Smart Mailbox ~ Flags ~ Colours

Hello
I have searched with little success.
In brief...
Mail has the option of marking messages with a flag. It also has the option to mark the colour (color) of a message as well.
I would like to create a Smart Mail box (or Rule) which criteria responds to the colour status of a message; e.g. Red for urgent to respond etc..
In Outlook, the effect would be created by using flags of a different colour. I am trying to find a work around.

  • How to use Flagged mailbox in rules for smart mailbox?

    Since I installted ML I have a new mailbox called Flagged. In Lion I had a smart mailbox called Flagged which did the same.
    I used this smart mailbox in Lion in rules of other smart mailboxes. The new mailbox Flagged in ML however can't be selected in a rule for a smart mailbox. It is in fact the only one I can't select.
    Am I the only one facing this problem? If so, is there a solution for it?

    The only use I've found so far for the Flagged messages is to be able to set different colours for different things and then use the preset mailbox to isolate and concentrate on them:
    And, as I'm using iCloud, I also get to see them on my laptop.

  • Can't get smart mailboxes to work with "message has flag = color"

    I'm trying to set up a Smart Mailbox that will find all the messages to which I've assigned a green flag.  This should be easy, right?
    Unfortunately, this isn't working -- I definitely have messages with green flags in my inbox, but they're not being collected into the smart mailbox. 
    I've also tried this:

    Is this broken in Mavericks?  Am I doing something wrong?

    Re Eric: Arggh -- the first image (which went into the comment form but didn't show up) was of the "create smart mailbox" dropdown, which tested "match all rules: message has flag = green".  The second image tested "match all rules: message is flagged & message has flag = green".
    Re William: I'd like to have one smart mailbox for green flags and another for purple flags.  The colors here were just meant to be examples.

  • Is there any way to have a smart mailbox search sub-folders

    My wife uses Mail.app for her business in which gets hundreds of emails a day and managing them all is quite a challenge. One important goal of e-mail management is archiving certain emails in folders (and sub-folders) without creating duplicates.  What I've done is to create rules to move e-mails into their respective the folders and flag them based varying criteria. This works great! 
    The problem is when I make a smart mailbox to include only flagged messages in a specific mailbox, only messages in the root mailbox are found.  All messages in the sub-folder are ignored or never considered. I used the "not in mailbox" option on my own mail.app but this isn't practical for her because she manages numerous e-mail accounts for clients and she adds new accounts frequently.  
    Is there a solution to my issue that doesn't involve puting all the messages into the root mailbox?

    Mine are showing emails in subfolders, but I don't have near that many emails.
    Maybe you need to reindex the spotlight database.
    The normal method is to add the Hard drive to the Privacy tab in Spotlight prefs. If that doesn't cause it to index, here is a Terminal way: http://www.maclife.com/article/howtos/how_reindex_spotlight

  • Can One Sync a Smart Mailbox to .Mac???

    I use a smart mailbox for all emails that need attending (if message is flagged.& if in Inbox) now, I would like to have that "smart" folder sync to my .mac account somehow, as it is IMAP there must be a way... any ideas?
    I realise anything in my .mac account, which is in my inbox stays online too, but i have three main mail accounts...
    A long shot... but ideally i'd like to be able to remove the flag from .mac (online)
    Any Ideas.... Anyone?

  • Number of messages in Smart Mailbox

    A question & some relavent thoughts:
    In Mail, the number of Unread messages is shown the right of each mailbox.  But what are the total number messages?   Alternatively, how many Read messages are there?
    I have many folders.  I am trying to create separate mailboxes for each important (to me) Sender.  Then it would be possible to find out how many messages were in 1 Smart Mailbox not contained in any other Smart Mail Box by
    1. having a Smart Mailbox containing all mail, and
    2. specifying conditions: From ...  Does not contain ...   Sender
    3. for each Sender
    This would be very tedious if one receives mail from many senders.  However, if
    1. all senders belong to at least 1 Group,
    this might be onerous but at least feasible.
    If however,there were a Smart Mailbox condition:
    2. Group ...  Does not contain ...   Sender,
    then this would feasible witnout being too onerous.
    If anyone has any answers and/or suggestions,  I would be very happy to receive same!

    I have had the same problem as well and could not find any way of fixing it! Also when I changed the name of the folder the message count disappeared for a while and then seemed to come back later... very bizarre.
    Anyway, I may have found a solution after spending all afternoon searching the internet on macosxhints. [Link goes to the specific hint].
    I would advise making a complete back-up of your ~/Library/Mail folder before trying this, though. When I did this it seemed to re-import some messages and mark them as unread for some unknown reason. However, I went through and marked them all as 'read', and I have the same number of messages in each mailbox as I did before I tried this, so I can only assume that things are the same as before.
    One thing has changed, however! I no longer have a false number on the 'Flagged' messages smart mailbox! (Although if you have lots of messages marked as 'flagged' it may clear the flag - not sure).

  • Mailbox vs. smart mailbox - advantages?

    I'm converting from Outlook express to Mail. I get the concept of smart mailboxes (e.g., all the mail stays in the inbox and the smart mailboxes are just searches).
    However, I liked the rules setup with specific mailboxes in outlook. As far as I can tell I can do that in Mail, but is there any advantage in doing it one way or the other? Does the inbox eventually get too large if you just use smart mailboxes?

    It is not meant really to be an either/or thing. I use the Inbox for the mail that has justt recently come in. I've gotten into the habit of deleting of foldering email -- putting them into other folders. So, you don't quite have he idea, as it is not that the mail stays in the Inbox, but that it stays wherever it actually is but is also put in this virtual mailbox.
    Smart mailboxes are excellent for gathering messages together with specific attributes, as you can probably imagine.
    Currently, the only "permanent" Smart mailboxes I have are: Flagged (that shows me all flagged messages, wherever they are) and Unread (as I automatically folder some incoming mail, and this shows me all the unread in one "folder").
    I often create temporary smart mailboxes when I have a complex search to perform (all messages in a certain date range from a particular party with one or more attachments, for example).

  • How do you make smart mailbox sorting options persistent?

    I have a smart mailbox that I would like to sort based on flags, and I would like for this selection to persist from session to session. I thought I remembered this working in Lion, but for some reason it's not working for me in Mountain Lion:
    In the smart mailbox I can select "sort by flags," and this sorting option will persist next time I start mail -- but only if I have selected the smart mailbox when I close mail. If I have one of the other mailboxes opened when I close mail (say the Inbox), then the sorting of my smart mailbox defaults back to "sort by date."
    Any idea what I'm doing wrong?

    You only have to right click on this folder and edit the smart folders rules.
    Edit: Nevermind, you mean sorting with this pop-up menu. I didn't read exactly what you mean. For this I don't know what to do.

  • Smart Mailbox Technical Problem

    I have 3 email accounts set up in Mail. I set up a smart mailbox and used the criteria "messages flagged" and "messages unread" to describe what emails should go into the mailbox. Each time I send an email, however, the sent emails end up in the smart mailbox. The "include messages from sent" box is NOT checked, yet this technical problem persists. Any advice on how to rectify this problem? Thanks.

    I don't think this is an "improvement", this is a bug, and needs fixing. I use "entire message contains" a lot in my smart mailboxes as it allows me to gather together a large number of disparate emails together by listing a handful of email addresses. I tried the solution of listing email addresses separated by commas: nothing. I tried putting them in quote marks. It worked but gave me inconsistent results; sometimes it listed all the emails containing one of the addresses listed, sometimes it listed only the emails that contained all the address listed. As an experiment I tried changing the setting to 'entire message does not contain"; results remained the same. Fix this one soon, please, I have a lot of smart mailboxes that don't work any more!

  • Smart Mailbox items to Folder

    Hi All,
    I have a smart mailbox that contains my Flagged Messages. I'd like to set up a rule where those messages are moved (or ideally copied) to a folder on the MobileMe servers. Is this possible? I don't really understand the whole backend thing. My goal is to be able to access my flagged messages on the go - iPhone, iPad - because those flagged emails don't show up as flagged.

    Jon,
    A Smart Mailbox contains nothing -- it is the resultant of a search list for messages of a certain criteria that are located in actual mailboxes. Where are the flagged messages in reality -- the Inbox, or otherwise. If they are already flagged as received, then use a Rule or two.

    Yes, I realise that, but it was a rhetorical request intended to flag up what I perceive as a glaring omission in Apple's email application. Filtered mail -- whether by rules or by Smart boxes -- is handled differently (in terms of condition choices) depending on whether the message is an outgoing one or an incoming one, and I can't understand why that should be.
    If there is a logical reason for it then I would like to know what it is, is all.

    I'm trying to set up a smart mailbox in which are all emails I sent but that need follow-up (they are not replied to, or I replied again and still was for reply). What I tried to do is create a rule in which every email 'from' '@my-simpatico.com' should be 'flagged'. Then I set up a smart mailbox that collects 'flagged' messages. Unfortunately it doesn't work - I don't get these messages flagged. I only get them flagged when I send to one of the email accounts which are setup in my Mac Mail. Anyone with a solution please?

    paste the following into script editor and save it as a script.

    then download and install [cronnix|http://homepage.mac.com/aamann/Mail_Scripts.html] and set it to run this script every 5 minutes. The script is pretty self explanatory I hope. you can adjust the number 5 as you like. It will work ok so log as you don't unflag messages too quickly. If you do they might get reflagged when the script runs next time.
    P.S. Actually, use [lingon|http://lingon.sourceforge.net> rather than cronnix to schedule it.
    you can save the script either as an application (in this case simply drag it to line 2 in lingon) or as a script. in this case line 2 in should look like this:
    osascript path/to/script
    where path/to/script is the full path to your script.

  • How can I get a view of what's not in any smart mailbox?

    I want to see basically my inbox, only with all of the things being displayed in my smart mailboxes HIDDEN. I don't see an option for this. I tried creating a smart inbox, but there's no way to create the inverse of my smart mailboxes because the rules don't seem to allow it. Is there any way to do this or am I out of luck?

    Thanks. Yeah, smart mailboxes being sort of filtered views of your INBOX makes good sense (references not copies as you say).
    I could do what I want to do if there was either an option to hide stuff in the inbox that's in a smart mailbox OR if there were better smart mailbox rules for what to include. For example, if there was a "None" choice as well as "Any" and "All", I could create an Inbox2 that contains all the stuff that doesn't match any of the criteria for my other smart mailboxes. But it's not quite the smart. Also, I could make it work if you could include smart mailboxes in the rules themselves, but they only work with regular mailboxes. I can understand why that would not be a feature though.
    Basically, smart mailboxes are great. BUT I want to use them to reduce the clutter of my inbox, not just see a view of it. So perhaps this is a feature request. I can't see how to do what I want to do...

  • How can I convert an ordinary Mail mailbox to a smart mailbox?

    I have a large number of maiboxes all for the one account in Mail. I would like to get rid of them, preferably by changing them into smart mailboxes with the same criteria. The only way I can think of doing this is by deleting the mailboxes after moving the messages out of them then creating new smart mailboxes. That could take a very long time. Is there a way of doing this that is quicker and better? Apple Script? Automator? I don't know much about either of those, just that they exist and some programs have scripts that you can run. Grateful for assistance.
