Troubleshooting remote workflow

I'm an editor at an organization that recently began using InCopy to work with our (remote) designer to help us publish a quarterly magazine. I apologize in advance for my ignorance about this software, but I'm hoping someone might help me understand how best to tackle our workflow.
Here's the set up: Our designer is remote, two editors/writers work from our office on a common server, and I work at home, connecting to that common server remotely. I installed InCopy on my home computer, thinking it would be too slow to manage InCopy files through the remote computer. But I can't figure out how to send back my changed InCopy file to my fellow editors.
The editors working off of the server have successfully edited ICAP files and emailed them back as InDesign files to our designer. But I'm trying to figure out how I could also access those files to make my own edits and send them back to the editors. Or if this set-up is even possible.
Any help or suggestions would be greatly appreciated.

You have two choices here.
1. You can use the package feature from InDesign to create an InCopy package. Then repackage that for InCopy.

Only one person can be working on an InCopy story at a time. By packaging assignments ALL stories in that assignment will be checked out and locked from further editing so the Dropbox method has an advantage there. It's remarkable fast if you have decent internet connection.

    We are working in oracle applications 11i.
    I have a purchase order with status rejected that has hanged up in the system. The user rejected PO and the document has not been transferred to the PO buyer. From the application forms -> Forward documents window, I can see that neither the user who rejected or the buyer has the document.
    From System Administrator responsibility I can see that the workflow administrator can modify a PO that is only IN PROCESS,
    what shall I do?

    It seems as though something is changing the document, what is the best way to figure out what?

    3. Is the user account starting the workflow correctly synchronized in the user profile database?

  • Having some major mac - pc issues using remote workflow

    Hi all. I'm having some major issues using the InCopy workflow and was hoping someone could help me out with a few items.
    I've helped a client out with their workflow, proposing, demoing and promoting the InCopy workflow which seemed to be the best solution. And don't get me wrong when posting this message on the forum: I love the InCopy workflow and think it's briliant.
    The scenario is that a design agency needs to deliver the layout for a big annual report for their client, who then makes changes in the text etc. The design agency is on a mac (ofcourse), but the endclient is on a PC. Now after some training and trying this all works fine. They are using the remote workflow, using icap and idap files (which they place on dropbox for easy transfer)
    But they've been having so many issues these last few weeks, it's been crazy. And I'm actually starting to feel a bit uncomfortable every time they call me. Just to make clear, they love InCopy (... when it works). And eventhough I'm a huge supporter of the program I just wanted to make sure if there are any other glitches that I should know about. The thing is that (because I work for an IT company), every time they need support they get billed ofcourse. But the problem is that everytime they run into some kind of problem, production just stops and they need me to fix everything.
    Issues that they are having:
    - the endclient (so copywriter) works on a project all weekend (an icap file). Saves everything, checks in, closes, goes to bed. Next morning (monday) she opens up the same file to continue working and gets the "cannot recover..." error (see attachment). And she looses her edits. You need to understand that these copywriters really know what they're doing with InCopy.
    - when a colleague of hers is working with InCopy, and InCopy crashes and she reopens her file then it also happens that the checked-out stories from before remain checked out and she cannot continue (because the story has already been checked out by "another user" (herself)). I managed to resolve this by opening up the individual icml files in incopy and just closing them again. That seemed to remove the "lock" status of the icmls. But still they need me for support. This also happened in the design agency. They are working on a layout, check out stories, InDesign crashes, reopen file and stories remain checkout and they cannot continue because InDesign thinks that they're checked out to another user. And they do not have InCopy themselves so I cannot use my "open icml in incopy and close"-workaround.
    - after a few extra InCopy crashes (where InCopy.exe just doesn't feel like doing anything anymore and quits), I decided to place their files (unpacked icma and icmls from the icap) on the C drive instead of on their server and this seemed to resolve a bit of the trouble. The workflow seems to be a lot more stable now. I did this because they also received the dreaded "Error: code 0" message when starting up (and again) she lost her work). After some creative googling I was able to find out that this might have something to do with disk permissions and copy-paste issues on a PC server. Anyway, it was worth a try
    - only yesterday the client called me stating she couldn't start up her icap files anymore. I was able to recover the indiviual icml files and send these back to the design agency and recover part of her work. (after combing out the files I discovered on of the icml files was damaged and could not be opened, that is why opening the icap file failed).
    - and one last issue (which isn't really a problem but just a bit of a rant ;-). Why does it take 8 full minutes to open up a 2,6Mb icap file on a fast laptop (from the HD)? Even on my own laptop it takes several minutes? I know that the waiting time has something to do with the complexity of the files (images, how many styles, how many icmls, etc). But it seems ridiculously long.
    They've been having issues like this on a weekly basis and they're starting to loose faith in the solution because it's costing them more money (via support) then it's saving them.
    Does anyone have any experience with this? Is this because it's a mac-pc workflow? I understand that this is officially supported, but it practice teaches us that it's in fact not that stable I'd rather just recommend the client to get a mac from the start. Every client would rather hear that than having to deal with all these issues. And I have to say I'm very happy with the client for being so understanding, but I think they'll run out of patience soon if this keeps up. I've also included some other "postcards from InCopy" ;-) and so you must understand if you get all these errors during the last 3 weeks losing hours of work ... well it's just not fun anymore.

    You are right, I didn't give this information. I must have forgotten.
    Designers are working with:
    OSX 10.7.2
    InDesign CS5.5 (fully patched)
    Copywriters are working with:
    Windows 7
    InCopy CS5.5 (also fully pathed).
    There is no font managing software used, everyone uses open-type fonts which they specifically purchased for this workflow.
    If the problem persists I will try with the assignment based workflow on dropbox. I waited with this workflow because the client wants to keep their files on their server so they can have backups if something goes wrong. I know Dropbox makes backup as well, but lets just say they have more faith in their own systeem (dropbox was completely new to them ).
    So there are no reports of an unstable mac-pc InCopy workflow?

    Mein Kunde möchte InCopy CS 5.5 für Windows kaufen. Wir arbeiten mit InDesign CS 5 für Mac-OS. Ich installierte die Tryout-Version von InCopy CS 5.5 (7.5.1) unter Windows.
    In meinem lokalen Netzwerk funktioniert diese Kombination sehr gut. In einem sogenannten Live-edit-Workflow mit gleichzeitigem Arbeiten am gleichen InDesign-Dokument mit InDesign und InCopy sehe ich keine Probleme. Einchecken und Auschecken und Textänderungen sind in Echtzeit. Das ist schon beeindruckend.
    Das Problem ist, dass mein Kunde weit weg und nicht in meinem lokalen Netzwerk ist. So können wir nicht simultan arbeiten und eigentlich wollen wir das auch nicht, da wir nicht unsere Layout-Dateien an den Kunden geben wollen. Also habe ich den so genannten Remote-Workflow getestet durch das Erstellen von Paketen. Natürlich kann das neuere InCopy das Paket vom älteren InDesign öffnen. Nach einigen Textänderungen, verpacke ich das neue Paket für InDesign. Aber in InDesign CS 5 kann ich das Paket aus InCopy CS 5.5 nicht öffnen. Beim Öffnen des Pakets in InDesign zeigt es eine Fehlermeldung wie folgt:
    "Die Paketdatei enthält eine Aufgabe, die nicht in *Dateiname* existiert. Ihre Paketdatei ist möglicherweise veraltet oder mit einem anderen Dokument verbunden. Wie möchten Sie fortfahren?
    a) Korrektes Dokument suchen
    b) Inhalt des Pakets auf Datenträger speichern"
    Bei beiden Varianten konnte ich das Dokument nicht öffnen und die Änderungen von InCopy übernehmen. Mit InDesign CS 5.5 funktioniert es ohne Probleme. Sind also InDesign CS 5 und InCopy CS 5.5 nicht zueinander kompatibel? Ich frage mich, ob dies normal ist? Warum funktioniert es im Live-edit-Workflow, aber nicht in Remote-Workflow mit Paketen? Dieses Konzept wurde so von Haeme Ulrich aus der Schweiz benannt.

    Aus gegebenem Anlass unterzog ich das Zusammenspiel von InCopy 5.5 und InDesign CS 5 (lokal) einer intensiven Prüfung.
    Dabei konnte ich in der Praxis keine Einschränkungen beim Austausch (hin und her) von überarbeiteten Textinhalten feststellen. 
    Das betätigt die Erfahrung von Horst Stein.

  • File size issues with remote workflow

    Hi everyone
    I am currently reviewing InCopy as a tool for our two 24 page full colour quarterly publications and the problem I am currently facing is the design team are claiming the file sizes would be a problem for us to use the remote workflow - how do you guys manage large files over email? Any tips or advise?
    Also, regarding the layout workflow, does it require a large effort from the design team to divide into individual spreads? As this is another issue.
    We currently have a cumbersum process and would like to resolve asap.
    Would greatly appreciate any advise you may be able to offer

    If you are using a remote workflow ... designers are sending off-site editors InCopy Assignment packages (ICAPs) .... then they need to create assignments in order to package them for the remote InCopy user. So there's no need to split up a layout into smaller files or anything.  An assignment is a subset of the INDD file; multiple assignments -- each encompassing different pages or sections -- are created from the same INDD file.
    When the designer creates the assignment, have them turn off "Include original images in packages"; that should keep the file size down.
    Or -- like Bob said -- you can avoid the whole remote workflow/assignment package rigamarole all together by just keeping the file in a project folder in the Dropbox folder on teh designer's local hard drive, and have them share the project folder with the editors. In that workflow, editors open the INDD file on their local computer and check out stories, just as though they were opening them from a networked file server.

  • Trigger the workflow in the remote sap server

    I am trying to trigger another workflow in remote sap server by using web activity.  What are the prerequisite for using web activity.  Actually, i tried to use url wizard but, i don't know what i should i fill for the port.   is the server configuration required? anyone has exprience on this?

    Hey if you want to know the URL and the prot number generated by the system you can use a program RCF_GENERATE_URL if you execute this program thenit will show you the enitr URL including the port number . My Guess is it will be  8000( Iam not sure)
    Secondly teh prerequisites for using a  Web activity step is you have to define the WEB SERVER , This is because you need to enable the webservice , in order to recevie the XML doument, through which you can start WF which is located in the REMOTE SAP server, 
    And At the same time you have to make the appropriate settings in the remote workflow so that it  will receive the XML document and then start's its processing.

  • Workflow troubleshooting

    Hi,
    Can anyone please tell me how to troubleshoot the workflow problems? As of now, the brief details that I have about the problems is that
    1) The workflows trigger sometimes & they don't, the other times.
    2) The workflows hang.
    3) Have other common workflow problems.
    There are other problems related to the same workflows but the above 2 form the top priority as of now. Can anyone help with that.
    Also in SDN, I searched for videos but only found 1 so far in the blogs. Can anyone give me a link where I can go through some Workflow videos?

    Do you have a specific scenario that needs to be troubleshot? I am not sure if there are any specific guide with respect to your request.
    For Oracle Workflow typical troubleshooting techniques are...
    1. Use $ORACLE_HOME/wf/admin/sql/wfstat.sql to get the status of a given workflow instance providing the itemtype and itemkey.
    2. Use the workflow status monitor diagram from workflow home page. This gives the complete list of activities executed and their statuses/results.
    3. There are other bunch of scripts such as wfdirchk.sql to verify the Workflow Directory Services.

    When i create a 2013 workflow on English site, everything is OK;
    But on creating 2013 workflow on non-English site (with language pack installed), i get following error:
    Server-side activities have been updated.You need to restart SharePoint Designer to use the updated version of activites.
    i delete sharepoint designer cache but nothing changes.
    any ideas?

  • Which factors affect the working speed of a distributed ID/IC workflow?

    Hi all,
    we have a pretty complicated structure for our different departments that have to work on print documents:
    Multimedia department in location A that sets up the layout/assignments in InDesign --> has a local server where it can store everything for fast local access.
    Multimedia department in location B that also sometimes sets up layouts/assignments and stores them on their local server.
    Editing department in location B that accesses the assignments stored in location A and location B
    The connection between location A and B is a 4 Mbit permanent link (SDSL, meaning both ways are 4 Mbit).
    Latency is about 25ms, which is pretty good. Distance about 400km.
    Server is a Windows Server with shares.
    What would be the best way to ensure that the editing department gets the best possible speed while making sure that the multimedia department (especially location A) still has good speed, too?
    Lately the editors have been complaining that working in the incopy files is rather slow. It takes minutes to open files and seconds for the cursor to appear when clicking into a text block.
    Is there anything we can do? Moving the whole Project to location B would mean that the designers have to open the entire layout over the network connection - we tried that and it was even slower.
    I always thought that once checked out the story would be cached locally and only saved back to the remote server when checking back in? I don't get it why the location has so much influence on the working speed in that case...
    The bandwidth shouldn't be the problem, too since there isn't much going on on our network most of the time.
    Can anybody shed some light on this?
    Typical document: 20-50 pages, not too many images (I'd guess about 1 per 2 or 3 pages), one assignment per chapter (resulting in 4-6 assignments overall), 2-4 text blocks per page.
    Any hints and advice would be appreciated...

    Mike, IC/ID is designed for concurrent access on a *local* file server. It doesn't do well at all via VPN or long distance networks, in my experience. (Your times sound pretty speedy to me, actually.) The "caching of local files" only applies to Version Cue. That's not how InCopy/InDesign work on their own.
    That is the reason for the remote workflow feature ("Package for InCopy.") The designers in Location A would create InCopy packages for the editors in Location B. The editors in Location B open the packages on their local computers in InCopy, edit them, then choose Return for InDesign (or Forward for InCopy if another editor needs to work on it). All the packages are sent as attachements to email or downloaded from the server.
    The designers in Location B would continue to put their projects on the local server, and the editors in Location B would continue to work directly off that server for those projects.
    If the remote (packages) workflow is not workable for you; you might consider a cloud computing sort of solution. I've had a great experience using both Window's LiveSynch and/or the service called Dropbox (getdropbox.com); both are free and both are biplatform. Everyone gets to work locally but the files are synched via the cloud automatically in the background, including the lock files.

  • Losing URL in the remote system when using SOFM

    Dear WF Group,
    We have a workflow that is created in our cProjects system that starts a remote workflow via RFC in our main R3 system with data that is passed over from cProjects.
    One piece of data that is passed is the URL link to the specific project in cProjects. This works about 50% of the time.  In those times it does not work, there is sometimes a enqueue error saying that the work item is locked by user WF-BATCH.  Sometimes there is no error, it just fails to create the URL attachment.
    The basic program flow is:
    Create workflow using  function module SAP_WAPI_START_WORKFLOW
    Attach the URL using function module: ZSWL_SOFM_CREATE_WITH_TABLE
    This is similar to the posted question u201CAttachment of SOFM type before triggering a WFu201D, but I didnu2019t understand the answer in relation to our issue.

  • Oracle Workflow timeout issue ....

    Hey Guys ,
    Happy new year to you all.
    I have a issue facing in in our custom oracle Workflow.
    Here are details :
    The workflow custom process has handled in such way that after five days of the notificaiton generation if its unattended then it will timeout
    and its been looped to generate one more ( similar ) notificaiton to the same person. And this notification is set to NO timeout.
    But the problem here is , when user try to open ( seocnd) notification , he get page can not dispaly error.
    Can you please guide me , what could be the problem.
