Workarounds in Numbers 3.0?

Dear Fellow Numbers 3.0 Users,
In Numbers 3.0, some features have been lost that were in Numbers 2.3. However,  I have seen some creative ideas in this forum for ways to work around the loss of features yet maintaining the functionality.

Autofill has gone. Workaround: enter your most used values into a column. Select  all body cells in that Column and change the Cell format to pop-up. The pop-up will now contain choices for filling in other Rows.
Another workaround could be to use a lookup table of frequently used entries (each with a unique first character). Type the first character of an entry in one Column. The next Column fills in the full entry from a lookup table. After all, is this not how Autofill works?
Example 2:
Numbers 3.0 does not show dates in a Chart. Workaround: convert the dates to a Duration (day or week from the starting time) or even a number to represent time elapsed.
Some workarounds may seem to be clunky, but in Numbers 2 we also need workarounds!
Please keep this thread positive. By now, I think we have heard enough about features and functionality that seem to be lost.

Both of your workarounds for the loss of Print View and Show Layout  are added to the top of the following updated list.
In some language settings, month names (intended to be simply that, names of months) are converted to dates. Workaround: in this thread, https://discussions.apple.com/thread/5484435?start=0&tstart=0 the consensus from users seems to be that date recognition in Numbers 3.0 is a bit too clever. Force the month names to Text Format by typing a single quote (apostrophe, ') before each date name. Or, type a space after each date name.
I can't change the name of an axis in a chart. Workaround: click on the chart to select it, then in Format Inspector > Axis > X or Y > Axis Options > put a tick in Axis Name. From Numbers 3.0 Help: "If you selected an Axis Name checkbox, Numbers adds a placeholder axis name to the chart. To change it, triple-click the name on the chart, then type your own." [I am not sure if this a workaround or a GAIN in Numbers 3.]
From SG: Insert Date menu pick is gone in Numbers 3.0. Workaround: create an Automator Service that retrieves the date and time from the system clock and pastes it into the selected cell in Numbers.  This service can be accessed via Numbers>Services in the menu or can be assigned to a keyboard shortcut.  For details see this thread. Thanks to alexhax and slypix for refinements.
(You may need to remove 'Day of the week' from your "Full" date format in System Preferences>Language & Region for it to give you the desired result.)

Show Print View and Show Layout have gone (update). Workaround hints:
Work out where the pages are in print preview and then draw a line on the side of your Sheet. That line will hold it's position if you make changes to your row heights or add photos etc. It will add pages to your overall sheet, but then just select the page range to print.
Save a modified Numbers file to Numbers '09, make any required print view adjustments there and save. Then open in Numbers 3.0 and see if it prints okay.  You may find that one line spills over to the second page; deleting one blank line may make a second try perfect.  Perhaps the top or bottom margins are smaller than the default size in 3.0.
Menu > View >Show Rulers. Drag Alignment Guides from a ruler to where you want them.  Caution: the rulers and/or Alignment Guides may not be accurate. Try Format Inspector > Arrange > Position (or Size) to see if that works better for you.
Menu > Numbers > Preferences > Rulers > Alignment Guides. That allows you to align objects with *each other* (rather than with the ruler guides). These guides help to align objects left, middle, right, top, bottom.
Select multiple objects, then Format Inspector > Arrange > Align (or Distribute). Also under Menu > Arrange.
When duplicating an object (such as a nicely formatted Table that you want to reuse) select the Table, copy, and before you paste, click on the canvas below or beside. Pasted Table will automatically be aligned with the original.
Menu > File > Print to see the Print Preview. Use the Content Scale slider.
Also, see where you can delete blank rows or columns, or make columns narrower, or drag objects to reduce white space. Not as easy as editing in Print View in Numbers 2, but you are still responsible for (and in charge of) the final look!

Custom Formats no longer available. Workaround: Create a Custom Format in a Numbers 2 document. Save. Then Save As… a copy with a new name so Numbers 3 can't snaffle your original Numbers 2 document. Open the copy in Numbers 3 and the Custom formats will be listed in Format Inspector > Cell > Data Format. The Custom Formats are carried over and they work. Note: copying a custom formatted Cell or Table in Numbers 2, then pasting into Numbers 3 does not work. The Custom cell(s) are pasted as text.
I can't add a shadow to a Table. Workaround: insert a rectangle Shape, Arrange > Send To Back, slide it behind the Table. Use the Alignment Guides to drag and resize the rectangle. Numbers > Preferences > Rulers > Alignment Guides. Turn them on.
Sorting by multiple Columns has gone. Workaround: Add another Column (e.g. D) =A&B&C (or your preferred sort order for Columns). Sort by Column D.
No way to set margins. Workaround: Print the document as PDF. Open the PDF in Preview and use the Cropping Tool to crop out the white space.
Reorganize panel has gone. How do I Sort selected rows? Workaround: copy those rows to a new table, sort, then copy and paste back.
Autocomplete has gone. Workaround: enter your most used values into a column. Select  all body cells in that Column and change the Cell format to pop-up. The pop-up will now contain choices for filling in other Rows. Another workaround could be to use a lookup table of frequently used entries (each with a unique first character). Numbers 3.0 does not show dates in a Scatter Chart. Workaround: convert the dates to a Duration (day or week from the starting time) or even a number to represent time elapsed. The DATEDIF function will help to calculate days (or months or whatever) from the starting date.

    We have Crosstab tab  in which columns grows horizontally and rows too grow vertically. It automatically page breaks when it reached the page layout width.
    My requirement is to number the all the pages in Page N of M format.
    But if we use the special field "PAGE N of M" it doesnot number the horizontal pages  (it can be only be repeated)
    If we use the special field "Horizontal page number"- it number horizontal page number alones.
    Is there any workaround to number the horizontal (virtual)pages also along with the normal pages.
    We tried on various formulas by making use of no.of columns but nothing worked out.
    It would be of great help if someone helps me out in a workaround for numbering all the pages(including the horizontal pages)

    I did try to implement your example to my existing report.
    My current report will always have expanded horizontal pages for two different crosstabs from two different group footers.
    When I attempted to add the {@ Page Header} field/formula to my crosstab Column, it automatically changed to a different database field from my database.
    Have you experienced this before?
    Other then that, the pages seem to be getting counted correctly by the {@Page Number} formula.

    Glad to hear that you found how to edit page headers and footers in Numbers 3.2. I agree that Help in Numbers 3 is woeful. No searchable PDF to download and use offline. All is online (one page at a time) and we need to know the terms we are looking for before we look.

    For printing to paper where layout is important, I use Numbers '09 (Numbers 2.3) with its Print View. But it is orphanware. As the name suggests, there has not been a major overhaul since 2009. With that in mind, it is a useful version to hang onto while we hope and wait (and provide feedback to Apple) for something in future versions of Numbers 3.x to provide better layout capability.
    Indeed, each new update of Numbers 3.x has restored more of the old features while adding new features that are enhancements over Numbers '09. Many of the Numbers 3 enhancements reflect long-awaited wishes through this forum, and were passed on by Numbers Feedback to Apple. So it seems that Apple does take heed of feedback.
    In the meantime, I enjoy the charm of Numbers '09 whilst exploring the new features of Numbers 3.

    Some workarounds are no longer needed, but what amazes me is how many Numbers '09 features (the so-called "lost" features) were not lost; the settings have simply been moved. Moreover, many features such as margin settings carry over with a Numbers '09 document or template into Numbers 3.

  • I just updated to Numbers 3.0.1. In the old version if I started to type a name that was already in the spreadsheet, it would automatically fill it in. That doesn't happen in the new version. What am I missing to get that to happen?

    If you frequently enter repeating values in a column and don't want to type the same text over and over again, instead of just waiting for Apple's updates why not try using an enhanced feature in Numbers 3 that in many (probably most) situations is even better than "auto-complete"?
    Numbers 3 has an enhanced Pop-Up Menu functionality that helps prevent typos or capitalization inconsistencies from creeping in and messing up your data. It is also much more efficient than auto-complete in Numbers for iOS, should you ever want to sync to an iPad or iPhone and do data entry there.
    Pop-Up Menu is much enhanced over what it was in Numbers 2.3, and is easy to set up:
    Select the whole column or range before formatting as Pop-Up Menu and your existing values in that column or range will pre-populate a menu automatically:
    Then you can remove the values you don't want in the list, such as the column header (and possibly some previous spelling errors too!):
    And after this easy one-time setup all you have to do thereafter is to choose from the pop-up list when you add rows:

    Select the portion of the table you want to print. Copy.
    Open Preview.
    Go File (menu) > New from Clipboard (or press command-N)
    Print the resulting PDF document in Preview.

    Numbers > File > Print… shows Print Preview.
    Click on the Print… button bottom right.
    You will see the print dialogue box. Choose which pages to print.

    Regarding your question:
    That behavior, now called "autocomplete text in cells", has disappeared from Numbers 3.0 but Apple says it will reintroduce it sometime within the next six months.

    Before I upgraded to new Numbers yesterday 24/10/2013 it was possible to have auto complete suggest words
    previously typed in cells. This feature does not seem to exist in the latest version of numbers

    Apple seems to be actively developing iWorks apps again after a long hiatus. The big push has been to make the apps work well with both Macs and iOS devices, something that MS has not been able to match. The tradeoff so far has been elimination of some features that are hard to implement in iOS. Apple has announced in this support document that auto-complete and several other features will be reintroduced, however.
    But even after "auto-complete" is brought back you might want to consider formatting the cells in the column as Pop-Up Menu if you frequently enter repeating values in a column and don't want to type the same text over and over again.
    In many situations, particularly if you want to avoid typos or capitalization inconsistencies creeping in and messing up your data, Pop-Up Menu is better than "auto-complete." It is much enhanced over what it was in Numbers 2.3, and is easy to set up:

    Also, auto-complete is not as good a choice as Pop-Up Menu even for keyboard-intensive work on the Mac if you've got numerous hard-to-spell values, particularly if some are capitalized and some not, where the capitalization can be significant. The Pop-Up Menu approach, unlike auto-complete, eliminates spelling inconsistencies or lack of capitalization when there should be capitalization, etc.

  • Extra words added to sheet names on Numbers files when I open them at work, why?

    Everytime I email a Numbers Spreadsheet as an Excel file to myself, when I open it on my work computer, EVERY ONE of the sheets at the bottom adds "Table 1" to it.  For example, the sheet may say, "May 2011".  When I email it to myself and open it, it then says, "May 2011 Table 1" .  If I email it again from my iPad2 then it would say "May 2011 Table 1 Table 1".  Obviously I have to keep going back and renaming each sheet b/c it gets so insanely long after a few emails. 
    Any help on either of these questions would be greatly apprecatied!  Thanks!

    When exporting to Excel, the Excel worksheets are named with the Numbers sheet and table names.  So, if you have a Numbers document with a sheet called May 2011 and that sheet has a single table called Table 1, the resulting Excel worksheet becomes May 2011 - Table 1.
    When importing an Excel Spreadsheet into Numbers, Numbers creates a sheet from the Excel worksheet and creates a table (Table 1) for the data. So an Excel worksheet called May 2011 - Table 1 will result in a Numbers sheet called May 2011 - Table 1 and in that sheet will be a Table 1.
    That's what you are seeing and there is no workaround.  Numbers and Excel are not structured the same. Import and export are not one-to-one processes.  Importing and exporting back and forth is not recommended for any proprietary format, be it spreadsheets, word processing documents, CAD files, or whatever.  It is better to use an application that natively supports the chosen format. In other words, use Numbers exclusively or use Excel and/or its clones exclusively.

  • Before downloading latest number update, words/numbers were auto memorised and suggested as soon as you started  to type a word or number. This no longer happens. How do i switch this facility back on? Thanks

    Before downloading the latest update I was able to insert part of the word or number and a suggestion was automatically created if I had used that word before. This no longer happens. How do I reinstate this preference?

  • Numbers autofill?

    Earlier versions of Numbers would auto-fill (start to eneter a word and it would be completed). 3.0 won't auto-fill.  Is there a way to turn this fuction on again?

    Apple will reintroduce "auto-complete text in cells" sometime in the next few months.  But even after it is brought back you might want to consider formatting the cells in the column as Pop-Up Menu if you frequently enter repeating values in a column and don't want to type the same text over and over again.
    In many situations, particularly if you want to avoid typos creeping in and messing up your data, Pop-Up Menu has clear advantages over "autocomplete." It is much enhanced over what it was in Numbers 2.3, and is easy to set up:
    Select the whole column or range before formatting as Pop-Up Menu and your existing values in that column or range will pre-populate a menu automatically:
    Then you can remove the values you don't want in the list, such as the column header (and possibly some previous spelling errors too!):
    And after this easy one-time setup all you have to do thereafter is to choose from the pop-up list when you add rows:

  • Page Breaks?

    I'm hoping to switch from Excel to Numbers, but there's one problem that might be a killer: page breaks. I often need to print long tables -- one page wide but sometimes 20 pages high, and I need to be able to fine tune the page breaks. For example, if a cell contains text meant as a title for the section of the table underneath it, it shouldn't be left hanging alone at the end of a page. In Excel this is easy -- you can go to Page Break Preview and just slide the blue divider lines until the breaks are where you want them.
    Is there a similar function or possibly a workaround in Numbers?

    I had the exact same problem, my document was one page wide and just five or six in length and I couldn't see how to put in a page break a la Excel.
    My spreadsheet was made up of around ten sections with their own column headers. First off I took the easy way out and added rows to force the sections to align with the appropriate page break.
    But, there had to be a better way? So I started from scratch and turned each of my original ten sections into their own table in Numbers. Now I have one sheet with ten tables doing exactly what I had in Excel.
    Not wishing to be flamed I'd say my new sheet in Numbers is better than Excel, it gives me way much more flexibility in page layout and individual column widths....

  • Is This Auto Fill?

    I am using Numbers v3 and still on the learning curve from v2. Formerly, in v2, I could beging to type a name, e.g. J-O and Joan, Jodi, Jonathan, etc. would appear in a drop-down as previous entries in the colum to select from. Is this no longer a supported feature in Numbers v3? I'm not sure what this functionality is called, perhaps AutoFill? Please comment. Thanks.

It is also much more efficient than auto-complete in Numbers for iOS, should you ever want to sync to an iPad or iPhone and do data entry there.
