Dynamic parallel approval workflow

Hi all,
I want to design a workflow where I have to send mails to different approvers. Here,the case with me is the approvers are selected dynamically & No. of approvers are also selected dynamically (at run time).
I would like to know whether its physible or not. IF yes, any solution towards this will be helpful.

I think the Actual_Agent container element gets populated only when someone completes the workitem. In your case you need to send the mail to the approver by using the same agent assignment you have used in that activity step. I hope you understand. If you use rule then ue rule in the deadline agent assignment also. You can also create a container element that populates the approvers in a task that is executed before nd use it in the deadline portion.

  • Dynamic Parallel Approval for HCM Process and Forms

    Hi everyone,
    I have a scenario where I need to use the "Dynamic Parallel Approval" (or to keep it simple, initially I tried using the "Parallel Approval" wizard)for a workflow used in the HCM Process and Forms.
    The standard task for approval in process and forms is TS17900101. I have mentioned a multiline container in the Miscellaneous tab of this task. However,I was unable to use this task in the wizard. There are no results attahced to this task unlike any other standard approval task (like TS30200147). I need to use the task TS17900101 in the workflow assigned to process and forms, but not sure how to handle this scenario (parallel approval).
    If this is not the right way of doing it, Is there any workaround for "Parallel Approval" in HCM Process and Forms.
    Could anybody throw some light around this area.

    Thanks Anuj. But I believe, the container element that I add in the miscellaneous tab does not necessarily have to be used in the agent assignment. The multiline container is just to instantiate the workitem 'n' number of times. Correct me if I am wrong.
    My concern is that I was unable to use this approval task (TS17900101) in the workflow wizard for dynamic paralle/parallel approval.
    Arghadip - Thanks for your suggestion. I have seen some your nice contributions in the WF forum.
    I actually tried using the 'Blocks'. But this is what I ran into. When I send multiple approval requests (say 3), if one person has approved it and the second has rejected it,I need to take out the workitem from the third person's list (because it has been rejected by someone in the group). I am not sure if this is possible using Blocks. And in my case the third person is still having the workitem, but gets a dump/error when he tries to open it.
    Also, if any one has rejected the request, I do not have to wait for the rest to take any action on the workitem and proceed further. But I guess in 'Blocks' it will not let you go out unless every workitem has been processed.
    To summarize,here's what I need - I need to come out of the block for two conditions. One, if everyone has approved, comeout of the block with an apprval flag. Two, if anyone has rejected (even if some have not processed their workitem), delete the workitems from others inbox and come out of the block with a rejection flag.
    So, any kind of input or suggestions on how this could be handled would be highly appreciated.

    Dear Experts,
    I'm looking for sample code on how to implement the BADI agent determination with multiple areas for header (decision type 1) for RFx (BUS2200).
    I made all the required settings for parallel approval, but it for SC. The BAdI implementation for parallel approval /SAPSRM/BD_WF_SC_RR_PA works only with SC and Decision Type must be 4 — Item-Based Decision for Partial Document.

  • Parallel approval workflow, end process

    Hi everyone
    I have a approval workflow that has 3 users approvers with a parallel approval. 
    I want to end the workflow (Approved or rejected) when ONE OF THIS USERS complete your task 
    Does anyone know a way to do it ?

  • Container element for Count in Parallel Approval Workflow

    Hi Gurus,
    We are using ECC 6.0 and I have this below requirement. Please share your thoughts on how we can achieve this.
    We are using a User decision step in parallel workflow to generate and send individual work items to multiple approvers. that is, we generate multiple work items and send to individual approvers for the same step in the workflow and get the combined result (Approve or Reject) to proceed further. I understand that individual result for each work item is stored in container element '_RESULT' (0001 for Approve, 0002 for Reject) and combined result of all the sub-work items is stored in '_WI_RESULT' (0001 for Approve, 0002 for Reject). Also, we can see the index # of work items generated for the same step (node) from container element ''_WF_PARFOREACH_INDEX'.
    My requirement is to set work item to COMPLETED status after we obtain a certain # of APPROVE (_RESULT = 0001) decision. Let's say, after 2 of the approvers say Ápproved', then I'd like to close all the other relevant work items and set the Combined result '_WI_RESULT'to APPROVE and Complete the relevant work item. I was wondering if there is a container element that holds the (count) # of work items generated in individual work item container so that I can keep reading this value to see how many decisions have been made. That is, for example, If there are 3 parallel work items generated and 1st user said Äpproved',  is there a way to know out of a total of 3 approvals (to get the combined result '_WI_RESULT'), one is completed and 2 approval decisions are still pending. I'm trying to use step-level Pgm Exit (After_execution Method) to read this container element for # of approvals done and if the combined result '_WI_RESULT'is '0001'(Approve), i'll try to end other work items. One way of doing is to have a custom table to capture this and keep reading this table after each decision. But, I don't want to have all this customization and I believe there should be a way the SAP is storing somewhere this # of completed or Pending approval work items that got originated from a single step/node. One way of doing could be, after each decision, read the dependent work items (having same node # and Parent Work item etc.,) and get the other relevant work items and read their status etc., But I think this is a lengthy process and may be there is an easier way, perhaps some container element that holds this information.
    Please let me know if you need any clarification on my requirement and share your thoughts on how I can achieve easily.

    Thank you for your reply. I was actually doing the same with having an APR_COUNT and passing that for each of individual work items and bind it back to task--> wflow container. And keep checking this counter in wf container.
    Once, we obtain certain # of approvals, then I guess I'll have to complete or cancel the other work items.
    I was thinking may be there is some container element already exists that keep track of this, I guess not .

  • Acheiving dynamic parallel approval

    Hi,
    I am trying to use a decision step to send the approval request to a list of agents specified in a multiline container element. I am able to generate as many parallel branches as the number of agents. I want to acheive the following once this is done:
    1) The workflow should not continue unless all approvers have approved a request (this can be regarded as an AND operation)
    2)The workflow should continue even if one approver rejects a request. Also if any one approver rejects, the workitem should disappear for all other approvers.
    A related question is as follows:
    How do we specify an End condition for a decision step using a multiline container element. The end condition doesnt seem to be working for me. A step by step approach with some screenshots may be helpful.

    Your solution seems to be interesting. I will try it and let you know if it works for me. However, I tried a similar approach where I was raising an exception in the reject branch of the User Decision step (which uses a multiline container element) using the same Process Control step and was trying to catch it in a block element. But the workflow throws up an error with the way I tried. I will try the fork method which you have suggested.
    Also I am interested in knowing if I can make use of the End Condition for this purpose which can be specified in the miscellaneous tab of the UD step where we specify the Multiline Container element. I am not sure when that End condition would be triggered.  If somebody has got this End Condition to work for him, can you share the exact steps that you followed for this?

              I am working on purchase order <b>BUS2012</b> in my scenario i need to use Dynamic Parallel approval. So if i use Dynamic Parallel Authorization wizard it says BUS2012 does not contain IF APPROVE what is this ? . Can anyone explain me in detail.

    In order to implement Parallel processing use the the "Miscellaneous" or "Other" tab and provide the number of approvers in a multiline container element and mention in this tab. Now in the Binding from Workflow to Task of that particular step you will find a Par_For_Each_Index element in the Binding from Workflow to Task or subworkflow. Please use this  binding and this will ensure parallel steps. Please reward points if it is effective.

  • Defining index in Dynamic parallel processing of workflow

    Hi all,
    I am using dynamic parallel processing feature in workflow for a particular multi-line element. But I am not able to define the index in that particular task.
    Consider that i have a multi-line element "Material". For this element, I need to loop that task for that n number of records. so i am using dynamic parallel processing. Now for each workitem generated, i need to show that particular material in the workitem. I remember that we need to use index, but i couldn't recollect how it is defined.
    Could anyone help me in this regard?

    When you use dynamic parallel processing the index is available in <b>_Wf_ParForEach_Index</b>. A reference for the line of the multi line element is automatically generated for each work item created. You can see this in the Binding Editor for the step. In your case this will be "Material()". When you drag this element to the WF to Step binding window, it will be resolved as "&Material[&_Wf_ParForEach_Index&]&. Therefore you can get the material for each WI by defining "Material" in your task container (not as multiline) and doing the appropriate binding. If you in fact need the Index in your method, you can define a container element your task with reference to Type SWC_INDEX and bind to ]_Wf_ParForEach_Index.

  • Dynamic approval workflow based on checkboxes

    I have a sharepoint 2010 approval workflow based on an info path form list
    The form has about 20 checkboxes for different areas of for which a supervisor could request access for. A supervisor could check 1 checkbox, or all 20.
    The checkbox on the actual form being filled out will have the title of access being requested such as but not the name of the approver. we dont want to show that on the form as to who the approver is.
    Each checkbox corresponds to a different person, so if 5 checkboxes are selected, I need the workflow to automatically assign the tasks to 5 specific people based upon which checkbox is marked. So if check box A, B, F, G, Q are all checked it should send
    an email to the people that are associated with those checkboxes only.
    How can I dynamically assign the tasks to people based on which checkbox is selected?
    I am using sharepoint 2013 but 2010 workflow in designer

    You will promote those checkboxes so you can access from workflow.
    in the workflow you will create logic of conditions
    for example
    if checbox a selected then assign variable checkbox1=true and so on for each checkbox a corresponding variable and other 5 variables carrying the approvers names
    then based if those values are true you will create a task for those approvers

  • PO Approval Workflow on item-level?

    I have a requirement to implement an approval workflow when the price or cost center/internal order is changed on the purchase order.
    The problem is that as I see it, standard SAP only allows approval on header level for Purchase Orders.
    Is there a way to handle approval on item-level if for example the PO has 2 rows, we change the cost center on both these rows to different ones???
    Based on this cost center, the approval should then go to the cost center responsible and then his boss and so on based on the org-structure.

      Consider a example , you have a PO and this PO has three items IT1, IT2, IT3. Based on the cost center, you want to send the respective item for approval to the respcetive KOSTL manager .
    Desgin your workflow in this way.
    1. Design a background activity step in  and a BOR method where it returns you all the items  of the PO and store these items in a multiline container element in the workflow container.
    2. Now next to the above step include a [BLOCK step|http://help.sap.com/saphelp_nw70/helpdata/en/cc/18a8f409a93749b10e8dd9f9d81797/frameset.htm] in the workflow and choose par for each option and pass the items stored multiline container element. The use of the block step is it dynamically creates a parallel branches based on the number of rows in the multiline container element you mapped to the block step.
    3. Now Inside the block step create another bor method and include a bacground activity step. Now in this BOR mehtod what ever the item you import try to determine the manager of the KOSTL(Cost Center.) and who ever is determined pass that user(s) name(s) back to the workflow container.
    4. Next to this step include a decision step and choose the recipient type as expression and pass the container element in which  the KOSTL managers are stored, in this way you can send based on the item cost center to its respective manager.

  • Dynamic parallel processing using a multiline container element

    Hi All ,
      I just wanted to how things work when we use "Dynamic parallel processing" for a decision step . I came across a situation wherein a Rule gets the approving user(s) and the work item should be sent to all those users . After getting an approval from all the users , the workflow should proceed or else it should terminate .
       I was just wondering whether "Dynamic parallel processing" will do this job or not . I had also thought of using forks but as the number of approvers are  decided at runtime , i dont think it is possible .
       Any inputs ?

    Just do as Mike says:
    use the multiline element for a subflow.
    The subflow consists of your user decision, if someone rejects it, remember it (could be done by updating a small table using a method, or use an event, or what mike suggested, updating appending a table )
    In the top flow, after the multiline element step determine if someone rejected it (wait for event, or reading the table).

  • Dynamic parallel processing of the same object using asynchronous method

    Please can anyone help me?
    I have to send the same DMS document to several agents for parallel processing. The number of agents is not known until runtime. Each of them should process the document and at least change the status of it. In next step I check if he has changed it.
    I use dynamic parallel processing of subworkflows. Key task of this subworkflow uses standard method of object DRAW - DOCUMENT.EDIT  (standard transaction CV02N) which is asynchronous. The task is finished by event DOCUMENT.CHANGED. 
    During the parallel processing the appropriate number of workitems is generated. However, when the agent who processes the document as first completes his workitem the event DOCUMENT.CHANGED is generated and all parallel workitems are completed, even those of other agents that were not processed yet.
    Any help would be appreciated.

    Hi all,
    The process is used to approve incoming invoices. Each scanned invoice is attached to a DMS document and than sent to one or several agents in parallel. People from several departments can approve the same invoice for instance energy or mobile phone costs. We have no HR module fully implemented. Each agent may write some remarks and has to sets the document status to either approved or rejected. This status is temporary therefore the others see the original status for approving.
    The process of incoming invoices was implemented by SAP consultants in 2003 on 4.6B and now runs on our 4.7 system.  Now new company was established running on a new SAP system ECC 6.0 and our accountant department and some agents will deal with invoices in both systems. Therefore, the process should appear the same or at least very similar. The majority of the old process was realized by programming while I would like to use workflow features that are available now and reduce the programming part.
    As I see, I will have to choose one of the solutions that Arghadip suggested.
    I wonder if there is a possibility to use asynchronous method and control the end of each work item by means of u201CComplete Work Itemu201D or u201CComplete executionu201D Conditions. I have never used them and I do not know how they work and what condition to use. Maybe program exit might be used as well. While controlling the agents I think I will have to do some programming anyway because the work item can be finished by a substitute too.

  • OIM 11g - Approval workflows for disabled user accounts

    Hi,
    We have a scenario wherein a user will be created in OIM with a future start date resulting in a Disabled Untill Start Date user status. Once the user is created, we should let anyone submit a New Hire form for the user and the submitted form needs to be approved by the Manager. Once the Manager approves the form, the target accounts should get created with disabled status. These accounts should get enabled on the start date.
    As submission of New Hire Form is not a straightforward process, we came up with the following design.
    A dummy resource object corresponding to the New Hire Form will be created and can be requested for a newly hired person by anyone who has OIM access. An approval workflow will be configured for the New Hire Form Resource object and provisioning of target accounts will be based on Manager's approval for this resource object.
    However the challenge that we see with this design is, it wasn't possible to place a request for New Hire Form dummy resource object for a disabled user. But the requirement is to complete the New Hire Form submission process befor the user becomes active.
    How can these workflows be invoked for a disbaled user? Is there any other way to implement this requirement?
    Any kind of help/guidance is greatly appreciated.

    You can have dynamic task assignment in BPEL; where you defne a variable in the task assignment and update the variable with the approver group name before triggering the task assignment task. Check BPEL docs for same.
    If every group needs a different approver, and there are 5000 groups, can I make 5000 resources and use the built-in routing of approvals? Or, use the dummy resource approach and handle the management of the approvals in some other way.Just make one resource with one field attached to it which takes in the group name and handle approval in SOA by reading a lookup which has AD group to Approval Group mapping.

  • Difference between Due Date for All Tasks and Duration per task in an approval workflow

    Hello,
    I'm starting to read up and learn about approval workflows in Designer 2010.  I am confused by the fields "Due Date for all Tasks" and the "Duration per task".  I understand that the Due date for all Tasks is the date that all
    of the tasks in the workflow must be completed by.  And I understand that the duration means each task has x number of days to complete.
    But I dont know whey we need them both.  If I have the task duration set to two days and there are 3 tasks involved, then wouldn't the due date be 6 days from the start?  Why would I have a due date for all tasks that is completely different than
    the sum of the duration of days for each task? 
    Please help shed some light!

    Due date for all tasks, this setting specifies the date by which all tasks are due. It’s used for serial and parallel
    task.
    Duration per tasks, this setting specifies the date by which an individual
     task is due, it’s used for serial workflow participants.
    Note, when you create an approval workflow, select task process participants(approvers oob approval workflow), we can also
    select once at a time(serial) or all at once(parallel).

  • Change in Work item Text for Approval Workflow WS14000133

    Hi,
    I need to change the work item text for Shopping Cart Approval Workflow WS14000133.
    I have created an Attribute in Business Object BUS2121 and called the same attribute in work item text.
    In PFTC -> Redefine Work item text - > and i have defined the work item text as well called the attribute from the container.
    what  the problem over here is - when I am passing the attribute in the work item text in the task, I am unable to see the work item text with the Dynamic Attribute but I am able to see the work item alone (not with the Dynamic attribut)
    But when i debug the workflow from SWI1 then i can see the dynamic attribute in the Container of the workflow but nt in the approver's inbox in portal..
    Can you please tell me - that why is this a strange behaviour that i can see the Dynamic attributed created initially in the workflow container of the Business Object but nt in the Approvers inbox either in Backend nor in the front end...
