Books, linked files or... ?

Sometimes what looks like simple questions starts something complicated... We are trying to manage multiple documents and want to create dynamic links between them. This is what we are trying to do:
- We have multiple short documents (1-20 pages each) which are currently in a mix of Word and Apple Pages. Each document corresponds to one 'exercise'
- From these documents we want to write 'books' (training manuals) incorporating various sets of exercises. Each 'book' will have a different cover, different bridging pages linking the exercises etc. Some books will be in A4 size, others in A5. They will also be different brands so the colour schemes for example will be different.
Our approach so far has been basic cut & paste (our standard book for example is a 140 page Apple Pages document in A5) but this has led to horrendous version control problems. SO what I want is to link the basic documents (the exercises) so that when I update one of them, then all my 'books' can be updated automatically (or at least 'refreshed' in one command).
So far I have looked at the InDesign 'Book' feature (very basic, zero flexibility); InDesign linking files (I just don't understand it); and using InCopy alongside InDesign (seems like total overkill given that our exercises won't change that often and that we only ever have one person working on the workflow at a time).
Anybody with an experience of workflow/document updating want to suggest something simple for a very small business like ours?

Anyway your second message makes sense but begs a couple of follow-up questions:
1) Everything is initially written in A4 and I have different text styles so that the same content also works in A5 without modifying anything. My idea is that the Master document (the 'book') would have a set of styles with exactly the same names as those in the Exercise documents which would then be applied on import. Does this make sense or will an A4 page imported into an A5 document remain in A4 no matter what?
2) How do I create a library of default styles that will be used in all new documents? I understand I can create styles in individual template documents but I create a default set like in Word for example?

Since you're discussing A4 and A5 documents, I'm guessing you might not be familiar with Bill Clinton's famous testimony when, while president, he was asked a specific question about what might or might not have been his behavior, in the Oval Office, with "that woman." The question was carefully constructed by the prosecutor, so Clinton thought it through like the lawyer he was, and answered "it depends on what the meaning of is is." Search Google for terms like "depends on what the meaning of is is" with quotes for more detail.
My point is that the usefulness of InDesign's long-document help "depends on what the meaning of putting together a large document" is in your mind.
IMO, you aren't merely putting together a large document. If that was your goal, you'd have been done long ago because, from your postings, you seem to have a good understanding of that process.
Your stated goal here is to automate, to some degree, a variable-data publishing workflow, and, in addition, contain the output in documents that use different page sizes.
This is no longer a "plain vanilla" goal. That InDesign, with Peter Spier's (and probably joined by other forum participants) will probably be able to guide you to a point where you can see a solution, shows InDesign's flexibility and value in complex publishing situations. It's not appropriate to criticize the help because the solution isn't documented more fully; the component processes are rather well-documented.
Peter S's suggestion to consider the abilities of InDesign's conditional text feature is a good one; outputting different portions of content from a single source document is where it's most useful.

    I am working on two very similar books right now. In one book, all of my linked files display the blue chain link icon in the upper left corner of the frame. In the other book, none of the linked files display the blue icon. Both books use many linked graphics and files, and I am very curious as to why one book shows the link icon on all of the graphics, and one book does not show any link icons. Any ideas?

    First, the link icon can be turned on or off in layout view using View > Extras > Show/Hide Links Badge, or one file might be in either preview or overprint preview mode.

  • Generated Webhelp Navigation Book Links fail

    Each time i generate a project with two linked word files, book links randomly fail. There is no pattern as to which book link will fail on each generation. Sometimes one fails, sometimes more than one.
    By fail, i mean clicking the book link does not activate the page.
    Any ideas why this might be happening?

    While it certainly wouldn't hurt to clear the CPD file, I'd be surprised to discover it makes any real difference.
    Question here. This one is a huge "gotcha" with mixing Word and RoboHelp this way. Do any of your Headings (which should end up being converted to individual topics) have any odd characters?
    Note that when I say "Odd Characters" I mean any character other than A-Z, a-z, the underscore ( _ ) or 0-9. Quotes count as an odd character as do things like the shifted numbers ( !@#$%^&*()+ ). If so, I'm going to say that this is where your issue lies. While it's fine to use those characters in Word, they may wreak havoc when used as a file name.

  • Where is "Synchronize Phone Book" link?

    The user manual states that you can Synchronize the Verizon 'Phone Book' and 'Calendar' with programs such as Outlook.
    It states: Go to FIOS Digital Voice Account Manager and Click "Synchronize Phone Book” link  in "Phone Book" and Click "Synchronize Calendar” link  in "Calendar" to download the "Synchronization Wizard".
    There are NO links in either "Phone Book"  nor "Calendar" sections of the Account Manager.  I also did a search in Verizon for the "Synchronization Wizard" and came up empty.
    Anyone know why these links are missing from Digital Voice Account Manager and/or where can I download the tool needed for the synchronization.

    I spent several hours today fighting with this issue.  Forget the Synching issue - even what is available on the website (a "SIMPLE" import of csv format file) is TOTAL garbage!
    I am NOT a happy new FIOS user.
    2 things were misrepresented to me:
    (1) I was told VERY specifically that I could set up speed dials from the web site  - who wants to spend hours punchingin 100 or more speed dial numbers (1 was told the service provided 200) via a keypad on the phone - UTTERLY RIDICULOUS and required due to the stupid need to dial 10 digits for every call -  NOT AVAILABLE - LIE #1
    (2) No matter what I tried I could not get all the fields to import from the csv file generated by OUTLOOK into the Vz FIOS phone book.  Level 2 support couldn't solve it either.This entire function of moving contact info into the Vz website is a load of steaming stuff that also doesn' t work as advertised. DOES NOT WORK AS ADVERTISED INTHE USER GUID AND ON THE WEBSITE AVAILABLE - LIE #2
    Tomorrow I will begin the formal process of reverting to copper and DSL.  This sort of bogus enticement of people to change over to FIOS in order to benefit Verizon (I had no reason to leave DSL other than getting letters every week or so and knowing full well that eventually Verizon would force the switch anyway) is extremely poor business practice and I will be filing a complaint with the PUC.

  • INDESIGN AND LINKED FILES FOR VERSIONNING

    Despite the fact Indesign is an amazing tool, i'm very frustrated about the way images links are managed, and especially when you copy a folder that contains indesign files linked to images.
    When you want to make a new version of your files, by copying the original folder with all files, the copy of the original indesign file is still recognizing the linked images in the original folder and not the images in the new folder.
    To force Indesign to check the path of the images in the new folder and to update links with the new images, the only way i found is to change the name of the original folder.
    I get the same problem with an indesign book linked with many different individual indesign files.
    i know there is a solution to package all images in the same folder, but this way will lot keep the structure of my folders and my files.
    As relinking manually each file could be a nightmare, i wonder if someone know a solution to avoid this ?

    This seems to me to be in direct  opposition to what you just said. Either you want one central repository for your linked files where you keep single copies organized in some way that makes sense to your workflow, or you want individual copies of each linked file that is used only for that particular version. If you want only one linked file that is reused, you want any copied .indd file to continue to use the old path. If you want to modify linked files and have the modified files available only to the current version, packaging is a viable option.
    It sounds to me like you would like ID to use relative links rather than absolute. That's not the way it works now, but you can make a feature request at Adobe - Feature Request/Bug Report Form

  • Time Machine backup fails linking files

    I recently had a external disk fail that was still under warrenty, so I dually went to the Apple store and got a replacement.  After plugging it in I went into Time Machine and performed a restore (I was backing up the external disk to another external time machine managed disk). All worked perfectly so far. However, come the next backup I got
    "Time Machine Error Unable to complete backup. An error occurred while linking files on the backup volume"
    Searching the forums I don't see any obvious solution. In the system log I also see 'Event store UUIDs don't match for volume: MyBigDisk' every time there is a backup.
    Anyone got any ideas how to fix this?

    Ok, I finally figured this out. The problem is that the old and new disks both had the same name (MyBigDisk) and time machine was getting consused. To fix
    Complete the restoration of the drive via timemachine
    Rename the drive (on Leopard in finder under devices ctrl-click / right-click on the name and rename)
    Go into time machine preferences and remove the drive from the exclusion list
    Perform a Time Machine backup
    This will re-backup the freshly restored external drive but this isn't a big issue as older files will be deleted from Time Machine as necessary.
    Restoring files on the external disk from before the failure: Now the drive is renamed the older backups seem to have disappeared. Actually, they are there, just tricky to find. To find an old file on the old named disk:
    Go into finder and make sure show path bar is selected
    Go to you home directory in finder
    Enter Time Machine
    Select the date you want to go back to
    In the path bar find the directory with the name like 2011-11-12-202011, click on folder
    The old drive will be in that directory - use the normal restore process
    Why is it broken
    My guess is that to avoid accidentally backing up the wrong disk (after all every WD My Book is called MyBook when plugged in) they use the UUID (Universally Unique ID) to identify the drive. But, we see the MyBook name in Finder and Time Machine so they need to link the UUID to the MyBook name. This is a one shot, once done, never undone.
    So, now when it tries to check that link with the new disk it will have a different UUID (that's the UU bit!) and complains.  Renaming that disk breaks the link (there's no MyBook now, so no link to check)

  • ID CS4 Anti-Alias problems with Linked files

    All the linked files i have put into Indesign CS 4 whether they are PSD, Tiff,layered or flat have shown up slightly pixelated. When i print the same file from its native program (in this case Photoshop CS4) the files print clean and crisp and the text and artwork have clean edges but when i link the file into an Indesign CS4 doc and then print it off, the file comes out fairly clean but there are jagged lines on the text and art.

    I now understand your question and yes in the graphics tab in my Indesign print settings I have it set to send all data. I exported the indesign file as a high res PDF and the output on the printer was the same. I don't believe its a printer setting because when i switch my display performace from typical to high-res the text and art from the linked file look pixalated. On the layered psd file the text files are not converted and yet when displayed through ID CS4 the text looks fuzzy and slightly pixalated.
    Any Help would be greatly appreciated.

  • Unable to open linked files in new CS3 install

    One of my clients just purchased a new PC (Dell Inspiron 537S) with Windows Vista Home Premium to replace his old Inspiron 530 (also running Vista HP). After installing CS3 Design Studio and attaching an external drive loaded with his file archive, all of his Illustrator files which include links load with the following error:
    "An error occurred trying to read the linked file "file.xxx". Choose Repair to locate the missing file, Replace to select another file or Ignore to leave the link unchanged."
    This shouldn't be unusual, if the path to a linked file has changed, you'd need to point the link to the new path, but clicking Repair or Replace and browsing to the linked file (which invarably is in the same directory as the .ai file, and is usually a .psd which opens just fine in Photoshop) just cycles back to the same error message, ad infinitum. After about 30 tries, I got one of the links to load correctly, resaved the document, thinking that would repair it, but when I opened it again, got the error.
    These files were created on multiple computers, and none of the other computers (all with CS3) have ever had any trouble opening them. This despite the drive letter on the external drive being unstable on the old system (would often be J:, K: or L:, and images always worked).
    Any new .ai files we create on this file which have links all work fine.
    Manually replacing the links in a file is not an option for two reasons:
    1. There are thousands of .ai files in this archive, and re-linking images in them will take weeks.
    2. It simply doesn't work. I tried ignoring the error on one file to load it, and re-linking the .psd backgrounds to re-save it, and the images still didn't load after re-linking them.
    I have already tried doing a factory-restore of the system and reinstalling CS3, making sure that there were no errors in the install. What else might cause this behavior, and how can I resolve it?

    Outdated permissions on the files from your old computer. Right-click, Properties --> Security --> Advanced, disable Inherit settings from parent folders, chose to copy. After that, delete outdated security keys and assign current ones. You may even need to go so fart as to Take Ownership of some files to correctly restore the new system's default security settings.

  • Can I open .ai file w/ text editor and edit linked file path?

    I want to relink a placed file in a lot of illustrator files to a new file with a different name. I've tried setting up various actions but it is not doing what I need. If I open the file in a text editor such as Notepad++ or Text Wrangler, I can find the linked file path in two places, if I edit this path and save the file (still with .ai extension) I thought the link would change, but when I reopen the file, it does not change. Any ideas?
    If I make an action to relink a file, the action will only place a new file but not replace the old one. I also can't get it to place into a specific layer.

    CSS files are plain text with no links, so what you see is all there is.
    In order to apply CSS to HTML, you need a <link> tag in your HTML.
    If you install the Web Developer Extension from the Firefox add-ons site, there is a handy "Edit CSS" sidebar that lets you play with style rules and see the effects live. Note that this pane is not saved, so if you switch tabs, you lose your changes. Make sure to copy out any changes you want to remember.

  • Can you place linked files into Photoshop CS4?

    If you place a .psd or .tif file into an InDesign file, you are alerted if any changes are made to that file (as I'm sure most of you know). Is there any way to do this within Photoshop? I have several dozen carpet sample .tif files that are to be used in several hundred "montage" type "carpet sample groups" layered .psd files that will then be saved as images for the web (does that make sense?). Is there any way to do this so that if there's a change in the original .tif file it will automatically change any .psd file in which it's being used? I know the easiest way to do this is in InDesign, but I have two problems: 1) the conversion from InDesign to a web image is laborious, and 2) the person doing the work does not know InDesign at all. I can show him how to use it, but that's a small part of the battle.
    Any suggestions? I'm using CS4 for Windows.

    Thanks for your comments. The problem arises because we have to create that intermediate Photoshop step.
    We have, say, a dozen individual carpet swatches that are used to create hundreds of combinations (which are all separate layered .psd files). If one swatch changes (color, for example), then we have to open every .psd file in which that swatch appears and change it (or place the changed one). I'd love to be able to change the original and have it update every layered file in which it appears, just like InDesign does with placed/linked files.
    Maybe there's a plug-in (wishful thinking)?
    Also, I'd really like to have it changed in the web development end of things, but we're working with a company that is (obviously) using templates and we can only give them single images, hence the need to create the intermediate Photoshop files.

    I am wondering how to get my images to show up on the linked files in Muse.  Basically, in Muse, I have a page that links to other pages I designed in Dreamweaver.  I put the images in the image folder and when I upload the site, the page links to the Dreamweaver page ok but the images are missing.  This is a vital part of the site.  Any suggestions?

    If you made the pages with Dreamweaver then they should be on your system some place and you could make a "dreamweaver" folder inside your Muse site and upload the pages to that folder using the upload files option... see this thread talks about sound files but almost any file can be imported to muse

    Another option is to link across to an online resource using the built in muse html editor but that has pit falls because once you link yourself outside the site you also lose some control of the content;

    When you click on the Brahminy Kite bird you are looking at what used to be called an Iframe but the problem of control is highlighted when you click the Blue Wren and sometimes get pop up adds… I could import the Blue Wren page into my Muse site to fix this issue and in your case that’s a good option but I didn’t because I don’t have copyright over that pages contents and didn’t want to steal someone else’s work.
    p.s. if you have got a demo of the  website/ pages online someplace that would help us see your problem.

  • Is there a way for photoshop to AUTO UPDATE all linked files after modified?

    Using the new Photoshop 2014 (version).
    This is a very frustrating task for anyone using a lot of linked files.
    As a web developer, I may have 50 files that contain one linked element.  If I go edit that element, I then have to find the layer on each and every file it's contained in and click "Update Modified Content".  There HAS to be an easier way.  I really hope I'm missing something here.

    OK. Now I see what you meant.
    And you correctly understand workaround instruction. The problem is it does not work and I don't know why.
    I'm not so familiar with Automator and indeed seldom use it except for a simple services wrapper under 10.6. So I don't know of any workflows off the shelf which use "Ask for Confirmation" action. But it is easy to create a workflow that, for instance, consists of "Ask for Confirmation" action only and is set to receive no input or input from Finder or input from other application and test to see if it gets keyboard focus. As far as I can tell, this action obtains keyboard focus automatically.
    Here's another workaround you may try. Replace the "Ask for Confirmation" action with a "Run AppleScript" action with the following contents. This will show similar dialogue to let you choose two options.

    I upgraded my original system from 10.4.11 to I believe 10.6. something about a year or so ago.  I thought about re installing my safari app but when I go to open anything connected to safari my screen goes back to the desktop.  I cant open any files that I have on my desktop that I set up through safari, like my banking program. Prior to changing system preference to safari default I was able to open those files and now I can't get into change it back.  Can you guide me through this?

    Try running the 10.6.8 combo update.

    System Preferences or Safari Preferences?
    Do a backup.
    Quit the application.
    Go to Finder and select your user/home folder. Select Library. Then go to Preferences/com.apple.Safari.plist. Move the .plist to your desktop.
    Restart the computer, open the application and test. If it works okay, delete the plist from the desktop.
    If the application is the same, return the .plist to where you got it from, overwriting the newer one.

    Use the Flyout Menu on the top right of panel.
