Workflow: Execute WorkItem from Inbox

Dear experts
We upgraded CRM 4.0 to CRM 2007. We have workflows scenarios in our system. Workflows are received in our Outlook Inbox. From there, we have 3 options:
- Workflow Inbox
- Display Work Item
- Execute Work Item
The workitem should open a service process in CRM.
If we execute the workitem from the outlook inbox, it will open the service process but not using the standard WebUI screen, instead it will use the IC WebUI screen to open the service process.
If we execute the workitem from the worklist (in WebUI), it will open the service process using the standard WebUI screen.
What should we change in order to use the standard WebUI screen (and not the Interaction Center) when we execute a work item from outlook?

The agent assignent is fine and the task is also made as general task . Even the object  i am using is standard 'BUS2000120' not  the custom one.
i feel the problem may be due to someworkflow settings between Web UI and backend. Let me know if any settings like such (apart from SWU3).
Any more suggesstions please????

    Hi All,
    Successfuly workitem executed,but again the same workitem text and its attachment keeping in the inbox with nill records.
    And also the same nill record workitem keeping in all other user's inbox.
    Same thing happening also in all other workflow workitems.

    You are not giving a lot of information. I suggest you spend some more time trying to figure out either the cause, or some things you can tell us.
    Sounds like a general task where the agent resolution fails (e.g. a role without the checkbox checked to raise an error when no agents are found).
    I would start by checking who started the workflow, and how it was started. Then check a few other things before you come back here with more information if it is still a mystery.

    You are not even saying if it is a standard workflow or a customer solution, whether it is a BOR object type or class that has been used, or indeed whether that is a standard or customer-developed class or BOR object.
    In short: you are not giving any information that is specific for your problem. You can't solve a problem without specific information. It's no different from when end-users  say "SAP does not work".

  • Work Item or Document is disappear from Inbox

    Any ideas on why the workflow item or document is disappear from inbox SBWP once you clicked to display/view the document without perform any task action.

    "you can check log of executed workitem from SBWP, go to OUTBOX-> "WORK ITEMS EXECUTED BY ME" .there you can find workitems you performed from your INBOX."
    Those work items which have executed are flow to OUTBOX -> Work Items Executed By ME.
    Where is the place to check logs?
    However as mentioned those messages in both inbox folder "Unread Document" or "Document" is disappear after you clicked on either those folders without read the message or perform any action. Any ideas?

  • Remove open workitem from user inbox after the workflow starts again.

    I have heard that there is a possibility to remove a open workitem from the user inbox, after the workflow starts again for the same object (data update), via a termiantion event. I have searched in the sap workflow dokumentation but i could not find out how to use this. Could somebody provide me some detailed documentation or examples how to use this for my problem?

    Hi Sudhir,
    the workitem which should terminate is a decision task with two results. The wolkflow looks as follows:
    Activity: Read Data
    Decision: Approval Check Decision
    Activities: Approve or Reject
    How should it look like in your opinion with the termination? How looks this option to terminate this workitem? The workitem should terminate automatically from the userinbox if the workflow starts again for the same object (with updated data).

  • Filtering workitems from SRM approval Inbox

    Is there a way to filter non shopping cart related workitems from the "Approval" in box in SRM. We have some custom workflows for E-forms and would like filter these from showing up in the SRM approval inbox.

    Just curious - if the users aren't going to receive the e-forms work items from the SRM system in their SRM inbox then how are they ever going to execute them?
    The easy answer (assuming you have Portal) is to pull all your SRM work into the Universal Worklist and use the UWL configuration to create different views for the different types of work.
    Trying to do the same thing in SRM would be a pain and would involve modifying either function module BW02 or the BBPAPPROVAL html templates.

  • Customer Workflows Not Working from SRM Inbox

    Hi everyone,
    We are upgrdaing our EBP v3.5 system to SRM 5.0 (SRM SERVER 5.5 SP 5).
    We are using integrated ITS and have many bespoke workflows which need to executeable in the SRM inbox via the integrated ITS and ultimately the portal (EP 7.0).
    We have various issues with our bespoke workflows not working. The 2 errors we have found are:
    1. When the users click on the workitem from the SRM inbox they sometimes see 'Service Cannot be Reached' error.
    2. Other times they see the workitem details with no user decision buttons shown.
    3. Other times the user decision buttons are shown but if the user clicks on one, they see a blank page with text "workitem currently locked by user WF_BATCH" at the top. This is an 'advance with dialog' task which works fine via SAPGUI.
    Any ideas on any of the specific issues, or anything which we need to do generally to get custom workitems to be executeable via the ITS?

    I checked that but I set it to blank in debug mode..but its still disappearing...the button disappears after pressing enter on error message.
    actually the BADI when I implemented there is one method where I set E_ADD_ON_ACTIVE flag to 'X' to bring that button(recommended by SAP). that method is not getting called...

    The text is coming from the Text symbol of standard include program LSWU2F10.
    Text symbol number is 301.
    Check for enhansement option to change the text symbol.
    But this change will affect all your decision step workflow's.

  • Error: Binding from workflow to workitem aborted

    Hi ,
    I am getting an error in binding which I am not able to resolve. Let me try to explain the scenario first.
    1) In the workflow a container element is existing with the name ZBUS2081 which is having reference to object type BUS2081.
    2) BUS2081 is having an <b>attribute</b> "Company code" which is again having reference to object type BUS0002. BUS0002 has a key field "CompanyCodeId" which is having reference to database table T001-BUKRS.
    3) In a particular step of the workflow there is a binding between ZBUS2081.Companycode.CompanyCodeId ->CCODE where CCODE is a task container element having dictionary reference T001-BUKRS.
    4) When the workflow is executing it is giving error in this particular step. The error description are "Binding from workflow to workitem aborted"         "ZBUS2081.Companycode.CompanycodeId of binding assignment is not available    " Error when determining attribute COMPANYCODE of object"
    5) When I check the container in the technical details I see that ZBUS2081.Companycode.CompanycodeId is set to a value. I also checked the corresponding database table for the invoice document and found that this value is existing.
    Can anybody please help me on this as to why this binding error is occuring?

    Hi Kjetil,
    the workflow started when a document is parked. Its triggering event is BUS2081-Parked. Even I was thinking in the same lines that may be the workflow is trying to access database information which has not been updated at that moment.
    When I checked the attribute Companycode of object BUS2081 I even found that the source is set to "Database field" and not "Virtual".
    But when I check the workflow container ZBUS2081.Companycode.CompanycodeId is having the correct value. This means the data <b>has</b> been fetched correctly from the database.
    Hence I feel if we cannot use an attribute with object reference directly in the binding, rather use a container operation to assign the value to another workflow container element and then use this element in the binding.
    Any inputs from any body to confirm this are welcome.

  • Executing a workitem from UWL for approval process in ESS/MSS

    I am working on ESS/MSS workflows...Everything is configured and also workflow is developed...When i try to execute a workitem from UWL to approve a PCR, i am getting a message in the status bar as "work item exucuted(new processing status:"in process"). But it's not launching the SAP transaction for approval.
    Can anyone tell what is the probelm....

  • Workflow external mail "Execute Workitem Link" not working

    Hi all,
    I am sendiing an external email as part of vacation approval.
    This adds a link "Execute Workitem" automatically.
    When user clicks on this,it is showing error message "Error reading the container element STEP_OBJECT"
    after logging into portal.
    Please help to either rectify this error or remove the execute workitem link from outlook mail.

    The parameters are configured in SWFVISU due to which it is openign custom screen correctly when the manager logs in normally to portal and access UWL.
    The problem is only while using the "Execute Workitem" link.the problem is I am not aware of the parameters which leads to this link in external email.
    There is an extended notification configuration in our system.Is this link coming due to this?

  • Error in SAPLogon executing a Workitem from Outlook.

    Hi everyone, I have set the communication between  SAPWorkflow and Outlook, SAP send the workitems to the Internet account for each user without any problem. The situation that I got is when Iu2019m executing the Workitem from Outlook and It try to make the logon to SAP, this is what happened:
    . In the Outlook message I make a click over the attachment to execute the Workitem.
    . The interface shows up a pop up to type the password for the user which own the Workitemu2026..Itu2019s ok so far!!
    . Once when I have type the password, thereu2019s a second window which correspond to the main and first SAP window to ask for the initial information (Client, User, Password) but in the bar below, thereu2019s an error telling me that the Client is not available on this system, and the field for the client is in blank; so I have to type the client and the password again(something wrong here!!), but the user still fine.
    . After typed all those fields (client and password), the system make a logon and brings me the right transaction and the rest works perfectly.
    I donu2019t think the error could be in field SAPLOGON_ID  in the variant for the program RSWUWFML2 because I have set this variant several times in different SAP systems  with the same information and works fine, for your information, this field goes in blank.
    Thanks any help to avoid this error in the logon system and be able to enter directly to SAP system.

    Hi Aditya, I really don't understand your comment, I sent you the version as I wrote you before on this forum in this topic (see *), additionally as I wrote here, I've found the solution and It wasn't related to Windows or Internet Explorer, The problem as the note that I attached says that the problem is because the standard  SAP function to create the shortcut does not have the right parameter as We need (SY-MANDT).
    I think this is very reasonable answer and good orientation for anyone.
    Anyway, thanks a lot for all your help.

    I really think Windows and my machine are not the problem because I have another Client in which It's working perfectly. So, all the fact point to the Client configuration in some place in SAP installation.

    Is it possible to remove or delete workitem from the inbox of the remaining agents, when the workitem is sent to multiple agents at a time, and one of the agent completes the workitem ?

    But, what I want is different.
    My case is like...
    A particular workitem will be sent to multiple users at a time, for approval from one of them. Once, one of them completes the execution of the workitem, then it should clear/delete the workitem from other users' inboxes.

  • Error in opening Workitems from UWL

    Hi All,
    I am trying to open a transaction from the workflow using a dialog task.
    when i execute the workitem from SAP business workplace the task gets execute properly.
    but when i try to run the same task from UWL it opens the SAP easy access screen.
    All my other workitem like leave request approver are getting opened properly from UWL.
    This might be related to some UWL configuration. I searched all the forums there are many similar questions but could not get any answer.

    please find the following solution .it will definitely work .
    If you leave configuration is done.
    There was an incorrect data in your system. To do these please follow following process.
    delete this request using
    PTARQ> Delete documents (RPTARQDBDEl)
    Please read the report documentation before
    deleting the request but it should be safe as it is
    a development system.
    Please delete this with the above information or delete all
    the records for the approver.
    After this,, there will be some incorrect workitem in approver inbox.
    You need to clear that also by Tcode - SWWL.
    Also try following
    Can you check if the Pernr used
    has correct information like It0105 etc, also the rules are
    correctly defined.
    For the Employee, First of all check the Period Work Schedule also
    the Quotas of the pernr needs to maintained in 2006, Please do
    this customisation and it should solve the issue.
    Maintain the absence quota in the IT2006 and then try once.
    Also make sure that the Settings in Webmo and PTARQ etc all is done
    The pernr belongs to the a Rule and have absences defined for him.

  • Open UWL workitem from outlook mail

    Hello friends,
    I have a requirement to execute/open workitem of UWL, which should open from outlook...
    I have searched for the same in sdn forum and SAP-WUG, but was unsuccessful to find the exact solution...
    I have used 3 technique to achive the requirement, but they are not working and also don't know it is a right approach or not..
    1) Maintained the UWL url in SWNCONFIG-> General setting -> INBOX_LINK_URL
    2) Configured setting as suggested for Extended notification and UWL in link

    3) Maintained link in SWNCONFIG-> General setting -> WD_HOST and WG_HOST
    For getting the UWL workitem link in Outlook wich program needs to be executed --> 1) RSWUWFML2  OR  2) SWN_SELSEN ?
    I am not sure the requirement is possible or not...
    If it is possible then please suggest the right approach and the techniques I have tried are correct or not?

    I am very new to workflow. So I don't know why and where webdynpro application is used in my senario... And I will be very obliged to bare with me if I don't understand any terminology of workflow.
    I would like to share my complete senario with you.
    I have a existing workflow on "COURSE BOOKING" which is already working on production perfectly. And the manager is approving it on UWL for it.
    Now the requirement was given like this... I was told that manager has to search the workitem in UWL and had do refresh many time. So they asked me to provide a link or attachment of UWL's workitem directly in notification mail, so that he only needs to click on that link or attachment and required workitem in UWL will open and he/she could make decision.
          The requirement is very similary to the notification mail generted by program RSWUWFML2, which has 3 attachements and among them 1 is of Execute Workitem, which open up SAP R/3 inbox's workitem directly. Means he doesn't need to search in SBWP...
          So here in my case instead of SAP R/3 inbox workitem, he should open Portal UWL's workitem directly.
    Now I come to your question about "webdynpro application launches workitem". I don't know where the webdynpro application comes into the picture...
