Signature Workflow to look inside document contents for conditional rules

We are developing a signature workflow in SharePoint 2010, and need to look inside the .docx document to apply conditions for where the .docx document is routed for signature.
For example:
if the document says "XYZ" for a certain field in the .docx file, we'd route to Mr. "W"
if the document says "ABC" for a certain field in the .docx file, we'd route to Mr. "D"
I'm assuming we're breaking into the full Visual Studio development (and out of the SharePoint Designer realm) since we'll have to look inside the contents of the document for the workflow to work from.
Any examples would be appreciated!

You can consider to use "Quick Parts" in this Word document and make it link to columns in SharePoint library, then you can refer to these columns in your workflow.

    I'm trying to figure out how the LiveCycle 9.5 connector for sharepoint works. It all works like a charm, exept for the set document content activity in a LiveCycle process.
    When I have a file named  test.txt on my Sharepoint server, and I execute the process with the "set document content" activity to replace the content with the content of the same test.txt files' content which I changed for the experiment, it gets updated without any problems.
    Yet, when I have a file named  test.docx on my Sharepoint server, and I try to replace the content with that of the content of the same test.docx file with altered content, the document content doesn't get updated to the new content.
    Is there a certain configuration that I need to do, to make this work or is this a known issue of the connector?

    I could not get this reproduced at my end. We were successfully able to replace contents of a .docx file as well.
    Can you please attach the livecycle process along with the thread in case issue has not yet been resolved at your side?

  • UCM workflow notification - link to document asking for credential.

    We are using UCM 10gr3 and WCI 10gr3 in our project. We have integrated the content from UCM on to the portal KD through crawler. Also we have some workflow in place as well.
    The problem that we are facing is: The link to the docuemnt in any workflow notification from the content server is prompting for credential.
    We want to by pass this..i.e on clicking on the link of the documents it should not asked for credential rather it should show the conent information.
    Any help is much appriciated.

    OK this is a very different but interesting question...
    Lets have another look.
    If I understand you, users are already logged into a Windows domain and these credentials are used to authenticate with WCI using 'Integrated Windows Authentication' IWA through the browser.
    It is possible to get UCM 10gr3 to use IWA also but this requires that UCM is installed on a Windows Server and is using IIS as the webserver.
    If that is the case then the UCM ISAPI plugin code can handle the IWA for you. you would then need to make sure (via a provider and possibly a credential map) that AD group memberships are available to UCM and are clearly mapped to UCNM security roles. Provided the roles evaluate to give the user permissions on the expiring content it will all work without authentication.
    NB UCM 11g works in a completely different way

    After pressing "look inside", the loading message continues indefinitely. Sometimes, I get the message "server timeout".
    Internet Explorer 8.0 loads the "look inside" pages instantly for the exact same Amazon books.
    I have been running Win 7 64 bit for about 9 months. I believe the Amazon feature worked initially. Was running XP and Firefox prior to Win 7 and never had this problem. Used the "look inside" feature many times.

    I believe I found the issue with this.
    The IP Address that this server was sending out emails from, was at one point, blacklisted. So I changed the server to use our email gateway IP instead, and SMS Messages are being sent through now.

  • Collect signatures workflow - Signatures can't be added or removed because this document was opened read-only

    Hi, I have configured a "Collect Signatures" workflow for test Word document(.docx), then uploaded it to sample SP 2010 doc library  (content type "Document").  This Word document has 2 empty Signature Lines in it.
    After that i'm starting the Collect Signatures workflow on it , which is assigned to me and other user from my Active Directory. 
    Workflow is started and after that i'm receiving mail about assigned task which also contains link to document.
    When i click on link it opens IE which contains SP library file path, after a while doc is opened in Word client in Read-only mode. When i want to sign the document info window pops up : "Signatures can't be added or removed because this document was opened
    read-only" and i'm not able to compete task/sign doc from Word.
    It is possible to sign the document when i go to SP library and opens this file directly from there (file drop-down menu-> open in MS Word).
    I saw that this behaviour is similar to this article:

    I could not reproduce this issue.
    When you open this file directly by clicking the document Name link from SharePoint library, is there a
    yellow message bar in Word document?
    Did this happen to all users on all PCs?
    Have you checked if it is a client side issue, test with different IE 8/9/10 versions for this issue (and IE compatibility mode, add-ons, trusted site zone etc)?

  • Collect Signatures workflow using Firefox not showing Workflow task "This document requires your signatures" Open this task...

    I am assuming FireFox does not support the Collect Signatures workflow in SharePoint 2010.
    We are testing things now, and if the Outlook link is opened via IE, the workflow task shows up when the Word 2010 document opens for signing...and I can sign the document.
    If we open the hyperlink in Firefox, I go through the initial prompts and get to a stopping point where I cannot sign the document and the message states:
    "Signatures can't be added or removed because this document was opened as read-only".
    It looks as if we have to tell our users to use IE since there is ActiveX involvement in this entire collect signatures process.
    Please advise...thank you!

    Yes, I did see this under the ActiveX Controls area (3/4 down the page) from the same link you mention above:
    Connect to Outlook, Connect to Office, and Sync to SharePoint Workspace >> Works with an ActiveX control and the stssync:// protocol. Therefore, functionality may be limited without
    an ActiveX control, such as the one that is included in Microsoft Office 2010. The feature also requires an application that is compatible with the stssync:// protocol, such as Microsoft Outlook.
    ...which I'm assuming is the whole ActiveX control issue...and hence the Firefox problem.

    Restore...
    From iTunes, select the iPad/iPod and then select the Summary tab.  Follow directions for Restore and be sure to say "yes" to the backup.  You will be warned that all data (apps, music, movies, etc.) will be erased but, as the Restore finishes, you will be asked if you wish the contents of the backup to be copied to the iPad/iPod.

    I'm having a SharePoint doc library with ItemAdded event receiver attached to it and "Link to a Document" content type enabled. My general question is:
    How to get URL that the link points to?
    I'll show you how I'm trying to achieve that:

    This is not very convenient solution, because ItemUpdated can be executed more than once. However this certainly will work, so I'll accept this as a workaround. Actually I've found another one. I'm parsing link aspx file and I'm getting the URL

    I believe there is a PDF doc which comes with the component (it should be at your harddrive when you install it), which describes everything you will need.
    In a nutshell, there are two types of relationship: sibling - sibling, parent - child (there are some more nuances, but it follows the same logic).
    A relationship is created between two existing items (not sure, if you can also create a relationship for a new checked in item, but it would be just a usability). You select the type of relationship and the item - I believe depending on the relationship you may start from either item. The dialog to start is INFO (display metadata) or UPDATE (update metadata).
    When a relationship is created you may watch it also from either end (again INFO is the starting point).
    It is quite self-explanatory, so if you have the component installed you may just play around with it for a while and that is it.

    I have a document library inside my SharePoint 2013 publishing site collection. And I have the following scenario:-
    Someone add a word document to the document library,
    I can click on the word document inside the document library, and it will open inside my word client application:-
    Then I can click on “Edit document” button inside the word document.
    Do some modifications.
    Click on “Save” button.
    And the changes will be saved to the sharepoint document library (which is great).
    But I have the following questions:-
    Who can basically edit the word document and publish the edit to the SharePoint again? is this restricted to only users who have “edit” permissions on the document library,?
    Can I specify that only me or certain users can edit specific documents?
    If I open the word document using Firefox or chrome , I will not be able to edit the document and publish it back to SharePoint? So is this feature within IE only ?
    Can anyone advice please?

    According to your post, my understanding is that you have some questions about the documents in library.
    For the first question: yes, only the user that has more than edit permission can edit/publish the documents.
    For the second: we can set item level permission for libray using PowerShell to restrict only the created user can create and edit the items.

    Hello, I configured a "Collect Signatures" workflow for the content type "Document", then uploaded a MS Word 2010 (.docx) document as content type "Document".  This Word document as 2 empty Signature Line in it.
    I then start the workflow, basically 2-stage with 2 person from my Active Directory.  However, what I found is that when I go to my workflow task and click on the "This document requires your signature" link, it pops up a "Workflow Task" box in the
    browser.  There is a "Sign" button which I can click to sign but it does not sign on the signature lines inside my Word document.
    What am I doing wrong here?  Or does SharePoint 2010 Collect Signatures workflow no longer work with digital sigantures?  Thanks.

    We have chceked by setting up a repro at our end and its not possible to complete the workflow without opening the document . Also below are some additional findings that I have and would like to share :-
    1)      In Office 2007 (Word and Excel) you can click on the office button from the respective application while you have the concerned document open in it. This triggers the collect digital signature workflow and the users signs
    it immediately as he can see the popup on the screen. Still he has to go to the task list to complete the task which I would say is a manual process following the workflow task is 100% completed.
    2)      In SPS2010 with Office 2010 we do not have an option to trigger the workflows from within the Office document. Instead you directly go to task list to open the task and click on sign button to complete the task. Here you
    still need to open the document again and digitally sign it. The difference is workflow here is not triggered in Office document. Even here it is a kind of manual process except that you don’t see a popup to sign document immediately from Office document
    due to the fact that workflow is triggered from SharePoint task list.

  • How do I get the actual signature to show in a document using XI?

    Been using Adobe for years and with the new update to XI I am having a heck of a time getting the signature to show in the document.  To check this I opened another document and was easily able to grab my signature and place it where I want.
    For some reason the document I was sent allow for me to sign electronically, but when I choose to do so, I'm asked first to draw a box to where the signature is to be placed, then another dialog box opens asking for the file.  I was not able to find a place to add a new signature by using the methods used previously.  I have a signature in a file and has been used many times for other .pdf docs with zero issues.
    Not sure why this doc is giving me issues.  The document sent to me is showing its from Adobe 7.x! Not sure if that is the issue, as it could be the problem placing the signature.
    Please advise to try and get this resolved.

    I assume when you say "another pop up" you really mean that your seeing this dialog...
    Let's start with some nomenclature so we are on the same page. What you are trying to do is create a "digital signature" and in order to do that you need a "digital ID". To think of this in physical world terms, the PDF file is a piece of paper, the digital ID is the pen and the digital signature is, well the signature. In order to create a digital signature you must have something to sign with, and that something is a public-key based digital ID. This digital ID can reside in several places. It can be in a password protected file and the file would have either P12 or PFX as the file extension to the file name. The digital ID could be locked onto a token or smart card, in which case you would get access to it using a PIN instead of a password. It could also be locked into the Operating System. On Windows that would be the Windows Certificate Store (think of "store" in this case as storage, not a market place), and on the Mac it would be the Keychain Access application.
    So the question is, do you currently have a valid digital ID (they do expire) or do you need to procure one? My guess is you need to procure a new digital ID and this is where you are being tripped up.
    If you do need to procure a new digital ID, the next question is, do you need to get a high assurance digital ID from a trusted 3rd-party Certificate Authority (you, as the signature creator are the 1st party, and whomever you send the signed PDF file to is both the signature recipient, and also the 2nd party). The thing that makes a Certificate Authority (CA) trusted is because they will do identity vetting in order to ensure that you are who you say you are before they issue you a digital ID. When you get a digital ID from a CA you can think of it as a drivers license or password, not for what they allow you to do (drive a car or cross a border), but rather as a trusted and generally accepted piece of identification. Yes, a digital ID issued to you from a CA allows you to sign data just like a pen, but more importantly it acts as a trusted piece of identification. All that said, if you don't need a high assurance digital ID that proves you are who you say you are, then you can create your own digital ID. In that case the digital ID is really just a pen for signing and does not provide any trust regarding your identity. The advantage to creating your own digital ID is it's quick, easy, and free. The downside to getting a digital ID from a CA is it is time consuming and not free.
    Since your have started down the path of creating your own digital ID already let's finish with that workflow and leave it for later to see if that meets the identity requirements of whomever you are sharing the signed file with. If you are seeing the dialog above select the bottom radio button next to "A new digital ID I want to create now", and then click the Next button. The contents of the next dialog you see is as dependent on whether you are on Mac or Windows. On Windows the next dialog asks you where you want to save the digital ID, either in a password protected file, or in the Windows Certificate Store. If you select the File option you will be asked to provide the password every time you sign a PDF file, whereas with the Windows option when you log into Window that provides the authentication to access the private key in the digital ID and thus when you sign a PDF file you won't be asked to provide a password. If you are on a Mac since saving the digital to a file is the only possible option this dialog is skipped. The next dialog is where you enter the information that you want contained in the digital ID that identifies you as the signer. If you've already filled out the Identity panel on the Preferences dialog then that data will be pulled in, but if not you you are going to need to add at a minimum a Name and an Email address, and then click the Next button. If you are saving the digital ID in a file, the next order of business is to pick a location where you want to save the file you are about to create and assign it a password to protect the private key from unauthorized access.  You're now on the last dialog for digital ID creation so you can click the Finish button.
    This takes you to the Sign dialog. If you already had a valid digital ID to sign with you would have seen this dialog right after you inscribed the signature field and would have shipped all of the digital ID creation dialogs. If you saved your new digital ID in a file the Sign dialog will ask you to provide the password you just used (don't forget this password because you'll need it when you want to sign files at some later date). Enter the password and click the sign button. You'll be asked where you want to save the signed file (you can overwrite the existing file if you like, or you can save it as a new file), and once you've done that you'll have a digitally signed PDF file.
