SP2007 Edit approval workflow e-mail

Hello,
One of the sites I a managing in Share Point 2007 has an approval workflow (based on the standard approval workflow) to approve calender items. The e-mail that is send to the approver contains a link to the
calender item, however I would like it to contain a link to the task item, so that the approver does not have to search for the task to approve. 
I am new to SharePoint 2007, having only worked with 2010 or 2013. Can anyone tell if and where I can change the body of approval workflow e-mails
in SharePoint 2007.

The first thing to check is whether you can open the site and workflow within Designer. As you're working with a version of SharePoint that's a bit devolved from what you're used to, knowing some differences might be handy: -
All workflow instances are list level only
There are no re-usable workflow templates

  • ERM - CUP Approval Workflow E-mails

    Hello gurus,
    We are experiencing an issue with Role Expert (ERM) to Access Enforcer (CUP) role approval workflow. When a role reaches the approval stage in ERM, an e-mail notification with a link to CUP approval is sent to the designated approver's LDAP e-mail address.  This functions properly.  Following approval or rejection of the role, another e-mail should be sent to the requester's e-mail address to inform him/her that the role has been approved/rejected.  This e-mail is not functioning.  We have the same e-mail address configured in the LDAP, UME, and back-end SAP system, but this e-mail address is not receiving any notification of approval/rejection.
    This functionality is appropriately configured in CUP with the following:
    Name: RE_APPROVAL
    Workflow Type: Role Expert
    Approval Determinator: RE_APPROVAL
    Request Wait Time (Days): 0
    Request Wait Time (Hours): 0
    Escalation Configuration: None
    Approval Type: Any One Approver
    [No e-mail group]
    Request Rejection: Yes
    Re-Route: No
    Confirm Approval: Yes
    Confirm Rejection: Yes
    Reject By Email: No
    Approve By Email: No
    Forward Allowed: No
    No additional security.
    Has anyone seen this issue before?  Any advice for troubleshooting will be greatly appreciated.

    Hi everyone,
    We are experiencing something similiar as Joy related.
    We have configured in CUP 5.3 a workflow for ERM role approval with two stages.
    In both stages, the e-mail notification with a link to CUP approval is sent to the designated approver's e-mail address, but following approval or rejection of the role, the e-mail informing the role has been approved/rejected is not sent to the requester's e-mail address.
    In the first stage, the CAD is configured to send the request to the approver defined in the role in ERM (web service). In this stage, the requester's e-mail address is not receiving any notification of rejection but do recives all notifications of approval.
    The second stage is configured with a fixed approver, and in this case the requester's e-mail address is not receiving any notification of approval nor rejection.
    Any suggestions of what can we do to make this work?? We wolud like that both (approval and rejection) notifications be sent to the requester's requester's e-mail address.
    Or, if it is possible, can CUP be configured to send e-mail notifications of approval and rejection ONLY in the LAST stage of the workflow??

  • Offline approval workflow not working - SRM 5.0

    Hi Team,
    Suddenly we have an issue in SRM production server with Offline approval workflow, inbound mails are not getting processed in SOIN and workitems are not getting cleared. So document status is not getting changed.
    There is no problem in receiving the mail, we have all configurations setup as per below link,

    Incoming mails are received to system user and then auto-forwarded to dialog user. Dialog user is used to schedule the batch job - RBBP_OFFLINE_EVAL.

  • In search of assistance learning how to modify the mail message from an out of the box SP2010 approval workflow.

    So, I have found the article

    However, there is a basic problem that I run into before I get started.
    I am logged into the system as a regular user (ie not a farm admin, etc.).
    I do, however, have full control on the site on which I am working.
    I create a custom list.
    I create a simple one step approval - sharepoint 2010 out of the box workflow.
    I start SharePoint designer and give it the URL of the list. It opens up and I see the various objects on the left side of the screen.
    I click right on the Workflows object - which is where the article says I will find the ability to copy and modify the workflow.
    All I see is "open", "open in a new tab" and "Pin".
    I selecdt open in a new tab - and I get a blank screen labeled workflows that says "There are no items to show in this view".
    So, I click on Lists and Libraries, then on the name of my custom list.
    When the list displays, the Workflows section of the page has a "Modified Workflow" displayed.
    When I right click on it, no menu is shown. When I click on the modified workflow, I get the workflow settings page for that workflow.
    I am trying to figure out how to create the copy of the workflow so that I can modify one of the mail messages in SharePoint designer.
    Is there someone who has some advice on how to find this copy and modify option?  Or perhaps a web site, web forum, article series, or book covering the topic?

    According to your description, my understanding is that you want to modify the OOB approval workflow in SharePoint Designer.
    After opening the site in SharePoint Designer, just click Workflows in the left panel and then the workflows in the site will load in the right part.
    If you want to copy and modify the OOB approval workflow, then you need to right the approval workflow
    Approval – SharePoint 2010 under Globally Reusable Workflow. After that you will see the
    Copy and Modify button.

  • Restrict editing/deleting item when approval workflow is in progress

    I have a list for contributors to submit documents and activate an approval workflow. The requirement is to restrict all users from editing and deleting the document once the workflow is activated. After the workflow is completed, if the document
    is approved, all users also should not be able to edit/delete the item; if the document is rejected, users should regain the permission to edit/delete the item.
    I had no problem with restricting edit/delete permission after the document is approved by adding a Declare Record action after the content approval status is set to approved in SPD.
    However, the workflow was not able to complete when I added a Declare Record action in the "When the Task Process Starts" step and an Undeclare Record action in the very beginning of the "When the task process completes" step to restrict users from editing/deleting
    the item when the workflow is in progress.
    After I activated the workflow and approved the item, the Workflow status shows Approved but the Approval status still shows Pending. In addition, the "Approval Workflow Task is complete" (shown in the following image) is missing in the workflow history,
    which seems to me that the workflow task is never completed.
    Please advise me the proper way to restrict users from editing/deleting the document while the workflow is in progress. Thank you.

    Got a strange one here.
    just installed Minipack 11i AD.I.4 on our live server.
    came to clone it over and all seems to work to plan until i come to amend the Workflow Notification Mailer settings, i just want to add in a test address to send all workflow notifications to.
    The second i press the next button my context file on the AppsTier reduces by 6k in size.
    if i then try to shut the apps tier down it complains about the context file being corrupt.
    Any idea's??

    I have created a custom workflow for sales order, when ever the sales order has been deleted i need to set a mail to manager for approval in outlook mail box. Is it possible to sent to outlook mail box with work item for approval.If they click on approval button the workflow needs to delete the sales order else it shoul retain as it is.

    You have mentioned that we can read user profiles and send e-mails with help of agent assignment. But, you have also mentioned that this is the case where HR is not implemented. So did you mean that where there is no Org Structure?
    In my case, we have HR implemented and we have an Org Structure. In the PO/PR release strategy we use Org Structure and Position to decide whom to send E-mail.
    Now what is it that I need to do differently to make sure that the E-mail is sent to Outlook directly not via SAP Inbox.

  • Built in Approval workflow can't send to AD univeral security mail enabled group (email recipient not valid)

    Background: SP2010 SP2 with March 2015 CU installed. Using the built-in Approval - SharePoint 2010 workflow on a library. The Approval workflow does send email to individual users when users are specified in the Approvers field instead of a group. We
    need to use a group. The workflow reports the error email recipients are not valid. I don't see anything in ULS logs. The Exchange server tracking logs do not show the emails to the AD group being processed (no evidence they are even received into Exchange,
    but all other mail from SharePoint goes through, including the workflow's email to the workflow initiator). I can send email to the AD group from Outlook and all group members get it.
    To send Approval workflow email to a mail enabled AD Universal Security group, what
    exactly are the requirements?
    Q1. Does the SharePoint\system account (aka web app pool account) *absolutely* need to have a mailbox?
    If so, I need some clarification. I saw
    http://www.spdev.info/2012/11/using-security-groups-with-workflows.html which was offered as a solution in another post. It says "To allow SharePoint to email the mail enabled security group you need to either create a mailbox for the SharePoint service
    account, or attach the email address provided in the Outbound Email Settings as an additional email alias for a mailbox." Then it says you need to do *both* - create a mailbox for service account *and* add the outbound email settings address as an alias
    in the *service account's* mailbox settings. Well, we can't do the latter. We are using a dedicated AD account with a mailbox for SharePoint mail settings purposes, and no two mailboxes can have the same alias.
    I tried adding the AD account specified in the Reply From: outbound email settings (Reply To: is set to a distribution list) to the AD group's "Message Delivery Restrictions" and UNchecking Require that all senders are authenticated (even
    though the AD account does authenticate). I tried allowing All Senders and UNchecking Require authentication (though that leaves email address open to spammers), but neither worked.
    Q2. Does the AD mail enabled group need to be synchronized via User Profile Sync?
    We currently only sync users. I do see the AD groups (we use AD groups into SharePoint groups security model) in SharePoint's People and Groups, and the mail address for the mail enabled group is *not* present in the properties. Is it a requirement to sync
    the AD groups so that the email address shows in the AD group's properties in SharePoint?
    The AD group is in a SharePoint group with Approve permissions. The individual AD group members are also in another AD group in a SharePoint group with Contribute permissions. I even placed myself in the AD group to test whether permissions issues; I am
    farm admin. All SharePoint groups are set to allow Everyone to read the group's members.
    This is driving me crazy.

    Thank you. I have an update. I got the workflow working. Turned out to be two separate unrelated issues:
    (1) invalid email address for recipient was because the email address of AD group was not present in SharePoint's properties for group. Also why nothing appeared in Exchange Server tracking logs; the email was never sent from SharePoint. Once this was remedied
    (explained below), the Task Assigned email was sent out to the AD group.
    (2) the Task Assigned email was rejected by Exchange for reason 550 5.7.1 RESOLVER.RST.AuthRequired. The Exchange tracking logs clearly showed this. Setting the AD group's properties Mail Flow Settings, Message Delivery Restrictions to "Only senders
    in the following list: <the domain account of the email address specified in SharePoint outgoing email Reply From setting>" and UNchecking "Require that all senders are authenticated" allowed the Task Assigned email to go through.
    Answer to Q1: It is not required for System account (aka web app pool account) to have a mailbox when the SharePoint outgoing mail settings Reply From email address is of a domain account of the domain SharePoint is in. That is our scenario, as I noted we
    use a domain service account dedicated for SharePoint mail. I can't speak to other scenarios. The Reply To: does not have to be the same email address; we use a distribution list. And, ever paranoid about spamming because of unchecking require autenticated
    senders, I verified that my own account could not send email to the group (Outlook provides message "You do not have permission to send to: <GroupName>").
    Answer to Q2: I did not have to sync groups via User Profile Service. What I did do, however, was remove the AD group from SharePoint, People and Groups, Groups list, and readd it. (Note: what I *literally* did was was remove the SharePoint group from all
    permissions, remove the AD group from the SharePoint group, then remove the AD group from the Groups list, readd the AD group into the SharePoint group, and reassign permissions to the SharePoint group - Read to top-level site, Read to subsite (has unique
    permissions), and Read, Approve to the subsite library with the workflow. In order to start clean. When I readded the AD group to the SharePoint group, it came in with an email address; email address now shows in the group's SharePoint properties. I noticed
    that the format was GroupName instead of Domain\GroupName. (I had originally created the AD group as a Global Security group, added it to a SharePoint group, *then* (after I found out about that requirement when first troubleshooting workflow) converted it
    to Universal and mail enabled it.
    I suppose, would syncing groups would fix this issue of SharePoint not updating AD group changes?
    Additional note: I first gave the AD group Read to the library directly instead of giving Read to the SharePoint group, tried the workflow, and the email was sent. I then removed the AD group's direct permissions to the library and added the SharePoint group
    to the library and that also worked. So I was able to use the AD group in SharePoint group (I had read in one post that would not work).

    Hi,
    You can create substitution using the function module SAP_WAPI_SUBSTITUTE_MAINTAIN or using the transaction RMPS_SET_SUBSTITUTE.
    Here you have to enter the username of the person for whom you want to maintain substitute, username of the substitute start date and end date of substitution.
    This will do the job.
    Note : Substitution allows only workitem sharing and not mail sharing.

  • Workflow Approbation - Accessing and Editing Approve/Reject state

    I'm creating a custom workflow in order to manage mass approbations. I have used the Approval and Multi Approval workflows to make my own one.
    This work great except on one point: I can't use the standard approbation/reject buttons of the end user approvals list as i wish. I didn't find out in the workItem of type Approval where is set the accept or reject value.
    I have seen in documentation that there are action and confirm attributes in WorkItem List View attribute but i don't see how to use it as i already have a view in use. I am using a custom workflow variable which hold the value of the result. This work except that i have to customize too the End User Approvals List to change this variable.
    I guess there is somewhere an easy way to know about the state of an Approval WorkItem but dunno how to access it easily.

    I agree with you but the problem is that the variable i'm looking for isn't in the WorkItem View (or i just didn't find it out).
    I am looking for the location of the variable which indicate to the requestor the result of his approbation request (accepted or rejected) in order to make a custom report form. This way my requestor who make approbation for severals different users at the same time will have a report telling him which request was accepted or rejected.
    Hope this make much sense.

    I have created a simple approval workflow with 2 stages for a document library. User A will approve and then the approval has to go to User B
    User A is receiving a mail and editing the document and saving it. User A then goes to his mail and approves it.
    Now as per the logic, the User B should get an email. But its not happening so.
    Is it something that I'm missing? Or should I include all the users in a single stage?

    According to your description, my understanding is that you got an error when you ran an approval workflow with two stages.
    I did a testing as the following workflow, everything worked well:
    Please create a new library, and a new workflow as the above, test again, compare the result.
    In addition, as the message, the Approval WF failed to run when the user ID was system account. And by default, system account cannot run workflow automatically. So, please use other users to test, compare the result.

  • Approvement workflow in ChaRM

    Hello,
    In ChaRM, we use the approvement workflow messaging. Automatic mails are sent (smartform) when a change request needs to be approved, when the developper can start working, etc.
    In our development system, everything runs fine, the mail is sent with the correct text.
    In the production system, the mails are sent, but the content of the mail is in a PDF attached to the mail. This is not practical at all for the users.
    ChaRM customizing and smartforms are the same on the two systems. What settings do I need to change in order to have the content of the mail directly in the message, without any attachment ?

    I have some knowledge on ChaRM customizing, but I would be absolutely incapable of giving you a step by step guide for this.

  • OOTB Approval Workflow for a Content Type sends emails for 2 content types

    My environment: SP 2013 Server (WFE-APP) + SQL
    I have a few Content Types configured in a document library. Every content type has an OOTB approval workflow to fire an e-mail to the approver on each new/edit.
    When I create a new file for testing, it first becomes checked out with no properties added. I then edit the properties to specify its content type and other fields. When I check in the document, SharePoint sends out an e-mail to the approver for that content
    type which is correct. What SharePoint also does for this very same file is sends out an approval request e-mail for the default content type for that library which is something else than a desired content type.
    This is something I cannot understand. I thought that the workflows start on a file 'Check in'. If I check in a file that is a certain content type, why does the approval for a default content type for a library trigger as well?

    Is it SharePoint 2013 workflow or previous 2010 model workflow? If it's SharePoint 2013, how are you associating workflow to content type. As per
    MSDN "Unlike previous versions, SharePoint 2013 does not support workflows that are scoped to a
    content type. However, the messaging infrastructure is extensible, so it can support
    any arbitrary scope. As a developer, you can set to", workflow association with content type (which was possible in SharePiont 2010) is no longer available out of the box. You need to do it manually, (not sure how as there's no documentation yet
    from MS) and programmatically.
