Losing Paragraph style when linkind word Docs

Hi
New to InDesign CS5.
My client wants to edit text files so I am trying using the text link function in Indesign, but when I update the Word document I lose all my Paragraph and Text styles that I have applied in Indesign.
Is there a way keep the paragraph and text style when updating linked Word doc files?

But don't hold your breath in hoping the client keeps to the set of styles.
In some cases, I've been locking down my Word files so that editorial contributors can only make text edits. It works a treat - except when they want to perform major edits. In those cases, I unlock the file for 'em and give 'em a lecture about how much extra they're going to pay in DTP costs when I have to reflow large parts of the document due to excessive significant changes at the tail end of a translation workflow. That also works quite well.
I'd be a huge fan of InCopy if it were free, or had an install base like that of MS Word. However, since precisely zero of the people who have wanted to be involved in the editorial processes of the projects I handle have ever heard of InCopy, in the entire time since the introduction of InDesign CS, it's a tough sell.

    I am so confused! I was wondering, dyhw, if you

    I also have a Word 2003 document that has a fairly clean
    template and 4 heading levels: Heading 1, Heading 2, Heading 3, and
    Heading 4. The Word TOC generates just fine.
    When I import into RH 7, I tried with "preserve heading
    levels" both off and on; "convert TOC" both off and on--no luck.
    What is happening is that although Heading 4 topics are created in
    the TOC, there is no separate HTM file--the topics are appended to
    the Heading 3 (book).
    On import, the "Split on Style" dialog lists in the "Create
    new topics based on" checkboxes only H1, H2, and H3--as well as
    TOC1, TOC3, TOC4, and BodyText (???). Where is Heading 4? And what
    does "Rename style (F2)" do? I tried to use that to rename TOC4 to
    Heading 4, but that didn't seem to change anything.
    I am *very* confused as to how to import my Word doc and
    actually see generated Help--and I haven't been able to apply my
    skin, either--but I guess that is another topic in the forum...
    Any help, guidance, etc. will be gratefully accepted! I have
    looked at the topic referenced in this thread and couldn't see
    anything listed that I haven't already tried.

  • Preserving HTML links when converting Word docs

    I created a document in MS Word for Mac 2011 (ver 14.5.2)
    When I used Adobe Pro 11 to convert the document into pdf format, all the HTML links are lost. 
    I have tried converting from MS Word, opening the word version with Adobe Pro, printing from MS Word to pdf.  Nothing works. Even opened the MS Word document using Apple's Pages software, re-formatted and then converted to pdf.  Still no live links.
    Best work around so far is to convert and then use the edit feature in Adobe Pro to re-insert the HTML links as invisible rectangles on top of the still-blue-and- underlined text.  So to the user it looks like the html links are still live, but what a pain for editor.
    I have seen this issue raised in other posts, but none of the answers seem to work. And the work around described above is clearly less than ideal.
    Very curious, as reading other posts, the issue apparently does not arise when the word doc converted from a Wintel computer.  But I can't imagine Adobe writes software one way for Intel and another for Mac.

    Imagine it. this has been 15 year fued between Microsoft and Adobe.  Adobe Claims that Mac office doesn't hav ethe proper hooks for URLs. Microsoft says the fault is with adobe.
    Since a Word Created file will work when opened in the windows version  and saved as a PDF, the links work just fine. Just opening and not saving, but converted to Pdf does nothing to the actual Word File.
    They had it fixed last year  in Acrobat X if your dropped the file on to Acroabt directly. But broke it again with the upgrade to XI.
    IF you have iWork and Open the word file in Pages then exported as a Word.docx file then create The PDF the links will become active.  Also if you Open in OpenOffice and export as docx file the resulting PDF when open in Word and PDF is Created the links will become active.
    If you have neither you will have to open the PDF and add the links. Note the Links will be hot (active) but the links will not turn Blue and  be Underlined
    Mac Office2011 is a Conversion of Office2010/2007 code.  So there should be no pproblem.
    Also Don't use the Save As . . .  PDF Method. Instead go to Print Menu  click on PDF wait for context menu > the choos Adobe Quality PDF or Adobe PDF (uses Adobe's PDF engine).
    wait for next screen that shows qualtity leave as sent unles you need specific job options. click okay then next screen File name. Rename as necessary the browser to desired to location then click save.  Or you can drop the saved Word document (with Word quit.) on to Acrobat and after a minute or so the PDF will be created. (Using this method in AcrobatX would actully show URL s or Mailtos as active - They broke this in Acrobat XI PDF still can be created but hot links no longer work).

  • Strange problem when opening word doc situated in WLS virtual dir

    Hi all,
    we have a strange problem when opening word doc
    situated in C:\Oracle\Middleware\as_1\forms\webutil
    we put some word docs there and tried to open from forms using for example web.show_document('http://wp0606:9001/forms/webutil/mug00103.doc', '_blank');
    no problem using FF, however in IE8 the word doc is shown in its binary format, this also happens when we try to open the doc in IE8
    however when we google and search for instance for a test.doc and then click on this url a file save dialog is shown
    that's why we believe that this might be due to a configuration issue of WLS
    any help would be greatly appreciated

    I think you have 2 ways to go here. Figure out what html is from wherever weblogic gets it, meaning you have to delve into the docs, snoop
    around in directories and find what it must be sending (This is going to be unavoidable if you are going to change what weblogic is doing.
    Sooner or later you have to try to figure out where it gets this stuff from)
    or
    you can experimentally snoop on your url with a tool like wget or curl. These are fundamental web tools.
    The latter is always a useful thing to be able to do. (you need to formulate a query to get the content-type).
    Whoever managed to get weblogic to serve any files in the first place probably can figure this out.

  • Need to re-tag some Para styles of imported Word docs

    I'm hoping someone can help. I have a fairly modest-sized help system that is created from imported Word Docs (Office Word 2003). These documents use conventional paragraph styles (Heading 1, Heading 2, etc.).
    In my RoboHelp X5 project, I've created a custom CSS file that I apply to the imported Word docs. After importing any of the docs, some of my paragraph styles become misaligned: for example, my Heading 3 paragraphs are flush with the left margin, rather than indented as they should. When I click inside the mis-aligned paragraph, I see that the paragraph is indeed tagged as Heading 3. At fist I thought it might have been my CSS file style definitions, but they appear to be fine. In fact, all I have to do to correct the paragraph alignment is to reassert the tag (ie From the RB Project window, click the para (the fomating combo box reads Heading 3), reselect (reapply) the style (Heading 3), and then select "Reapply formatting  of the style to the selection" from the Update/Reapply Style dialog. RH then correctly applies the alignment defined for the style in my CSS. Note, this appears only to be an alignment issue; the fonts and other attributes always seem to work on import. Unfortunately, I have to do this hundreds of times because I seem to have several styles that need retagging after import.
    Any ideas? I downloaded a trial copy of RB 8, hoping this was peculiar to X5, but RB8 behaved the same way.  If it's any help, I've pasted the HTML coding for a Heading 3 paragraph, 1) just after import 2) the para after Heading 3 style was reasserted. For some reason RH is "margin left" and "text-indent" attributes.

    Judging from the excess spacing between the "2.2.1" and the H3 title, I suspect that your Word file has a tab set in there. I believe replacing the tab with one or two spaces should import the file without the indent.
    As to the font (span) tagging, are you sure that your Heading 3 style in Word is the original, default Heading 3, and not some re-styled Heading 3 based on Normal or something else, or a "Heading 3 + Font: 7 pt, Times New Roman", which would indicate inline modification of the style rather than a global replacement of settings for the style? I've never seen RH add span tagging unless it encounters non-standard styles in the base document.
    Select a test .doc file. Before importing it to RH, try these:
    Use Format Painter in Word to manually re-style any non-standard paragraphs.
    Do not attach a .css to the Word file, only to the resulting RH topic.
    Do you see a difference?

  • Font changes when converting Word doc to PDF

    I have Acrobat 9 and MS Office 2007. When I convert to PDF a Word doc with Heading 1 set to Arial Bold, the Heading 1s does not convert correctly. The font style, size, and bold all change. If I change the Heading 1s to just Arial the Heading 1s convert to PDF just fine. Any else run into this?

    Yes.  I found it will work okay if you select a regular font and then select bold.  Don't select a BOLD FONT type.

  • Error when opening word doc

    When opening a word doc in pages 08 I get a pop-up saying "couldn't contact spell checker" The only option is to click "ok", but when I do the message immediately reappears! The only way out of the loop is to force quit. Has anyone else had this problem? For what it's worth, pages (when creating a new file) and my other programs seem to perform spell check functions just fine.

    I found if I keep hitting clicking the "OK" button on the error message, eventually the file opens and the message goes away, temporarily (granted this has been for relatively short documents). As you start manuvering through the document, the message periodically appears. I can't tell why or when it appears; it seems random.
    I've tried running Onyx and fixing program links but to no avail.
    I also noticed that the document doesn't open up as an untitled document (re: Pages 2.0) but opens up with the original filename with a ".pages" extension.

  • Formatting is off when opening Word docs in Pages and vice versa

    I recently decided to switch from Windows to Mac and bought a MacBook. I used to use Word on my Windows computer and now when I open .doc or .docx files in Pages, the formatting is off, i.e. bullets, tabs, spacing, etc. This formatting problem also happens when other people use Word to open my files that I created in Pages and saved as a .doc. Is there some fix for this so that I don't have to reformat each document that was created in Word but that I now open in Pages?

    For maximum compatibility I think you need to use Word for Mac or OpenOffice.

    I have Adobe Acrobat Pro X. When converting an MS Word doc to pdf I lose the table boarders - primarily in shaded boxes that also have navigation tags. Can someone let me know how to fix this problem?

    When converting a word microsoft word document to PDF Acrobat converts words, tables, everything but the graphs in the document. It will not convert the graphs it leaves that area blank.

  • Problem:  Photoshop CS6 applies two paragraph styles when one is selected

    When I change the heading title within my text box, I select the heading and then select the appropriate style.  Instead of just changing the heading, the body text changes as well.  Is there a setting that's causing this to happen?

    First Bug: Simply having a layer selected (even a text layer) and then clicking the "Create New Paragraph Style" will create a generic style (with default settings). You have to tell Photoshop what settings it is that you want to create a style with. Simply double-click the text layer icon (not the layer name or the blank area around it) and this will open the text layer for editing and select the text. Now when you click the "Create New Paragraph Style" button, the settings of the selected text will be made into a style. This is how they are performing the step in the video as well, but from your description it sounds like you are skipping a step. And remember, there are two different ways of creating text: single click the Text tool to create line (character) text, click and drag a text box to create paragraph text. That is why we have both Character Styles and Paragraph Styles.
    Second Bug: The Paragraph Style is applying with your text transformations calculated. So, if you create a text style that uses a 24 pt font, then you create text and transform it so that it 200% larger, when you apply the style you will end up with a font that is at 48 pts. A 50% transformation will result in a 12 pt font, etc.
    Third Bug: Not sure why that is happening to you. My Mac uses half as much RAM and doesn't run into that problem. My guess is it would have to do with the fonts you have installed on the system. Do you still see this behavior if you disable all the fonts on your system (through Font Book or your favored font managment utility)? Your suggestion that it may have something to do with Fonnnnt Shop or WebInk may be true to. Just because they aren't open currently doesn't mean they haven't modified Photoshop and the way it runs.

  • Trouble Linking TOC Paragraph Styles from a Word 2010 Document to a RoboHelp HTML Project

    I apologize if this question has been answered elsewhere. I did my best to search the forums and the web, but I haven't seen anything that helps resolve the issue I'm having yet. I am new to RoboHelp 9. I am using Word 2010 and Windows 7.
    I am working on creating a WebHelp that is linked to a Word 2010 document. For the most part, I have had no trouble with the linked document, but something seems to be wrong with the styles and formatting for the TOC paragraph styles that I created in the Word document: the formatting does not apply to the topics in RoboHelp. All of the other paragraph styles (Heading 1-4, Body Text, etc.) are working perfectly. The problem seems to apply ony to text using the paragraph styles TOC 1-4.
    The TOC in the Word document looks like this:

    In the Word document, the entries for 1. Introduction, 2. Punctuation, and 3. Numbers are all all set to the paragraph style TOC 1. The entries for Purpose, Audiance and Applicability, Scope and Other References, etc. are all set to the paragraph style TOC 2. Both of these paragraph styles contain formatting for font and indentations, and they also appear in the RoboHelp project's .CSS file as WD_TOC 1 and WD_TOC 2.
    The problem, as far as I can tell, is that the TOC 1, TOC 2, and TOC 3 styles do not appear to be applied to the text in the topic.
    I could resolve the issue by highlighting the text I'd like to apply the style to and applying the appropriate style using the Styles and Formatting pod, but then every time I update the Word document, the text would revert.
    Does anyone have any suggestions?

    Thanks for your response, Peter. I do understand that what I'm trying to do is not standard--and probably not best practice for WebHelp. I am following instructions to make the WebHelp function like the website we are using as a model, which  features a TOC for each chapter as a separate page. So I understand that what I'm doing is essentially pounding a square peg into a round hole, but it seems like it should work as long as RoboHelp can pick up the right paragraph styles.
    I can eliminate the page numbers pretty easily by choosing to use hyperlinks instead of page numbers in web output (this is an option in Word 2010), but the Hyperlink style is a character style that overlays the paragraph styles TOC 1, TOC 2, etc and suppresses page numbers. While the Hyperlink character style translates with no problem to RoboHelp, those underlying paragraph styles are still not linking up quite right. For the sake of trying to simplify things and address the real problem, I temporarily removed the hyperlinks (thereby including the page numbers) in order to straighten things out. Thank you for pointing out the apparent oversight, though!
    What's confusing about the problem is that WD_TOC 1 and WD_TOC 2 are already defined--they just aren't being applied. I can apply them manually, but as soon as I do, the status indicator in the Project Manager pod changes to the yellow triangle with an exclamation point (), indicating that the project is out of sync. As soon as I update the topics, those TOCs revert to having no paragraph styles at all. Does that make sense?

  • When converting word doc to pdf, my images with text only show the background color of the text box.

    I have a word doc that I am trying to conver to pdf.  I have jpegs with text boxes on top of them on one page.  It looks great on the screen but after I convert to pdf, the text boxes only have half the text, the first half of the text box is just white - the background color.  If I take the background color out of the text box, the text converts over fine but I need the background color.
    I have tried many things here on the print settings, standard, high quality print, unchecking the compression on the images.  Any help?

    For adobe acrobat 9 pro, I can't figure out how to keep the hyperlinks working. If I create pdf from word doc by save as, it can't embed fonts, but links work. If I use "print" in word, it embeds fonts, but some hyperlinks didn't work. What to do to keep fonts embedded and links working? It drove me crazy! HELP!!!

    Depends on the version of WORD. With OFFICE 2007, go to the Adobe menu and select Create PDF (this is PDF Maker). That will save the links. A similar process is needed for OFFICE 2003. With OFFICE 2010, you will have to upgrade to AA X or add them in Acrobat manually.

  • Losing font format when saving to .doc

    When I save a Pages document in Microsoft Word format (.doc), I loose all my italic. If I have a word in a paragraph in italic, it will loose its format, mainly because the style of the paragraph is set to be regular. Is there a way around this? Is there a way to have a different style only for a word in a paragraph?

    Merci beaucoup pour cette information! I tried to use the pull down menu right next to the font in the tool bar and it worked (instead of the italic button in the B I U menu bar). I think it may have something to do with what you said (about ttf). But again I'm not sure, but I did use another PC to open the .doc. I'll mark this issue as solved for the moment.
