Outlook 2007 indexing stuck at around 20,000 remaining

Hello,
On Monday, a user called me and reported that it seemed that Instant Search in Outlook 2007 (Windows Vista) was stuck on ~20,000 remaining. I have dealt with this kind of problem in the past and it seemed the easiest thing to do was to rebuild the entire
index. This is painful because the user has over 50,000 emails, but when I've worked on similar issues earlier, it seemed the best thing to do. So, we'd leave Outlook open and running as much as possible and let the index rebuild.
I started that rebuild for the first user on Monday night.
Today, a second user from an entirely different site called me to report a very similar issue. Her Outlook is stuck at around 20,000 items remaining. She's also on Vista.
So, now the red flags are flying. Two users from two different sites on two different Exchange servers seeing the same stuck indexing level in Outlook?
Before I rebuild this second user's index -- and I suspect that she has much more than 50,000 emails -- is there anything else I can do? Have there been any recent patches that might alter search behavior?

There are a couple of levels at which Instant Search can break. You can troubleshoot Instant Search in following methods:
Marked for indexing
File-> Options-> section Search-> button Indexing Options…-> button Modify-> expand Microsoft Outlook
In the list that is shown under Microsoft Outlook, make sure that your pst-file is displayed and selected. If it is not listed, you’ll have to recreate your mail profile.
Check for pst-file corruptions
If your pst-file has been marked but Outlook doesn’t display the correct results, it usually means there is some corruption going on in your pst-file. In order to fix these you should scan your pst-file for errors with scanpst.exe. You can find this file
in the same folder as outlook.exe or use OutlookTools (free!) to locate it for you.
For Outlook 2010 you must click in the Search field in order to make the Search Tools tab visible in the Ribbon. Here click the Search Tools button and select the
Indexing Status…
Disable and then re-enable the file for indexing
Go back to the Search Options and deselect the data file that is giving you issues. Close Outlook and wait for about 5 minutes and also verify in Task Manager (CTRL+SHIFT+ESC) that on the Processes tab the outlook.exe process actually quits. You might get a
lot of disk activity; this is the Search Indexer removing the indexed items from the Index.
After this open Outlook again and go back to the Search Option and select the pst-file we just deselected. Leave the computer idle again and see if it will eventually
reach the status of "0 items remaining."
Rebuild the index
If it doesn’t, it might be that the Index itself has been damaged. In order to reset this, go to Control Panel-> Indexing Options-> Advanced-> button Rebuild
This will rebuild the entire Index from scratch and depending on the amount of documents to be indexed, this could take quite long and degrade your system’s
performance while the Indexer is still busy. I would recommend to have it rebuild itself overnight.

I reinstalled microsoft office and, thus, outlook, and reinstalled mac OS X system and applications. While I managed to delete outlook contacts so that I can re-sync with my blackberry, the contacts at Mac Address Book were not deleted and still have over 340,000 entries. I do not mind deleting all contacts since I have back up, but I have not been able to delete them. Also, when I go at Address Book and try to delete or merge duplicated entries, the system takes forever and never ends because of such large amount of entries. Worse, when I do so I run out of RAM memory.
    My Macbook pro is just 2 months old.
    What should I do? Is there a way to delete my Mac Address Book without having the problem above?

  • Itunes stuck on calendar when sync with outlook 2007

    iTunes get stuck on sync with calendar from outlook 2007 windows 7.  I uninstalled iTunes and reinstalled old version, no change. I updated iphone to 7.1.2 and created a new user on my pc, installed iTunes, told me I was not authorized to sync, and then synced to my other user calendar, not the new user.  When I switch back to the original user and try to sync, it gets stuck again on the calendars.
    All of this worked until a few weeks ago and I did not do any updates to either the iphone, or iTunes until today, BUT Microsoft did a security update to office on 6/12/14 to my pc.
    Does anyone have any advice?  I really need my calendars in sync!!

    I had no problem with 7.6.1 and Outlook syncing, so either Apple is targeting you specifically, or something else changed on your computer. Further, there have been reports that 7.6.1 FIXED some Outlook syncing problems.
    Check the obvious first; is Outlook still the default application for mail, contacts and calendar? (Look in the Outlook options.)
    As the problem occurred when you installed 7.6.1 the next thing to try is to uninstall iTunes completely, then download and install a clean copy. See this tip for removal instructions:

  • Problems with Outlook 2007 and icloud v2.1.1

    I'm a plumber and sparky in the UK and I have been a user of Mobile me for a number of years to sync my Iphone diary with my Outlook 2007 diary since the days when i had an IPhone 3. Effectively this allows me to be updated with new or cancelled appointments whilst i'm out and about working and when i finish a job i update my iphone diary which in turn updates my outlook diary and my wife, who runs the office, can then invoice based on what i have updated. All worked well until recently. Then along came Icloud and mobile me was no more. The first version of Icloud control panel worked just the same as Mobileme control panel and we had no problems then version 2.1.1 came out and suddenly strange things started to happen. Firstly the curser would not highlight, on Outlook, any details to allow us to format or copy text. Then the notes section would no longer print if these notes were updated or changed on the pc although they would if they were updated on the iphone.
    I contacted Microsoft about the issue and was told that as my software was more than 90 day old i would have to pay for suppor so i declined their kind offer and then called Apple where i spoke with a very nice support lady who had never encountered this problem before. I told her that i had tried all the usual things like "repair " the Outlook installation and  deleting bits from the registry file, a forum had what to do, but still the problem persisted. She then told me that i should uninstall Icloud Control panel and then re-install it which i did and bingo suddenly it appeared to work correctly however when i merged the icloud diary with the diary on my pc the problem came back.
    The reason i'm writing this is to say that i managed to find the first version of Icloud control panel in my download folder so i unistalled version 2.1.1 and installed version 1.0.0 and my system is back up and running correctly.  so if you're haveing a similar problem go back to an earlier version of the control panel, when it did work, and you should be ok. For the apple people who read through these posting please sort this bug out before the next update as if the problem returns when i do an update in a few months time i may well scream.
    I run Outlook 2007 on a windown 7 PC that's a good 3 years old. My Iphone is an Iphone 4 running iOS5

    We are trying to roll out outlook 2007 together with outlook connector 7.2u1 at patch level 125361-03. Installation goes ok. But we have a major problem with Calendars.
    Having used Sun Mail & Calendar for years our users subscribe to a number of calendars, these show up in outlook in the left hand pane and are selectable to view, which syncs the calendar into outlook - all well and good.
    Now the major problem, when syncing another persons calendar to view availability etc, all the reminders get sent to the user viewing the calendar as well as going to the owner - where we have users that subscribe to around 20-30 calendars thats alot of other peoples reminders that pop up on the screen !
    Any help greatfully received.

  • Error "you cannot copy an enterprise vault shortcut" in outlook 2007 calendar

    I am trying to copy a meeting from a calendar in outlook 2007 that my co-worker has shared with me over to my calendar. I used to be able to just drag and drop it on my calendar and it would make a copy. Now every time I try to copy anything I get this
    error "you cannot copy an enterprise vault shortcut" you can restore the item and then copy the restored item. Why am I getting this and how can I stop it or even how can I "restore" the item and get around it.

    I have been syncing calendar and contacts on my iPhone 5 and Outlook 2007 using iCloud  2.1.3 (my PC is running Vista). All was well until the events I entered on the phone were showing up in Outlook, but not the other way around. I’ve tried the usual recommended steps: deselecting calendar and contacts in the iCloud control panel and then re-selecting, signing out of the panel and back in, and repairing the Outlook installation in control panel.  I even uninstalled iCloud on the PC and downloaded it again (same version). 
    The furthest I’ve gotten is step 2 (and once, step 3) of 7 while performing “Outlook Setup For iCloud.” At that point I get, “Your setup couldn’t be started because of an unexpected error.”  After the first attempt at all this, all my calendar events disappeared from Outlook, although they are still in iCloud calendar and on my phone.
    Sound familiar?  Any ideas on how to solve this iCloud/Outlook issue?  Thanks much in advance!

  • Floating fields and fragment subforms in Outlook 2007 do not display correctly

    I'm using LCES Forms 8.0 Update 1 to render a non-interactive HTML forms using dynamic content (customer info). The email appears ok in clients except in Outlook 2007.
    The Floating text and Text Fields appear multiple times on the form (scattered around their placement point on the form) and the subform fragments are appearing with borders surrounding them.
    I have heard that there are issues with Outlook 2007 not displaying HTML correctly. Is there a way to setup the Text Fields/Subforms in Designer so they display correctly in Outlook 2007?

    Create a new profile as a test to check if your current profile is causing the problems.

    There may be extensions and plugins installed by default in a new profile, so check that in "Tools > Add-ons > Extensions & Plugins" in case there are still problems.
    If the new profile works then you can transfer some files from the old profile to that new profile, but be careful not to copy corrupted files.

  • Outlook 2007 won't open .pst file from Outlook 2000

    I have been using Outlook 2000 for 10 years and hit the 2GB limit. As a result, Outlook 2000 would not open mail and did not permit me to delete mail to clear space.
    I’d been meaning to install my Office 2007 and this seemed like the time to do so. Once installed, I attempted to open my 2 GB PST file in Outlook 2007. No luck.
    Messages: “The message interface has returned an unknown error. If the problem persists, restart Outlook.” And “Cannot display information. There is either a problem connecting to the server or an error has occurred.”
    Researching on the Web, I found Microsoft guidance that I could create a new data file and import the old (ANSI) .PST file into this new (Unicode) .PST file. When I did
    that, during the Import, I encountered another error message: “The file has reached its maximum size. (Followed by two unhelpful sentences – can’t be imported).”
    OK, I think, I have to reduce the size of that file. Research yields Microsoft’s “oversized PST and PST crop tool.”

    scanpst.exe tool, which is included with Office.
    Another error: scanpst.exe will not complete its scan. I receive a mysterious error message with no indication what the exact problem is. I created multiple versions
    of the truncated .PST file, each smaller than the last, so that the smallest was 1.7 GB. Still errors with scanpst.exe and ultimately no luck.
    I have spent more than 10 hours trying to solve this problem and am at wit’s end. I’m a freelance writer, and it’s costing me money. What’s worse,
    info on projects I’m supposed to be working on are locked in that PST file! All data is stored locally on a Dell laptop with Windows 7.

    Fifteen hours later, I was back in business, having upgraded from Outlook 2000 to Outlook 2007, a process one would expect to take a half-hour tops. I'm no IT pro, but
    I am pretty accomplished at fixing problems. This one seemed beyond my reach, as neither of the utilities Microsoft recommended to address the issue, the truncation tool and scanpst.exe, worked -- what a surprise! I engaged a local technician to diagnose the
    problem remotely, and over a course of four hours he fixed it using a third-party program called "Outlook Recovery Toolbox." I'd actually downloaded that tool and fooled around a bit, but didn't use it for a full scan as I think that required a purchase, and
    who knows if it's malware or what. Well, it worked.
    So 15 hours lost. That cost me hundreds of dollars as I am self-employed, plus I have a $150 bill from the technician, which is more than fair for his two hours of labor
    (the extra two hours were scanning and importing time). Again, Microsoft managed to turn into an epic ordeal what the consumer expects to be a straightforward upgrade process.
    Now I have Outlook 2007, oh boy! The first thing I notice is the inflexible mail header above the message body. WTF is that supposed to be? Who was the Einstein who thought
    that up? It renders USELESS like an inch of real estate right in the center of the screen! I find that it can be hidden (not, of course, with a simple, convenient and sensible right click ... oh NOOOO ... but through multi-click options available in the toolbar).
    (For background, Outlook 2000 did not have that inflexible mail header -- the header info (subject, date, sender, CC) was part of the email, so if you scrolled down the
    email, the header went with it and made the best possible use of available space).
    Now here's a twist -- Outlook does not show, in your list of emails, whether an email has an attachment if the email was sent via Lotus Notes. That was a glitch in 2000,
    and one I would expect to have been resolved in 2007. BUT NO. So, just moments ago, I have an email/meeting invitation sent from a client using Lotus Notes. Even though I had told Outlook to hide headers, it disobeyed me ... 
    why? Because this was a "meeting invite" email, offering me options, in that stupid inflexible header, to Accept, Decline, Propose New Time, & etc. Well, those options only increased the size of that inflexible header, so that the visible area of
    the email WAS LESS THAN ONE INCH HIGH. Yes, I can adjust it -- how very productive!
    These two Microsoft glitches / manifestations of poor design -- no alerting to attachments from Lotus clients and that horrid header -- very nearly conspired to cause
    me to miss a critical attachment displayed only at the very bottom of the email. The document attached needs to be read and commented before the meeting, and only by the grace of God did I happen to scroll, IN THAT 3/4 INCH MAIL WINDOW, to the bottom and happen
    to spot said critical attachment.
    Do I expect anything more from Microsoft ... other than more grief and stupidity? Sadly, I do not. It is my misfortune in life to have to use Microsoft Word on a daily
    basis, as I have for the past 10 years.
    Before that, I used WordPerfect and what a wonderful program it was! I recall using WordPerfect to write and design one lovely graphical document in particular that earned
    me an A+ in class. WordPerfect was so easy and powerful, with virtually no hassles—just gratification. Is it better to have loved (WordPerfect) and lost, than to have never loved at all?
    Unfortunately, since all my clients use Word, I have to as well. Frankly, and I hope this isn’t against board rules, I am merely speaking the truth as I see it—Microsoft
    Word is an utterly wretched application that has caused me untold grief and aggravation. Bulleting, text boxes, fickle fonts, the list is very, very long …. But it only gets worse!!!
    The whole .doc .vs 
    docx is a complete debacle; the “Compatibility Pack” is a cruel joke. If I use Word 2000 on .docx documents, here are some of the inconveniences and frustrations that I encounter:
    Bulleting function grayed out
    Spelling errors not highlighted
    Additional linespaces introduced into printed documents
    Mysterious transposition of bold, italics and underlining
    Inability to work with text boxes (“Error! Reference source not found!”)
    Track Changes not accurately recorded
    These are not incidental issues. I’m a spelling bee champion, but unless the spelling highlight function works, I am bound to have a typo or two in a 20-page document.
    This affects the quality of my work and my livelihood.
    To make matters worse, my Windows 7 often won’t find .docx documents. If I had worked on a .docx document something four months that I recall included the word
    “Rumplestiltskin,” the Windows 7 Find function should locate it, but it does not. 
    I could go on and on. How about the dismal wireless connectivity in Window 7, vs. XP, which was virtually flawless. But I’m trying to catch up on the 15 hours that I lost yesterday thanks to Microsoft’s
    awful Outlook troubleshooting and upgrade functionality.

  • I have a problem with syncing my calander with outlook 2007 for iPhone 5s, ipad 1st and 3rd generation. Contacts work find, and new and changed enteries in outlook all go to the devices. Device Cal changes do not appear in Outlook

    Over the past year or so, I have been unable to fully sync my iPads with outlook 2007 calander. Now I have an iPhone 5s, and really need the calander fixed. Contacts seem to sync in both directions, and any new or changed cal enteries in outlook appear on the device. The problem is that any new or changed calander enteries do not make ip back to outlook 2007, so there is only one-way syncing (down to the device) but no return, for calander entries.
    I am now using the latest itunes, which I followed the recommendation delete all apple stuff, and then reinstall, I have used scanpst, built new PSts, etc, am I am stuck.
    Not using icloud either.
    Not using wi-fi, purely USB cabale sync
    Running on Windows XP, SP3
    Now IOS 7.0.2 on iPhone and 1 iPad (3rd gen)

    Bottom line: if you follow the recommendation to delte all itunes software and re-install, it don't work (at least for me and many others).
    However, purge the data (certain data) and the data syncs.
    I think the folder is Apple Computer\Preferences and it needs to be purged.
    To be sure, maybe someone can rename the folder on their system, then run itunes and see if it syncs ok.
    The idea is to figure out the least minimum stuff that needs to be touched in order to get a working solution than having to purge all Apple software and then rebuild it all over again.
    I had purged other files out of inpatience, but did not want to purge entire folders because I had Safari, and Quicktime software, and did not want to wipe that out, Plus there were software downloads and device backups in some of those folders. But I really believe it is the preferences folder, and I would like someone with the same problem to try it and verify it.
    Once the preferences folder is removed/renamed (taken out of the picture) pluggin in the device and go to the INFO (I think that is the iTunes tab) page where you select calanders, contacts, email accounts, etc. They will all be unchecked (because you wiped out the preferences) and you need to reselect them. Then run your sync.
    What I had done in testing was create something on the device, and modify something else on the device looking to see what got up to Outlook. I got the good news that something good was happening when I got the conflict message from iTunes, and it showed both Outlook and iPhone, showing the calander entry I changed on the iPhone. Never got that before. After the sync, everything looked good the few test entries were uploaded to outlook.
    Now, My Cal is 10L+ enteries, and I am doing 100% sync (I don't select the option to ignore enteries over x days). I also have 1400+ contacts. Before this change, the sync of contacts & calanders took a couple of hours (and only operated ONE-WAY, now the syn is taking less than 5 minutes for this one step.
    I am a Windows XP Professional user, x32 bit system, using Outlook 2007, iTunes 11.1.1.11, I am standalone (no exchange server) and have about 10 email accounts (mainly POP) defined. I am using only one calander in outlook, but I have Outlook and 2 gmail calanders in the iPhone.
    I am running iPhone 5s and iPad 3rd Gen both with IOS 7.0.2 and a 1st generation iPad with the latest version of IOS 5.x.
    If anyone else has success, I'd like to hear, along with your experience.

  • Is this a bug of Outlook 2007 about images displaying in signature?

    I've done many tests and researched on website or MS KB. But still got no solution.
    My issue is:
    I make a signature with images linking from website which can be easily accessed.
    I setup this signature in Outlook 2007, when I compose a new mail, and choose the signature I set. It won't show the images with a high percentage rate, meanwhile, I try to get into "Signature"-"Signature...", 
    Outlook2007 gets stuck, then you can not close Outlook or open Internet Explorer unless you kill the process of OUTLOOK.exe.
    1. Test are done under a clean XP system and Office 2007 standard fresh installed. Also there are some other staffs who help me test the signature that report the same issue on Office 2007.
    2. Images are rendered in 96dpi. They are all in very small size stored on website, can be easily accessed without network connctivity problem.
    3. The signature is made by simple HTML language not by Outlook signature setup wizard. but in this case,  you can ignore which method I use to create the signature. The images in signature can be displayed well in Outlook 2003 &
    2010. Also I have tried insert images using "link to file" in Outlook signature setup wizard, got same issue.
    4. Don't suggest me to store the images locally. These images should be updated after a period. You can not ask the company staffs to update these images manually by themselves. and even if the images are stored locally, the images won't be shown
    in Outlook 2007 with a high percentage rate.
    5. I've tried setup signature with or without an account profile, got same issue.
    6. I 've tried without an accout profile, just copy the signature file to Outlook signature folder, unplug the network cable, and "new mail" then load the signature, of course, the images won't be shown because network connection doesn't exist,
    and then when I try to get into "Signature"-"Signature...",  the Outlook interface also gets stuck. So I think Outlook 2007 may have some problem on detecting the network connectivity.
    7. It is not possible to upgrate the version of Office. Since Office 2007 isn't out of date and is powerful enough for us, no one want to pay more money just to avoid this issue.
    I don't know why I cannot upload a screenshot for troubleshooting. If needed. I can send a mail with screenshot attached.
    So far to now, I still get no solution, I think this is a bug of Outlook 2007, because the same signature, there is no problem on Outlook 2003 & 2010. Hope someone of MS staff can see this article and report to technical support center.
    I would appriciate anyone's kindly help but please consider that you understand what I am talking about. I don't want to waste time for each of us.

    How do you add the image into the message body when you send the message?
    Does it show correct through Web-based access?

    Thanks for your reply,  I know that some Style Elements won't be supported in Outlook, but this is not the reason.

  • Synching Centro with Outlook 2007/Vista Problems

    I hope someone can help me.
    When first set up, I had no problems synching Outlook 2007 with my Centro.  All of a sudden, the phone would complete the synch but the computer would get stuck at 12 of 12 because it stopped responding.  I would then have to manually terminate Hot Synch.  Also, I would only get one synch per restart after that they could not connect.
    Now, both will appear to synch as above but no data exchanges so there is no synching.  They are connected via USB.

    What version of palm desktop are you using?
    Also can you post a copy of your latest hotsync log?
    Are you with Verizon?

  • Error when syncing iPhone with Outlook 2007 since updating iPhone to 1.1.2

    Since updating to 1.1.2 I receive this message "OutlookSyncClient has stopped working". I am running Vista Business with Outlook 2007. Prior to updating to 1.1.2 I had no issues. I have tested this running iTunes 7.4.3.1 and 7.5.0.20. My contacts sync with no issues, only my calendar does not work. Has anyone else ran into this issue and have you found a resolution/work around?

  • Cannot synchronize my BlackBerry Z10 with Outlook 2007 on my Windows 7 Computer

    Z 10 Sync to Outlook I cannot sync, despite my best efforts, my BlackBerry z10 with my calendar on my Outlook 2007 on my Windows 7 computer. I am not such a blithering **bleep** that I cannot figure out to, and I have already done, the following: 1, make sure I have an updated BlackBerry Link software; 2, Hook up my phone to the computer and select the device; 3, select "Microsoft Outlook" as account type. 4. Select "calendar" The process seems to start out fine, and then I get a "Sync was unsuccessful" message. I am thinking of getting a web- based work around, by synchronizing Outlook with Google Jacaranda maybe, and then synchronizing it that way, but that uses data. I should be able to use default settings and simply use BlackBerry Link software and the cord that comes with my phone.

  • Please Help... Sync BB8900 with Outlook 2007 and Vista.

    I have trawled the web looking for an answer to this question and can't find any answers, please can somebody help me !!!
    I have owned my 8900 Curve for about 2 months and love it, I used to sync it with my old computer running Windows XP and Outlook 2007 and had no problems.Unfortunately that computer died and I have upgraded to a new PC unning Windows Vista, my problem is this... When I try to set up the sync options for my calendar,contacts etc I don't get the option to sync it with Outlook, I only get the option to sync it with
    1... ASC II Importer/exporter
    2...Yahoo.
    I rely heavily on my BB being up to date and without this function may as well go back to my old PDA.
    I have tried re-installing Desktop Manager a few times and even downloading older versions of it to see if this fixes my problem, all to no avail.
    Please,Please can somebody help.

     A friendly tip as this is your first thread, The User who suggested that has 4 more posts than you. He is new to the forum as well.
     What worked for his problem, might not work for yours, in this case it wouldn't have affected it at all. When you get stuck or need some
    research go to the upper left hand corner where the grey search box is. Type on keyword for your problem, I would put vista outlook 2007
    desktop, to start. You will see the history of the problems reading those subjects. You will see green resolution marked on most
    Follow those resolved threads and see how it relates to yours, and how it was resolved in the past.  Be sure to write your search results in  you thread other users can then see what you've tried and found and help you quicker
    As you get more experience you will get good use from the Support and Services grey tab at the top of the page.

     I need some specifics on your Vista OS 32 or 64 bit?What version of desktop manage have you tried, removed reinstalled etc.?
    Okay flesh things out a little, you installed desktop manager with full access rights as an administer on Vista,correct?
    The installation was error free?
    You setup the   your email and when you went to configure the synchronization options, you had what options, I know
    you didn't have Outlook.
    What steps did you try to resolve the problem? 
    Did you change any settings in Outlook, review the desktop setup in the manual?
    How far did you get on article I left you regarding MS Outlook tips?

    Regarding the clean procedure post, The first part of the procedure states:
    "To install BlackBerry Desktop Software on a Windows® based computer that
    had a previous version of BlackBerry Desktop Software installed,
    complete the five tasks outlined below. These tasks should also be
    completed if the BlackBerry Desktop Software installation or
    uninstallation procedures did not complete successfully."
    Going on, it explains and shows how to make sure all the registry entries, program files and remnants , along with file traces
    were made In Vista and are completely removed. A lot of desktop manager issues especially in the Vista OS can be traced to old
    registrations made by a previous DM installation.
    Please let me know what parts are not clear.
