I am looking for some general documentation on Workflow standards, best practices, and so forth. Anyone out there have any idea where I can find such? If this isn't the right forum please correct me. Thanks.

How to format the Workflow standard task description

Hi experts,
I am trying to put an SAP icon in the Workflow standard task description. But it is not appearing.
Also, is there any way to change the color and font of the text entered in the the description of the standard task?
To put an icon, i am following the steps mentioned below:-
then I am choosing a particular Icon, and its corresponding code comes in the editor, <718> in this case.
But the output does not show any Icon.

Task has been transported from develpment client to another client for integration testing.
in the shopping cart advice product has been created by the employee.
then it goes to advisor for the approval
This has been done by the workflow.
It is implemented in both dutch and english.
English - it is working fine.
Dutch - the task is not defined.(the code is missing)
after transporting , we did changes in the task created for implementing this approval description.
It was working fine in both dutch and english.
But the corrections in the code are there....
only in the output After transported to another client dutch part approval description is not correct some part of it are missing
Is the problem related to the transport or with the modifications of task defined ??
Can anyone suggest me how to solve this problem.

Business workflow - standard SAP Purchase Order Workflow

I'm trying to extract PO header text description. I used call function READ_TEXT, but since this text is wrapped around, how do I display/show this text information at workflow item description. Please advise which forum should I go to see more information? Or advise is there any standard call function available. And for display of text description at workflow item, how to have this text wrapping around, as we always use a standard field with fixed bytes.
For example, if PO text at txn ME23N is showing.

testing 2
testing 3
I would like to extract these information into work item description so that it can be displayed exactly the same
as testing 1
testing 2
testing 3.

How trigger workflow from workflow standard button?

Hi Experts,
From transaction FPCRPO, after excute and select 1 credit list. It shows detailed information on Application Item. We have a standard button at tab Edit which is 'Workflow' - Process Clarrfication case in workflow.
Can you please explain how to trigger this standard workflow? Pre-requisite: Workflow created from Workflow builder.

In the button call this FM 'SAP_WAPI_CREATE_EVENT', so once you click that button this FM will execute and Event will trigger. Check this [Link|https://www.sdn.sap.com/irj/scn/go/portal/prtroot/docs/library/uuid/e038cc2d-0cde-2a10-e28e-f50025578112].
Then map then event your workflow, so once the event trigger the workflow will be executed.

How to use the SAP calendar in Workflow deadline time.

Hi
Im setting a deadline time (LatestEnd, LatestStart) as an expression for some tasks in several workflows, but theres an issue when this time is reached on holiday or weekend because the deadline for the Workflow have to be moved to the next working day, does anybody knows how can I set it up without ABAP programming, just workflow tools or WF functions?.
I already made a function to make this calculation but I'd like to know if this can be done directly by SAP (workflow) standard.

Additional workflow Mailer setup on Purchase Order

Dear All,
We are running on R12 on 11.0.1.7 database. We have configured Workflow mailer notification and it seems to be running properly.. And the approver/approvee gets appropriate mails on appropriate time.
But our management requires additional customization on how this function should work, The requirement is as follows:
Problem Description: When a PO is raised it goes to his immediate superior who can approve the PO for less than Rs.100,000 and if it is above the stated amount, the respective PO requires further approval from the next superior in the hierarchy.
The workflow standard setup is such a way so that the user who has raised the PO gets a mail notification alerting that the PO has been approved if so.
Could you guide me a way in Oracle Ebiz R12 so that not only user who has raised the PO is alerted through mail if the PO is approved but also the immediate approver is also notified via mail for POs which is above Rs.100,000.
Note: PO above Rs.100,000 goes through immediate approver and then to the next approver in the hierarchy.

Automatic Workflow Customisation

Hi,
I have a question related to EHSM system configuration.
I have read in a configuration document that during Automatic Workflow Customisation the following setting is required to be done. In SWU3 T Code, Under Maintain Defination Environment, there is Maintain Prefix Number. Here as per the document , I need to give prefix number as 996 along with System ID and Client ID.
I would like to understand what does this number 996 refers to and how it will help in workflow. Appriciate if someone can help me understand this. Also does it required to have tick mark ( green) for all the objects for incident management workflow to work properly ?

Hi Sudarsan
All the objects related to workflow (standard task, workflow tasks and others) are assigned a eight digit number. The prefix number is used for the first 3 digits and the rest five is automatically assigned by the system (starting with 00001).
For example , workflow consists of 8 digits (00500001), first 3 digits 005 has to be maintained as Prefix number for workflows and last 5 numbers(00001) should be automatically picked by system during work flow customization.

When I am looking for Workflow standards, that's what I do:
Maybe is not the easiest solution but it work's for me
1.- Go to the transaction SWETYPV.
In that transaction you can see all the buses and workflow that the system has.
Is the relation between the bus and WF.
You have to make a list of all the buses that you have there.
2.- in the transaction SWO1 you can check for what is each bus and then you can choose which WF is going to work.
3.- In the transaction SWDD is the transaction for building WF you can enter the standard WF and look how is build. I recommend that if you are going to make some changes make a copy of the WF and work in the copy.

My client need to have one system of approval for the reservation of material in SAP. The SAP don't have one workflow standard to do this, i have to develop the workflow.
My question is how i stop the process of reservation?
Anyone already do one WF for reservation?

How to call OA page from Workflow.

Hi All,
I have one requirement.
I have to call a OA page from worklfow..
There will be alink in the notification and that link should call OA page
Does I can do in the same way we give destination URI of page property..in button.
Let me know if anyone has done same.

You can call an OA page from WF, but then you won't be able to come back to the WF page as WF maintains a list of variable for its operation which would be difficult to track and keep updated.
When it comes to Workflow, its always adviseable to work through the embedded OA region in the Workflow page. But again according to Workflow standards, you cann't have such an embedded region which has links or buttons capable of Form Submit .

What is the roll of an abaper while using standard workflow for any thing like Purchase order release ?
If any one worked pls send me the screen shot both functional as well as technical documentation. Becasue our team is new to workflow.

In SWDD transaction open the PO std workflow template (WS20000075). Then click on the Basic data icon (hat icon). Go to start events tab --> Click on the Activate (A). Then now open every task. Go to additional data --> Maintain Agent --> General Task. Generate Index. Now come back to workflow screen. You have define agent. As you are going to determine the agent based on PO value you have write your own rule. For this go to PFAC tcode. Create a rule.

Then define this rule in your workflow taks. Do proper binding. Save and activate your workflow.
Validation : Go to SWE2/SWETYPV tcode. Check if event linkage is active between workflow template (WS20000075) and Event BO : BUS2012 and RELEASESTEPCREATED (Check if the checkbox for event linkage is checked).

are you using any rule in your WF?
check if binding is proper,
check if you passing PO parameters properlty, as ReleaseCode would be a mandatory field in your WF/task container.

Hi Adam,
I think there is some documentation in the Application Developer (sorry no time to go check) - you want to look for Workflow Standard Message Templates (System: Mailer).
Otherwise you can just overwrite (this is modification) the standard message templates - start Workflow Builder on desktop, open from database workflow "System: Mailer" and then you have access to the default message templates.
PS the "usual" way to distinguish between environments is through the "Send From" username/email address - which is a configuration item on the workflow notification mailer setup.

BASIS ISSUES IN DEVLOPING WORKFLOWS

ARe the workflows including organisational structures are created in Devlopment server ike other Devlopments in ABAP and transported or they are created in Live server directly or in what way.
IF we create organisational structure in Devlopment server then while asignig positio u need to add user name. But the user names of LIVE server are not in devlopment server.
SO please guide in all these basis related issues.

Send mail to Outlook from workflow

Hi Experts,
I have created a workflow in which employee submits his reimbursements for approval to HR, & HR gets notified by a mail in SAP workplace...
Now I want that mail should reach the OUTLOOK on a specific e-mail address that i mention. Also, when HR approves/rejects, a mail should be sent back to the employee on his/her outlook id.
please help how can i do that. please give me a simple & less complex answer as i m new to workflows.
what i have learnt till now is that there is some standard program which can be used in this but dont know that program name. kindly suggest or give some code if possible.

Hi,
In case if you don't want to send an attachment then you can use SO_NEW_DOCUMENT_SEND_API1 function module. You can also use Standard workflow templates and Standard tasks provided by SAP or can make your own after copying it from the standard task in order to send mail. You can get these standard tasks in Package SO. Go to SE80 and give package name SO then go to Business Engineering -> Business Object Types ->Workflow Standard Tasks.
