EBS BAI file check clearing

I am trying to clear check through EBS (BAI format) file upload but the check numbers are coming through in the 16 records in the reference field and not in the 88 records (note to payee). I know we can clear check through check number in 88 records using string config but I don't know what to configure for clearing check if the check number is in 16 records. For e.g.
16,475,656933,,,0013000168/
Where 0013000168 is check number. plus the 2 leading zeros are not there in the check number in SAP. .

Q1: Did you use F.13 or the fuction in EBS it's self?
We are using EBS download(FF_5) itself to do the auto-clearing
If you have configured the EBS, make sure you took care of the following points as well:
a) In the 'define posting rule', you have entered 4 as 'posting type' (Credit posting key 50 and debit posting key 'blank')
b)In the 'Assign External transaction types to posting rules' you have mapped the external transaction codes (given by your bank) to the correct interpretation alogrithm for checks (we are using 011)
Q2: How did you match with the payment open item ? (for our case, the payment items only have F110 run date and Id plus amt to match with)
If you are creating the check in SAP, then every check payment document has the unique check number assignment as you know. When you download the EBS, it has check number information in the file. SAP then matches this number with the same existing number in the check register. And from the check number it finds and clears the corresponding payment document.
We are downloading here BAI2 format through EBS. In the BAI2 file if you are getting the check number in the record starting with 16, then SAP will be able to find the check number and do the clearing based on the interpretation alogrithm config. But if you getting the check number in the record starting with 88, then you can use 'Define search string for EBS' config to interpret hte check number from note to payee field.

    i want to know how other companies are accessing thier bai files > are they gettting them via FTP or are they going out and downloading the standard bai file format from thier bank's everyday website

    Bank will send BAI file format to the customer through FTP or VAN. FIle will be placed in application server and the standard SAP program (RFEBLB00) or FLB2 will be process to run the BAI file to clear the accounting documnets. BAI2 file contains more information to clear the accounting documents.

    I noticed that the program SAPLNEW_FEBA doesn't generate additional information when there's errors in check clearing. Before, it used to provide info like " check already cashed" or "check marked as cashed", etc. Now I am testing and get the red X but there's no additional information.
    Any comments? suggestions?

    We have changed the length of the check number by adding the leading zeros in the check number in the relevant range by using transaction FCHI (maintain check lot). For this you have to delete the check number in the 'number status' column first, this will then allow to delete the number range. Please delete first all the existing number ranges for the check. Then recreate the new lots with the new check number range which will have 10 digit check number by adding leading zeros to the 5 digit check number range used by you before. But if you are printing check in-house, SAP script guy has to make sure that the MICR line is lengthy enough to capture the 10 digit check number.
    Other approach will be to develop a file pre-processing program which will delete the leading zeros from the BAI file after the upload and before the posting which will hit table(FEBEP) while using EBS upload transaction (FF_5).

  • EBS BAI / BAI2 Format Standard File Structures in SAP

    We have standard file structures which can be viewed in T.code SE11 for LockBox such as FLB01-FLB09 etc.,
    Does anyone know the structure names for EBS BAI or BAI2 or NACHA format.
    Also, does SAP allow to process / clear a EBS BAI2 or NACHA format EBS File in T.code FF.5 or FF_5.
    I checked in the T.code FF_5 and the std format option is only BAI, Multicash, MT940 etc but no BAI2 or Nacha format.
    My Bank is Wells Fargo who sends me EBS file in BAI2 or Nacha format.

  • SAP EBS program does not clear checks from 2 house banks

    We have two house banks  in one company code. Both the house banks have same account number but different bank keys (Routing numbers). The Incoming EBS file gets posted but the checks get cleared only for one house bank. The interpretation algorithm we are using is u201C11u201D u2013 check number. I understand that based on check number EBS program is auto clearing only checks from one house bank. Please advice if the program accommodates to clear the checks from both the house banksu201D

    Check the 'Assign Bank Accounts to Transaction Types' in EBS customizing. In this step, you'll assign 'Transaction type' to Bank Key and Bank Account. See if you have assigned only for Bank account. If the Bank key field is left blank, this issue is a possibility. So try defining two lines with the Bank Key-Bank Account combination and assign the same transaction type for both.
    The above solution should work.
    If it does not, you can copy the Transaction type into a new one and then assign the new one to the second Bank Key-Bank Account combination.  Dont forget to 'Assign External Transaction Types to Posting Rules' while copying.
    Either of the options should work for you.

  • EBS Payroll Checks Clearing

    Hello:
    Standard SAP does not clear (marked as cashed) payroll checks.  I have a customized transaction that was recommended by an SAP OSS notes.  It works great in the foreground, it cancelled when I try to run it in the background.
    Does anyone has been succesfull in running this program in the background?.

    The custom trasaction we use is ZIFCM_EBS_PAYROLL_CHECKS.  This transaction creates a file that captures the check information from the Electric Bank Statement (BAI file) .  The created file then it is used by the FCKR transaction to clear the cashed payroll checks.
    This is the error I am getting
    Short text                                                                               
    Access via 'NULL' object reference not possible.

  • Error when uploading  BAI File (EBS)

    hi,
    When im uploding the BAI file through FF_5, it  is displaying error as "The difference is too large for clearing".
    In Reocrd 16, the BAI code is "195" for Wires In.
    My understanding is, it is not picking  the Customer Invoice for clearing.
    I gave the Same Invoice Amount in the File with Invoice Reference number in Record 16.
    I checked Tolerance limits, they r fine.
    Please let me know the solution  as soon as posible.

    Just test the WDR_TEST_UI_ELEMENTS component and try to upload a file using upload element in above component.
    If you still get same error for all file types
    Perhaps someone incorrectly set the maximum request size parameter: ( icm/HTTP/max_request_size_KB )

    This is(BAI) the format of the file which bank sends to SAP server for updating the transactions of the customer payment.
    It is used in US only, for which lockbox configuration is required.
    Customer will send payment to Bank and bank will update our bank account and send us the file in BAI format which after uploading in SAP will clear the open items of the customer.

  • EBS - BAI2 file format

    Hi Guys
    We are using BAI file format as the format which has been send by our banker and the same is working fine. T- Code used to upload is FF_5 and the algarithm used is 011
    Now our banker has changed the file format to BAI2
    In the given file we have cheque number in 16, 475 line and we are using 011 as algarithm. When we upload via FF_5 the first entry is passed for debiting the Cash Disbursement account by crediting Cash Main Bank account, this is in the file with ZBA transfer credit
    When it comes to the second entry of debit check clearing a/c to cash disbursement account credit, we are getting an error as the difference is two large. When we checked the same, the system is picking document number as * and hence the entire list is displayed without selecting the correct payment document number with cheque number which is in the reference of the payment document number
    To take it further, we have changed the algarithm to 015, where the cheque number is given in the assignment field in the payment document number. In this case the system picks the leading five zero which is available in the uploaded file along with the /
    We tried to remove all the leading zero in the upload file from the cheque number which is available in the line 16, 475 as well as the / in that line and the system gave the correct output
    In the above, we are not sure why 011 algarithm is not working ( we tried by giving only the BELNR, only XBLNR, BELNR and XBLNR etc)  the output was always " the differnce is too large for clearing ) since the algorithm has not searched for the proper document AND in case 015 algarithm, why the system is taking leading zero as well and why its picking the \ in the assigment while its clearing. Because of this / the system is not picking the cheque number
    Can any one show some light on this

    We are using algorathim 011 for our EBS. The file format from our banker is BAI2
    When we are uploading the statement, the accounting entries got cleared. But the issue we face is encashment date is not updated in FCH1 (Check Information)
    With this if we check, at any point of time in the check register the entire check are still open. We have verified the following why the check encashment date is not updated
    - In line 88, checked MICR ACCT and MICR ABA is same as our bank key in our house bank configuration
    - Checked the Global setting on EBS, for external transaction 475 the interpretation logic is 011 and processing type is "clearing with check"
    - Verified the check lenght
    After all this if we upload any EBS statement using FF_5, the accounting entries are posted and not the encashment date is updated in FCH1

    Few Inputs in Program RFEBKAT5
    EOD
    Company Code, House Bank,House bank Account
    Posting Offset Account (GL account)
    Create Open item - XBLNR
    Checks Out - Mentioned as per  Best Practices
    Funds IN           mentioned as per best Practices
    Funds out         mentioned as per Best Practices
    But on executing i am getting Red Light and no files being generated but its showing that document posted

    Hi Aditya,
    when i presented EBS solution to my client, i got a BAI Spec/Guide online and used it to design the BAI file. Basic Structure of the file can be downloaded through REFBKAT5. But fill the data in that using BAI file spec. Upon creating one, test it through FF_5. Please remember, if you run the statemet you can't run it again for that day. So Make sure you select do not create posting in FF_5 and once executed, delete the statement through RFEBKA96 (This is very powerful and should be used frequently in prod). Hope this helps.

  • Distributed HR/PY and Check Clearing

    Hi experts -
    Changing our landscape from a single integrated system to a distributed HR/PY and FICO environment (I.e. 2 different instances).  In the distributed architecture I understand the Payroll Check (tcode RFFOUS_C) print program still runs in the HR/PY instance and the check register is also updated in the HR/PY instance.  However, the GL posting that include open item managed bank clearing account(s) for payroll checks is updated only in the FICO instance (via ALE) by the Posting to accounting process. 
    Can anyone tell me how and where the EBS should be run to clear the payroll checks and the GL payroll check clearing open item account?  Again, the payroll checks will be in the check register in the HR/PY system but the GL payroll check clearing open item account will be in FICO instance.
    Anyone out there have experience with this scenario?

    Have you worked specifically with a distributed HR/PY and FICO architecture?  Or, are you answering this question based on your understanding of the payment process from FI?   If you have not worked hands-on with the distributed HR/PY and FICO architecture I do not think you understand the issue.
    In the distributed HR/PY architecture the payroll checks are created in the HR/PY instance.  The creation of the GL entry for the payroll check bank clearing account is created by an entirely separate process - the  PY GL Posting run and the distributed model posts the GL to the FICO instance.  Therefore, the check register is in the HR/PY instance and GL payroll check bank clearing account in in FICO.

    Check encashment date is captured by sap daily from a file sent by the bank which will list the checks that were cashed Yesterday. You upload (FCHR or Z program)this encashment file in sap and the status of the check will now show as cashed in SAP and you cannot void the check after this is cashed

    The structure that the bank uses is usually one of two formats. BAI will provide you the customer information and the check amount but no invoice remittance data. Usually cheaper and works well for a business where customers are paying only one invoice at a time.
    BAI-2 offers remittance data but the bank charges more for the service because they have to enter more info.

  • FF_5 - Issue with Account Balance option while processing BAI file

    Hi All,
    We are getting a runtime error while trying to process the same bank file again through transaction FF_5 with 'Account balance' option checked. And the message says 'The ABAP/4 Open SQL array insert results in duplicate database records.'  with the command 'Insert_FEBPI'. This happens only when we have combination of uploaded and not uploaded statements in the bank file.
    I could find a OSS note for the same issue but that was for the file format MT942. We are using BAI file format. Can some one please help me in this regard.

    Hello,
    The electronic bank statement is not designed for cross-company code                    
    postings . You can,  however, create these postings manually, for instance by the                            
    subsequent processing of BI sessions or using Transaction FEBA.      
    However, this can lead to unwanted results in the document display                      
    of Transaction FEBA.
    If you've developed an exit to adapt these postings then you also have to check your own source code that could cause the error.
