Email workflow in CRM5.0

HI
Problem 1 - I have a problem whereby my responsible group in our Agent Inbox does not get filled automatically. Ive been through SAP note 1143079 but still my problem persists
The Workitem text of the Dialog step in SWI1 does not contain the Organizational unit as well.
Problem 2 - We have Agents A assigned to Org Unit A, but when Agents A searches for emails assigned to Org Unit A, every other Org unit's email is displayed as well
Under CRM_ERMS_WF_CUST my event linking is activated. The agent assignment for ERMS 1 is setup and all our Org Units are visible here - General Task 207914 used for ERMS decision
Tried generating rules again and still no luck

Try changing the sequence so that UT_WORKITEMTEXT is called after RE_RULE_EXEC. See if that helps. Also...
Verify that you have defined a default routing organization in the Service Manager profile in the IMG for service ID "RE_RULE_EXEC"
Verify that you have assigned the service manager profile to your inbound ERMS email address in transaction "CRMC_ERMS_SM_PDET"
Verify that event linking is activated in transaction "CRM_ERMS_WF_CUST"
Verify that ERMS Decision task is set to type "General Task" under Assign Agents in transaction "CRM_ERMS_WF_CUST"
Verify that you have assigned actual users (not central persons) to the default HR org structure mentioned in the first bullet point above (and verify that those agents have valid email addresses).

    Just select "Display Name" instead of "Login Name" in the "Return field as" field of Lookup dialog.

    For reminder type requirements, I tend to use the ‘Information Management Policy’ SPD method as described in
    this blog article by Laura Rogers (it’s for MOSS and WSS but works in SP2010 also).
    This method avoids the use of calculated columns; rather the workflow does the calculation and outputs information into a ‘reminder’ field. Also, I don’t like the idea of ‘paused workflows’, so this method works for me.

    Good day, My clients have a problem , the problem is this  on his system he wants that all the workflows notifications will not send on his email. I have set a new role which is an other account where only one person will receive all notifications. which is [email protected] is that the client business owner don't want to receive notifications from all the site.I'm finding this real hard. even though i only set the workflow notification roles to that only email.How was this function works. In my theory the bc owners which is the owner of site. Will receive email automatically on  whats happening on his site?

    To turn off notifications etc. In V2 top of screen between Partner Portal and Admin. Select Unavailable. I have that set for mine and I dont get any emails form the site.
    V3 - Site Settings - Manage Workflows - Here there is a button Magage CSR Avalibility. Will show users. Set to Unavailable and save.
    You will have to get your client to update this. for V2 but you can do for V3.
    If he has already done this or is set to Unavailable, respond with which workflows he is getting. Sales, Queries, Contact forms etc

  • Opportunity Team Email Workflow

    Hi,
    I need to send an email as and when a new user is added to the oppty Team.I need to send an Email to the particular Member who is geting added.Kindly help me with how to select the Email address.I can use the Oppty Team object,trigger event as when new record is created but the options for email To address is "Specific User" and "Specific Email Address" only. So I cannot make this as a general workflow which will send emails to persons getting added. Any suggestions ?

    We have a discussion board with workflows set up so that it mails multiple distribution groups to alert them of new discussion posts (this is because we don’t yet
    have a high take up on our intranet, and are transitioning the culture to be more involved with it, before you ask!). We're running SP2013 and Outlook 2010. 
    At the moment, you tick which email groups to notify, and the workflow sends each of these groups a message, individually. Unfortunately this means that you will
    receive the email multiple times if you are a member of multiple groups.
    Is there a way in the workflows to send the different tick box outputs to one email address bar, so outlook can ensure you only receive one copy? Or are
    we stuck with multiple emails? (we have around 25 distribution groups, and users tend to tick 1-3 of them for each discussion post)

    Per my knowledge, when we send email to multiple groups individually, if a user in multiple groups, the user would receive multiple emails.
    However, if we send multiple groups all at once in the email, the user would only receive one email.
    As we could not set rules to ignore the same content email, what we can do is set the rule for a particular subject or body, and it will be not a good idea to set multiple rules based on multiple particular subject or body.
    As an workaround, we can send multiple groups all at once in an email, then the users would not receive multiple same email.

  • How to improve my email workflow?

    Hi,
    this as a simple question. I am struggling now for years to find an appropriate e-mail workflow. I am just looking for a very simple workflow but I always encounter limitations of the "classic email setup". My classic email setup consists of an own mail- and groupwareserver (dovecot, davical) which works really well. As a client I currently use KMail as it integrates very well with my remote adressbook. My problem is I don't know how to deal with conversations and archiving properly.
    If I want to archive/delete an conversation in the inbox I always have to do it twice because the messages and the sent folder have to be archived/deleted as well.
    As I am lazy I often don't delete/archive emails because I don't want to have orphaned emails in my sent folder.
    Putting every sent mail in die inbox does not seem to be a solution. It will clutter my inbox with sent mails without an answer as well.
    How do you sort emails? Do you just put everything in a folder and search it? Or something else?
    How do you archive? I just have one archive folder and put everything there which I consider important enough to keep.
    Deleted mails are cleaned automatically after 30 days in the trash folder (thanks to kmail).
    I am not really happy with my workflow and I want to get a few ideas how I could change it.

    (my mail client is thunderbird)
    I use folders extensively , my inbox structure looks like a bit the linux tree (although i don't need more then 3 levels).
    I also use threaded view so related emails are easily found.
    I don't archive emails myself, (got mails that are 10+ years old still readily available) the inboxes for my 3 main email adresses currently take up about 3 Gib in total.
    Ocasionally like once every 2 years i make an offline copy of everything, haven't needed it yet.

    Can you write a workflow in CDA to do screen pops based on incoming email FROM: Addresses.  Our associates have to lookup a customer by their  From: email address in our application and since you can't use the windows copy function to copy  any of the from information in an incoming email it slows them down.

  • Is it possble to disable email/workflows at EBS module level

    We just implemented the workflow mailer on our site. Its cool that emails are being sent out from finance/HR/SSHR/iRec modules. But for some modules e.g OLM, we don't emails being sent out.
    Is it possible to just disable OLM from sending out emails, or do we have to modify every olm workflow that includes a notification/email, one by one?

    As of now there is no mechanism to stop sending emails for particular types of workflows. What is the EBS code line?
    But you can implement the below steps to get this functionality.
    1. Create dedicated mailers for each workflow itemtype that Customer wants to receive e-mail from.
    2. Set the dedicated mailer correlation id as workflow itemtype that Customer wants to receive e-mail from
    3. Shut down the seeded mailer "Workflow Notification Mailer"
    4. Now the dedicated Mailers will process the notifications corresponding to its correlation id

  • Email:  Workflow and Task List Notification

    Hi,
    I am wondering whether the setting 'Workflow and Task List Notification' in application settings is functionality that I can use: I would like to setup the e-mail notifications for planning. One of the tasks on a standard task list that we would like end users to be able to do is to inform a particular user/group that a particular task has been completed. I would not like this task to be a workflow task, can e-mail notifications be sent for standard task list items?
    Options that I have reviewed:
    - Custom button on a dataform - not sure whether I can send parameters through to this, however I could use the form name as a description.
    - A *.jsp page that accepts two parameters 'Description / form name' and 'e-mail address' and the page then sends off an e-mail (Lotus Notes from WebLogic 9)
    - Workflow - although this inform task is not entity driven. Also the notifications are across plan types i.e. one cube enters in Information and then informs users of the second cube that figures are required - which we then import using xref.
    Any advice would be much appreciated. I know it can be done, I am just looking for the easiest way to implement this using standard planning functionality where possible.

    The default email solutions in planning are using workflow or task lists, though the task lists are based on due dates.
    If you wanted a solution where an email is sent out when a task list is complete, then one route could be to have a business rule attached to a task list and then the business rule uses a custom CDF to send out email notication.
    If you are interested in sending emails from business rules then I did write a blog on the subject a while back.

  • SharePoint Email Workflow to Google Calendar

    Greetings fellow SharePoint enthusists!
    BackGround:
    I currently have a workflow in place that sends attendees from a SharePoint Calendar an email with a clickable link to add it to their Outlook Calendar (Using the .ics method). However now the email by client "X" will be moving to Gmail
    and using Google Calendar as the primary calendar source.
    Issue:
    Do any of you know of a way to have a clickable link, inside a SharePoint workflow email, that would add it to the user's Google Calendar?
    Note:
    I am not looking for a "Calendar Sync" I am simply looking for a link the user can click and it will add the SharePoint Event to their Google Calendar.

    There shouldn't be an OOTB way (or a link) to retrieve SharePoint calendar event and then insert to Google calendar by design, it will need code(e.g. call web services from SharePoint and Google calendar) to get the SharePoint Calendar event
    and then insert to Google calendar.

  • What is your email workflow?

    Email is by far my biggest disappointment with the iPad. The way it works is functionally useless for me. It seems that iOS email is very rigidly designed to work in one specific way. That is, you are expected to have a single inbox where every email gets delivered to and once you review each email you either delete it or move it elsewhere. Is that how most of you use email?
    I have an IMAP server for my email. In the past I had server side software (maildrop) that would presort my email into various folders as it arrived. When I opened email on my Mac it would check each folder for unread messages and put the little number total next each folder name. I also used a smart folder that showed me a consolidated list of all the unread messages for easy access.
    Enter the iPad. This process obviously doesn't work well on the iPad because it only checks for new messages in a folder when that folder is opened. And even then the new messages need to be within the 200 message download limit before mail would find and tag it. With the iPad I have to manually open each folder to see if there are any new messages.
    Then there's the issue that you can't collapse the folder hierarchy so you have to scroll through every single folder and sub-folder looking for the folder you want.
    So, to fix the issue of scattered unread messages I decided to switch from server-side sorting to client-side sorting and I duplicated all my maildrop rules as Apple Mail rules. Now when I open Mail on my Mac the messages are filed away just as they were before, only it's done right at that moment. This way I still have the problem on the iPad of finding unread messages that have already been received and sorted, but new messages that I receive while using the iPad will be easily found in the inbox.
    This does work in that mail received by the iPad go into the inbox. However, when I jump back over to my Mac all the new messages don't get sorted because the rules only apply to incoming messages and the messages that came in while using mail on the iPad are already in a "received" state. So now I'm left with unsorted messages in the inbox. I actually knew that was going to happen but I had to try anyway.
    In the end, email on the iPad is completely useless to me which is a major disappointment. Mobile email would seem to be one of the major selling points. Since the email client has been around on the iPhone for several years now I have no reason to believe it will ever be improved. There aren't any third party email clients in the App Store either, and I'm not sure Apple would accept one if there was.
    How do you use email on the iPad/iPhone/Touch?

    Excellent question, I realized that straight from the beginning and what a pity it was it wasnt much user oriented. I posted several questions about that issue but never got any feedback for that. 
    What I kept wondering was, how people were using their Ipad within their enterprise with typical email beginnings such as:
    [email protected] 
    [email protected]
    [email protected]
    etc...
    As to the second poster, I dont know how many email accounts you have and whether they are biz related or private. But considering mine I get over 100 email on average, even if they are collected in one account only going and sorting them out will take ages, as most will have attachments.
    So far I couldnt utilize my iPad as much as I wanted and needed to, the usebility is too limited.  Specifically, for emails, and the WIFI wouldnt work well with iPad, while it works perferctly with Mac in such almost all locations. As for now for the iPad1, that I have. I am not sure if iPad3 will be any better, and whether I can use it overseas in differing locations!
    Curious, what advantages other compatible systems will offer, that are more user oriented and functional in their work and in the play time:)

    Hi Guys
    Ive created email templates on our development box. And its displayed when i log onto webclient. Transported config onto QA and the config is the exact same as on DEV. But when I open the webclient on QA, templates are not reflecting
    This is the steps ive taken
    Ive created template under SAP menu- Marketing- Personalized Mail - Maintain Mail Template
    Went to IMG-CRM-Interaction Center Webclient-Basic Function- Communication channels - Define Standard response Groups
    Clicked on new entry and entered following
    Std Response Group = Z**stdrespgroup
    Form Name = z**"
    Save and transported the changes
    Then went back to IMG- CRM-Interaction Webclient- Basic Function- Communication Channels- Define Email profile
    Chose my required email profile = z**
    Entered std response group = z**stdrespgroup
    Saved changes
    Templates only visible on DEV and NOT on QA
    Note : Ive created this on both environments, Config as the exact same! still no luck!
    Pls help!!!

  • WorkFlow Issues: Appending (not replace) Attendee Field in Calendar List and Email Variables (including .ICS file link)

    Kind of new to attempting any custom development in SharePoint.  Working with 2013 and have the 2013 Workflow Farm setup/working.  I am trying to have a calendar that users can register to appointments via custom list.  I
    have the list that pulls the title into its  own "Event" field as a lookup.  Also have a workflow on the calendar that adds the current user as an attendee and made that field "not required".  I'm trying to accomplish this:
    1) Have the Custom List update the Calendar list attendee field with the username. Currently it wipes out what is there and replaces with the "Created By" name. Tried to set a variable that would put the current attendees in a string
    and just add the current user, then use that variable to update the attendee field.  No luck.  Ultimately if I can understand this enough and get fancy enough, I'd setup a workflow  that can have someone delete their own registration item in
    the custom list and remove only their own name from Attendees...
    2)  Have a workflow kick off an email that sends the registrant the calendar details. Have tried to pipe in variables to get the ICS file (some variation of this )
     If I put the List ID in brackets I get an error about having that and variables in the same code for an email workflow.  In any event I can't really get the email workflow to give any kind of nice piped in values the best looked like this and had
    the wrong date: You registered for  {"results":[{"Id":22,"Value":"Test Event 8"}]} on 1/1/0001 12:00:00 AM
