  • Not able to open SharePoint workflow task in Outlook

I have InfoPath forms in a forms library on SharePoint and associated workflows that were created in SharePoint Designer. The workflow includes regular tasks and approval tasks. I have full permissions to everything in SharePoint. I would receive tasks in
Outlook and be able to open them without any issues. Suddenly, I can no longer open them. Other users who receive these tasks are still able to open them.  I first get the message "Could not open 'https://sitename/-layouts/formResource.aspx?templateFile=https://sitename/Workflows/WorkflowName/TaskName.xsn'.
When I click OK, I get the message "Outlook cannot open a new form. To open the file, access to the following form template is required: https://sitename/-layouts/formResource.aspx?templateFile=https://sitename/Workflows/WorkflowName/TaskName.xsn".
Any suggestions on how to resolve?

Found some solutions that might be what you're experiencing. Be sure to read all the way to the end for a couple differrent fixes:

  • Cannot open Sharepoint 2010 task with Outlook 2013

Before I start, I have already gone through the "Unable to open Sharepoint 2010 task from any office application - cannot open new form (schema validation errors).  I have tried all the fixes listed in that thread to no avail.
What I am wondering is if it there is something more complex happening because I have outlook 2013 but our SP server is 2010.
Can anyone tell me if there is a way to make this work?  I have tried everything that I have found and a lot more to try and resolve this, have been working on and off on this problem for more than 6 months.  Any help would be appreciated.

    Hi Matt,
According to your description, the task cannot be open in Outlook 2013.
The issue may be with any Multiple lines of text fields in Enhanced Rich text type in the SharePoint 2010 Task List or the associated task list for the workflow.
I recommend to check for any Multiple lines of text fields(such as Description field) in the SharePoint 2010 Task List or the associated task list for the workflow, and change them to Plain text or Rich text instead.
More information are provided in the link below:
    http://mysharepointkb.blogspot.in/2012/11/cannot-open-sharepoint-2010-approval.html
If it cannot work, could you please provide more information in the ULS log?
Please go to C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\14 to get the log.
    Best regards.
    Thanks

    Hi Johny,
which Workflow are you planning to use, Netweaver BPM or WF from ERP? If you use the ERP Workflow, first of all you have to configure the connection to an Exchange Server via SAPconnect (transaction SCOT, see http://help.sap.com/saphelp_nw04/helpdata/en/1b/b8e93a2876a81ae10000000a11402f/frameset.htm for details). Then you create a Workflow which sends a message to the responsible. The easiest way could be to include an URL which takes you to an approval page on your Enterprise Portal.

  • Sync Sharepoint 2013 task on outlook running on Exchange 2010

Sync SharePoint 2013 task on outlook running on Exchange 2010,Getting error:
"We weren't able to sync your tasks. This could be because your mailbox is on an Exchange server that isn't supported for syncing tasks. Please contact your administrator for more help."..Please
    help!!
SharePoint 2010 task list sync with outlook running on exchange 2010 works successfully without any error...But how to do with sharePoint 2013

    Hi Mohit,
The "Sync to Outlook" button is a new feature in SharePoint 2013 and is different from the "Connect to Outlook" button in SharePoint 2010, and this feature also needs the Exchange Server 2013 installed in your environment, you can read the following article
    for details.
You can get the "Connect to Outlook" button back (like SP2010) by disabling the "Exchange Task Sync feature" from CA without installing Exchange 2013, the following is extracted from the white paper.
"How to disable SharePoint Server and Exchange Server integration.
To disable it, you turn off the Farm Level Exchange Task Sync feature by going to Central Administration -> Manage farm features. This action deletes the timer job and disables the UI integration, bringing back the legacy sync behavior to Outlook. "

  • Why do I not get the checkout option for a pdf type document when clicking on the document link in the SharePoint workflow task?

We are trying to use workflows to review and edit pdf files in sharepoint 2010. We are having a couple of issues and am hoping someone has the answer.....
    1)  When myself and coworkers click on the pdf document in the library, we get the check out option as expected.  However when we click on the document
link in a workflow task (on the sharepoint site), the pdf opens as a temporary file and we do not get the check out option.  Why does this happen?????
    2)  The same thing happens when we click on the document link in the workflow task email;   HOWEVER,  one of our co-workers does get the
check out option when clicking on the link in the email task.  Why would she get the checkout option using the email and not when clicking on the link in the task list on the sharepoint site ????  We have compared our internet settings and adobe
settings to ours and found no differences.
We are using Sharepoint 2010, Windows 7, IE8, Adobe Reader X or XI.  Some of us have Adobe Pro X and have the same issues.

    Hi,
According to your post, my understanding is that you could not get the checkout option for a pdf type document when clicking on the document link in the SharePoint workflow task.
I try to reproduce the issue, however, no matter when I click the pdf type document in the library or click on the pdf document link in the workflow task email, it download the pdf doucment and then I can open it.
It will be better if you can descript how you
get the check out option as expected when you click on the pdf document in the library.
    Then I upload a
word type document to the library, no matter when I click the word type document in the library or click on the word document link in the workflow task email, I can open the word document directly and get the check out option as expected.
I recommend to use the other type docuemts to check whether the check out option works.
    Thank you for your understanding.

  • Project 2013 No Server, No Sharepoint, Updating Tasks From Assigned Resources Through Email

    Ok,
I have searched high and low for this type of information and Im surprised after all these years that no one has asked or requested this type of information?
I am a consultant, with my own version of Project 2013 to track how I run Projects.  This is the tool I use.  So this being the case it makes no sense for me to spend millions of dollars for Project Server.  I am just one person useing this
    as my tool of choice.
    My issues are:
I create and assign a task to a resource with a name and an email address.
I litterally have thousands of tasks with hundreds of assigned resources (People) with an email address.
I need to update weekly all my task!!!  The entire point of using Project 2013 as a tool!
However it appears Microsoft needs to make this very dificult to do. If I have to manually email all these people with task and manually ask them for an update, then manually update all these task then whats the point of even bothering using Micrsofts Project
    2013?  It is useless.
I need a way to automate these updates without having a Server.
The Question no one seems to be asking is this?
Is there a way to update task through email, (Outlook), Why cant I send emails with a table of tasks assinged, request update in the task table, then the assigned resource sends me back the email with thier updates and I can automatically update my Project
    Task?
Am I the only one who has asked this or thought of this?  Or are my expectations to high? I cant figure how Microsoft could ever expect a single user of Project even with only one project with 50 to 100 task listed to have to get on the phone or emal
every single person manually, and manually update every single task every single week? I have used other Project type apps and they all have a way of sending emails out to assigned people to get task updates automatically.  Only Project doesnt!
    Why?

    Thanks Prasanna,
Really for the amount of money I have to pay for a Product that should have some way to update tasks.
Think about this for minute.  I believe Project 2007 was able to do this ,,,, that made sense....
Really ponder this question:  What is the purpose of Microsoft Project for a single user?  Does anyone ask these questions prior to development?
The reason for Project to exist is to TRACK TASK!  THATS IT! Why would anyone want to track any type of task, hundreds of task MANUALLY?  It does me no good for me to be the only one tracking task.  It does me no good for me to be the only
one looking at the task schedule.  Great, so IM THE ONLY ONE WHO KNOWS WHATS GOING ON?
    So I ask this question.
If this is the case then what is the point of tracking anything if it cant be shared or updated in some way or another?  Microsoft Project is useless as a single use product!
    Here is the kicker....
I can purchase Outlook for a lot less, I can track any and all task, assign task to anyone with an email, I can assign and schedule task through Outlook and place an alert, set it as an appointment through the Calendar, change and assign start and end dates,
and get updates through email on any task, calendar, anything.... Why then would I waste ANYTIME OR MONEY ON A USELESS TASK TRACKING PRODUCT LIKE PROJECT?  It does not do anything?  Outlook does a thousand times more than Microsoft Project!
Does that make any sense to anybody?  All Microsoft Project really is... is a stripped down Calendar/Task from Outlook with no ability to email, or communicate in any way shape or form with other people who are assigned the work.  What ends up happening
is Microsoft expects single users to purchase Project Server?  Are you crazy?  This is the single reason why Project does not sale!  If Microsoft would go back to sales metrics of Project 2007 they would see a decline till now that will reflect
this problem.  Its really a simple fix.  Sales would triple.  Until there is a solution it makes way more sense for me to use Outlook, schedule work task on others calendars and have them send me an update weekly through an automated spreadsheet
through Outlook.  From there all the reports exist in Excel.  Why do I need Project anymore?  BTW  I have been a MS Project user since its inception....  SO IM not new to it... what a terrible waste of time, resources, and lack of
vision for just a simple powerful addin that was removed after 2007.  Single users like myself will never purchase Project Server just so we can send emails with assigned task for an update,,, silly?

  • HT1386 having trouble syncing/downloading contacts & calendar & tasks from outlook 2010 to iphone4s help please.

having trouble syncing/downloading contacts & calendar & tasks from outlook 2010 to iphone4s help please.

I had the identical problem.  I still don't know how to sync the tasks, but here's how I did the contacts and calendar:
    1.  Connect the 4s to the computer.
    2.  Open iTunes.
    3.  Click the iPhone box in the upper right corner.
    4.  Click on the info tab.
    5.  Hit the checkbox Sync Contacts with... and choose Outlook from the dropdown box.
    6.  Ditto for Calendars.
    7.  Hit Apply.
My problem was that originally, I wasn't getting the checkboxes.  I turned off the iCloud settings on the 4s.  That did the trick.

  • How to Sync "Task" from outlook 2007 to iPhone 3GS ?

New user here.. is there a free app that I can download to sync my tasks from outlook to my 3GS ? Thanks in advance for your help.

There appears to be such an app, though not free ($5 US, I believe). There is some info on it here

  • N80 IE: Synchronisation removes tasks from Outlook

    Hi,
The sole reason I use a Nokia (and changed an LG for my current model) is it's synchronisation capabilities with Outlook. Specifically, I use it to synchronise my calendar with Outlook.
When I synchronise my calendar, my tasks are copied too. These tasks I do not want to see in my mobiles calendar. So I remove them. But the next time I synchronise these tasks are removed from Outlook. And that is not what I want to happen. As a result I need to copy the deleted data from my Synchronisation manager to Outlook again.
So, my question is: Does anyone know how I can instruct my the Nokia PC Suite NOT to synchronise my tasks (or to delete tasks from Outlook)?
    Abel
    Edit:
Wrong version number mobile. Changed from N90 to N80
Message Edited by macadam on 22-Sep-2008 09:14 AM

    hi Damir0408,
I understood your problem so that.
    you are using
    * Windows XP, SP2 and Micrsoft Outlook 2003 SP2
    * PC Suite version 6.81.13.0
Enabled PC sync between N80 (firmware?) and Outlook.
Sync direction is set to both ways? Or just one way?
Conflict resolution is set to Outlook, N80 or both?
I just created a note on my N80, synced to Outlook and the note is visible in Outlook. Then I edited my note on my N80 and ran PC Suite sync again. The note was updated in my Outlook.
I understood from your post that this is were you have an issue. The note is not updated in outlook if you edit it on the N80.
You could check your PC suite version, N80 firmware version (*#000#) and your advance sync settings.

  • Sync tasks from outlook

how do i sync the TASKS from outlook onto my iphone?  I can sync the notes, but not tasks...help!

I've been syncing Outlook Tasks to my iPhone using Toodledo for over a year with no problems.
    1. Back up your Outlook Tasks.
    2. Set up a free Toodledo account.
    3. Download the free Toodledo bridge software - Toodledo Outlook Sync (bridges Outlook Tasks with your Toodledo online account)
    4. Download and install the Toodledo iPhone app. ($2.99)
You can set the Toodledo Outlook Sync options to automatically sync every so many minutes or manually. Supports Outlook Categories (called Contexts), which is a big plus for GTD enthusiasts. Also, you can use the native Outlook Tasks folder and not some weird separate grouping of folders like iCloud has. You'll find further instructions on Toodledo's web site.
By the way, if you're using iCloud to sync your Calendar and/or Contacts and you would rather use the native Outlook Folders and NOT the separate iCloud grouping of folders, you may want to check out CodeTwo Sync for iCloud. I downloaded and installed the 30-day trial version. So far I love it! After 30 days it reverts to ONLY syncing the Calendar for free (not Contacts). Its $10 to buy the license key to keep it syncing both Calendar and Contacts. It's worth it to me to be able to work in the native Outlook Calendar and Contacts folders and have them automatically sync to the iCloud folders in the background! FINALLY, solutions that WORK!

  • Unable to open SharePoint 2010 task from any Microsoft Office application - cannot open a new form (schema validation errors)

I can’t get the Microsoft Office SharePoint Task integration to work with any SharePoint 2010 Workflows.  When any end user clicks the “Open this task…”
button from outlook (or any other office application) a warning dialog appears stating that:
    “Outlook cannot open a new.
The form contains schema validation errors.”
    The error details are:
Element '{http://www.w3.org/1999/xhtml}div' is unexpected according to content model of parent element '{http://schemas.microsoft.com/office/infopath/2009/WSSList/dataFields}Body'.
    Some points to note:
I can replicate this using on several computers running as different users.
I have full control over the site and the task I am trying to open.
When I navigate via the SharePoint site I can open the task.
The Info Path form that cannot be opened was automatically created by automatically SharePoint designer / InfoPath.  I have subsequently deleted the form and published
the workflow (which created the InfoPath form again).
I am running Mircosoft Office Professional Plus 2010 version 14.0.5128.5000 (32-bit)
One workaround is to remove the “Open this task…” button as per
http://social.msdn.microsoft.com/Forums/en-US/sharepoint2010general/thread/eb273ee9-6a4b-409c-8eb0-5351bb113386/. This is not ideal and will be my last resort.
Any suggestions and or thoughts appreciated.
    Thanks!

Yes, I tried that.  It did not work for me.
I have 4 site collections.  The main site collection is the only one that I receive the error.
When the user clicks on the email link  and opens the document for approval, they receive the following error when they click on "Open This Task".
Element '{http://www.w3.org/1999/xhtml}a is unexpected according to content model of
    parent element '{http://schemas.microsoft.com/office/infopath/2009/WSSList/dataFields}Body'.
There is nothing wrong with the task list itself, just the link from the Office 2010 client.
I am wondering if there is a web config or other file on the server that is specific to the site collection??

  • Get workflow tasks from WorkflowInstance?

    Hi!
How do I get the workflow tasks associated with a specific workflow instance? Or can I get the workflow tasks directly from the list item itself?
    WorkflowServicesManager workflowServiceManager = new WorkflowServicesManager(web);
    WorkflowInstanceService workflowInstanceService = workflowServiceManager.GetWorkflowInstanceService();
    WorkflowInstanceCollection workflowInstances = workflowInstanceService.EnumerateInstancesForListItem(item.ParentList.ID, item.ID);

    Hi,
Late reply, but I ended up using the following SPQuery to retrieve the task items associated with the specific SharePoint 2013 workflow instance:
    SPQueryspTaskQuery =
    newSPQuery{
    Query = "<Where><Eq><FieldRef Name='WF4InstanceId' /><Value Type='Text'>"+
    workflowInstance + "</Value></Eq></Where>"};

  • Would like to sync Sharepoint 2010 task with Outlook and iPhone

    Hi
I have a Sharepoint 2010 server - function as intranet server, and as a project webserver.
When I create a new project in SP, I also get a Task list. Very good. And I can also connect the project to Outlook.  Very good that as well :)
I do have an Exchange 2010 server as well.
But... I also use a iPhone - where I have connected my mail, calender and task. This is working fine.
The problem is  the task from Sharepoint project. When I try to add new task list, I just find the list where I have added e-mail accunts. Not the one from SharePoint.
    Anyboy following? :)
So, is it possible too Sync Sharepoint 2010 task list with your personal outlook tasklist? :)

  • Why do I not get the checkout option when clicking on the document link in the SharePoint workflow task?

We are trying to use workflows to review and edit pdf files in sharepoint 2010. We are having a couple of issues and am hoping someone has the answer.....
    1)  When myself and coworkers click on the pdf document in the library, we get the check out option as expected.  However when we click on the document link in a workflow task (on the sharepoint site), the pdf opens as a temporary file and we do not get the check out option.  Why does this happen?????

We are using Sharepoint 2010, Windows 7, IE8, Adobe Reader X or XI.  Some of us have Adobe Pro X and have the same issues.

No the person who can check out using the link in the email has the same permissions as me.  We have looked at all kinds of settings, profile etc and nothing evident can be determined to explain the reason.  However, one difference we did notice is that this person does not have a default web browser set and thus when clicking on items to open, it always pops up a dialog box asking which program to use to open it with.  This person chooses Adobe Reader and it opens on the Sharepoint server as it should and she gets the checkout option in a dialog box just like clicking on the document in the library.  My theory is that this step of choosing the program to open with is interrupting the typical way a pdf file is handled when clicking on URL links to the document, which is…. it is opened as temporary internet file rather than on the Sharepoint server.   Hopefully someone can figure this out ☺
