Art and formats in iWork numbers...

After updating to numbers 3.0 every little piece of clip art, photo, format, and theme was uploaded to my iPhone 4S and my iPhoto library on my MacBook Pro.  How do I get rid of these without going to every individual piece of art (nearly 3,000!!!) and deleting them?  I tried deleting a few from iPhoto today and they just came back.  Is there a setting I am overlooking?

This had nothing to do with Numbers. It is a Mavericks issue. Apparently Mavericks is doing something with your iCloud account sync settings that you hadn't enabled in your former operating system.
If you go to iCloud in System Preferences, and turn off the iCloud sharing, and Sign Out of your iCloud account if you aren't using it for anything, you should be able to stop this. The best advice would probably come from the Mavericks discussion area, but I'm a bit familiar with it because I helped a family member resolve a similar issue.

    The main thing to look at is the "View" setting and for PDF set it to "Page View", the page breaks you define in Page View will be used in the PDF, there are also "implicit" page breaks added automatically based on the page size.

  • Sorting and formatting in Numbers with iPad 2

    I am going to send feedback to Apple about this, but I wanted to let the community help, if I am incorrect and these things are actually possible.
    1. I can only sort by one column. I want to be able to create a sort priority. For example, I want to sort four columns first by date, then by person's name, then by $ amount. Not possible on mobile Numbers.
    2. I want to choose to sort only specific columns. I have a formula set up in column E that sums the cells to the left in columns C and D. My formulas break every time I sort.
    3. When I copy and paste from one Numbers spreadsheet into another, the formatting from the copied sheet gets put into the pasted sheet. I want to be able to "paste format" like you can in Excel. A sort-of workaround for this is to select the cell that has the correct format (this cell has to be directly above the cells that have the wrong formatting), pull the blue select box down the column to include the cells that have the wrong formatting, click the paintbrush at the top right corner, then choose whatever formatting you need--the format that is shown as selected will be the format of the first-selected cell. You have to do this for every individual column, however. And my columns are very long -- hundreds of cells long (I'm keeping a year's worth of data).
    Am I correct in that if I buy a Mac computer and Numbers for the computer, I would be able to do these edits on the Mac, and then have them show up on my iPad when it synchs with iCloud? I can't buy Numbers for a PC, can I? Being tied to a computer isn't what I want--I wanted to be able to do everything on my mobile device.

    for #1: numbers does what is called a "stable" sort. Meaning that the previous sort order is preserved. i.e. do your sort in reverse order. Amount, then name, then date. Just did it with sample data and it was perfect. It keeps them in the original order, so if there is a match in name after you sort, you should see the amount still in the proper order.
    #2: What in your formula isnt working? I just made a formula that did math on the columns to the left, sorted and it worked. Sorted by static data columns and the formula column. I know it was broken originally, years ago, but it seems to be working correctly now, at least in my quick test. You might have an issue if you are using formulas that refer to data on other rows or tables.
    #3: yeah formatting can be a pain. But it is easier to do in the desktop program. No, you cannot get it for windows, sorry. If the formatting the only thing you need to do on the desktop side, then i dont see much tying you to it. I do 90% or more on the ipad and iphone now.

    Thanks for getting back. Hadn't got round to re uploading the amended feed. I just did it now.
    The only thing is, Feed Validator doesn't like it because of the picture size, and a couple of other things, it reeds the following:

  • Changing hyperlink color and format in numbers 3

    Hi all!
    I want to change the automated color (and format: underline etc.) that is assigned to hyperlinks.
    In my file I use vlookup to get the email and webadresses from a different source table. In the source table, I've tried disabling the hyperlinks and give different colors. In the destination table (different sheet), it keeps reformatting the @'s and www to hyperlinks. Smart link substitutions are off..
    Manually changing the text color in the destination cell doesn't work, probably because of the vlookup formula?

    Turning off Smart Link Substitutions does not 'kill' existing active hyperlinks. It prevents the automatic conversion of an address that is subsequently typed or pasted.
    I pasted an active hyperlink into a Numbers cell, and it remained active even though Smart Link Substitutions was off.
    When I did Menu > Edit > Paste And Match Style the hyperlink was not active.
    Try this. In your source table, select and copy the hyperlinks. While they are still selected, Paste And Match Style. They will still appear to be hyperlinks (blue text underlined) but will be inactive (I assume that is what you want).
    See what that does to the text inserted by vlookup in your destination table.

    How do I set border preferences when formatting cells in Numbers?  When I use the drop down menu under Inspector, and set the preferences I want, a blue line shows up in the appropriate cell or cells to which I want to apply a border.  When I close the menu, the blue line goes away and there is no border.

    I'm sorry for the intrusion on this thread. I had only made a simple comment, and then others responded. It was not my intention, especially since the original question was marked as answered. I will direct responses to any comments I make in fture postings that deviate from the OP's question to a newly created topic if I need a response, if not, I will just add a statement at the end of my comments to please not respond.
    As to your diagram, it is the ability to select the non-contiguous cells, and then be able to simulataneously select a specific part of the border edge, and then be able to change them all at once that I was after. That is something that is not possible in Numbers. It seems that in your diagram the "before", was attained by selecting each cell one at a time, and changing its border edge, one at a time. Then, in the "after", selecting the non-contiguous cells and changing the "Stroke" settings for the lines was attained simultaneously since that is possible in Numbers.
    If I am correct in how you attained the results in your diagram, that wasn't really what I was trying to achieve, since if the option were not grayed out, it would only select the same border edge on all selected cells. If I am incorrect, then I would like to have your input.

  • Cannot get an invoice created with IWork Numbers to open correctly in Excel

    I used the Template in Numbers to create an invoice,and it's great.
    However, I cannot seem to open this file in Excel no matter how I send it, no matter how I save it.
    Have saved as windows friendly, have saved as Excel file.
    I have to be able to have these opened by others with Excel and/or OpenOffice and, Office staff must be able to work with the file to update/modify invoices.
    I even tried Pdf and Adobe Acrobat Pro thinking they would be able to do data entry that way-No luck.
    Desperately need a solution or a year of working with IWork is going to be lost.
    We have now added staff, and in other locations, and have to be able to work across platforms.
    No problems importing Office files of any type, but have to be able to export as well and have cells and formatting remain workable.
    I can open the files in Excel but they are unusable, in several pages, basically no invoice template left.

    If you are getting three Excel worksheets, the export is working as designed. You have to remember that the heart of an Excel worksheet is a monolithic table. Everything is aligned in a tabular grid. Numbers, on the other hand, allows you to have multiple tables on the same sheet that have different column and row widths and the tables can be placed wherever you like, offset from the other tables by whatever amount you desire in any direction you desire. The invoice template is a good example; the two tables are very dissimilar in format and in column widths. If Numbers was to export the two tables from the invoice template into a single sheet of an Excel workbook, which column widths would it use? The ones from the first table or the ones from the second? No matter which it chose, the result would be quite different from what is in Numbers. Now include some text boxes, graphics or charts. With the tables moved around and resized to align to the Excel grid, these other items would also have to be moved around. But to where. It would be impossible to make an exported file look anything like it did in Numbers except in specific instances. This is why Numbers creates separate Excel sheets when it converts to Excel.
    I know that diatribe did not help you solve your problem. To solve your problem, everything must be designed as one table in Numbers. Here is how you can do it. It is a bunch of steps but is really simple to do.
    1) Select all the rows from the first table.
    2) Drag them sideways out of the table and drag them to the second table, inserting them just below the first row. I think this is explained in the Numbers User's Guide.
    3) Add a new row below the rows you just inserted (this will become your new row 8)
    4) Select the cells in row 1. Copy. Paste to your new row 8.
    5) Delete row 1
    6) Go to the Table Inspector and turn on Name (check the checkbox). Name it Invoice.
    7) Back at the table, deselect the table if it is still showing the column letters and row numbers in order to see the table name
    8) Click twice on the table name above the table to select it. It will box it in, it does not select the text.
    9) On the toolbar, change the font size and color and set it to left justification.
    10) Delete the textbox with the word "Invoice" in it.
    11) Delete the textbox with "sincerely yours ... Your name". Or, if you want to keep it, add another footer to the table, increase the height of that new footer and type "Sincerely yours," and your name in there. Note that you use option-return to create the linefeeds in the cell.
    12) Select the table and slide it up toward the top of the sheet.
    13) Adjust the column widths as best you can. I increased the column width of column B and right justified the text in cells A1-A6 and C1-C6 to get it looking okay. You might, instead, choose to insert a column or two and merge some cells together to align everything like you want it. And you might choose to add a row or increase the gridline width between the top half and the bottom half. I did not do those last few things. You can play around to get the design you like best.
    The export looked almost exactly like the Numbers document.

    I'm not sure that description is entirely true.  There is more than one copy of the document. The way I understand it, documents stored in iCloud are (obviously) on Apple's servers and also, on each Mac or iOS devices with that iCloud account, a separate copy is stored in a special local folder whose contents are synced automatically to Apple's servers.
    When you make a change on the Mac you are changing the copy stored in the local folder Library > Mobile Documents > com~Apple~Numbers.  Then daemons come along and sync that local copy with the document up in the cloud.
    Same with changes made on iOS devices.  A copy of the document is stored in a special local folder. The contents of that folder is synced up to Apple's servers.
    So if you want a document stored in iCloud to show up on the Dock, you can just drag it from Library > Mobile Documents > com~Apple~Numbers to the Dock, because, as you point out, an alias is automatically created whenever you drag something to the Dock.
    If you want the iCloud document to show up in your Documents folder, though, you need to first make an alias of the copy stored in Library > Mobile Documents > com~Apple~Numbers and drag that alias to Documents.
    My personal preference is still to open a document from within the application. Fewer things to go wrong and I that way I can also be sure I am opening it with the correct version of Numbers.

    1. I tried the obvious and it didn't work. File > Print... and hover the cursor over the Print Preview display to see the page header. Click in a header section and Menu > Insert > Choose is greyed out. No Dice!
    2. Click on Done to go back to the document. Now Menu > Insert > Choose does work.
    I Chose a screen shot (.png) file from my desktop. It landed on the canvas in Numbers:
    With the .png file selected, Menu > Edit > Cut (command x)
    Click in a header Row of a table and Menu > Edit > Paste
    Now resize the cell in Format Panel > Table > Row & Column Size
    With a much longer table, File > Print... and in Print Setup side panel on the right, Repeat table headers.
    Image is repeated in the table header row on each page.
    Not quite what you wanted, but perhaps this will work for you.

    The phone number format as well as the date language and format and the time format are controlled by the Region Format setting. Go to Settings > General >International > Region Format.  When you change a region format, you can go back one page (to International) and see an example of the date/time/phone number format that your selected region format will produce.

    Excel does not use the .xcl extension for any of its native file formats?  The only files I've ever seen with xcl as the file extension were associated with embedded application code projects.
    If this is in fact an Excel file, but an encrypted one, you cannot open it (in excel or any compatible application) without the decryption password.

    A friend of mine wants me to make her a spreadsheet and I use a PC with MS Office Excel. My question is... Will she be able to use and view a .xls spreadsheet on her new Mac? She has either Iworks Numbers 2008 or 2009. I'm not absolutely sure. I know it's a new computer. The spreadsheet will be fairly basic and the formulas will be simple addings for misc. expenses.

    Thanks! The spreadsheet I made is a basic list for expenses that automatically adds the entered amounts in each column to sum up the individual expense. I also have a column on the right that adds the amounts entered in each row. Lastly I have one cell which provides a grand total of all expenses combined.
    From your reply I'm afraid I will have to make a road trip. As my friend lives quite a distance from me. I was hoping to simply create and email the Excel file to her. With my formulas to you think they will conflict with Iworks Numbers? How much different is Mac Numbers to Excel? I have never seen or used it. The formulas I used are simple =SUM(X:X)formulas and the first calculating cell I have set is not A1 but D4 etc.
    I'm sorry to have so much to ask but will the layout stay the same and what will happen to any protection settings I set?
