Adhoc query - Hit list 40, output 5

My client has an adhoc query set up and the selections make sense the hit list number is correct as compared to what is on the DB - I have checked using SE16.
However when the output is produced only 5 records are shown.
There are no auths issues according to SU53 and also I have access to all infotypes in PA & PD so I am slightly confused as to what is going on here.
Perhaps some of you have had the same experience and have an idea or clues as to what is going on here.

Hi,
Hit lists show employee hits, output shows output hits. You have difference because in the output not every employee has a record in the infotype that you selected for output.
For example you have 40 employee and only 5 of them have record in IT 0016. So if you select IT 0016 for output only 6 records will be displayed, though according with you selection criteria 40 employee were selected.
Just add to output fields from infotype that every employee has (e.g. from IT 0001) and you will see all of them in the output.

Adhoc Query- problem with the output file format

Hi Gurus,
I have a problem in exporting the output of an adhoc query to Excel format.
The menu option I chose to export the report data into Excel is List>Export>Spreadsheet.
However,I think I've just pressed the wrong option to export my report and now I can't seem to change it from a HTML file option.
Can anybody help me correct this output setting.

Hi Sushil,
There are two ways to save the output in the excel format.
As you have mentioned, you can use
List -> Export-> Spreadsheet.
Then select table. Now the output will open in a spreadsheet.
The other way is
List -> Export-> Local File
Here you need to select the option spreadsheet. Then mention the path where you want the file to be stored. Also mention the format as .xls

Ad Hoc query - Hit list count

Hello,
Currently we are experiencing issues in few Ad hoc queries.
Issue:
When pressed "HIT LIST" button we get count as 21. But in the lower pen(output) we are getting count of 6.
Evenif pressed "REFRESH" button the output remains same ie. only 6 entries.
Even in the output the (when clicked "OUTPUT" button), only 6 entries appearing.
Please suggest. Appreciate you help.

So I can't say I know the answer for sure but the Hit List purely tells you the number of unique employees who meet your search criteria.
The actual output shows the results of all the fields you've chosen to output for those people on your Hit List. I can think of two reasons why you may be seeing what you're seeing.
1) You lack authorization to see the data you've chosen to output for 15 of those 21 people
2) 15 of the 21 people on your hit list lack any data in the row of data you've chosen to output. So hypothetically if you're only outputting a particular date type of infotype 41 and that's it for a person, and a person doesn't have that value, they won't show up on your result set, even though they met your search criteria (assuming your search criteria didn't include that date type!).
Let me know though if you think both of those circumstances don't relate to your issue.

AdHoc Query Issue

Hi Gurus,
I am running 1 Adhoc Query.We are getting an error in Job description.
We are passing Job code as input.For that job code it is not displaying Corresponding Job description.
Ex : Job Code - - - - 1126
This is the Data avilable in table M_PLOMC.
Required Output : YOUTH SERVICE SPECIALIST    OTYPE2 = C
Current Output : ELEM TEACHER                           OTYPE2 = S
I specified OTYPE2 as C in the Infostet Code to identify the Job description . SAVE and Generate
i created new quey i can see the change code.
If i run the Program behind the Query from SE38 it is displaying output Correctly.
But if i run Query directly from SQ01 no Output.
Bcaz of this Adhoc query also displaying No output.
Please help me...
What is this the difference in running program behind the Query and Running directly the Query?
Here C specifies JOB.
        S specifies POSITION.

The program name is decided at the runtime...
Might be you have taken the program name before doing some modifications to the adhoc query..
Please check if the program name generated cuurently and the program name you are using the same...

U could go as per wat Suhasini has said. But if u want the end user to view this report time and again, then u need to create a query.
The steps are as follows:
1) T-code: SQVI
2) Qucik View: give some name here and then click on "Create"
3) You will get a "Create Quick View" screen.
4) Goto "Datasource" and select "Logical Database" from the drop down
5) Then goto "Tableview" and enter "PNCPE" and click on enter.
6) A screen pops up and click on the Infotypes u would want to extract the data from and press enter.
7) Now, u would get the following screen "Qucik Viewer: Initial screen". Here u can see coulple of tabs.
8) Goto the tab "List selcted field" and select watever fileds u want in the output screen and then press "Execute".

Adhoc query-Problem with Personnel no output field

Hi Gurus,
We are trying to run an adhoc query using a customized Info set(PNPCE logical database).
While running the query,we had selected Personnel no(from Payroll status P0003 table) as output field and Company code(from Org assignment P0001) as input field in the selection.
Problem is in the output field we are seeing the Personnel name details in place of Personnel no.Could anyone please suggest what could be the reason behind this and how to fix it.

Hi Sushil,
The default output for fields with a text and a value (Name = text, PERNR = value) is the text. You can change this by right clicking on the output box in Ad Hoc and selecting "Value". If you want both name and number, select "Value and Text".
You can also change this default to Value from Text if in Ad Hoc, you go to Edit --> Settings. On the last tab, change the radio buttion for output default to Value from Text. This will change it for all fields so you would see the eight digit number rather than the name of the position or org unit. Thus, you may want to keep it at Text and use the right click to change specific fields as needed.
By the way, it is usually best to utilize the personnel number field from IT0000-Actions, although it can be obtained from any infotype if you include that field in the field group when creating your infoset.

Unable to report adhoc query output on HRP tables

Hi All,
I am using adhoc query to report the data from HRP table (customised) but the data is not being picked even though the table has the records. The fields from the field group and the infotype fields are properly mapped but the output is blank.
Any pointers/suggestions on how we can achieve this would be helpful.

                  When I query (in PCH) I am not getting results when I select 'ALL' in the reporting period.
                  It worked fine when infoset built in PCH LDB with reporting period other than 'ALL' (like Today, Keydate).
                  Please advise.

Hit List in ad-hoc query

Hi All:
Does anyone know how to add the "Hit List" functionality to a query infoset? My users need to be able to press the hit list to determine a count of pernrs to be included in their ad-hoc queries

Hello: This is very helpful information, however the option to "switch on objection selection" is not available for some of my query infosets. The option is grayed out. I have the option for some of my query infosets so I do not believe this is a security issue. Is there a setting that must be turned on during the build of the query infoset?

In Selection Tab, following operations are performed :-
Execute a query and mark it as 'Set A'.(Say Hit list = X)
Execute another query and mark it as 'Set B'.(Say Hit list = Y)
In Set operation Tab, following operations are performed :-:-
Carry out an Operations 'Set A minus Set B'.
which results in Resulting Set = Z.
Transfer the resulting set 'in hit list' and press the copy resulting set button.
In Selection Tab, Hit list is populated with Z.
And when output button is pressed, I get to see 'Y' list and not 'Z' list.

Hit list in PA20/PA30 Object Manager

When you do a search in the object manager, it comes up with the hit list at the bottom of the screen, and a label which says "hit list" - my users would like to see a total number in the hit list, in the same way it appears in adhoc query. Doe anyone know if this can be configured/customised to show the number in the hit list?

I don't think it is possible to output hit list entry quantity in standard search help however you can create a customer search help for PREM object adding a variable that would count match entries and output message thru ABAP sentence:
MESSAGE s000(zhr) WITH lv_counter 'entries found'.

Okay as far as I understand your aim is:
To fill a field in the output list with a value that is based on the current line information and calculated by a function module
So go to SQ02 and create an additional field in the InfoSet.
You can refer in the coding to the technical names you can see in the left tree window like P0000-PERNR.
More information is avaiable in the Help part look for additional field in SQ02.

Adhoc query missing field labels

Hi,
We have a problem regarding adhoc query. The fields are not showing all characters when you hit the refresh button at the bottom. For example, i chose to output Personnel Area, upon executing the refresh button, it is showing 2 characters only instead of four (US01 and is showing US only). This happens for some fields as well. It seems the labels are being cut. But when you check the field documentation, it says 4 characters. Also, when you click on the "output" button, everything is ok. Meaning, you can see all 4 characters for Personnel Area.
The infoset we are using has been there for a long time already and there were no problems like this before, It was just now that this thing happened and were not sure what triggered this.

Yes, i am referring to the reading pane at the bottom. However, there are quite number of fields that seem to be reduced. Also, the reading pane is working ok before and it shows the exact characters that you actually want to see. It has the same results as that when you hit the output button. We're not sure how it happened or if it was impacted by any support packs. With that, we want to know how to bring it back to its original appearance before.

Automating ADHOC query reports to generate Emails

Hope you guys are doing fine.
I have a requirement where we need to automate the ADHOC query reports to trigger emails with the Excel attachment of the report to a set of users.
To explain in detail,we have some adhoc queries which are run manually on monthly basis(by our functional guys).Once the output report is generated,they used to download them into Excel document and send that to a set of users as an email attachment.
Now we are planning to automate the entire process,so that these query reports once set to run on monthly basis should trigger emails to set of users with the excel attachment.
Now,i am looking for solution on how to proceed on this.Since the program behind the query(which starts with AQ*) is not be a modifiable program,i can write any custom code here.Alternately,i planned to set a background job which runs the query and then use a custom pgm which reads the spool no for the pgm and then to read the data from the spool into an internal table and then use a FM to send the internal table data as an email attachment.But wasn't sure of what FM's to use to read the spool no. and data from the spool.
Is there any alternate way to work on this or any suggestions on my assumed process would be really appreciated.

Ok, here's what you do:
- Go to T/C: SQ01 and find your query
- From the menu at the top select Query>More functions>Display Report Name (copy the report name)
- Go to Transaction SO23 and create a new shared distribution list - give it a name and title, click the dropdown on folder and click the create folder button, give the folder a name and save/green tick.
- Click on the Dist. list content tab and enter all the external email addresses that the report should go to ( the recipient type should be internet address or via internet or something like that)
- Go to Transaction SM36 and click on the Job wizard button, go through the wizard entering the program name we copied earlier. In the print parameters section make sure it is set to print immediately, then on the spool list recipients button select the dropdown box, select distributions lists and find the one you created earlier. Define the variants, periods, time etc etc
- When the job runs it will process the output via SAPConnect (transaction SCOT) you will be able to see the status of the emails by going to transaction SCOT and selecting the menu option Utilities>Overview send requests.
Job Done, Chillax
PS: remember the output type of the query in SQ01 needs to be set to excel or whatever you require otherwise a PDF/html attachment will be created in the email.
PPS: If SAPConnect is not set up in your system speak to your basis guy to set it up - If you don't have any basis resource, it is really easy to set up, plenty of guides around.

1. Here when i pick the Position from infotype 0001 it is displaying some default position along with the position
2. I need the list of employee who has taken leaves, and leave types are picked from infotype 2001. Here i am getting complete list of employees(employees who has not taken leaves)
So can we prepare a report employees who went on leaves based on the above requirement.

On a more serious note,
A query is a simple spitting out of all the data, based on the fields you have selected, So if atleast one field has a valid value, and "Personnel Number" is one such field, you will get an output in the report.
What you will have to do is to assign certain key fields as selection fields as well as output fields, when designing the Ad-Hoc query.
Then use selection criteria to get out only the results you want, for example Absence Type = Annual Leave( don't want to type the abbreviation here), date range of BEGDA - 01.01.2014 - 30.04.2014, for example. Using Employment Status as a Selection field but not an Output field can help with ensuring inactive employees (i.e people with default positions) are not selected.
I often find that in any case, one always has to download the query output into Excel and do some final manipulations using filters and pivots etc.
Also, play around with the Key Date field, in the query design screen - see what happens if you use "Today" rather than a wider date range.

Adhoc query custom field selection

Hi Experts,
In adhoc query, we have added a custom field and we find that it is giving correct output. However, we want to make the "selection" box appear and we don't know how to do it. Would you have instructions?
If we add standard/ready-made fields to a field group, both the selection and output boxes are already available but if we copy the standard to make a custom field, only the output box is available.

Where do we find this customizing field we need to select? We have tried accessing sq01 and changed a query we have created. We clicked on the basic list button and checked the checkboxes for list field and selection field. When we got to infoset query, the selection checkbox is still missing. Are we checking the right path? The infoset is also missing that checkbox.
We also got a suggestion here that maybe the problem is on the "extras" tab in SQ02 - that our field should have an entry there.
