Outlook Integration - Save email as OPEN activity

Our client would like to request that, in Outlook Integration, emails be saved as OPEN activities, rather than automatically closing them.  Since the activity is closed, the customer has no way to make further changes to the activity; the only way to do so is to create a followup.  However, a followup is a separate activity, which makes searching through them more difficult.
Here's the scenario the customer would like to be able to perform. An email is saved as an OPEN activity. Since it's still open, the customer can use the BROWSE button to add additional documents and files that are relevant to the original email. When the customer feels that all relevant documentation has been added, the activity can be manually closed.
The customer feels this would give them the ability to achieve their goals, while making information searches easier.

Hi David,
I understand your request; it was something that was discussed with a client. How I presented it to them is that it is ideal that it's closed (locked) as that way they know they have a copy of the original correspondence and it has not been edited (purposefully or accidentally).
The process that was implemented is an Activity is created that is like the main Activity for tracking purposes and in the Content tab, include in the notes the activity # of any related saved emails. Not ideal but a lot of the saved emails have financial implications so it was an easy workaround for them to accept.

  • Lost adobe toolbar in Outlook to save Emails into a pdf document

    Hi,
    When I got the Adobe CS2 package installed on my office computer I had a toolbar (Adobe pdf) appeared in Microsoft Outlook so I could comfortably save emails which belong together into one pdf-file.
    The problem is, that the toolbar did not appear constantly and we could not find out yet why. Since a couple of days it does not appear at all anymore.
    Is there anybody out there who had this problem, too? I would be glad if someone could help me.

    Can you check the following registry entry?
    "HKEY_LOCAL_MACHINE\Software\Microsoft\Office\Outlook\Addins\PDFMOutlook.PDFMOutlook"
    Look for "LoadBehavior" value. It should be 3. At times Outlook attempts to disable an addin and sets this value to 2.
    The behavior that you described can also be attributed to the fact that PDFMaker toolbar and menu appear only in single instance of Outlook. If you've multiple instances running, only the first instance will have PDFMaker addin loaded.
    Whenever you find PDFMaker missing, can you try the following --
    1. quit all Outlook instances.
    2. launch Outlook.
    Do let us know if either of the workarounds work for you?

  • Outlook HyperLink from email that open SAP documents like BP or any other

    Is there a way today with latest version of SAP to have an hyperlink in an email that opens the document in SAP like the arrow in Crystal report which someone said it works today having a Crystal Report with a link to a SAP document.

    People here thinks that there's a way to simulate Crystal Report job using C# to make an external call to Business Partner form to pop but I doubt.  Rest that I'm wondering if this kind of trick would be possible.
    So either by DI API, UI API or a trick using Some kind of workaround with Crystal Report to make it work

  • Outlook sometimes saves emails as drafts when I click send.

    When I send email (Outlook, PC) the mail sometimes does not send, but changes to a draft. This includes emails with images in, but I don't know yet whether it is limited to emails with images. When I disable the iCloud for Outlook addin, the mails send ok.
    In case it might be a conflict, the other Addins I have are:
    AVG
    CodeTwo Sync for iCloud
    Doodle connector
    MS VBA for Outlook
    Spam Reader
    Sperry Software (a "rules" editor)
    X1
    (Code Two Sync syncs iCloud to my Main email calender so that searching works better. Disabling that plugin has no effect on the problem mentioned.)
    Any ideas would be appreciated.

    Update: it just happened again with an email which did not have an image in it.
    Funnily enought, it was a reply to an email of mine which *had* had an image attached; but maybe that is just coincidence rather than there being some sort of trace of their having been an image in the message which had been replied to.
    I disabled iCloud sync addin, edited the email which was now a draft, resent, and it went immediately without a problem. Then I re-enabled the sync.

    Outlook does not integrate to SAP Business One unless you have installed the SAP Business One Outlook Integration add-on that comes on the SAP Business One installation media.

  • Outlook Integration Error when saving Email As Activity

    B1 8.8 PL11
    When clicking the Save E-Mail as Activity, we get the following error.
    "Could not create activity in SAP Business One because: 'To generate this document, first define the numbering series in the Administration module'"
    This was working, but this just started happening about a week ago.
    Any idea what could be causing this?

    The numbering series is defined and has been working correctly in a production system for a while now.  We had to restart the computer and then we didn't have the error.  This error has shown up a few times, everytime we restart the computer we are able to add the activity.
    I don't see a numbering series for Activities. 
    This error is occuring when we add an email as an activity from the Outlook Integration.

  • I have to save emails from outlook to my hard drive. When I go to open the email on the HD the attachment is not an attachment anymore. It needs to be. Help?

    My office uses outlook for emails, calendaring, etc. We save as all emails to a specific client related file for easy access and to reduce the items saved in outlook.
    Many of the emails have attachments. I use Firefox (love it) as my browser so when I save as an email it saves it with the Firefox Icon instead of the Outlook Envelope Icon. When I open the email from my computer (not outlook) the attachment name is there but it is not accessible. I have to go to the email in outlook and save the attachment(s) separately in order to access them. I don't want to do that. It takes up to much time and often the attachments are related to the data within the email and they need to be together in their original form.
    If I use Internet Explorer (which I hate) as my browser this does not happen. Can you help me? I really don't want to use IE.

    Are you running a recent version of Outlook Web App (i.e., Exchange 2010)?
    When you save files using IE, what format are they in (e.g., EML, RTF, HTML)?

  • Error Message  when trying to "Save Email as Activity" on Outlook 2007

    Hi all,
    This is a problem that we have logged with SAP, but they cannot find any reasons as to why we are having the problem. So I'm hoping someone here might be able to shed some light...
    After logging onto SAP through Outlook:
    When "Saving an email as Activity" using the Outlook ADDON, we get the following error message:
    AppName: bo_syncext.exe      AppVer: 8.0.0.49      ModName: bo_syncext.exe
    ModVer: 8.0.0.49      Offset: 000cc9d5
    This does not seem to work on any of our computers, except one!
    He is a Superuser, and he can save emails on his PC only.
    I can also save the emails, if I am logged on his computer, and am set up as a Superuser. I cannot if I am not a Superuser.
    He and I cannot send emails as a Superuser on my PC.
    This would lead me to think that it is a problem with our PC settings (security settings?).
    Has anyone else had this problem?
    Outlook version: 2007 (12.0.6514.5000) SP2 MSO (12.0.6425.1000)
    SAP Business One 2007.

    I also have the same issue.
    I can save an email as an activity for only one user, this user is a super user.
    If i log on to that users machine as them, then sap as a user with the issue change them to a super user it works.
    However logged on to any other machine it won't work. We get the error message ;-
    Outlook itegration - error signature - AppName bo_syncext.exe, AppVer 8.0.0.49  Mod Name ntdll.dll ModVer 5.1.2600.3520
    Has anyone fixed this on a system ???

    Is there an option to attach an email from Outlook to Sales Opportunity as Activity? Outlook Integration offers a lot of document type, business partners, items, etc., but not Sales Oportunity.

    I haven't found any solution for adding an activity to a sales opportunity with the DIAPI except direct update of the DB. It's not even possible to add a "Follow Up" activity to activity linked to a sales opportunity, DIAPI loose link to sales opportunity.
    According to [1075696|Link activity to an opportunity level DIAPI; and [966860|Adding Activity to Sales Opportunity stage; it is still not possible to do that in DIAPI
    Interesting that in the DTW we can do that...

  • How to Change Outlook Default Folder for Insert-Attachment and Save Email/Attachemnt while Outlook is open (VBA)

    Is it possible to programmatically do the above while Outlook is running?  If so, I'm hoping to make that change from a Word macro.
    I tried tinkering with the reg key and that doesn't work because it appears Outlook only respects it at startup time. Similary changing Word File-options-location of documents is respected only when Outlook starts.
    I'm looking to seamlessly keep Outlook's default folder in sync with Word's default folder as the users change working folders in Word, which they do many times per day (and they chose the folder among a couple of thousand possibilities).
    I'm hoping there is a difficult-to-find Outlook object I can manipuate to get to the end result.  IF there is such an Object I have been unable to find it.

    Based on my research, I think outlook object model doesn’t provide the way to change the default folder for insert attachment and save email/attachment.
    The way to change it is that we need to modify the registry setting and the outlook app should be restart.

  • Can Outlook Integration create the activity from an email automatically?

    I have an SAP client who's customer service department receives a lot of emails, we would like for Outlook integration to import these into SAP as activities automatically, instead of the user doing it manually. Is this possible?

    It might be possible but not easy.  At least, you need to develop your own program to achieve your goal if that is an option.

    Hello experts,
    I have a question regarding Outlook Integration.
    Can emails through SAP be tracked using SAP?
    The customer is using Outlook Integration. When an email (containing an invoice for example) is sent through, the email is stored in the users sent folder in Outlook.
    Is there a way that SAP can track all sent emails through SAP through an activity or some other feature?

  • Automated Outlook Integration Emails ?

    G'day all,
    Our service department repairs (and recertifies) equipment and ideally we would like to be able to automatically email customers a reminder 11 months from the time an original delivery (or invoice depending on the situation) is sent.
    We have successfully tested reminders in SAP's Activities to remind users within SAP, but we wish to take it one step further to have the service technicians be able to create their quotes and deliveries and then somehow initiate (generate) an email 11 months from that time destined for the customer for an annual reminder.
    Also, the activities are typically based on service calls that are in turn based on serialized  parts that have existing Customer Equipment Cards.
    We are in the midst of testing a scenario that would see us create an email in Outlook that is set to be delivered 11 months from the current date and then save it as an activity in SAP for good measure, but we need some type of automation and we need the serial number(s) to be inspected to be part of the correspondence.
    I have probably missed a few key points in this message since I am trying to wrap my head around the scenario and needs, but perhaps some of you have had a similar need or can point me in the right direction.

    My suggestion would be to use SDK, for this kind of automation as it might overload the Outlook Integeration.

    All the limits you mention 100 e-mails at a time and 500 in a four hour time frame are limitations imposed by your mail provider, not Thunderbird. Thunderbird places no restrictions on the maximum number of recipients.
    Have you tried turning your computer off for a few minutes?
