XML and tables in InDesign

Hi everyone,
I'm just starting to explore the possibilities of XML in InDesign and in need of some general information:
The projects that I'm working with that I think would benefit from the XML workflow are files that include a number of tables (e.g., product names, descriptions, prices, etc. with header rows and some merged cells).
The content of the tables are the same for a brochure-style layout and a poster-style layout but the brochure tables need to be tall and narrow and the poster tables short and wide (basically flipping the axes). So far I've handled this through a complicated dance of exporting the tables as text and using Excel to flip the axes and then import the tables back into InDesign (in order for this to work, I have to un-merge all merged cells and it still isn't perfect but a reasonable starting point).
The editors make changes to the content in InDesign using InCopy (adding or removing rows or columns to add new products and/or prices, etc.)
The poster and brochure versions of the file don't need to be live at the same time--they're used at different times of the year so it's a matter of loading the final brochure content into the poster then making any changes to the poster and 6 months later importing the final poster content into the brochure. And the cycle continues.
Would XML handle well? The little I've read so far about XML and tables indicates that each cell would need to be tagged. This could easily result in mis-tagging a cell which would screw up the content import, right? I'm talking about hundreds (thousands?) of cells.
And since the structure of the table would be changing due to adding/removing rows/columns, it seems I would need to tag each cell of the tables every time I wanted to import content.
Am I understanding all this correctly?

You are right each cell nee to be tagged in XML tables, if you are working with more than hundreds/thousands of cells, be careful in content tagging. adding/removing columns/rows would really affect the structure of the XML and if it need to extract/export the content the structure of XML will not be correct. It is better to avoid XML tables in case of adding/removing columns/rows.

    Defaults for text in the current document are made with no text selected. Turn off bullets and they should stay off (but check the styles, too, you might have accidentally set a bulleted style as the defualt and you should change the default style instead). If this is happening in all files, you need to do it with nothing open to reset the default for all new documents (existing files, unfortunately, need to be fixed one at a time).

    I have worked out how to get data from a .xlsx into a table in InDesign. However, the workflow is still a little clunky and I am looking for way to automate the process further. My current workflow is as follows (files can be download here: http://visual360.co.uk/xml.zip)
    xml is exported from .xlsx by mapping the schema (see what_I_get.xml)
    assign tags to table and individual cells in InDesign
    This is the clunky bit: edit the what_I_get.xml to:
    remove the indentation (this seems necessary as otherwise when I get to stage 4, all the imported text is also indented)
    add tag for table in InDesign (p10_table)
    add tags for individual cells (p10_c11 etc.)
    import the produced what_I_want.xml in the structure panel of InDesign.
    Can anyone point me in the direction of how to automate step 3 above?

    Thanks very much for the reply. I am not at all familiar with XSL/XSLT. I have given it a quick google and it seems like it could be quite a steep learning curve to master. Maybe if I explain the whole context here, it may allow you to point me in the direction of a tutorial that provides a step by step approach to achieve my final goal. Alternatively, you may be able to suggest a whole new workflow.

    The tables on pages 10-21 contain lots and lots of repeated information. We want the layout to in this format so that each group of students has all the information relevant to them on a single double spread. However, the challenge of using this approach is that it is very high maintenance to ensure the duplicated information is kept in sync - even using a copy / paste approach.
    I was hoping to overcome this by using a single source of data (eg. a spreadsheet) which would then feed into the InDesign. This workflow seems to be overcomplicated by the apparent need to use xml as the "middle-man".
    Ideally, I would like to press the export button in Excel and get this information into the the correct cells in the tables on pages 10-21 without a significant amount of manual labour - after all, my reasons for investigating an automated approach in the first place was to avoid the manual entering of data ie. the scope for error...
    An alternative approach maybe to skip Excel altogether and just use .xml. However, I am not sure that this is possible as Indesign only seems to allow you to import each element once. Maybe you could correct me here...
    I am happy to invest a certain amount of time in developing this approach as once it is in place, it will save a huge of proof-reading time year after year, especially as inconsistencies still persist despite our best efforts to weed them out.
    If you could let me know your thoughts on this and maybe identify a tutorial that would help me, I would be extremely grateful.

    Just check the checkbox "Import CALS tables as Indesign tables" in the XML import options dialogbox. Then it should go automatically.
    The problem with this approach is that the entire table structure is collapsed to a single table element in the struture. If one want to do some xml-prosessing at row or cell level one need to to this outside indesign or not import CALS as Indesign tables. The big question is if there is some easy way to convert a CALS table to an Indesign table inside Indesign after one have imported the data and prosessed the row and cell elements...
    Hope anyone knows more than me about this....

  • Xml attributes - importing and displaying in InDesign document to print

    Hello! I am importing XML into InDesign. I need to display the metadata within the attributes in the document that will be printed . For example, if I'm creating a lesson plan and the "Toady's Lesson" tag has the attributes of: "lesson 2", "Day 2", "Read pages 3-5". I want those attributes to display under "Today's Lesson."  Is it possible to this with InDesign? I did not write this code so there's nothing I can do on that end, I have to work with what was given to me. I've been looking into this for a couple of days and can't find anything on this topic. I would greatly appreciate your help with this!

    I just tried to interpret your question, it was not obvious what you wanted.
    I guess what you mean is that you have defined (statically) a deep structure, and you want to decode the XML into it. That is called a transformation (transaction STRANS, statement CALL TRANSFORMATION). You have the choice between 2 transformation languages: XSLT and ST. Of course, it depends what release you are running.
    I advise you to play first with the ID transformation, to convert an ABAP deep structured data object into XML, so that you see what XML is generated, this one is called asXML. If you create your own transformation, when you call it, it will first convert automatically the data object to asXML, and the transformation has to do the rest of the job.
    You can do the opposite, i.e. converting from XML to a data object, according to the same principle (intermediate asXML).
    Well, there are lots of things to say, I recommend you to read articles and documentation on XSLT and ST (search on SDN).
    About XSD, it won't help (and I did never see any possibility to use it) to decode the XML, as you must anyway define the target data object statically (and there's no tool to generate the ABAP code of the data object definition from the XSD).
    Note that you may also use iXML libraries to parse the XML.

    to do this you can either develop a XSLT program and use it with CALL TRNSFORMATION key word to tranform the XML into itab .
    (search the ABAP General forum, i have posted few samples)
    or simply use the following FM which converts your XML into a itab of name value pair (name would holw the element name and value would hold the value of the element) which you can then loop and read it to your itb.
    data:             xmldata type xstring .
    data: result_xml type standard table of smum_xmltb .
    data: return type standard table of bapiret2 .
    CALL FUNCTION 'SMUM_XML_PARSE'
      EXPORTING

    Hi Pudgesan,
    You can paste data from an Excel spreadsheet into an InDesign or document. The Clipboard Handling preference settings determine how text pasted from another application is formatted.
    If Text Only is selected, the information appears as unformatted tabbed text, which you can then convert to a table.
    If All Information is selected, the pasted text appears in a formatted table.
    If you want more control over formatting the imported table, or if you want to maintain spreadsheet formatting, use the Place command to import the table. If you want to maintain a link to the spreadsheet, select the Create Links When Placing Text And Spreadsheet Files option in File Handling preference settings.

The problem that I have is that my Figure and Table numbers are hard coded with the word "Figure" and "Table” as part of the numbering system and will not translate nor export (see screenshot below). Is there A.) A way I can make the code become a reference to a text box in the document that then can be translated? B.) A common or different way to handle this?

    I've always avoided that auto-figure-naming stuff, in any application, for the sole reason that it often doesn't localize well. I'm not a WorldServer user, but a SDL Trados Studio user, so I don't know exactly what to tell you. If you're the kind of person to pop your IDML open in a text editor, you'll find that the actual "Figure" text appears in Styles.xml, and I doubt that SDL's IDML filters look there for text for translation. I don't actually know for sure, and I do know you're using an SDL product with which I have no familiarity whatsoever.
    A different, somewhat kludgy way to handle this would be to use auto-numbering to create an invisible paragraph number (color of Paper, size of 0.1 pts, glyph width of 1%, or something along those lines), and then have the phrase "Figure" in your live text, followed by a cross-reference to the paragraph number.
    A common way to handle this would be to ask SDL to update their IDML filter to pick up terms used in auto-numbered lists.
