  • Edit option not enabled for workflow content from within Content Presenter in Webcenter Spaces

    I have a webcenter spaces portal page with a content presenter displaying a html page using the default out of the box template. The html page is located in webcenter content / UCM under a folder on which the " All Reviewer" seeded workflow is enabled. The issue i am seeing is when the file is in workflow the edit option is not being enabled even though the reviewer should be able to edit/approve the content in this step. The other functions like workflow approve or reject and switching between workflow version and published version are all enabled. Also when rejected the content does not show edit option from the content presenter (cntrl-C option) for the original author to make any updates.
    What would need to be done to enable editing from within the content presenter for workflow content?

    We are using WCP 11.1.1.8.5
    To recreate the issue
    1)  Login to WCC Portal: Spaces as admin user , create a New Page under a webcenter spaces portal
    2)  Under the space , Pages Section , select the page and click edit
    3) In Design mode , choose Content Management and Add Document Explorer and Add Content Presenter on the page
    4)  The Document Explorer will default to the Current Space/portal directory under MyWebcenterSpaces in UCM
    5) Create a directory "content" under the Portal space using the document explorer.
    6) Right Click on Content folder and choose details. In Details view , go to File->workflow settings and pick a seeded workflow -> MyWCSAllReviewer. Add a user as workflow approver
    7) After workflow is enabled on this folder upload a basic html page with simple text into this folder
    8) Now in the design mode choose edit in the content presenter and select the "single content view" with default template to display an Image or HTML. Click browse and select the html that was added to workflow
    9) Save the Page and view the portal. Workflow should now be enabled for any content changes to that html page.
    10) Click Cntrl-shift-c in portal/space as an authenticated user with edit access to content and make an edit to content , this will trigger worklow . The author currently will see edit option get disabled once content enters workflow
    11)  Login as approver to the portal and cntrl-shift-C to the portal and workflow options(approve and reject) are enabled but the edit option is not. If you reject content , the author should be able to edit content in the content presenter mode, this also is not available. The issue is the content is now no longer available for editing from wthin content presenter if it is in workflow to either the approver or the original author depending on workflow step. If you check the same content under the document explorer the option to edit is enabled. Is this a bug /issue with content Presenter or some option needs enabled?

  • Workflow content in portal.

    We have enabled a workflow in UCM and documents are correctly participating in workflow.
    We are showing document in our portal application using content presenter.
    If a contributor creates a new document, it goes for approval. Now if approver login in our portal application he is not able to see document because content presenter is not showing those documents which do not have atleast one release version available. To sumup content presenter only shows release documents and if for a release document there is a new version in workflow, it will allow approve/reject/view of workflow document. BUT for fresh document it does not show anything. Is it right? I believe to approver it should show initial document, which does not have any released version available also. So that approver can approve.
    Spaces User's guide says
    "You can view content items displayed in Content Presenter while they are in a workflow, including Site Studio contributor data files displayed in a Site Studio region template. As long as the content item has at some point had Released status in Content Server, you can display the content item in Content Presenter. Then, if a revision of the content item is pending in workflow, Content Presenter allows approvers for the content item to toggle between the published version and the version in workflow in page edit mode or in-context edit (contributor) mode, and also provides links to approve or reject the item in workflow, and view additional details about the item."
    Is this a limitation with content presenter?
    What could be best possible way to allow approver to approve initial document from a custom portal application. Is there any taskflow, which can show documents waiting approval? Can we integrated it with worklist?

    I don't have access to unix box so I can't verify 'CollectionreleasedOnly' property. Is there any way to verify it from UCM UI.
    I see everything is working fine in UCM. If contributor check in a new document, approver can see that in 'My workflow assignment'. Problem is only with content presenter. Content presenter does not show new document if its in workflow. Content presenter only shows document if atleast one revision is in released status.
    If we follow these steps:
    1. Contribute checks in a new document --> Document goes in workflow successfully and approver can see document from 'My workflow assignment'. BUT same document is not visible to approver in webcenter portal if content presenter is used to show document. This is the actual problem.
    2. Let say approver approves the document from UCM 'My workflow assignment' --> Now everyone can see the document as its in released status.
    3. Now if contributor checks out and check in a new version --> Document goes in workflow successfully and approver can see document from 'My workflow assignment'. Approver can also see document from content presenter. By default content presenter will show published version of document. If Approver goes in edit mode (ctrl+shift+c), he can approve/reject/preview workflow version of same document. Its working perfectly as expected.
    So question is why content presenter is not showing workflow document when its checked in first time?

  • WorkItems in Portal Workflow Content

    Hello Everyone,
    We have a requirement where, the workitems in the R/3 should be displayed in Portal "workflow content".
    Could any one help in explaining me of how to make the workitems visible in portal. I have see the SAP Help and everything seems to be configured but I am not able to figure out the problem.
    Could anyone explain me of how to make the workitems visible in here. I would appreciate your help.

    You will be able to see workitems in Universal Worklist iView provided you have installed and configured the SONiC connector.

    I have checked the idc analyze. "check search index" is not running shows error. please check the log file below without selecting "check search index" other three(check database, check file system, generate report) ends with 0 errors. Is there any other solution to clear the workflow items?

  • Basic workflow - content not visible

    Hi,
    I am trying out the workflow Administrator to create a workflow wherein a contribution region when changed will go through an approval phase. Now the problem is that I create the workflow with contributionregion1 as the content and then when i start it, the contributionregion1 is not displayed for editing in the contributor mode on the web explorer. I can see the region in a normal view but not in the contributor view.
    One more thing to note is that my contributor, workflow users all are the same user 'sysadmin'.
    Any help is appreciated...

    when i click on the workflow review, it says no content available. I can see that the revision history of the content showing a new revision in edit status. When i was creating the workflow in the workflow admin, i had selected the current revision for the content section. But now since the revision changed, i guess its not recognizing the new revision as part of the workflow. Is there anyway to change this?

  • Workflow: content = 1meg? UCM 11g

    I want to create a workflow to notify approvers if an image being checked in is bigger than 1 meg. What is the best way to accomplish this?
    -I know there is a variable called dFileSize that stores the size of the file in kb, but this field is not an option in my criteria definition field selection.

    you can further define the entry criteria in the workflow step so something like
    <$if dFileSize > 100000 $>
    jump to notify user step (see the idoc Wf functions in the idocscript guide and the workflow admin guide for details)
    <$else$>
    go to approval step or exit
    <$endif$>
    you workflow steps may look like this
    entrystep (everthing goes in in that needs evaluation)
    notify users of size (with 0 approvers required, therefore users get the email but it exits by itself
    approval
    Alternatively you can modify the workflow email template to provide the dFileSize information in the field.

  • Apply workflow to approval task content type

    Here's the backstory. I created an OOB Approval Workflow which created a content type called "Approval Workflow Task (en-US)". I created a new site column called Contract. I applied this site column to the Approval Workflow Task (en-US) content
    type. Now I want to setup a workflow which will automatically populate this Contract field.
    The problem is that in SharePoint designer I setup a list workflow to work across all items in the Task list, but it won't apply to this new content type for some reason. If I got to this content type in designer, there is not an option to apply a workflow
    to it. It looks like this content type is in a group called _hidden, but when I change this, it doesn't look like anything happens.
    Am I missing something?

    Hi Mike,
    When we create a List Workflow in SharePoint Designer, then the workflow will be associated with the list and it will not be associated with the content types.
    Per my test, we cannot start the workflow manually on the Tasks items which have been created based on the Approval workflow content type.
    However, we can set the workflow to start automatically when an new item is created.
    To start the workflow automatically when an item is created, please open the workflow in SharePoint Designer > go to the workflow settings page > select Start workflow automatically when an item is created.

  • Workflow models doesn't show up

    I have a problem with that my workflows doesn't show up in the list http://myserver:4502/libs/cq/workflow/content/console.html
    There are several workflows that are there and they are visible on all the other servers i have including the publisher instance.
    When i access the page i get these warnings in the log and the list is just empty:

    1. Have you renamed or moved the workflow model to other directory in etc/workflow/models/?
    -> No. There was no renaming or moving of workflow models in the same directory or to other directory done.
    -> However, there was a re-deployment of the complete package. But I am not sure how this could cause the version mismatch.
    2. Is it the problem with only your workflow model? or you're able to access other workflow models?
    -> Nopes. This problem is there for all the other workflows.

    We have a requirement to update a column value once the item has been approved.
    Following settings have been made in the publishing articles list:
    Require content approval for submitted items : yes
    Create major and minor (draft) versions
    Who should see draft items in this document library? :Only users who can edit items
    Require documents to be checked out before they can be edited? : yes
    I have createdatu a Sharepoint 2013 workflow to check if Approval sts of current item = 0 i.e. Approved , then check out and update the item and finally checkin the item. Everything works fine till this point except that the minor version of the item is
    checked in. Due to this the updated columns are not published to others.
    Also, I created a Sharepoint 2010 workflow to SET CONTENT APPROVAL = APPROVED and started this workflow from my list workflow above, but the item does not get checked-in and always shows "In Progress" status with comment "The item is currently
    locked for editing. Waiting for item to be checked in or for the lock to be released.".
    Please let me know where I am missing out so that once the item is approved, column value gets updated and current item is still in Approved status.

    According to your post, my understanding is that you want to update Column value after current item is Approved and then publish major version using Sharepoint 2013 designer workflow.
    You will get into this kind of Catch-22 situation trying to set the Content Approval Status in SharePoint Designer workflow:
    - You must check out the document before you can change the Content Approval Status
             - You can't change the Content Approval Status once the document in checked out
    Since you set the Require documents to be checked out before they can be edited=Yes, you will need to check out the document when run the workflow on the item. But you cannot approve a document when it is checked
    out. So the logic in workflow conflicts.
    As a workaround, you can use the Start Another Workflow action to start the normal Approval workflow on the document.  The built-in Approval workflow can work with a document that’s not checked out.
    The designer approval workflow also can work with a document that’s not checked out.
    You can create two workflow using SharePoint Designer 2013.
    First, create a SharePoint 2010 platform workflow.
    Then, create a SharePoint 2013 platform workflow.
    Then when the SharePoint 2013 platform workflow start, it will start the SharePoint 2010 platform workflow to set content approval status, then the SharePoint 2013 platform workflow will update current item value.

    Hi!
    In the EP6 Content (Administration -> Workflow Content -> Workflow Templates) you can find an iview to generate templates for ad-hoc (java-) workflows.
    After installation the button "Create New Template" is disabled.
    How can I configure the EP to create new template with graphical editor? Or should I wait till SP4 is rleased?

    I am getting this error at this step of tutorial. Please help.
    To apply the workflow to the Product of the Day page:
    1.Open the Product of the Day page in edit mode. If the page is still open from a previous procedure, reload it.
    2. In Sidekick, click the Workflow tab and select the Product of the Day workflow. Click Start Workflow.
    3. Open the Inbox page. (http://localhost:4502/libs/cq/workflow/content/inbox.html)
    4. Select the Step 1 item for the Product of the Day content, and click Open.The form1 page opens.
    At this step i am getting the below error.

    Not sure which workflow tutorial you are reffering. The stack trace in log should tell you what is exactly wrong.

    What do you want to know?
    Tokens are variables that eventually map to either individual user names or aliases (groups of users).
    The token is defined and then included in the workflow step in addition to or in place of a user or alias.
    A token is a piece of idoc script that ends like this <$wfAddUser("Name", "type")$>. Name, like i mentioned above, is a user name or an alias name. Type is a string identifier; either "user" or "alias".
    Because it's Idoc Script, the token can evaluate anything available in the databinder as well as execute other functions.
    A very easy way of using tokens is to map a metadata field that you know will contain a user name to the "Name" parameter. The dDocAuthor field will always contain a user name. So the token might look like this: <$wfAddUser(dDocAuthor, "user")$>. When set as a workflow user, this token will route the item to the person listed as the author.
    Because tokens are evaluated in workflow after the entry event (read the docco if you don't know what step events are), you can do some complex caluclations in the entry event and then pull the results into the token. For example, you might want to auto-escalate workflow content to my manger. If we presume that my manager's user name is part of my user profile, (say in a user metadata field called uManager), we can figure out who my manager is in the entry event, set my managers name into the companion file (read the docco if you don't know what this is), then pull it out in the token when the token is evaluated.
    this might look something like:

    This is only the tip of the iceberg. One token can have multiple <$wfAddUser...$> declarations. They can be conditional: <$if ..some condition$><$wfAddUser...$><$else$><$wfAddUser...$><$endif$>
