Table of contents: wrong sequence of items

In my document (no Book feature used), each section begins with two headings: first Paragraph Style 1, then Paragraph Style 2. In the TOC, I need the arrangement the other way round: Paragraph Style 2 above, followed by Paragraph Style 1 below.
However, in the generated TOC the headings appear in the same order as in each section. Has anybody an idea what is going wrong?

In a case like this you might need to "trick" ID into doing what you want. You can do that by adding some sort of non-printing frame (put it on a non-printing layer, set the attributes to non-printing, or make the text invisible by setting the fill to [None], the last being the worst choice) with one of the titles. If it's on the same layer, it can be anchored in the text flow so it moves with the rest of the text during editing. Add the title you want to list out of order to that frame using a unique style, not the one used in the running text, and indclude that style inthe TOC instead of the one from the running text. This will allow you to position the frames correctly relative to each other to get your titles into the correct order, but it is a pain.
When I do non-printing stuff like this I like to make it really obvious in layout view, so I usually use red text. It can be easy to forget that there is something invisible if you don't see it, and the next guy doing the editing will also appreciate it if you don't hide stuff.

    Hi there,
    Can anyone help me out with this issue? I have a table of contents set up here, but the subtitles are showing above the Chapter titles instead of below.
    I given them the appropriate levels-Units(level1), Chapters(level2), Subtitles (level3). So I'm not sure why they are appearing in the wrong order. For example, 4.1 should be right under Chapter 4 before 4.2.

  • Find/Change Item Numbers and create Table of Contents

    Hello! I need help to find all my item numbers and apply a paragraph style to it so I can use them to create a Table of Contents page.
    Sample item numbers
    #12345
    #12345-5
    #12345-20
    #12345-ABC
    #12345/N
    I tried entering #^?^?^?^?^? on the Find/Change box and but this will find exactly the 5 characters after the # sign. I wonder if you can find all characters starting with # and until the last characters.
    Once I find all the item numbers, how can I apply the paragraph style for only those characters after the # sign? Because I only want to show the item numbers without the # sign on the Table of contents/Index page.
    By the way, I have InDesign CS2 which have no GREP function Maybe I can do this without the GREP?

    You actually have two problems here. The first is to assign the paragraph style. For that you can use GREP.
    Find #\d+ and leave the change field blank, but in the change formatting pick the paragraph style. Stricly speaking you only need to find #\d or even just # because a paragraph style applies to an entire paragraph, so assigning it to any character inthe paragraph will assign it to the entire paragraph.
    Which is your second problem. The TOC is based on paragraph styles and will include all of the text in each paragraph (up to the character limit for a TOC entry, which I think is 256 characters). You can't make a TOC and only use some of the paragraph. For that you need to use an index, or you need to make hidden or non-pinting frames with only the exact text you want in the TOC and assign a unique style to those.
    It's also possible someone has written (or could write) a script that can find text strings that match a pattern such as your numers, assign a character style to them (you could actually do that part in the paragraph style by adding a nested GREP style), then making a list of the text strings along with the page number on which they appear -- almost the same as an index except it would be based on character style, not an index marker.

  • Table of contents not showing items before it

    I have a document which has to follow a strict format. It must have pages in the following order:
    Cover page
    Title page
    Acknowledgements
    Table of contents
    Various other stuff
    I've set up a table of contents and it's working fine, except it isn't showing items that appear before it. All I want is for the Acknowledgements page (which is immediately before the TOC) to show up in the TOC, but I can't get it to work.
    Is this just a limitation of Pages? Does the TOC only ever show items that appear after it?

    Unfortunately for you, according to the Pages '09 User Guide, Chapter 3 Using Table Of Contents says the following:
    Creating and Updating a Table of Contents
    Each table of contents (TOC) you create using a Word Processing template lists only the content that follows it, up until the next table of contents. If you want a master table of contents for the entire document, it must be the only table of contents, and it must be at the beginning of the document.

  • Include Master Page Items in Table of Contents

    I am building a table of contents in InDesign CS3. I've got paragraph style applied to my section heading and well as section subheadings. However, my sections headings are located on Master Pages (as they are repeating on several pages), and my section subheadings are located directly on the pages themselves (as they do not repeat).
    When I set up my table of contents only my section subheadings show up, not both. When I go to a page with a section heading and override the master page item and then update my table of contents my section header shows up. Is there any way to include my secion headers without overriding the master page items?

    It sounds like you might not be working in a Workspace that display Full Menus.
    Try the following: Window > Workspace > Show Full Menus.

  • Table of Contents displays in wrong order

    I created and generated a Table of Contents, and am having a weird issue.   It's a 19-page document, and Table of Contents is set to display Headings 1 and 2.  Everything went fine, except that on one page the Heading 1 on top of the page displays in the Table of Contents below the Heading 1 level below it - i.e., they're in the wrong order!  
    So, on the page its -
    9       Text
    10     Text
    But on the Table of Contents it returns -
    10     Text
    9       Text
    Any ideas about why it might be doing this?

    It can't be! If "9. Text" and "10. Text" use the same list for auto-numbering and "10" is below "9" on the same page, Indesign can't generate such, unless you don't copy the numbering to the TOC and instead add numbering via TOC style. Check your TOC style settings.

  • Bug or am I doing it wrong? (Table of Contents)

    One table of contents works fine for my thesis, but then I try to add a list of figures. I insert the table of contents, the instant that I change anything about it in the Inspector, the first table of contents gets changed too. I can't figure out how to disjoin them, they are obviously two different objects, but the Inspector seems not to be able to tell them apart.

    Pages appears to allow a single, unified TOC. I think Apple Feedback would be a good place to go to ask to include a feature that allows separate list for tables, figures, charts, etc.

  • Word to PDF does not keep hyperlinks in Table of Contents ?

    I have used my free trial of Adobe CreatePDF before purchasing the annual subscription.
    I was surprised to see that the PDF document did not keep the clickable hyperlinks that Word uses in a Table of Contents. As this is the exact same behaviour as the "Save as PDF ..." option that I have natively available on my computer I don't see the point of paying a subscription to the service. Or am I doing something wrong?

    Am I missing something or is this the way it is intended (not) to work?
    P.S.: I know that, on the MAC, I can use Preview to manipulate the PDF document I obtain through "Print..." > "Save as PDF...". One of the things I can do is to select the page numbers in the Table of Contents and add a 'link' to each. But this is a VERY cumbersome process. Actually, I have to create a link for each page number, one at a time, on a table of contents that may consist of in excess of 50 entries. As I have a collection of 50-odd documents and am on a schedule of distributing new versions every two weeks or so, this procedure is completely unusable. Hence my search for a (paid) service that converts my documents while preserving the hyperlinks of the Word-created Table of Contents. Either I am doing something wrong or such service does simply not exist ...

    You are correct in that the workflow you described will not produce links in the resulting PDF files.  The steps that Lori outlined work great if you're working on Office for Windows in terms of getting the links to work when converting using the CreatePDF service. 
    In order to make this work on the Mac, you'll have to take a few extra steps within Office first.
    You're going to have to repeat this step for each item in your TOC.  While this will be time-consuming for a 150-page document, it will work.
    Within your TOC, highlight the entire entry listing (e.g. Topic 1.........3)
    Once the entire line is highlighted, choose Insert > Hyperlink
    Click 'Document' to select a location within the current document.
    Under the 'Anchor' option, either type in the Heading/Sub-heading (must be exact) of the page you want the hyperlink to attach to or click 'Locate' and find the proper Heading/Sub-heading within the structure.
    As I said, this will probably be time-consuming on such a large document, but it will work. 
    Unfortunately Office for Mac just simply isn't as full-featured as its Windows counterpart.

  • I can't get the page numbers in my table of contents to update when I update the book.

    I'm using Framemaker 11 and I have two TOCs in my book: one in English and one in French. Each TOC links to different documents in the same book. The reference page for each TOC is set and correctly displays the heading 1 and 2 I've told it to display, but the numbers do not update when the content in my document files changes to a different page. I've checked the conditional text settings in my document files; they are correct. When I update the book, I choose to update Numbering, All Cross-References, All Text Insets, OLE Links, Generate Table of Contents, Lists, and Indexes. What am I doing wrong? Thanks.

    I just tested this out and saw the same result as Rick - a book with child books ignores all generated files within the child books. This applies to adding content from them (e.g. their titles) to actually including them in the output. This applies to all versions of FM since v.9!
    However, there is a workaround for this. You need to use the hierarchical book structure in the parent book and create Folders for each book that you want to add. Then manually add the generated files (TOC, IX, List of..., etc.) and book to the respective folder. This is what it looks like for two child books in a parent book:
    Note that the child book generated files (TOC, IOR) show as just regular files at this point in the parent book. To get the page numbering to be continuous throughout the parent book, you will need to make a couple of passes. First set folder, files and books to have the Numbering continue from the previous (if you want all sequential page numbers). This will set the page numbers correctly except for what they were in the respective book TOCs. You will need to use the starting page number of the child TOC files in each folder (it shows in the Book status bar when click on the TOC file in the master/parent book).
    To set the individual book TOCs to be correct in the parent book, open the child book and set the TOC Numbering to start at the page stated in the parent book (status bar). Now update the child book to set the correct (parent book) page numbers in the child TOC. [This is a necessary manual step, as the page number assigned in the parent book is ignored when th child book is individually updated and FM uses 1 to start off the sequence in the child book.]  Repeat for each child book in the master/parent book.
    The final step is to Update the parent book and create the PDF. You should now have all of the files included in the PDF and the child TOCs should show the correct page numbers of the master book.
    This whole process of books within books seems a bit borked and one shouldn't have to be jumping through hoops to include child generated files. Please report this as a bug via: https://bugbase.adobe.com/index.cfm

  • Table of Contents - Styles not ordering as I want them to

    Hi
    This has been driving me crazy! Hopefully someone can help. I have set up a table of contents with 3 styles as so:
    1. Chapter heading
         2. Page title (with page number)
              3. Sub or item headings (from each page where relevant)
    However the "item" headings Keep appearing on the line above the page heading. I want them to appear after/below so they clearly illustrate the fact that those are items on that particular page. As far as I can tell I have nothing  ticked or checked in the TOC paragraph styles that shouldn't be.
    Below is a screenshot of the TOC's where I've marked examples of how this is appearing. Only marked a few but oviously this continues through the list.
    If anyone could explain where I'm going wrong it would be most appreciated.... My deadline is looming!

    Thank you so much for this. That's worked!
    I had the page titles on the top right of each page (see attached). I've just run through the deck and moved all page titles to the left and now it works. You're a godsend!
    For future reference though, is there any way around this? I often work with architectural drawings inserted into the pages and the books are often bound on the left edge so, to me, it feels more easy on the eye to have the page title top right. I also thought that the heirarchy in the TOC's "Include Paragraph Style" Pane would govern this regardless of it's placement on the page.
    Either way, thanks for your help. First time using the forum and I'm very impressed.

  • Table of Content Help - Anchored Objects/Listing Order

    For the love of god this is extremely frustrating.   I have been searching for literally hours trying to find the solution.
    I have a large document, linked frames from page 1 through page 44 for example.
    On many pages I have figures, and using an incrementing paragraph style, these figure captions are numbered sequentially.
    When generating a table of contents, any figures that are in the main linked frames are created in the proper order.
    My issue is that on a few pages, I have figures inside anchored objects - basically an anchored text frame with a picture and the figure label text using my paragraph style.
    These anchored objects are not being put in the table of contents in the proper order - they are being added to the end of the toc!  Indesign should be smart enough to add items on the page in the proper order - be it the main frame or an anchored one!
    For example
    Figure 1 - page 1
    Figure 2 - page 1
    Figure 3 - page 2
    Figure 5 - Page 3
    Figure 4 - Page 2 <<< huh?
    Any assistance would be GREATLY appreciated.

    After looking at this a bit more, this may or may not work so we might need to get dirty on this one .....................

    Looking at Page 7, it should be obvious that we can add additional deatils to the reports, including cover pages.
    Though, after looking at Page 8, I think I may have you slightly in the wrong direction. toc-template appears to simply cover the commands for the table of contents and there is another template to control everything. But is that file visible to edit?
    If you run FRConfig.cmd, you can find more clues.
    Go to the MBeans tab, expand com.hyperion, then expand Financial Reporting, and Attributes.
    The two attributes that immeidately jump out are TextPrintTemplate and BookTOCPrintTemplate
    - TextPrintTemplate is the FR_TextTemplate.doc file in <<EPM_ORACLE_INSTANCE>>/products/FinancialReporting/bin/ folder
    - BookTOCPrintTemplate is the toc-template.rtf file previously discussed.
    Once again, though, the other template exposed to us is most likely just driving the content and is not at a high enough definition level for this to work how you want it to.
    I would say to use the example in the PDF and try adding that to the table of contents page before it does all of the loops. Perhaps it will work from there, perhaps not.
    If that doesn't work, Thursday we can attempt to drill into this more.

  • Numbered captions incorrect in Table of Contents

    Hi,
    I am working on a book project and have a page – let's call it the "image page" – with eight images with manually typed descriptions below each. These descriptions sit in Static Captions. The captions also have a sequential numbering (1, 2, 3, 4, ...), which is automatically generated by the caption paragraph style. So far everything works just fine.
    Now I want to collect all of the captures in a Table of Contents, which works great to 99%. However, the ToC scrambles the capture sequence for a few of the 416 pages, such as my "image page". Not only are the captions listed in the wrong order – the numbers (that are correctly paired with the images on the "image page") are also mixed up so that they refer to another caption (from the same page). The ToC is set to exclude numbers, since there are already numbers in the captions.
    The ToC should display the numbering on the "image page" with its corresponding description, and thus look like this ...
    284. AAA
    285. BBB
    286. CCC
    287. DDD
    288. EEE
    289. FFF
    290. GGG
    291. HHH
    ... but instead it looks like this:
    284. AAA
    285.CCC
    286. EEE
    287. GGG
    288. BBB
    289. DDD
    290. FFF
    291. HHH
    ... so if I wanted to look up caption CCC, I would find EEE instead. Problematic.
    In summary:
    The captions on the "image page" are correctly numbered.
    I have checked that the captions have the correct paragraph style so that the ToC can find them (which it does, but scrambled).
    I have tried cutting and re-placing the images and captions in the order that I want them numbered.
    I have updated the ToC several times.
    Why does the ToC change the caption numbering, and how can I fix it? Grateful for any tips and advice!

    Yes, that seems to be the problem. But nonetheless, I still want it to pick up text from left to right first. Is there any way to achieve this (or any other sorting sequence for that part)?
    No panic though. I solved the problem in a not very elegant way, by simply pasting the scrambled ToC into Excel and sorting it ascending.

  • I cannot separate my table of contents by section

    I have been trying to create a table of contents in pages. When I add a new section its supposed to separate the sections out in the table of contents. I should be able to click on each section separately but when I do it will highlight them all. Am I putting a new section in wrong were it is linking the chapters together?

    As far as I know, it should be there always unless the menus themselves have been turned off by someone. Might as well check though.
    1) GO to Edit > Menus (opens Menu Customization)
    2) Select Application Menus from the Category field
    3) Expand "Layout" under Application Menu Command and make sure the Visibility icon is active for the TOC items (at bottom)
    edit: Of course you could also go to Window > Workspace and select reset menus
