Workitem in Outlook inbox

Hi,
My requirement is to send a workitem for Approval/Rejection to a user's Outlook inbox. Can any one send me the sequence of the required settings i have to do to send a workitem to a user's inbox.

Hi SD,
Yes indeed, you can Approve Reject your workitem from Outlook.
You need to do some settings in SAP and it works.
Talk to your BASIS to configure SCOT settings.
You need to schedule a report RSWUWFML2 in background which sends the workitem to Outlook.

Hi Jayanthi,
If you found the solution well and good or else you can use the report RSWUWFML2 to save a variant and later schedule the report. The agents assigned to the tasks should have the email in the user master record.
The user will be able to execute the workitem from outlook.

First you need to be able to send an e-mail from SAP Business Workplace to your e-mail address. If that's not in place you need to configure the e-mail connector or whatever it is called. Basis people should be able to help you with that. It not only involves setting up SCOT to transmit messages with address type INT, you also need to have jobs running on your application server to pass on the SMTP messages.
Once that is working you can start thinking about e-mail notifications for workflow. If you have transaction code SWNCONFIG in your system, you should use the extended notifcations that you configure there - that is SAP's recommendation. In order to use it it seems you must have SAP Web AS running.
The other alternative (unless you are on a release < R/3 4.6C) is the report RSWUWFML2.
For assistance setting up any of these three, please post your specific questions.
In both cases you need to have a sender address defined for the user that executes the report, any user sending e-mail must have an e-mail address in the user record.

Remove Workitem Attachment from Outlook Inbox

Hi, Workflowers,
I would like to know, if possible can I remove 2 of the attachments. I think normally you have 3 attachments in the user's outlook inbox: for going to the SAP inbox, for displaying the work item, and for executing the work item. I would like to remove the attachment for displaying the work item and the one for the SAP inbox.
Is it possible to also customise the Missed Deadline mail subject so that it doesn't have the 'Missed Deadline...' part?

The text I am talking about is not the text in the Description tab of the PFTC transaction. I am fine with that. What I am concerned about is the standard text that appears in the outlook e-mail after the Description as follows:
"Open the SAP shortcut attachment in order to process the work item.
If you have any problems logging on, contact your system administrator."
And the message subject saying for example "Missed Deadline:...."
I know that when you run the report RSWUWFML2 under the block "Standard Text for Notification", there is a message class for the mail Subject "SWU_NOTIF" Message Number 2, which has &1: &2 in transaction SE91. How can I determine the text in these variables during runtime (In fact, I would like to Hard-code this text)
After I select "Collective Message" in the "Send granularity" block I have removed SWU_NOTIF_PROLOG1 for "Before Work Item Description" so that the standard text:
"Your Workflow inbox in the SAP system DEV, client 100, contains the following work item:"
does not appear in the outlook mail since I don't need it.
But I have not removed the SWU_NOTIF_EPILOG1. I would like to know how I can edit the text:
"Open the SAP shortcut attachment in order to process the work item.
If you have any problems logging on, contact your system administrator."
which I believe is the one involved with SWU_NOTIF_EPILOG1.

Approve workitems from outlook

Dear Experts,
I want to approve workitems from outlook. I learnt that we can use Microsoft Duet for this. Can you please tell me whether Duet can be used for approval from outlook for both standard workflows as well as custom workflows. Also please tell me whether irrespective of workflow being standard or custom the features, content and process of approving workitems from outlook, will it be the same for both the case. Or will there be any features or functionality that will be missing or can't be incorporated in case of custom workflows. Will only a link be displayed in outlook clicking on which it will open the workitem or will the workitem similar to that displayed in SBWP be displayed. In caseof link then it will a round about way of approving from SBWP.
I also learnt that this can be done by extended notifications. Can workitems be approved in case of using extended notifications or just notications can be sent using this. Please highlight me in this regard.

You are asolutely right ,there are 2 appraoches -
1) Microsoft Duet
SAP provides Leave Management in Duet .
With duet , any SAP workflow approval step can be handled Through Microsoft outlook .
For this the prerequisites are
a) MS office client
b) MS windows server
c) SAP ERP
d) MS exchange
in Duet the user is logged on to windows and gets validated with SAP,
you can search more on leave management through duet .
2) extended notifications
In extended notification , workflow work item would be sent in MS outlook inbox .User will be asked to provide SAP login and id and password to access the workitem .This will open SBWP for them .
this can be checked using report RSWUWFML2.

Error in sending workitem to outlook if Email id is not maintained in SU01

HI Guys,
                 Right now i am working with PCR workflows. Here the approval will go both to the SAP inbox and the Outlook Inbox. For sending workitem to outlook i had scheduled a background job RSWUWFML2.
          My problem is if the Email id is not maintained for the approving manager in SU01 Tcode, only userid is maintained, the workitem is being sent to SAP inbox and the workflow is getting errored because there is no Email Id for him.
                     How to resolve this issue i.e.workflow should also work fine if Email id is not configured.

Sorry I read it otherwise....For the email to go to Outlook 2 approaches.
1) Maintain email in IT0105 for the manager
or
2) Maintain the email id in the userid of the manager.
Otherwise how the workflow know which email id the email has to go.

PLEASE help!! I use Outlook for my email and the Mail App Icon in my dock was also storing all my emails. So, I tried to delete ONLY the emails in the Mail App but somehow (under Preferences maybe?) I also deleted all my emails in my Outlook inbox.

So, I tried to delete ONLY the emails in the Mail App but somehow (under Preferences maybe?) I also deleted ALL my OUTLOOK emails in my inbox. Can someone please please tell me if there is a way to get my Outlook inbox emails back OR EVEN the emails that were in my Mail app - because even tho I never use the Mail app, at least the emails would be there.
When I was trying to delete the emails in my inbox for the Mail app - I followed THESE directions. It did in fact clear my inbox for the Mail app. But then I went to log on to my Outlook account and EVERY SINGLE EMAIL was gone. And not in the Deleted box. Just gone. Here are the directions I followed that screwed everything up. Please help.
Top menu bar, Mail > Preferences > Accounts > Mailbox Behaviors.
Uncheck "Store deleted messages on the server".
At the drop list for "Permanently erase deleted messages when", choose "Quitting Mail".
Next...
Top menu bar, Mail > Preferences > General.
At "When searching all mailboxes, include results from", uncheck "Trash".
Select All = command A

i found out my prob!
here is what you do.
go to the "system preferences" on your dock.
click "software updates".
click "installed software"
if it shows something about a recent update about "EFI UPDATE, FIRMWARE, THUNDERBOLT" or anything like that, exit out of it.
go to mail.
click "mail" at the top.
click "preferences...".
find the account you are having trouble with, once you do, make sure its highlighted, then click the "-" at the bottom of the window (this will only effect that mail account, it will not effect your ical weather or not its synced thought that email account)
hit the "+" (right next to the "-") and add your accout back!
its something with that update that effected mail, i hope this works out for you, if not reply back

Workitem remains in inbox even after execution

Hi all,
I am facing a problem with the removal of workitem from the inbox. I have searched the net and found that this problem has been faced before by people but I could not get any solution to this.
I have a workitem in the inbox. I click it and execute it. After completion when I return to the inbox, the workitem is still displayed there. A single refresh of the inbox also doesn't work. I need to log off and log on again to the portal in order to see the refreshed list in my inbox.
But the workitem doesn't get removed from the inbox as soon as it is completed. I can even click the same workitem second time and see the same screen again - but this is not reauired as the work is already done.
It seems to be due to some time delay between the synchronization of the ESS and the database.
If anyone has solved this issue before please tell me how I can remove the workitem from my UWL inbox as soon as it is completed.

How to keep the reserve workitem in the inbox

Hi,
i am working with Two level PO approval process.
approver as an four option 1.to display the report 2. edit 3. release 4. reject .
whoever the approver chooses the option 1 &2 ( to display the report ) the report should be displayed ( custom report) to the approver and it should keep the workitem back to the inbox.
i debugged the SAP standard functionality for Cancel and keep the wokitem in the inbox.but i didn't get how to use the same in my program.
my workflow should behave as same as cancel and keep workitem in the inbox whenever approver chooses to display the report.
please can any one help in achieving this functionality.

You will find the documentation of the macro easily.
It is not easy for anyone here to say whats wrong with a custom report that doesn't display. There are always several possible reasons, but you (or another good ABAP-programmer) should be able to locate the problem by debugging.

If its just an email do u need a workflow for it? Configure dynamic actions which will call a subroutine when a change is made to the infotype and send email from that subroutine using SO_NEW_DOCUMENT_SEND_API1.(you can include the necessary logic for determining the approver in the same subroutine).

i have to read a sub folder present in the inbox from outlook.
for that i tried as

inbox = store.getFolder("INBOX/subFolderName");but it shows an error like Folder Not Exist...
can any one suggest me to solve this problem to read mails present in the sub folder.

How to get emails sent using my iphone and gmail sent to my Outlook inbox?

I have set up my my Iphone Mail Account using gmail/googlemail.
If I send an e-mail from my iphone then it appears in my sent folder on my iphone but does not get sent to my Outlook inbox (when I carry out the Send/Receive function). However, when I send an e-mail using gmail webmail (rather than Outlook), the sent e-mail DOES get sent to my Outlook inbox.
How do I set things up (using my Iphone? Using gmail? Using Outlook?) to get e-mails sent using my iphone delivered to my Outlook inbox?

I have deleted the account and created it again, using your instructions.
I do not know whether Outlook is configured as IMAP or not: sorry to sound ignorant but I am literate only up to a point!
I do not understand why e-mail that is sent via the webmail goes into my inbox...while e-mail sent via iphone does not. I would therefore imagine that I need to do something to my iphone (as you initially suggested) than to Outlook or Googlemail...but I am quite prepared to be told I am wrong.

Sender Address in Outlook Inbox

Hi,
I am sending a message to an employee when they change their eg. Banking Information in our Portal using SO_NEW_DOCUMENT_ATT_SEND_API1. Which works successfully. The mail gets sent and I make the "SENDER_ADDRESS = 'PAYROLL'".
'PAYROLL' is a communications user in my system. When the mail gets sent it shows the "Owner" as the first and last name of my user with ID 'PAYROLL'. But when I release it to go to my outlook inbox, the username in the FROM field is 'PAYROLL' instead of the First and last name combination in the USR01 record.
What I want to know is if there is some configuration in SCOT where I can tell it to use the Firstname+lastname combination to out this in the FROM field when it gets sent to outlook.

Just a further example.
If workflow sends a mail, it uses WF-BATCH (Username = Workflow UserSurname = System)
When the mail gets sent to Outlook from SOST, the "FROM field in Outlook Reads "Workflow System" and not WF-Batch, this is what I wish to achieve.

Use the /resetfoldernames switch to reset the default folder names (such as Inbox or Sent Items) to default names in the current Office user interface language.
Close Outlook. Use Windows key + R to open the Run command, type or paste
outlook.exe /resetfoldernames into the box and press enter. (If you type it, there is a space before /)
