Managing threshold value of document library

Hi,
We are managing below stuff through .net application
1)Uploading the document  to current Month folder in a document library , While uploading a document check for the current month folder , if it does not exists create a new folder with month and year format.
2) After uploading a document, storing the file URL in SQL table i.e. through stored procedure.
3) While retrieving we are using the DB link to display the pdf in application.
Now have migrated this to SharePoint 2010
We are using share point 2010 document library, with multiple folders. The library has now exceeded 5,000 items.
As a result it is not allowing the users to update the documents to a document library, now we are receiving a list view threshold error.
So now my question is if I increase the threshold value, will it be proper solution?
After increasing the threshold value, will the performance be affected?
Please share your ideas/thoughts on the same.

Hi,
Instead of increasing the threshold limit,finally i felt folder structure would be good enough i.e
1) Generally for the bulk documents if pretty good enough i.e.
Uploading the documents in the folder week wise of the document library.
So in case if there are 1000 documents in the folder, count would be 1 only.
So this is a good practice for the large number of documents to upload in document library.
2) Coming to file path,
After uploading the document, file path can be saved under column of type hyperlink in the list.
Same folder structure can be followed to save file path in the list
3) We can fetch the file path from the list to display the pdf.
Please correct me if i am wrong.

  • Setting default value of document library column using powershell

    Created document library based on template which is using custom content type containing managed metadata based column.
    I can upload documents. Everything looks normal except when I visit Column default value settings page in DL settings, I get error message below

    I found another way to fix this. Thanks to you pointing me to the file "{List Name}/Forms/client_LocationBasedDefaults.html"
    I found the difference between this file and the one of a list that worked:
    I had "&" in the names of some folders. The recreated subsites from a template that contained such folders in the document library had the problem descriped by the OP. In the recreated client_LocationBasedDefaults.html there were actual '&'
    in the folder names instead of '%26' escape characters. After replacing those characters with their escaped version everything worked as expected again.

    If you are looking for file download or view count then event handler will not work. You need to enable the analytic report to your site. Once you enable it then you can see the report within a browser or you can also create custom webpart to show count
    of specific file.

  • Unable to apply color formatting to document library custom view using javascript

    I have applied color formatting to some values in Document library at "Allitems.aspx" page.
    Created one view where record of library displaying as per sort rule and trying to apply the color formatting on that view, but its not getting apply.

    Follow the steps to debug your JS code, preferable in IE browser
    Press F12 to open your developer tool
    Select Script tab
    Search for your code, set debugger point by clicking on the left extreme position on line numbers
    Click on Start debugging at top, if its not there in your browser just refresh the page, it will hit the debug point.

    - all the documents appear under my group by, even the ones that does not correspond

    According to your post, my understanding is that you wanted to use a group by view and combine with the Managed Metadata filtering and navigation in a document library
    to show the corresponding documents with the correct numbers in SharePoint 2013.
    In my SharePoint 2013, I created a view which was group by two columns and combine with the Metadata Navigation Hierarchies and Key Filters some fields in a document
    library. As a result, it showed only items matching the filter values.
    So, I recommend that you can follow the steps to implement it in your environment.
    Step1: Enable Metadata Navigation and Filtering:
    Metadata Navigation and Filtering is a Site Feature that has to be activated for this to work.
    And, the Metadata Navigation and Filtering feature is enabled by default on most sites.
    If it is not enabled for your site, you can enable it on the Site Features pages for your site.
    You must be a Site Owner or a Site Collection Administrator to enable Metadata Navigation and Filtering.
    1. Go to “Site Settings” and click “Manage site features” under Site Actions.
    2. Find “Metadata Navigation and Filtering” in the Features list and click “Activate”.
    Step2:
    Configure Metadata Navigation:
    You must have a least the Manage Lists permission level to configure metadata navigation for a list or library.
    1. Open the document library for which you want to configure metadata navigation.
    2. Go to “Library Settings” of the document library and click “Metadata navigation settings” under “General Settings”.
    3. In the Configure Navigation Hierarchies section, select the field or fields you want to display in the navigation hierarchy and then click “Add”.
    4. By default, Folders are automatically displayed in the navigation hierarchy. If you do not want folders to display, select Folders, and then click Remove.
    5. In the Configure Key Filters section, select the fields you want to add as Key Filters, and then click “Add”.
    6. In the Configure automatic column indexing for this list, specify whether you want to automatically create indices on this list to increase the performance of the
    queries that users will perform when they use the Navigation Hierarchy and Key Filter columns you've specified. It is recommended that you select the option “Automatically manage column indices on this list”.
    7. Click “OK”.
    Step3: Set a group by two columns by modifying view in the document library:
    1. Go to the “LIBRARY” ribbon of the document library and click the “Modify view”.
    2. Click the “Group By” and select up to two columns to determine what type of group and subgroup the items in the view will be displayed in.
    3. Click “OK”.
    Step4:
    Go back to the document library, apply Navigation Hierarchies and Key Filters to do a test in your environment.

  • Issue when filtering with Managed Metadata Columns in Share Point Document Library

    Hi All
    I have a document library, and a four Metadata Columns in it, with each column having a number of term in it. I have no issues in adding a document or in term sets. We have set property of Managed Metadata Column as Allow Multiple Values. So some of the items
    in library contains values with only one term set. While other documents contains values with multiple values.
    We have a number of country sites having the document library  with same metadata columns. In document library default view i am showing Metadata column, User want to filter the documents (view) based on Metadata column selected.
    The filtering is giving inconsistent behavior. In production server it is giving in error with some correlation ID. On our development machine some times it is working fine and some other times it is given error of Validation of Viewstate MAC failed. i tried
    on different countries sites.
    I checked we have already kept the Metadata Navigation and Filtering under site action feature as activated. It was even more weird when i deactivated the feature on one country site and the filtering was working fine. And on other country site where i
    kept the feature as activated and the filtering was giving an error.

    Have you checked the ULS error message for more information with correlation ID?
    Please try using the library metadata navigation to filter these managed metadata columns value via configuring library "Metadata navigation settings" after you enabled the "Metadata Navigation and Filtering" feature,
    then check if the issue would still persist.

  • Managed Metadata values scrambled when copying or moving documents from one Site collection to another.

    Hi
    What works: Copy or move a document library containing one or more MM columns *within* a Site Collection = all column managed metadata replicated accurately.
    What doesn't work: Copy or move a document library containing one or more MM columns *from one Site Collection to another* within the same Webapp. The issue is that some but not all MM values are totally wrong. By totally wrong I mean that the incorrect
    terms are associated with a TermSet that is not even referenced in this DL!
    Same result for all method's tried:
    1) Save the DL as a template (no contents) and then copy or move the documents in
    2) Programmatically do the copy
    3) Export the list via CA and then reimporting it using Pshell

    I've got to the root of the issue but in answer to your question first: The MM column is attached to a Global Content Type - there is nothing local.
    The fact that some are ok and others are not led me down the route of checking the columns at item level. Scripting this did not help - all rows returned are what I would expect. ie The same MMColName with the expected value (as appearing
    on the source DL).
    On checking SharePoint manager however I have found what looks to be causing the issue.
    When checking the properties (ie SiteCollection/Lists/<ListName>/items/<itemName>/Properties) of the 'good' documents against the 'bad' documents I find the following:
    Good Docs: The MMColName is displayed as expected at the item level
    Field: Name
    Field:  Internal Name
    Item Properties:
    Ok?
    Partnership Type
    Partnership_x0020_Type
    Partnership Type
    Y
    Bad Docs: The MMColName is NOT displayed as expected at the item level. Instead the internal name is displayed:
    Field: Name
    Field:  Internal Name
    Item Properties:
    Ok?
    Register Type
    Type_x0020_of_x0020_Licence
    Type_x0020_of_x0020_Licence
    N
    Meeting Type
    Meeting_x0020_Type
    Meeting Type & Meeting_x0020_Type (Both columns are listed)

    I should add that each of these 3 examples are taken from 3 different DL's - hence the different Fields
    So this looks to be a case of corruption - and unless we can think of any other outcome we will have to look to rebuild the DL - while trying to maintain the metadata!

  • Document library view: Group by a column with multiple values

    I have a document library which has a managed metadata column.
    I would like to create a view which groups the documents by this managed metadata column.
    The managed metadata column can have multiple values.
    I know that this is not possible with SharePoint's group by, since it only accepts those columns which can have only one single value.
    But is this possible to accomplish by some other means, e.g. Content query web part? Or is there perhaps a 3rd party solution to this?
    Is it possible to change the group by settings somehow to allow Group by to function with columns with multiple values? <- this may be far fetched...

    I'm assuming you have VS2010 to build the custom web part. From there you will need to figure out the following:
    Get a SPList object for the Document Library (See below for code example)
    Loop through all the documents in the SPList object 
    If you have audience targetting enabled, then you'll need to determine if the user has access to the document by checking the "Target_x0020_Audiences" column)
    As you also want to group by metadata, you'll need to populate 2 datatables (one table with a column containing unique metadata values and another table with a metadata column and other document related columns).  Link these two tables via a dataset
    relation.
    Set the dataset as the datasource for a repeater, add in some css and javascript for the group expand/collaspe and it should be close to what you need.
    This will be a time consuming task if you don't know where to start or have problems figuring out how to perform a certain operation.  So you may want to determine if the functionality you want is required or just a "nice to have".  Good
    luck and if I have some spare time, I'll create a blog post outlining how to do all the above.

     While trying to create subfolder under the above created folder service throws an exception saying
    FolderNotFound.
    Though we are able to create subfolder from SharePoint UI successfully.

    Yes, you're probably hitting the 5000 list item threshold (
    http://sharepoint.stackexchange.com/questions/105937/overcoming-5000-file-document-library-limits ). I assume you can do it via the UI because you're probably logged in as an admin in which case, out of memory, the threshold is 20.000 items. You can extend
    this limit, but you probably shouldn't.

    Why are you piping a where in the items? Do you only want to add the "test" to ones matching
    a name?
    If you have ISE installed on your server I recommend you put your code in there and debug it.
