InCopy Proofing Workflow for multiple editors - How do you do it?

We are using InCopy CS3 for our monthly magazine and have successfully completed the first issue. It went fairly smooth, but we are still playing with how the two editors keep track of the proofing. Knowing who has look at what, when and if they have fully made changes or not has been difficult.
We would like to know what others are doing for this part of the work flow.
How do you keep track of edit proofs, how many have been completed, who looked at what and when. Currently our editors are adding a note to the end of each body copy and they put their initials in it when they are done with a proof. Then the next one to look at it adds theirs when complete. Sometimes the proof goes back and forth a few times before returning to the designer. Inevitably it heads back to proofing again after the designer has cleaned it up. Knowing who has it and who still needs to look at it can get confusing. Sometimes an editor forgets to proof an article and the only way to remind them is to send an email after noticing it has not come back to the designer, or talk to them in person.
Does anyone have a better/different way/ways of keeping track of the proofing process? Any ideas that we may be able to integrate into our work flow would be great. Thanks!

Thanks Robert. That is what I thought you meant by slug.
We have tried that, and currently use it. Works well for notes in the document outside of the text boxes, but it does nothing for alerting an editor that they need to look at the proof. Or keep track of where everything is in the process without opening each part of the magazine.
Any other ideas out there? Does anyone else run into issues with keeping track of the process and what is done, in progress, etc.?

    It merely depends upon ur requirement.
    If u r having 4 dats fields and is it up to ur requirement to map one of that obj to the 0calday.

    Thanks! I have several ipod books and they told me about manually updating songs but not playlists. That tutorial is VERY helpful. I assume that if you manually update the playlist, all the songs contained in it would have had to been previously manually updated to the ipod....to say it another way, updating the playlist does not transfer any songs. Am I correct?

  • Raw File conversion to Tiff or Jpeg - best workflow for multiple files in Photo Shop Elements 11

    Hello, I am pretty new to shooting in raw and Photoshop Elements (11).  I have one big problem. Once I open Elements up and load the Raw files from the SD card it shows them all on the left side in Camera Raw. I make my contrast and color adjustments if needed, but then my problem starts: I do not really want to make any further adjustments in Elements itself, but in order to save my Raw files either as Tiff or Jpeg it seems like I need to - through clicking on the "open image". Now it only opens up that one particular photo. I did not manage to go simply back to Camera Raw to grab the next one as the screen just disappears. However, this one by one process is of course not the preferred way. I know that there is batch processing, but am also not sure if my adjustments that I did in Camera Raw will carry over as I am actually never saving anything and would like to avoid saving it before all manually as .dng files as it would just be another extra step. I hope I could make clear where I have problems and what I would like to achieve and hope you can help me. Many thanks in advance.

    Simply select and edit each picture thumbnail from the left panel without clicking 'Done' or 'Open'.
    When you have edited each individual picture, select all your thumbnails - click on the first one - shift click on the last one. They should be all highlighted.
    Then simply click 'Done'.
    Your edits are saved in sidecar xmp files.
    If the thumbnails are not yet automatically updated, select the files, right click and choose 'Update thumbnail'.
    No need to use the editor with 'Open as' if you don't want any further edit or jpeg/tiff/psd/png version.

    I am not sure I have understood your question.
    The above process lets you convert and edit a batch of raw files without opening the editor.
    If you want to get jpeg or tiff files from the already edited raw files, either use the 'process multiple files' of the editor or the 'export' feature from the Organizer.
    The common raw workflow in Elements consists in converting small batches as explained above to take advantage of applying common edits or individual differences. In some cases you want to open the editor, in others not.
    That's at the input time.
    When you want to output pictures, the selection of picture is different for each purpose. You'll include pictures edited in different batches, some still in raw format, others already converted in version sets to jpeg/tiff... For each output purpose, those selected pictures can be sent to the destination folder in the required format withoug opening the editor at that stage either using 'process multiple files' or 'export'.

    We have a printed magazine that we also produce as folios for a DPS app. We produce the mag by using InCopy for text within the InDesign workflow. No problems there.
    When finished (all edits completed) we produce the folio files but adding in all the links to twitter handles, URL's etc is proving tedious and timeconsuming for the editors and the designer. The editors (who use the print files and InCopy) produce a list in excel of the additions - they reference columns and paragraphs - which we don't use in the folio version. The designer then finds the spot after a lot of searching and then copies and pastes.  All very tedious and a backward step in workflow.
    Is there a way to include the "links" in an InCopy file that doesn't appear on the print PDF's yet apply correctly in the folios?

    Use conditional text.
    All interactive elements should be inline objects or simple hyperlinks that are tagged with a condition, then either showing or hidden depending on the article. Hide the interactive content when you create the PDF for print, and show the condition when adding or updating the article.
    Anything you want to show/hide has to be part of a story — so text, inline objects, and anchored objects can all be used this way.
    InCopy can see and apply conditional text, but cannot edit DPS-centric content such as an anchored MSO.
    As always, using matching versions of ID/IC is important.

    Press the Home Button 3 Times... then goto  >  Settings > General > Accessibility > Voice Over > Off

    Press and hold the Sleep/Wake button and the Home button at the same time for at least ten seconds, until the Apple logo appears. Release the Buttons.

    I see. It's true that form fields do not support spot colors. I know you can flatten form fields, converting the field text to regular text, and embed the fonts using Preflight. What I don't know is if you can then convert the font color to spot (maybe using Advanced > Print Production > Convert Colors), but it's worth looking into.

    send email to rev2 and so on...everything works but when rev1 rejects the item, then workflow does not go to end of the workflow. One difficult thing is we don't have go to a step option like in 2013 workflows.
    I don't know how to move on as when I try to execute the logic, all three approval process(for 3 reviewers) run even if item is rejected .....Please help
