), I need that this SC throws a new workflow activity. I need that user B was first approver and then other user was second approver. But only when the SC was created using shop on behalf not other procedure.
What do you recommend for this?
Answer: In SRM 7.0 the standard workflow template will not allow Document owner to approver his own document..
I thought use conditions for workflow in this case, but these are for old workflow version no? How can I do it with new workflow version for SRM 7.0?

    I have setup process controlled workflow in SAP SRM 7.0 EHP3 for shopping cart approval.
    I have 4 approval levels.
    I have used item-based Decision for entire document because for some items i want system approval.
    In implementation of BADI /SAPSRM/BD_WF_RESP_RESOLVER, in the method /SAPSRM/IF_EX_WF_RESP_RESOLVER~GET_AREA_TO_ITEM_MAP, i am skipping the items for which i want system approval.
    Also in method /SAPSRM/IF_EX_WF_RESP_RESOLVER~GET_APPROVERS_BY_AREA_GUID of BADI implementation class, i am keeping the approver table empty for the step which i want system approval.
    For example i have 1 item in shopping cart and for 1st step, based on some accouting criteria, i want system approval for 1st level and the workitem should go directly to 2 approval step when shopping cart is ordered. This is not happening.
    But if i have multiple items, and one item should have system approval based on some criteria and the 1st approval level should be system approval and other item should go to the 1st approver. This is happening and showing 'system' approver for item1 and 'appr_xyz' for item 2.
    For shopping cart having only 1 item, If i approve the shopping cart in this state only, it doesn't go to any approver and is not usable.
    am i missing anything in BADI /SAPSRM/BD_WF_RESP_RESOLVER??

    Hi Adrian,
    Yes it is possible to display custom workflows in the Universal Worklist,  However, I am not sure what you are trying to do with a routing table.  If the workitems are of type decision, you can use UserDecisionHandler (action handler) configured in the XML file to use the Approve/Reject functionality - we are talking about webflow connector here correct?  R/3 connector?

  • N Step BADI Approval Workflow Error in SRM 7.0

    Hi,
    I have implemented SC  Workflow Approval based on line item(sequential approval). I implemented process controlled workflow for this using N step Badi. Necessasy configuration done for each level at schema. All steps are executed per line item and agents determined using N step Badi /SAPSRM/BD_WF_RESP_RESOLVER.
    Even in SC after the document is ordered, in approval overview tab i see the all level sequence with  approvers name for that  line item.
    But when approved by first approver, it doesnot move to the next level for approval and the SC is approved bypassing all approvers in the following levels.
    For example, if there four levels of approvals for one line item. as soon as the first approver approves the SC is approved and in SC Approval Overiew tab that contained four level of approval in it is now reset to one level with SC marked as appproved.
    Have anybody come across this error.
    Not able to figure out why it is happening so... need some expert advice.

    Process Level definition should be like this.
    Level Eva.ID ; Resolver Task ID Decision Type
    100 L100 R100 40007953 Item-Based decision for Partial Doc.
    200 L200 R100 40007953 Item-Based decision for Partial Doc.
    300 L300 R100 40007953 Item-Based decision for Partial Doc.
    I have implemented /SAPSRM/BD_WF_RESP_RESOLVER for R100.
    for grouping we are using line item number ... so each line item is a group.
    Below are issues that i am facing now.
    For say 2 line item in a SC... with 3 level of approvals for each line item. I am not able to approve one line item in a sequence. For example: If for first line item, when I approve level one .. then the workitem doesnot move to 2nd approver's inbox for that line item. Now if second items (asssuming there are only 2 line items in SC) first approver has approved then i see all second level of approvers available for all line item.
    In short system waits for all one level approvers to approver for all line item and when all the line items are approved at one level then the workitems are available for seconds level of approval.
    Is this the standard behaviour?
    As per our requirement we wanted one line item shoudl follow the approveral sequence without being dependent on other items approval.

  • N level-Approval for contract workflow (WS14000148) in SRM

                  I want to activate N level-Approval for contract workflow (WS14000148) in SRM  
    When I am creating the contract in SRM I can see the approvers in the approval preview.
    But when I release the contract and look at the approval privew there are no approvers
    and the status of the contract is released.
    We are on SRM Server 5.5 and SP 07.
    Here what I did
    1. I implemented the BADI 'BBP_WFL_APPROV_BADI' using the sample implementation and populated the approvers.
    2. I activated events SAVED,CHANGEVERSIONSAVED for WS14000148 in OOCU transaction.
    3. I see event linkages for WS14000148 for both events SAVED,CHANGEVERSIONSAVED in SWE2 transaction.
    4. I assigned role SAP_EC_BBP_PURCHASER to for subworkflow N step for contract WS14000147.
        ( User who is creating contract has this role)
    5. Consistency check for WS14000148 is green and WS14000147 is yellow in SWUD
    6. Event simulation for BUS2000113 and events SAVED,CHANGEVERSIONSAVED shows WS14000148 successfully started.
    I see dump in ST22 with errors TSV_TNEW_PAGE_ALLOC_FAILED and SYSTEM_NO_SHM_MEMORY with WF-BATCH is this any thing to do with that?
    If any one know what are the steps I am missing please let me know.

  • Workflow Problem between  SRM & ECC

    Hi,
      We are facing a typical scenario in the workflow for Purchase Requisition.
    System:
    1.     SAP ECC 6.0
    2.     SAP SRM 5.0
    Problem Description:
    1.     In our landscape, ECC is connected to SRM portal for creation of PRs through SRM.
    2.     For this the user logs into SRM system and creates a shopping cart. After creation of shopping cart, it goes for approval in SRM system.
    3.     Once approved, BAPI 'BAPI_REQUISITION_CREATE' used at the SRM backend to create PRs in ECC.
    4.     After this, the workflow gets triggered and a work item is being sent for approvals in ECC.
    5.     There is an enhancement (ES_SAPLMEWQ) been done in the BAPI u2018BAPI_REQUISITION_CREATE' to trigger the workflow.
    6.     We have used the standard function module u2018SAP_WAPI_CREATE_EVENTu2019.
    7.     Now the problem is that, this is working fine in QAS and Dev systems. But it fails in PRD for some of the SRM triggered PRs.
    8.     After our initial analysis, we observed that, for the PRs, it has failed to trigger workflow, the initiator had logged into SRM using FR language where as, those PRs whose initiator had logged into SRM portal using u2018ENu2019 language it had worked fine.

    Recently I was facing a similar issue with SAP_WAPI_START_WORKFLOW function module where I did not maintain the container element name in the program with different language. I will request you to maintain the event container element name in France inside the program whefre you are calling the FM SAP_WAPI_CREATE_EVENT.  Most probably you will be using Text Symbol that you need to maintain in French language.

    You do not have workflows in cFolders.
    Suggest to use status networks in cFolders instead.

    What do you mean by sb ? Is it sc (Shopping cart or  something else ) ?
    Couple of ways to find the equired details.
    1) By SRM GUI logon, incase you know the shopping cart number, using BBP_PD  Transaction, you can get the complete Shopping approver details there itself.
    2) By SRM Web page, if you created a new shopping cart, in the Approver Preview section, just one level above the Order button, you can see the list of managers, who will be approving the shopping cart (With their details in 2 manner - graphical/ tabular details - like name, next level approver, etc )
    3) By using the Standard SRM Workflow function modules, incase you know the Shopping cart details,  you can get the approver list with their names, approving limit etc.

  • Workflow approval - 'n' step BADI, Approval hierarchy problem

    Hi,
    Description of the issue:
    For a shopping cart approval, the approver's list determined by the 'n' step approval BADI does not include the user who is the immediate in the org. hierarchy. Rather the work item goes to the superior authority (say MD) for approval, which must not be the case.
    Pre-requisites checked:
    1. Checked the org. hierarchy - Proper.
    2. Checked the Roles maintainence for shopping cart approval - All is fine
    3. Checked for approval/spend limits also - All is fine.
    4. Tested BADI/Business Object - Approval Table is empty & Approver_administrator is 'WF-Admin was informed'.
    5. Workflow log (technical details) - Checked in the containers for 'Approver's list'.
    6. Checked table HRUS_D2 for any substitutes assigned - All seem fine.
    This is the org. hierarchy,
    (A - Requestor) --> (B - 1st level approver) --> (C - 2nd level approver) --> (D - MD final level approval)
    The approver's list shows two names instead of 3, that is only B & D and not C. Hence the work item goes to D directly than going to C.
    Please suggest.

    Well the approver list is created from the badi for n-step approval in SRM.
    If you say that approver list is empty when testing the badi, then you have to check which workflow is used in your environmennt.
    It could be that  someone decided to create their own logic.
    so start by finding out which workflow template is used in this scenario, also you can set external break-points for users in teh approval badi which would be executed if you you use the approval preview in SRM (I'm guessing it is SRM since it sounds like it)

    We need to extract information about who is the approver for a workflow object.
    Any information you can provide will be appreciated.
    Specifically, we need to determine who is designated to approve an SRM shopping cart.  We've run SQL trace (ST05) when calling up the approver using the SRM web application, but the results are very difficult to understand -- probably because workflow is a generic process and used by a lot of SAP applications.  Lack of a SAP-GUI front-end makes things a lot more difficult.

  • How to use a pwa group in CREATE A TASK PROCESS in SPD 2013 for project server workflow approval process

    I am working on a Project Server 2013 workflow. I am creating this using Sharepoint Designer 2013. In this workflow I am using approval process at one stage. I have created a security group SalesManagers in PWA. I want to use this group for workflow approval
    process. I want all users of this group get approval tasks. 
    For this I used START A TASK PROCESS activity in the SP Designer. I clicked on
    this user and created task process. But here I could not find SalesManager group which I created in PWA. I was only able to find the users. I can also see
    Administrators for PWA . But couldnot find SalesManager or any other security group created in pwa.
    Can anyone suggest how I can get the security group created in pwa.

    I believe SPD only recognizes the SharePoint Groups and not the project server security groups.
    The Administrators for PWA, and few other groups like Project Managers for PWA etc., are synced SharePoint Groups with the security groups, which is why they show up in SPD.
    You could create a SharePoint Group for the Sales Managers group and use that in SPD.

    Thanks for responding. Yes, all the backend config are in place since I am able to successfully run an equivalent RFC (BBP_PD_SC_GETLIST) and another RFC named BBP_PD_SC_GETDETAIL from SE37. The problem seems to be something very specific to the ES. May I request you to run this ES at your end (if possible) and let me know the result possibly with the input and output message similar to the one I pasted in the origincal question.

  • Reminder mail for workflow approval

    We have a scheduled task which sends Reminder mails for workflow approval which has been pending for more than 5 days.
    Recently I created new workflow definitions and reminder task stopped sending mails.
    I checked task and it has IapiTaskIfc Class com.frictionless.custom.wkfreminder.sendWorkflowReminder.
    How to check this class and do i need to make changes somewhere else to send reminder mails?

    To check the class, you need to get the jar from server and decompile it. You can get some idea by looking at the java class file then.

    i have created a serviceHandler for approving the document and i post the comma separated dIDs as a string from workflow approval template(custom template). And in serviceHandler program i pass the did for approving and only first document is approved and for other document its throwing error, Its showing error document revision is not a latest revision but document is having only one revision.

    I guess it is caused by the fact that some of variables in the binder refer to the first workflow item. My bet would be dDocName.
    Try to find out what's in the binder if you approve the second item from GUI and what's there when you do it from your program. That should give you enough info what you need to change.

    Hi All
      We are already having workflow approval in R/3 where it happening from SAP inbox now my client want to migrate to mobile phone. Its it possible from ECC5 we dont have portal. How to implement it. Do we need to install any 3rd party like sybase or other. The main module is MM and PS and also they should be online always ie latest data should send and should update immediately ie should be syn with R/3. How it can be achieved. And also it should be device independet approval can be happend from iphone or blackbarry. Is any link or note are available to share with our client. Awaiting for your thoughts.
