Crystal Report Filters

Hi All,
There is a requirement. I know how to use filters in crystal reports. Now i have a question whether it is possible in crystal reports or not.
When lets say, i have run a report for employees. Now lets say if i had selected two parameters John and Smith, is there any way that i can see a LOV on the report page itself in a drop down which shows John and Smith and dynamically at run-time if i select John, it only shows me John and if Smith, it only shows me smith. Such kind of filter i am talking apart from parameter screen itself.

as per Sastry's suggestion you can embed a dynamic cascading prompt on a report object using webelements.
to see an example
1) go to the experience.sap.com clean energy experience [here|http://experience.sap.com/experience/html/Pages/egrid/index.htm].
2) click on the "plant performance reporter" button
webelements are used in a main report and then they pass the chosen values to a report in an iframe below via opendocument calls.

  • Performance problem with Filters of Crystal Report

    Hi,
    I have been facing this problem for a month now.
    Whenever I try to run a Crystal Report from Infoview it takes 5min or more to get the prompts screen
    but sometimes(mostly when i restart all servers) the filter screen appears real quick say 5 to 10 secs(is this quick?)
    I have no idea why this is happening! Is there an issue with the servers? or is this problem related to Crystal report?
    Please help. I tried googling for this problem but could not find anything that would help.

    I am using a universe which uses a DSN to connect to the sql2k5 database. One thing I forgot to mention is that this is a clustered environment(with 2 servers) and the input/output file repository is set to a folder on a third server.
    Note: Even though the report filters take time to pop up, but the report runs very fast; doesnt take more than 5 seconds for a fairly complex report.
    Yesterday I did a trial install on a seperate server and the reports filters come up pretty fast.

  • Crystal Reports for Enterprise - cannot change operator in query filters

    I am trying to apply multiple filters in a query for a Crystal Report (for Enterprise), but I can only use the default AND operator, whereas I need the OR operator. Supposedly you can change the operator by double clicking it, but it just didn't work with me.

    Hello Victoria,
    You can try out Toolbar->Data->Formula->Record Filter. Here you can just type in your filter and the operators are available on the left hand side. (If they are not, then check on the top left. You might see a button to switch to "Advanced" formula workshop). On the ledt hand side drill down the operator->Boolean->AND(x and y).

  • Two problmes between  Crystal Reports 2008 and Bex Query

    Hi Gurus.
    I have two problems with Crystal Reports 2008 when It obtains data from a Bex Query (SAP MDX query connection).
    1)     I have defined some Parameters Fields using the follow options:
    Type: String
    List of Values: Dynamic
    Value Options Level1:
                         Show on (Viewer) Panel :Editable
                          Prompt text: <text>
                          Sort Order: Ascending by value
                          Prompt With description Only : False
                          Optional Prompt: True
                          Allow multiple values: True
                          Allow discrete values: True
                          Allow range values: False
    When I execute the report with the client of Crystal Reports 2008 (the developer tool), in the initial screen shows a list box where I can select the values from the left box and add it to the left box (as a usually filter). When the number of options (LOV) is more than  the maximum of the system, I have a input box bellow the list box, where I can insert any value (manually) and a button to insert it into the left box. When I publish the Report in the infoview, this filter is modified and the input box where I can introduce manually values is not showed and I can insert only the values showed in the list box, it causes that I can`t select a lot of values that is in the master data of SAP BW, because they arenu2019t listed in the list box.
    There is any option to ability this option in the infoview.
    2)     My Bex query, have a date filter with variable in the restricted key figures, when I execute a Crystal Reports, the infoview (and the Crystal Reports 2008 designer) ask me 2 times the same date, first only the date and second the date and the rest of parameters (introduced in the report of Crystal Reports).
    Why I need insert the date 2 times? How can I modify the Crystal Report for ask me only one time all the parameters?.

    Thank you for your information.
    1) Yes, the parameters are created in the Crystal Reports designer. I have created the parameters in the Crystal Report because I use the same Bex Query to create some Crystal Report, in other case, I will need create some Bex Query.
    2)The Bex query has the date filters and I have created some filters in Crystal Reports designer, the date filter from the Bex query is created automatically in the Crystal Report Designer but I don't use it, I haven't created it anytime. I use my filters only in the record selection. The date filters from the Bex query is showed as Static, and I can`t delete it, if I modify the parameter to dynamic or static with values, at first step ask me again static without values and the second step of the report execution ask me the parameter as I have defined in Crystal Reports Designer, my parameters fields are dynamic. A lot of reports have subreport, but I have created one of them without subreport (to trial) and the Crystal Reports ask me the date filters at first execution, and when I insert the date filters, in the second step, ask me the date filters again and my parameters fields again.

  • Issue with use of shared variables in Crystal Reports 2008 Offline Viewer

    Hi,
    I have a report that contains a number of sub-reports which include drill-down functionality. The report returns data relating to an individual team with the user being able to view top level summary information in each area from the parent report and then drill into the sub-reports to view see more detail. The data returned by the sub-reports is filtered, using sub-report links, based on the team code parameter value given by the user. This parameter field resides in the main report.
    One of the values returned by the main report is the team name. This is passed to each sub-report using a shared variable and each sub-report displays this team name as part of a heading.
    This all works fine in Crystal Reports 2008, but when a report, containing data, is opened using Crystal 2008 Offline Viewer there is a problem with the shared variable. The value is displayed correctly when the user initially drills into the sub-report. However, when the user begins to drill into grouped data within the sub-report the value passed to the sub-report using the shared variable disappears. 
    How can I ensure that, when a report is viewed using Crystal Offline Viewer 2008, the value within the shared variable is not lost when users drill into grouped data within sub-reports

    I have created a crystal report with credit and debit column. Balance column created on the report. Report running with cummulative balance. THis report contain an option for date range. If i filtered this report its not showing the actual balance. I need

  • Performance Issue Crystal Report and Oracle

    We have one procedure that takes 3 input parameters and returns Cursor from Procedure that is used to design the report. There is no caluculation involved here and cursor is opended dynamically. We are using Oracle Native connection.
    When we click on preview button it takes lots of time ( >10 Mins) to show complete data. While we call the same procedure in application and generate HTML report using Cursor returned it is done in < 15 Seconds. Can some point me where to look into to improve the performance of Crystal Report.

    The performance of a report is related to:
    External factors:
    1. The amount of time the database server takes to process the SQL query.
    ( Crystal Reports send the SQL query to the database, the database process it, and returns the data set to Crystal Reports. )
    2. Network traffics.
    3. Local computer processor speed.
    ( When Crystal Reports receives the data set, it generates a temp file to further filter the data when necessary, as well as to group, sort, process formulas, ... )
    4. The number of record returned
    ( If a sql query returns a large number of records, it will take longer to format and display than if was returning a smaller data set.)
    Report design:
    1. Where is the Record Selection evaluated.
    Ensure your Record Selection Formula can be translated in SQL, so the data can be filter down on the server, otherwise the filtering will be done in a temp file on the local machine which will be much slower.
    They have many functions that cannot be translated in SQL because they may not have a standard SQL for it.
    For example, control structure like IF THEN ELSE cannot be translated into SQL. It will always be evaluated in Crystal Reports. But if you use an IF THEN ELSE on a parameter, it will convert the result of the condition to SQL, but as soon as uses database fileds in the conditions it will not be translated in SQL.
    2. How many subreports the report contains and in section section they are located.
    Minimise the number of subreports used, or avoid using subreports if possible because
    subreports are reports within a report, and if you have a subreport in a details section, and the report returns 100 records, the subreport will be evaluated 100 times, so it will query the database 100 times. It is often the biggest factor why a report takes a long time to preview.
    3. How many records will be returned to the report.
    Large number of records will slow down the preview of the reports.
    Ensure you only returns the necessary data on the report, by creating a Record Selection Formula, or basing your report off a Stored Procedure, or a Command Object that only returns the desired data set.
    4. Do you use the special field "Page N of M", or "TotalPageCount"
    When the special field "Page N of M" or "TotalPageCount" is used on a report, it will have to generate each page of the report before it displays the first page, therfore it will take more time to display the first page of the report.
    If you want to improve the speed of a report, remove the special field "Page N of M" or "Total Page Count" or formula that uses the function "TotalPageCount". If those aren't use when you view a report it only format the page requested.
    It won't format the whole report.
    5. Link tables on indexed fields whenever possible.
    6. Remove unused tables, unused formulas, unused running totals from the report.
    7. Suppress unnecessary sections.
    8. For summaries, use conditional formulas instead of running totals when possible.
    9. Whenever possible, limit records through selection, not suppression.
    10. Use SQL expressions to convert fields to be used in record selection instead of using formula functions.
    For example, if you need to concatenate 2 fields together, instead of doing it in a formula, you can create a SQL Expression Field. It will concatenate the fields on the database server, instead of doing in Crystal Reports. SQL Expression Fields are added to the SELECT clause of the SQL Query send to the database.
    11. Using one command as the datasource can be faster if you returns only the desired data set.
    It can be faster if the SQL query written only return the desired data.
    12. Perform grouping on server
    This is only relevant if you only need to return the summary to your report but not the details. It will be faster as less data will be returned to the reports.

  • Crystal Reports with Graphical Linking on Multiple Data source

    I have a report which uses graphical linking on 6 tables/views which acts as the data source.
    4 are on HANA and 2 on a legacy system.
    Record selection filters are applied to filter data.
    Report's performance is incredibly slow on running for higher date ranges even for less than a month bringing back < 10000 records.
    Please suggest any tips to improve this.

    Hi Jayakrishnan,
    When you join tables from multiple datasources, CR processes the joins and any record selection criteria locally. This is what slows down the report.
    The only way to speed up performance is to have all the data atleast come from the same database or even better, creating a view that has all the required tables and joins.

  • Crystal Reports performance is too slow

    Dear SDNers,
    I have designed a crystal report which is fetching data from a Z developed function module. From crystal report side, used filters.But while executing report, it is calling the function module multiple times.
    due to this performance is very bad. Why report is calling mutiple times of the function module. Do need to modify from crystal report side or from function module side. Please clarify.

    A similar issue was seen a year ago It was regarding a function module call being executed multiple times from  CR4Ent tool. It involved the usage of sub reports inside that report and the issue was generic for any function module used for testing.
    At that time, the issue was resolved by upgrading to the latest available patch of CR4Ent and also by applying the latest patch at SAP R3 end.
    If you are able to post the exact support package and patch level of CR4Ent and also for the SAP R3 system, then someone can tell whether its the latest or not.

  • Publishing Crystal Reports for Enterprise error

    When I try to publish a Crystal Reports for Enterprise report, using Publication options, in order to send it by email to three of my users,  it shows the following error:

    It is weird because the report is one of those that are by default used for Auditing and it runs perfectly when I run it manually or by Schedule. The problem is when I include it in a Publication, so it can be filtered automatically based on the list of users.
    I tried with another of those reports that come with Auditing, and it has the same problem. Is it a bug? Are you able to replicate this error in your environment? I'm using Crystal Reports 2013 sp3.

    I am able to open and edit other reports on the server without problem.  I believe that they are the same version and pack.  Here are my versions:
    CR for Enterprise Version 14.1.3.1257, Build 2013 Support Pack 3.
    SAP BusinessObjects BI Platform 4.1 Support Pack 3, Version 14.1.3.1257
    When CRE displays an error like this, is there further information in a log or recorded anywhere else?  How does one go about finding details?

    Crystal Report 10.
    From the Instance Manager Page we can have the Logs of all the reports executed from each user.
    I can see some options availabe to filter logs [according to users and status].
    Is there any configuration page or any other filteration methods available(Eg: date wise) for this page?
    Option to order the log entries?
    Also from where the instance manager pulling this log details and displaying in this fashion?
    Is there any other dictionaries or flat files exists to capture this information other than from instance manager?

  • Report crashes, seems to be because of "Keep together"? (Crystal Report 9)

    Hi,
    We have a report that crashes when run on Crystal Reports 9. It only crashes when "something" on the page hits a limit, as if we remove one line from the data, it does not crash, and if we add one line, it does not crash.
    We fixed a very similar report by removed "Keep Together" on a field, but this was not ticked for this field on this report. However, there are other fields that have Keep Together ticked, but they are supposed to keep together too...
    I found this defect, and was wondering if this is present in 9 too (seeing as it's fixed in 10)? This says "Report Designer", but I guess it's meant that the report crashes when run??

    Hello,
    The issue described in ADAPT00258586 covers CR8.5, CR9 and CR10. [Note 1217122 - CR 8.5 shuts down when a text object goes over 2 pages with Keep Together set|https://bosap-support.wdf.sap.corp/sap/support/notes/0001217122] discusses the different fixes that need to be applied for each version of Crystal Reports.
    If you're seeing the issue in Crystal Reports itself (the designer) then you want to apply the "Main" patch. If you're seeing the issue at runtime in a VB6 application that uses the RDC then you'll want to apply the "Developer" patch.
    You can find the "Developer" patch at the link listed in the Note since it still works:

    You'll have to search for the "Main" patch since that link in the Note no longer works.

Set the filters to Crystal Reports > Crystal Reports 9 > Hot Fix or Service Pack. Any of the later "cr90devwin_en" patches should have the fix, as should the later service packs. The [readme|https://smpdl.sap-ag.de/sapidp/012002523100005987162008E/cr90mainwin_en.pdf] for [this version of the Main patch|https://smpdl.sap-ag.de/sapidp/012002523100005987172008E/cr90mainwin_en.zip] shows that ADAPT00258586 was listed as being resolved, so it should work in resolving the issue.
    Since the patch date is listed as being from 2004 it's also likely that some of the later Service Packs will pick up this fix as well. You can search on the same Software Download page for Service Packs if you want to test those as well.

  • Converting a crystal report to pdf and then opening the pdf automatically

    I am successfully exporting a crystal report to a pdf file using code in vb.net 2008 in a windows application.   The crystal report is open in the viewer control and the user presses a button to export it.
    I create a variable with the report name and the location..  All works correctly.  However, I want the pdf to be open once it is saved which I believe is the case when you create  the pdf using the build in crystal export control.  But I am not using that.
    I presume I could call another form and use the adobe com control, but i prefer to do this in one place.
    How can I accomplish this.

    How about if I filter the open dialog box using the pdf name and folder.  Then that one would be the only one open in the dialog box and if the user selects it, it would open.  Have not tested yet, but this popped into my mind.   Seems better than a button on the form with the crystal view  to open another form .  Or I could have the adobe com object over laying the cr viewer and just make it visible if they press a button to open the abode  file..
    Maybe people have tried this and could comment on the better choice to view the pdf
    1.  call another form that contains  the adobe com
    2.  place the adobe control over the cr viewer and make visible if user requests to see pdf.   
    3.  use a filtered open dialog box.
