Import to Word

In a Word document I imported into RoboHelp, my cross
references imported as Cross Reference (not inline cross reference)
style. When I define this style in the Word template to be the
desired color (eg. royal blue), it doesn't import with the desired
color, even if I define a style in the style sheet with the same
properties. If I locally format the cross references in the Word
doc and then import, they import properly. Can you explain how this
works, and if there's any way to change all the cross references in
the OLH after they've been imported to the required color? (I could
change the properties in the style sheet, but the problem is that
though it shows up as Cross Reference style, the style doesn't seem
to work properly - I need to apply another style and then reapply
it, before its truly the Cross Reference style. I don't want to
have to manually reapply that style to each Cross Reference)

Standard advice in this situation is to save two copies of the document and trash one half of the content from one copy and the other half in the second copy.
Then try to import into a test project to see which half chokes. Repeat until you find the cause.

    Pages '08 imports MS Word 2004 for Mac documents without the page-breaks.
    I love the Mac interface and really want to stop using MS software. I was hopeful with all the good press about Pages '08. I downloaded the 30-day trial and immediately discovered this glitch.
    I must be able to exchange 300+ page manuscripts with MS Office users. If Pages cannot import the page-breaks in these documents, it's a deal-breaker for me. I'm not going to go through and re-insert 300+ page-breaks everytime I have to edit and return a document.

    I've had the same problem as Jeffrey ... but with Appleworks 6 documents. I can import a small amount of Appleworks pages with hard page breaks (Insert Page Break) but when I try to import the entire 300 pages of my manuscript into Pages '08 the page breaks move up and are not where they should be. Also, many of my large Appleworks text manuscript files (no graphics) will not open in Pages '08. On top of that, the line spacing in Pages is a big headache,. I still am unable to place 11 lines on the first page of each Chapter (as I have done before in Appleworks with no problem). Sometimes it will give me 11, next time it will be 12. Hitting return once often moves two lines of type rather than one. Very frustrating. I have followed instructions and even added styles with my own template. I also used "Exact" spacing of 24 pt with my 12pt type because using double spacing is not even close to what double spacing is in Appleworks using the exact same font (Times New Roman, 12pt w/ 24pt spacing.) Any help will be appreciated (before I go back to Appleworks).

  • Import of Word Document is not working

    Hello, I wanted to import a word document but it is not
    working. Draging droping is not working (just puts me link) and
    through the menu (File > Import > Word Document ... ) is not
    working.

  • Problem with index markers and importing MS Word 2007 files

    This was ugly in that it wasn't caught until after a book had been typeset and the index was being finalized. I'm now having to go back and manually insert a zillion index markers. Not fun.
    This was my first project since migrating from FM 7.1 to FM9.0.3.
    Source documents are Microsoft Word 2007. Am working in Microsoft Windows 7 64-bit.
    When the Word files were imported into FrameMaker, only SOME of the index markers were imported. The difference between those that were imported and those that weren't was seemingly random.
    I did some testing and found the problem and a solution.
    Looking at the source Word .docx file, and displaying hidden text shows two types of index markers:
    1. { XE "word to be indexed"}
    2. {xe "word to be indexed"}
    Note the difference in case and the extra space after the opening brace in #1. Markers of type 1 were imported fine. Markers of type 2 were stripped by the import process.
    The solution:
    Backsave the Word file to Word 2003 format (.doc) before importing into FrameMaker.
    I backsaved to Word 2003 and imported using both the "Microsoft Word" and "Microsoft Word 2007" filters and both filters imported correctly. It's only when trying to import a Word 2007 .docx file directly that things run amok.

    Thank you for posting your solution, Dan. It's cold comfort, but I've also ran into this issue in the past, almost certainly well before Word2003 though, probably as far back as Word2000 or earlier.
    In your testing, did you try saving as RTF to see if the markers were homogenized, by any chance? In my simple testing just now, Word itself recognized the index field correctly no matter whether I changed the field to "xe" or "XE", but FM's import of the .docx file format wouldn't recognize "xe", only "XE". But importing an RTF file handled both upper- and lower-case entries.
    Ah, yes, that's it -- saving the Word2007 file as RTF (with 2 fields, one caps, one lower-case) changed cap field to lower-case when the RTF is opened in Word again, so saving as RTF does homogenize the fields to lower-case. Is it possible that your file(s) were changed to or saved as RTF at any point in their life-cycle? I believe some older versions of Word were actually RTF under the hood, too -- if you do Save As in Word2007 you can scroll through the File Type entries and see "Word 97-2002 & 6.0/95 - RTF (*.doc)"  I believe some doc management systems change binaries to RTF too, or conversely some apps create RTF but they name the files as doc.
    So Word itself recognizes either lower- or upper-case, and FM's RTF import handles both, but not the .docx import.

  • Import multiple Word docs to multiple pages with same master page?

    Hi, I should start by saying I have no scripting experience.  However, I am wondering if there is a simple script available for the following issue:
    I have set up a master page with three linked text boxes. Right now, I use Cmd+D to select a word file, and then Shift+click in the first box to place the text on the page. But I have 125 pages that are exactly the same layout, just different Word files to be imported. I could repeat this process 125 times, but I am wondering if there is a way to tell InDesign to create 125 pages using Master Page X and import one file for each?
    I am using InDesign CS5 v 7.0.4 on Mac OSX Snow Leopard v 10.6.7

    I was able to import the word documents as long as there was only one text frame on the master page. However, when I created multiple text frames (the text in the word document needs to flow from frame 1 to frame 2), it always imported into frame 2 and skipped frame 1. In case it is helpful to understand what I mean, I attach two screenshots. The first (sans text) is the master page, and the second is Page 1 after running the script. I added the labels Frame 1 and Frame 2 to Page 1, not the Master, because otherwise the text gets imported into the frame with the words "Frame 2". I suspect I have to label the frames in InDesign and then add something to the script that says insert into the Frame 1, but I'm not sure how to do that.
    It wasn't clear from your narrative in June that the text frames were linked, and that the text needed to flow between frames.
    The script, as implemented, only overrides one text frame, (textFrames[0],  which is the top-most text frame in the stacking order), and then places the text in it. Clearly that's not correct for your scenario.
    You mention 3 frames but only mention flowing between 2 frames.
    Anyhow, it sounds like you want the script to override all 3 text frames, and then to place in the first textframe.
    The first is easy, the question is really what should happen when there are more than 3 text frames -- should it override all text frames, or only some. You could specify which ones with a Script Label, or you could do something more clever. For the moment, let's just override all text frames.
    Then you have to specify which one to place into. You could just select the frame you want and Arrange > Bring To Front. Or we could specify frames[2], which should be the 3rd-from-the-top (after frames[0] and frames[1]). I'll do the latter, but feel free to keep the script the same and do the former:

  • Can't remove ghost object in Pages doc imported from Word

    Hi there,
    I imported a Word .docx into Pages '09 for it's better layout and figure handling capabilities.
    I ran into a few issues with page numbers from Word being converted to background/master objects, but overcame that pretty easily.
    The problem I now have, is that it seems one of the figures from the Word document has become some kind of unselectable ghost object. Which is only apparent because text is inexplicably wrapping around an empty space.
    I've tried all the tricks I've found to select background and master objects with no luck. Has anyone encountered this before?
    I'm attaching a jpeg of a screenshot of what the document is doing. Invisibles are on, so you can see that there aren't spaces, tabs, etc or an object. Yet the text is wrapping as if an object were there.
    I've already made edits to the file, so I would really prefer not to have to delete figures from the Word file and re-import to Pages to fix this...
    Any help would be much appreciated. Thanks very much!

    Ah great, it worked!
    A warning to others, exporting to Rtfd and re-importing to Pages seems to have removed many of my tables and figures from the original document, in addition to the weird ghost figure. I was planning on cleaning up the figures anyway, so this is not a problem for me, but others who try this should be prepared to lose many (but not all, oddly) of their inserted objects.

  • Importing multiple Word docs into InDesign

    Hi there
    Is it possible to import multiple Word documents into a single InDesign text frame all at once?
    I have 20 files that all flow sequentially so was wondering if -- by selecting them all in Place window -- they would all be brought in one after the other, without each one creating its own new text frame.
    Any help gratefully received.

    I use the script, below, for that. It's a bit scruffy, it should be tarted up. But it works fine. When you start it you type a path/file mask, using the formats illustrated in the dialog.
    It sets a few import preferences, these are the only ones I'm interested in. But it'll pick up the other options from their current settings.

  • Import from Word- all links linking too low down so that bread crumbs don't display

    When I import from Word, all the links being created are linking to the topic title, instead of just to the topic:
    e.g. href="CreateLineOfSight.htm #CreateLineOfSight">CreateLineOfSight</a></p></td>
    As a result, whenever the topic is longish, opening the topic from the link displays it with the title at the top of the screen and the breadcrumbs hidden.
    If I change the link to: href="CreateLineOfSight.htm">CreateLineOfSight</a></p></td> - without the #link , it opens properly.
    Does anyone know how to import from Word so that it links as I require. And/or how to replace all these links to the topic title with just a link to the (top of the) topic?

    Hi Ayelet,
                are you converting the TOC generated inside word document itself and is the TOC generated at the TOP of the document ?
    In such a scenario the TOC generated in Word document itself is the reason for this issue as the TOC itself point to that location!
    One more thing to talk about, and that is my personal opninion is that when we move to online medium or even document for any hand held device we should keep our topics short, the reason is that even if we have bread crums those will get autoomatically hidden when we scroll down the topic if the topic is long.
    So I would suggest you
    1. Better do some style mapping to sute your online needs
    2. Paginate the topic on the basis of style (like the one that has been used to generate the TOC) so that you have smaller and manageable/viewable topics
    3. and after pagination Auto-generate the TOC inside RoboHelp after import
    4. Can also generate mini TOC for better navigation, if you map your style to Headings style of RoboHelp and create mini TOC in the topic if it is long in place of the TOC generated in word

  • Importing MS word files with footnotes

    Laying out a textbook. Client provided formatted text. The footnotes travel with the text as I edit which is great. However, I do not want the rule that separates the footnote from the text. I've searche ID and MS Word high and low to see how to get the rule to not appear. Any ideas or can it not be done without having to placing the files without formatting and starting from the ground up in ID? See link for screen shot. Thanks.

    Hi there, I'm working with InDesign CS (I bought it a few years ago now, so its not the most current). I am trying to import a word doc with footnotes, but they will only import as endnotes, even though I have selected the import option for 'footnotes and endnotes'. I am doing a 50,000 work book, so I'd like each footnote to be at the bottom of each relevant page for easier reading. It should be very simple but I have no idea how to get around this. As usual, I have an impending deadline, so any advice or feedback or ideas would be greatly appreciated.
    BTW Clearly I am not a computer guru, so 'scripting' etc would be way too complicated for me.

  • Importing Microsoft Word comments into InDesign CS5.5 [Mac]

    Has anyone had success importing Microsoft Word comments into InDesign 5.5? I've read that this is possible, however, all my attempts have failed. I've checked that Track Changes is on in both InDesign and MS Word.
    The one pattern with all the files I've attempted is that, by the time I receive the file, the author has already accepted all tracked changes. The comments remain, but they do not import into InDesign.
    I have 'track changes' ticked on the import dialog.
    Is there anything I'm missing? Tips from people who've done this successfully would be greatfully apprecated.

  • Importing Multiple Word Documents into RH

    I know that RH allows users to import word documents, however
    I was wondering if there was a way to import multiple word
    documents (ala batch style import) instead of importing each
    document one at a time.

    Colum has good advice. Also, since you're new to this, there
    are a few curiosities that occur that can be puzzling to newcomers.
    If you have graphics in your Word docs (screenshots, etc.) a new
    folder will automatically be created. So if the name of your Word
    doc is MYDOC.DOC, graphics will be placed in a new folder called
    MYDOC_Files.
    Another "hitchhiker" to the process is the creation of a CSS
    file automatically created for each Word doc. After the import you
    have the choice to reassign any style sheet you like, regardless of
    the CSS originally linked.
    Another tip if you're new to importing, go to Peter Grainge's

  • Importing MS Word into RoboHelp HTML / TOC Creation/ CHM output?

    I am a newbie to RoboHelp 8 and am trying out the Adobe Technical Communication Suite 2.5, and have a Windows 7 (64 Bit) OS.
    At the moment, I have a single 40 page word document (MS Word 2010) that I would like to bring into RoboHelp 8.
    With that said, I create a blank project, and then import the document.  But, when I try to generate and view a help file, I am not seeing the table of contents.  I have even done the AUTO TOC and verify that the links correspond to sections and sub-sections etc. - but still no TOC.
    In addition, for some reason it brought in each of my figures twice, so that I have two figure 1s, two figure twos and so on.
    Finally, it gave me an error message and was complaining about WidgetMax:
    "Compilation failed while compiling http:\www.widgetmax.com."
    I am not sure what that is about either.
    Okay, one more question.  Is there an easy way to break up all the sections/sub-sections into unique topics before or during inport into RoboHTML?  It seems that RH 8 really needs to have multiple topics versus one long topic, containing what was formerly a MS Word document.  What is the best approach to making that happen?
    Overall, I am looking for a nice automated system, whereby I can take developer created documents (from protected MS Word templates) and bring them into RoboHelp HTML (version 8).  Hopefully, I will not have to break apart the entire MS Word document first, before bringing it into RH 8.

    My own guess is that you created a project using one of the supplied templates. Specifically, the Application Help template. This template already has a CHM window defined that contains a link to the WidgetMax.com site. When a link to a web site is defined in a CHM window, the compiler will squawk about it because it cannot resolve the link to a local HTML page. So you may safely ignore the message.
    As for importing the Word content, you have some decisions to make. How do you want to edit the content after you get it into RoboHelp?
    After you import you will abandon Word and make any changes to the documentation only using RoboHelp HTML.
    You will continue to maintain the Word document using Microsoft Word and you will want to update RoboHelp HTML to reflect the changes
    Depending on the avenue you wish to take, you will have different options for splitting the Word content into individual topics. Once we know which option you wish to use we can offer more guidance.

  • Importing multipage Word document w/hyperlinks into InDesign

    I am new to InDesign and I am trying to import a 11 page Word document with hyperlinks into InDesign. For the life of me, I can not figure this out. I try to "put" the file into InDesign but it just imports as a tiny box. Two questions:
    1. Does anyone know how to import a Word document where everything is left intact - formatting, line spacing and hyperlinks?
    2. Can anyone recommend a good resource for beginners? Trying to learn the software is very challenging.

    Matt: The 11 pages of information from Word still have to be laid out to 11 pages (or whatever) in InDesign. The little box you're talking about is a text box you either created before the Place command (with the text cursor waiting inside it) or created when you clicked the "loaded" cursor after the Place command.
    You need to resize the box and link it to other boxes for the text to flow from one box to another. This can be a fairly automated procedure once you understand how to work in InDesign; it would require that you have your document designed with, say, a Master Page design, and then different choices of click, shift-click, cmd-click do different things: fill a single text box, fill "threaded" (connected) text boxes on pages you've created, or automatically create new pages as necessary to accommodate all the info you've brought in with the Place command.

  • Importing Graphics - Word 2008 to InDesign - Maintaining links?

    Hi!
    I have an issue where documents are prepared in MS Word 2008 (Mac OS 10.5.7) and then imported/placed into InDesign CS3. The word document has inline graphics which are placed into InDesign as embedded images, however I want them to remain unembedded and linked to the original graphic files when the word doc is imported into InDesign (I have all the graphics in a sub folder within the same folder as the word doc and the InDesign file).
    Under InDesign CS2 with Word 2004 I could import a word doc into Indesign and maintain links to graphics (rather than embedded graphics) as long as the graphics were inserted into MS Word via 'Insert > Picture > From File" and then I Ticked 'Link to File' and unticked 'Save with document'. I have done exactly the same thing with MS Word 2008 but I get embedded empty graphics frames in Indesign rather than links to the images.
    I then tested Word 2008 with Indesign CS2 and still had the same problem, so am now wondering if it is an issue with Word 2008 or the newer OS?

    This has made me realise that the documents are being supplied to me as .doc rather than .docx even though they are being created in MS Word 2008 (they have a compatibility setting so that they save as an earlier word version - I need to resolve this).
    Am I correct in assuming from what you have said that if I have got the images at the quality I want when they are linked into the Word document they will firstly not lose any quality in Word and secondly when they are embedded in the InDesign document there will be no loss of quality?
    I ask this question because basically I am regularly updating large online PDFs - starting with an MS Word master and then importing this into InDesign, making layout adjustments and then exporting to PDF. I therefore need to make the process as quick as possible (which I have done through a number of Applescripts) and one of the things I want to speed up is to have to manually go through and relink the images each time. So either I need some quick way of linking the images, OR (if I've understood you correctly) not worry about relinking the images because there is no loss of quality from when we link and embed the graphics in MS Word to when they become embedded in InDesign? This would mean the only time I would have to relink the images is when we do a printed version (which requires better quality images)???
