Differences in local Purchasing Contracts and GOA?

Hi all,
I am new to SRM and trying to figure out what are the differences between local purchase contracts and GOA? I know that GOA can be distributed to multiple backend systems whereas the local purchase contracts cannot be. Are there any other differences apart from this? and how does these two make difference to the business?

Hi Kumar,
As mentioned by you GOAs can be distributed to backend systems.
However the major difference between a GOA and a local SRM contract is that with GOA you can create either a contract or a scheduling agreement in the backend R/3 system.
Whenever you refer these contracts / scheduling agreements while creating a P.O in backend the status gets updated in GOA created in SRM.
You can not refer these contracts / S.A s while craeting a P.O in SRM.
Similarly the local SRM contracts can not be refered while creating P.Os in R/3 system.
Hope this makes you more clear and helps in better understanding of the issue. Clarifications are welcome.

  • Commitment in Purchase contracts and purchase order

    Hi,
    We are loading contract through LSMW. As account assignment we are just passing the cost center and the account is configure in OKB9.  However for some contract the flag is set in items affect commitments and the wrong account is determine. I want to know if this behavior is normal and why? How do you know how commitment is set up in the system?
    I have also seen that for some purchase order there are commitment lines that have been created in table COOI. Those pruchase order has been created through idoc and here again we do set the commitment flag.

    Please consider that purchasing documents which do not have facility of GR, can not create commitment, hence commitment is not available for contracts.
    In case you want PR commitment to be adjusted against PO, please ensure that along with contract, PR number should also be filled in PO.Here I mean for EKPO-BANFN should be filled in PO then commitment would not be double.
    Case 1 with contract:
    When you post Purchase requisition.
    - Purchase requisition updates commitment.
    - You see purchase requisition amount in the report S_ALR_87013558.
    When you post Contract with reference to the Purchase Requistion:
    - Purchase requistion commitment stays as it is.
    - Contract doesn't update the commitment.
    - You see purchase requisition in the reprot S_ALR_87013558.
    When you post a purchase order with reference to contract:
    - Purchase requistion commitment stays as it is.
    - Contract doesn't update the commitment,
       When PO posted with reference to contract, there is no   commitment reduction for the contract either.
    - Purchase Order commitment is updated.
    - You see purchase requisition and order in the report S_ALR_87013558.
    Case 2 without contract:
    When you post Purchase requisition.
    - Purchase requisition updates commitment.
    - You see purchase requisition amount in the reprot S_ALR_87013558.
    When you post a purchase order with reference to requisition:
    - Purchase requistion commitment is reduced by PO posting
    - purchase order commitment is updated.
    - You see only the purchase order amount in the report S_ALR_87013558.
    The  attached note 151451 describes also the system behaviour.

If you run a valuation under the FIFO method, for example, and then run a valuation for the last calculated costs, SAP Business One valuates the items using the last value that was determined for an item under the FIFO method.

    In classic for all your source of supply as distributed contract for your PR,PO and SC
    IN ECS only for backend direct materials . this can be used only in backends but this only for your backend.

  • Difference between Purchase Order and Scheduling Agreement

    Can any one explain the main differences between a Purchase Order and a Scheduling Agreement?

    Hi,
    A Purchase Order is a document that is given to Vendor to indicate our intention to buy goods from them. It contains what is the desired goods, how much quantity, price, and the delivery date, among other things.
    A standard procurement cycle for this is:
    PR --> PO --> GR --> IV
    A Scheduling Agreement however, is a type of an Outline Agreement. Outline Agreements are divided into 2, first one is Contracts and second is Scheduling Agreement. So this is basically a long term agreement with a particular vendor that contains details on what is the desired goods, quantity, and the exact delivery dates.
    A standard cycle for this is:
    PR --> Create Scheduling Agreement --> Maintain Delivery Schedule (agreed dates on when vendor will send the goods and time) --> GR --> IV
    As you can see, for Scheduling Agreement, PO is not required, but instead we would need to Maintain Delivery Schedule.
    Just to share on Contracts, it appears as below:
    PR --> Contract Creation --> PO --> GR --> IV

  • Local contract and classic scenario

    Hi all
    A question regarding contracts - and interpretation...
    On help.sap.com the following is stated:
    <i>SAP Enterprise Buyer, as the central purchasing system, saves the contract data and uses it for local purchase orders and purchase orders of the extended classic scenario.</i>
    I interpret this as, if one is using the classic scenario it's not possible to operate with local contracts in the SRM system. Can anyone confirm this?
    And if so - any workarounds?
    Our dilemma is that we have an extended classic scenario. Some materials are stock materials, and for these materials we are using a BAdi to switch off the extended classic scenario. No contract data is now added to the shopping cart, which I think is due to the classic scenario.

    If you want the contracts to be in SRM and do not want them to send to Backend, then check this out.
    Create a Vendor list for those items in SRM by assigning the local contracts to the vendors.Activate Vendor list for sourcing.
    Then local contract data should pick as SOS from the vendor list.
    If you can create contracts in Backend for stock material then SC would pick the backend contract as SOS in classic scenario.
    Let me know if the above works or not.

  • SD Customer Contract and MM Purchase Contract

    Good day
    I need to know if anyone has a solution on forming a relationship between these documents, and be able to report at item level for example Item x bought at $10 in the Purchase contract and sold at $15 in the Sales Contract. We need to form such a relationship between these contracts so we can report and compare line items.

    I had similar requirement and used Purchase Order Header field 'Collective No' EKKO-SUBMI and put the Contract number in there. Then I used BADI ME_PROCESS_PO_CUST to do the budget check. I configured a new Contract Doc type and New PO Document type (with field selection requiring entry for EKKO-SUBMI) to provide more control. You will also want to create a custom report that lists the run rate/burn of the contract.
    Other considerations
    1) When the check fails, do you want error or warning ? we programmed it to be changeable via a ztable entry.
    2) do you want to do any date checking of the PO header date(s) and the Contract validity date ?
    3) do you want to check / verfiy the Purchasing organization of the Contract vs the PO ?

  • Unable to clear GL due to Val difference between Local and group currency.

    We have an open item managed Revaluation G/L account in our company code which has a local currency USD.There are some documents posted to this account in both USD and CAD. But when we analyze the docs posted in CAD we found a valuation difference in the local currency(USD) and the Group currency(again USD). I am not sure of the reason for this. But due to this difference we are unable to clear this account. Please let me know if anyone can think of how to clear this particular GL account.

    We have an issue even with document currency in USD. there is a valuation difference between Local currency (USD) and Group currency (USD).
    For example:
    Doc currency = 0 USD
    Local Currrency = 171,000 USD
    Group currency  = 0 USD
    Because of this I am not able to clear the account. Not sure why there is a difference inspite of the same currency. I try to clear it in F-04 but I get the below error:
    Posting is only possible with a zero balance; correct document
    Message no. F5060

    If the project started at various locations, the first thing you should take care, is setting of posting period variants and fiscal year variants.  next will be time schdules, as there will be climatic and timing constraints which may cause some work disorders.  Last but not least is, co-ordination among all project locations. I think this will help to some extent.

    Framework order is also known as Blanket PO.....which we use for the procurement of Low value Material with Long term planning....It is used as Mini Contract....
    Blanket Order:
    Used for long validity period and with the provided value limit. By its name u201Cblanketu201D which covers to required long time? We use doc type FO(for long period) and item cat. B(for value limit).Goods receipts or the entry and acceptance of services performed are not necessary in the case of a blanket PO and limit items. The invoices are posted directly with reference to the purchase order, provided that the specified value limit is not exceeded. But manual entry of invoiced amount and invoiced quantity is required during LIV process.
    Example: Procurement of stationary items.
    Frame work order:
    Framework order (FO) is a document type which is provided by the standerd SAP.
    It can be used for the consumable material ( Which is having low value & where making GR is not of worth like C category item.) & called as blanket PO. Here we need to mntion the validity period & target value or quantity as a restriction as well as need to mention item category as a "b".
    Also it can be used for the procurement of extarnal services (Item category "D" ). Here we need to do the entry of services which have been performed & need to accept the same whereas in blanket PO, GR is not required.
    At the end i would tel u that Framework order is the document type which can be used as blanket Po & procurement of services.

    For making Blanket PO....you have to choose Order type: FO in ME21N....with Item category "B"(Limit)
    For creating Blanket PO... You need not have to maintain material master.....Maintaining Acc.assignment Category in PO is mandatory....also you have to maintain Validity Period in Blanket PO...
    As per SAP Best Practice.....for Blanket PO, GR is not possible.....you can directly post multiple Invoices for One Blanket PO....The validity and total Value of these Invoices for Blanket PO during LIV can be controled by tollerance keys LA and LD.

  • OA vendor changes in ECC COntract from GOA

    I have created a GOA 35000003 with one vendor 11111 (VN) and released and reached ECC as Purchase Contract.
    and
    now i could view in me33k contract header -> partner details as OA 11112 and VN as 11111 o.k
    now next day vendor master team changed OA 11113 FROM OA 11112  for VN 11111.
    Now i create a SC11000012  and PO 70000003 created  for VN 11111 with OA 11112  rather than OA 11113 SINCE MY CONTRACT HAS STILL OA AS 11112.
    Any one faced this problem?
    As per business PO must created with OA 11113 rather than OA 11112 since they have changed in vendor master data.
    i could change in purchase contract but that is not good practice. ..
    as you all aware as a Business process, we are not supposed to change the purchasing contract at any cost. our changes always must be done in SRM GOA. WHAT  TO DO?

    classic:- OA as well as VN both are available in SRM pulled from ECC.(both are same number range)
    now
    MY VN 11111 vendor told us that no more OA 11112 . so we set deletion flag this OA vendor 11112. (OA - 11112 ORDERING ADDRESS NO MORE LIKE ABONDONED)
    vendor may instruct us to set up OA 11113 for VN 11111 and go on.
    NOW i touch xk02 VN 11111 as OA 11113
    now i may need to touch in contract right?

    there are two vendors in two different states so i do have OA and VN relationship.( really names are same but different address vendors). in one state the vendor may get tax exemption.
    so maintain VN 11111 ABC LIMITED lnc , FLORIDA and OA 11112 ABC Limited ,DALAS.
    NOW i scraped the operation in DALAS , i started new address vendor company in NEWYORK 11113 OA.
    so now VN 11111 ABC LIMITED lnc , FLORIDA  and OA as 11113 ABC Limited , NEWYORK.
    I set deletion flag for 11112 and removed form VN 11111 and new data is IN XK03.
    VN 11111 and OA 11113 .
    SO i need to change the same in contract to other wise my contract always pointing to OA 11112 ABC Limited .DALAS into OA 11113 ABC Limited NEWYORK.
    yes. i do have a OA in SRM side too.
    i dont have separate number range for OA and VN.
    rule:- The contract still pointing to old OA only.contract has VN as well as OA too.
    in SRM , while creating a GOA , i use only VN as my vendor.
    since i am in classic, GOA is not my source of supply. purchasing contract only my sos.
    I need to know the trick to change the OA without touching ME32K.
    PS:- i leanrt and confirmed  from SAP MM experts if i change OA vendor for VN vendor in Vendor master , we need to manualy change the contract  partner details too...
    IN THE MEAN TIME I HAVE SET DELETION TO TO MY OA VENDOR 11112 DALAS TOO
    I also tried to change some piece of data in GOA like some text added and approved and the same contract. no changes on partner data VIA WEB.

    SAP suggest 11111 in BP create ONE MORE ADDRESS OA like NEWYORK as OA and Standard address  as FLORIDA  and select the the NEWYORK address and distribute the GOA again. but business did not agree..due to some tax and etc.

    we have SRM application rel. 5.0 (Server 5.5) and our need is to deactivate contract's approvement, about a contract just approved, whe user modify some fields in header or item data on contract.
    Under dir SPRO --> SRM --> SRM Server --> Cross-application basic settings --> SAP business workflow --> Define conditions for starting workflows i have selected following values: "BOR" - "Purchase contract" and event "CHANGEVERSIONSAVED" and i tried to managed Start routine n° WS14000086 e WS14000088 with expression "Changed fields" using field CRMD_ORDERADM_H-DESCRIPTION, for example, but in this way i only got issue that approvement flow doesn't go !!!!
    Did i follow right way ? miss i something ?

    Hi,
    It is either possible to use workflow (or) not to use workflow.
    It is not possible to deactivate workflow in the middle of the approval process. for example if the approver changes the contract and approves, then the contract will be approved if it is single step approval.
    if the approver changes the contract and then approves , then it will be send either to the next approver (or) creator depending on workflow security leve.
    But i am sorry it is not possible to deactivate workflow in the middle of workflow process.
