Changing Books via workflow

Hi,
I am new to CRM On Demand and have been given the task of sorting a data visibilty issue. When a user creates an opportunity they might want to identify this as sensitive and hide it from the all view. People work in either teams or individually, if a user belongs in a team then the global book is removed and a team book is added using workflow (the users default book is specified in their profile). If the user works alone then the workflow should remove the global book and add their personal book.
I have a work flow that add's and removes the global book when a 'Private' tick box is checked / unchecked, but have the issue of setting the book in the opportunity based on the default book set in the users profile. The workflow action 'books' section only allows for removal, edit, add but for a pre spesified fixed book. I have thousands of users and hundreds of teams so I want to avoid creating a workflow per person.
Can this be done with a work flow or is there a better way? such as a web service.

You can customize the standard Workflow to suit your custom needs.
As far as using a different workflow is concerned many Applications have ways wherein you can use other workflows. The other option is to find the occurrences of the references of the workflow createPRocess and startprocess and make sure your custom workflow is invoked therein.

    Before we did the upgrade from 4.7 to ECC6.0, on 4.7 approvers were able to make changes to parked documents via their inbox i.e. they would be able to go to change wrong data or add missing account assignments. However after the ECC6.0 upgrade when approvers access documents via their inbox they can only display the documents with only the option to release or reject and without the option to change.
    Could this be a result of changes between 4.7 and ECC6.0 and if so what can we do to allow for approvers to be able to change parked documents via their inbox.

    I found SAP Note 670910 explaining that this was actually a program error which allowed approvers to changed parked documents via workflow.

    hi all
    i have a problem regarding sending mail to particular position in org structure on runtime execution  via workflow so that i neednt hard court the particular position
    to achieve this i am using expressions,first i have created a new container element and then i have used container operation like this:
    (lead.employee responsible.business partner= container element defined by me)
    when i first try to execute the workflow and test it ,in the container  i am getting the value of the container element in which i have the position where i have to send the mail.but inspite of value getting populated ,when i am using that container element to send mail like:
    expression: container element
    the mail is not send,when i checked the log it is mentioned that " you are not the authorised person to stsart the workflow and start failed" but workflow is still triggered and i am able to pass the object but not able to send the mail.
    please tell me is there any feasible way to achieve this,like rule or in my way how is it able to achieve
    detailed possible solution will really be appreciated.on thing we are working on CRM 5.0 standalone system

    Hi,
    Follow this ,
    Goto PFTC -> Choose "Workflow Template" from the drop down -> Enter the workflow template id "123********" in the text box -> now click on "change" button -> Now goto the menu addional data -> agent assignment -> maintain -> select the task text -> and set it as general task.
    I guess you have done the same for the standard task TS*********** but failed to do it for the workflow template (WS123*************). Or have you done it already?
    Also once you make this change "Refresh your buffers" once before checking it out.

  • Error while creating change request via solman support desk message

    I have configured CHARM and my change req. is working for urgent correction, I have tested the entire workflow.
    however when i try to create a new change req. via support desk message --> create a change request open
    I get following error
    An action was terminated due to an exceptional situation.
    Message no. SOCM_ACTION_LOG 090
    Diagnosis
    An exception has been triggered in PPF action processing.
    System Response
    Action processing has been terminated. The status of the transaction is still incorrect.
    Procedure
    You cannot execute the action until the cause of the error has been removed.
    The error messages will be kept until the transaction is next checked for subsequent analysis.
    Procedure for System Administration
    If necessary, analyze other messages in the application log for the incorrect transaction. To analyze the termination, you can activate the breakpoints in the checkpoint group socm_exception.

    Hi Yunus,
    Your probably have changed the transaction type SLFN to a the customer namespace Z or Y. If this is the case you MUST also "Define Mapping Rules for Copy Control".
    Goto SPRO -> SAP Solution Manager -> Scenario-Specific Settings -> Change Management -> Change Request Management -> Extended Configuration -> Change Transaction -> Change Transaction Types -> Copy Control for Change Request Management ->  Define Mapping Rules for Copy Control.
    Once at this point in the IMG make a copy of SLFN -> ZLFN. This will resolve your problem.

  • Granting item permissions to specific group or users via workflow- sharepoint online

    I want to create a Document Set and upon doing that i want to grants users/ groups item level permissions to the document set.
    Can this be done via workflow?
    What are my options?

    If workflow starts on document set, you will change permission on the document set: if the files inherit permission from document set, all children files will have the same document set permission.
    the document set is nothing more than a souped-up folder

    @Naiks, having suffered through unsuccessful synching attempts for Calendar and Contacts myself, l would suggest you try the following:
    UNINSTALL iCloud control panel from your PC. Seems silly, but do it.
    Go into Outlook, and look at the very top menu. Click FILE, then ACCOUNT SETTINGS, then click the popup box.
    You will see a list of all your email accounts. Make sure that ONE of them has a checkmark against it. If not, select the account your want as your default, and click "set as default.
    Exit out of Outlook and reboot your machine.
    Now reinstall iCloud, check CALENDAR and CONTACTS, and do as instructed when prompted.
    Reboot for good luck and now launch OUTLOOK. All that remains is to locate your iCloud Contacts and Calendar files, and make them your default.
    IMPORTANT: Don't panic if you can't find your contacts -- they're there. Click CONTACTS and you'll see you have several available contact files. Locate the one label "iCloud" in grey type. Right-click on it, select PROPERTIES, then click the Outlook Address Book tab. Check the box that says something like "Make this my default Outlook Address Book." Keep clicking "apply" and "okay" until you've exited out of the dialog box maze.
    You may have to do something similar with your Calendar files. I dd not, but if you need to, do it.
    Everything should now sync pretty seamlessly.
    I didn't have the exact same problem as you, but my dilemma was close enough. Good luck!

    We have make changes to Workflow template via tcode PFTC_CHG (Change Task), with workflow builder screen, we make changes on the standard task, work item text etc, save the changes to workflow template WS90000XXX. However the changes we make is not save under a Transport Request number.
    How to make the changes on workflow template to save under a transport request and transport it to other client. ?

    Hi Eric,
    All development and customization of workflwo are saved in a transport request.
    If while making the changes it did not prompt you for a TR then check the TR in whcih the task was created.
    To port TRs follow the below procedure:
    1. Go to t-code SCC1.
    2. Select the transport request number and enter the source system (client)
    3. Click on 'Including Request Subtasks.
    4. Click on button 'Start immediately'
    This would port the TR.
    Please note to port workbench TRs before the customizing TRs.

  • Creating automated email reminders to users every 2 weeks via Workflow 2010 Out of Box approach only

    I have been asked to automate the email reminders to users (every two weeks) from the SharePoint2010 solution.
    I am trying to achieve this via workflow ,but am unable to get the results.
    Req :
    Twice a month the users should get an automated email reminder for a specific task.
    1. On 14th (or last working day in mid month -1) of the month. ( a field "mid month end" captures the date as 15th of the month)
    2. On last working day - 1 of the month. ( a field "month end" captures the date as last day of the month)
    Please let me know how i can achieve this via Out of box functionality. I donot have exp with workflows so a detailed steps guidlines will be very helpfull.

    Although you can start a workflow and then pause it for a number of days, I'd feel uncomfortable with that. If the farm crashes, who guarantees that the paused workflows will pick up where they were left off?
    SharePoint does no offer to run a workflow on all items in a list/library -- which I feel is a big draw back. 
    The good news is that there is a free 3rd party tool that can run a workflow on all (or specific) items in a list or library.  It's called the
    HarePoint Workflow Scheduler and I love it.
    You can create a view that shows the items that you want to run the workflow on.
    Or, if you know how to write CAML, you can feed the CAML Query right into the HarePoint Workflow Scheduler task. 
    At my company we have several sites in production that use the HarePoint Workflow Scheduler with a view. 
    So, first, create a SharePoint Designer workflow and define it to run manually.
    Then use the HarePoint workflow scheduler to define a schedule.
    You can define a schedule for the HarePoint tool, like every day, month, week, etc., by just clicking a few boxes. 
    Since this functionality does not come out of the box with SharePoint 2010, this free tool is a real gem.

  • Buying a Book via Aperture is the worst experience I've ever had

    I have given up trying to buy a book via Aperture forever. I've wasted an entire day trying to get this done, and Ive gotten nowhere, I have spoken to Apple Photo Services numerous times and followed everything they said to the letter and on four occasions it has failed to "Upload to files to the server"
    I have checked my account, tried different payment methods, tried different ISPs (one being a 100mbps synchronous fibre MPLS circuit, so it's nothing to do with speed), I have deleted the Aperture keychain entry, exported the book to a separate library, even tried it on a different machine and still nothing.
    I now have 4 orders currently "processing", at £58.94 each, so currently Apple have over £200 of my money authorised for transfer.
    It is a real shame that Apple ignores these forums, and that Aperture is such a neglected program. At least I am not trying to run a business using this POS.
    Part of me wants to go on an Aperture training course just to shout at someone from Apple.
    Anybody know of a good 3rd party book printing services that can use the PDFs output by Aperture?

    Once the book is printed you then have the frustration of tracking the book from the printworks near Prague, travelling for approximately 3 hours a day, eventually taking about a week to travel the 900 or so miles to the UK, if it gets stuck in Germany on a Friday evening it will not move again until the Monday morning.
    Only one class of shipping is supported "Snail speed" it would be very nice to opt for a faster speed.
    However once the book is handed over to the final recipient the obvious pleasure they get from it is fantastic compensation for the niggles.

  • Supplier Created via Workflow Approved By Default

    Hi Experts,
    I have a requirement in Create supplier via workflow where I have to make
    Purchsing hold check box unchecked and Approved Supplier check box
    checked by default ,I have customized the vendor registration via
    workflow process wherein I have written a script to make Approved
    supplier checkbox under header checked by default,in supplier creation
    via workflow page but When the workflow ends and the supplier is
    approved and I click on Done and come out of document,the Approved
    supplier checkbox is unchecked though the supplier is created and we
    are getting a background error as well saying that the approver does
    not have enough permission to view the document though we have provided
    all the necessary rights to the Approver, please suggest as what could
    be the rerason for Approved supplier to be unchecked though the script
    is running fine and what could be the reason for background error as
    this is not the expected behavior.

  • Custom Net Change Booking Report

    I am in the process of creating a Custom Net Change Booking Report.
    The Report should show the changes that affect the sale order Bookings.
    The Audit history capture the changes but it stores two lines for each change.
    Main Constrains are:-
    * Order Lines getting splitted should not be consider since it will not affect the total quantity.
    * Qty Change, price adjustment and the New lines created to the sales order should be considered.
    Following is the query i tried.
    The main issue in the query is if an order line is getting changed for qty and price at the same time it is not showing the changes correctly.

  • PO rejection via workflow

    Hello Guru's,
    I have a senario where the PO needs to be released or rejected in Background mode via workflow.
    Currently I am using the task with calls the transaction ME29n, but you all know the users will not have authorization for transaction ME29n.
    For release we can use the BAPI "BAPI_PO_RELEASE".
    My question is how the PO can be rejected via WF in BG.
    Please guide me.

    I am new to workflow and here is my requirement.
    When Material goes below Re-order pt in MM , MRP runs and creates PR/Sch Line. I want to trigger email to some Group when few Critical parts goes below Re-order point via Workflow
    A workflow should trigger and get email to Group I saw one standard workflow (WS03100020) but I dont know how to active and how it will work.
    I can copy this to custom workflow using PFTC and do, but when the material document creates - Means Critical parts are consumed and Stock level goes below re-order point. how my copied custom workflow triggers?
    Critical Parts A , C , F, X  and Z
    If Material  A ,C and F goes below re-order pt then email to trigger to GROUP1.
    If Material X and Z goes below re-order pt then email to trigger to GROUP2.
    Need to know :
    1) steps to copy and modify
    2) How to Execute manually
    3) How to execute automatically when Material stock falls below re-order point. ( Lets say in MM03 Re-order pt is 5 ) and IN MMBE current stock is 20, when there is consumption ( Material DOcument to Cost center - Mvtype 201 ) for 16 QTY.. then my Custom or Standard Workflow should Trigger and should get a email to Group.
    How to achieve this. Please explain me with Step. Highly apprieciate your help and will reward points

    o.k. lets first handle the check function module
    you need to start from the key and run the check is it higher or lower then the reorder point,
    if it's higher, raise an exception (use message... raising), else do noting.
    test the function module directly and see if it works, then look at the event trace(SWEL) and see what happens when your event is raised, if it's higher then the reorder point you should see an error (specific linkage is red and the message you entered in the function module in the details) else the event linkage should be o.k (green).
    now for the function itself: if you use the cl_bcs to send the mail, you do not need to link SWW_WI_CREATE_VIA_EVENT_IBF as the receiver function module, but the function module you create to send the mail. again test the function module directly first and only then link it to the event.

    Actually the test environment do not hv domain  , so I use the workgroup name as the domain. is this not possible ?
