RMS 13.1.1 queries on Purchase Orders

I have couple of queries on Purchase Orders in RMS 13.1.1
1. Can the PO number be customized?
Explaination: Iin the base product the PO number is generated automatically as a sequence number. Can we generate a PO number in alphanumeric if YES how?
2. Can the field of supplier payment terms be greyed out while creating a PO?
3. Can we raise a PO based on sales of a store?
Explaination: While we are raising PO can we distribute the quantity of items based on the sales in a store?

1) the PO identifier is a number.
One can preissue certain PO number ranges for use e.g. by traveling buyers, or in case of vendors creating their own POs.
There is however the attribute of vendor order number on the purchase order entity. This is alpha-numeric (and has no unique constraint).
2) I think not - this will require a customization to the Forms code.
What you maybe can do - from the top of my mind, did not test this - is define just one payment term, 'dummy' and have that used in the PO, hence reaching a similar effect. This may prevent customization.
I have thought about extending the RMS UI with a framework of metadata and an API that allows for setting such properties/fields as non-editable, or required, or a limited to a value domain (e.g. price between 0 and 999).
This would deliver better value for the retailer, as setting up such local requirements could be done by way of configuration and parameterization in stead of customization. However I have not raised this as an enhancement request, and would also doubt the reception of such an ER.
3) You could run vendor-PO replenishment with direct-delivery to the store. There are also other options here that and RMS/replenishment SME could point out.
You can also replenish the store with stock from the WH, and when the WH comes below a certain stocklevel, generate a replenishment PO to restock the warehouse. This is more an indirect generation of a store sales based PO, as the WH is in between.

    You can change the SELECT section to remove some of the columns or add extra columns if need be.  Once your happy with the query you can attach it to an alert and set the frequency.

  • RMS and offline purchase order creation

    Hi,
    We are currently in CRP for RMS13 and discussing the options for buyers to have something on their laptop for PO creation while at the vendor or factory.
    Unfortunately in the far Far East, the buyers tell us that internet bandwidth is scarse and/or unstable, hence remote access to RMS through e.g. Citrix-VPN may be an option, however not sufficient.
    How do you approach this?
    We are exploring an offline laptop application that has copies of relevant RMS foundation and item data, and when hooked up at RMS can ideally create the PO over RIB.
    As we prefer packaged solutions over home built (buy-vs-build), is there anything on the market that you can recommend?

    Hi,
    Creation of Purchase Order with t.code: ME21N  with account assignment category C (sales order) is used for Time and Material Expenses with third party scenario and you need to enter sales order number and respective G/L account . In this scenario 1st a  sales order is created with a material( material created DIEN material type) & then purchase order created with respect to sales order.
    Here you provide service to your customer and this service you procure from your vendor, you just play middle role  for providing and getting service.Standard DIEN material type designed for Sales usage only, so you create sales order  for service material.Service master is used to get service from vendor with item category D with proper account assignment category as C
    Example:
    Material type DIEN is used for when you offer "SERVICE" to your customer.( The steps are (VA01,VF01,VF04,F-28), If u used HR module( you can used with sales order with t.codes are: CAT2,CATS_APPR_LITE,CAT7,PR05,PRRW,PRFI)
    Service Master records(AC01)ESM is used when you procure "SERVICE" from your vendor.( Steps are: ME21N with Item Cat. "D" with Acc. ***. Cat. "C", ML81N,MIRO & F-53).

  • Down payment against Purchase order

    i have one queries regarding down payment made against asset puchase order
    I created one asset code, create the PO with accoun assignment categories A, made a advance payment against reference to this PO no .
    when i enter the po number in purchase document field, immediatly asset number coming and showing error message
    You cannot use this transaction type to post to this asset
    Message no. AA834
    Diagnosis
    The transaction type entered belongs to transaction type group 15. According to the specifications for this transaction type group, posting with transactions types belonging to this group are only allowed in specific asset classes (for example, asset classes for assets under construction).
    The asset to which you are posting belongs to class 9000 (chart of depreciation SHV). You cannot post to this class using the transaction type you have entered.
    Procedure
    Check the asset number entered. You may want to allow posting with this transaction type group for the asset class of the asset.
    Can any body suggest what is the right way for the whole scenarion , or i am making some mistake .

    last week i also faced this problem.
    Please refer sap note number 310368 valuated goods receipt paragraph and they have clearly mentioned about making down payments against asset purchase order without getting debited to asset account.
    You have to make F5 378 message number to be a warning message instead of error message and you have to suppress asset related settings in OB41 posting keys 29 and 39. Posting key 39 is useful when you have down payment request.
    If you have done this, then it will show only warning message during down payment that "purchase order is related to asset" and it will not be debited to asset account. Also after following the above steps, it is not necessary for you to give Acquisition: down payments G/L and Down payment clearing G/L in AO90 transaction code.

  • Purchase order creation by Purchasers in Shared service

    Dear all,
    We have a scenario, where purchasers can create PO for all company codes.
    But it is known that in SRM 7.0, Purchase order field is not a part of standard SRM delivered.
    SAP has provided a note 1079525. But however they have mentioned that they dont support the note corrections.
    Pls let us know would there be any side effects on using the same note.
    On quering SAP, they had said that it is not a part of standard SRM and will not support.
    Alternate Solution
    Since we have relation plant = company code, we are planning to map the company code automatically in the background
    so that all validations will happen for the company code.
    Pls let me know the BADI, which could help to have this mapping, Doc change badi doesnt help here.

    Suggest you to try the changes as per the note suggested by SAP.
    I do not think your problem can be resolved by a BADI.

  • LIV for Purchase Orders with Account Assignment

    Hi SAP Gurus,
    I would like to get your expert advice on this...
    I enabled total based invoice acceptance and reduction by performing the required configuration steps (define vendor tolerance group, set up the auto invoice reduction tolerance checks, assigned the tolerance group to the vendor). I was assuming that this would work for my purchase order which contains an account assignment. However, when I tested it out, instead of behaving as expected (create invoice and credit memo for the excess value), the system generated only 1 accounting document. The price variance was posted back to the account assignment assigned to the PO item.
    Did I miss out on any steps? or is this the way SAP treats account assigned (non-stock) PO items (i.e. no invoice reduction occurs). If so, can you explain to me why?

    Please find answers to your queries below in bold.
    1. I was just wondering why would SAP allow such transaction/s to happen? Wouldn't it compromise the integrity of the whole document trail (PO account assignment is different from the LIV)?  -
    There could be some business scenarios in some organisations, where in Procurement team uses generic cost centre (header), which is specific to particular department or group, to procure. But at the time of Invoice Receipt, AP team knows exact cost centre or order, etc  to post the amounts. To cover these kind of scenarios, SAP probably has provided the option to change acount assignment.
    2. Is there a way to edit the Account Assignment for a Purchase Order line item even if that item has been fully received and invoiced? -
    These field changes at various levels can be configured via t-code OME9.
    a) IR Changeable - This field if selected will allow to change the account assignment of a purchase order item at the time of invoice receipt.
    b) Acct. assg. changeable - This field is selected will allow to change account assignment for an item following goods receipt or invoice receipt.

  • Qty in Purchase Order Item

    Hi ...sorry friends I am very new to SAP and that's why sending my foolish queries to u ... hope u will not mind.
    I am using ECC6.0 and here at my end I encountered a strange issue (may be this is std SAP functionality but I couldn't understand the logic behind it.)
    Issue is like...
    Even in partially or fully delivered orders , I can change (increase) Ordered qty in Purchase Order items and even for the PO items  for which "Delivery Completed" is set , I can change qty.
    Also I wanted to know is there any setting by which i can lock this functionality (like users will not allow to change qty if material is recd (partially / fully )against this Po item.

    SPRO - Materials Management - Purchasing - Environment Data - Define Attributes of System Message - System Message

  • Shipment Document, No Purchase Order & Service Entry Sheet generated

    Hi Everyone
    We have transportation & shipment module configured in our company.
    We are running this process from the last 3 years without any problems whatsoever.
    But suddenly from the past 1 month we are facing a very serious issue while saving shipment cost document, i.e *no purchase* *order and service entry sheet* is generated on saving the service entry sheet.
    A purchase order and a service entry sheet is generated automatically whenever a shipment cost document is saved. All the congifurations & customisations are correctly done as per sap standards and no request have been moved to production which will disturb the above process.
    I have scanned the almost all sdn.sap queries for solutions and have incorporated all the suggestions which will help to solve this issue.
    But still the problem persists, i.e still no purchase order & service entry sheet is generated automatically after saving the shipment cost document.
    All the settings mentioned below are checked thoroughly.
    -- assign puachaging data
    --maintain acc. assignment cat.
    --automatic G/L acc. determination
    --automatic determination of CO assignments
    Check the following prerequisites for shipment cost processing has maintained or not
    -Shipment must marked as relevant for shipment cost
    -Shipment must have the required total status set in shipment cost type
    -Shipment must have transportation status planned
    -Shipment must have service agent
    -Maintainiing and assign shipment pricing procedure to shipement cost
    -Maintaining condition records,
    Please suggest some solutions to the above issue.

    In tcode t_56 generate PO is "C", I.e generate po for a validity of 1 month, the item category settings are the same since as before.
    But for some reason the system is not generating any purchase order from the past month.
    The error message is shown below.
    No purchase order item was generated for shipment cost item 0000014950 000001
    Message no. VY633
    Diagnosis
    You have marked the shipment cost item for transmission to the finanacial accounting department. For this transaction, you need an order item. The system has attempted to create an order item, but has not succeeded in doing so.
    System Response
    Transmission of data to financial accounting without a valid order item is not possible. For this reason, all items that you have marked for transmission are reset.
    Procedure
    The log displays further information as to why the system could not create an order, although all the settings in Customizing were configured. You can also create an order manually that corresonds to the shipment cost item and then transmit this again.

  • ALE Configuration for Transactional Data (Purchase Order)

    Dear Experts,
    I want to configure ALE for Purchase Orders(Transactional Data).
    For that:
    I have done neccessary Condition  Records at NACE with necessary Output Type Configuration. Configured Port and Partner Profile with Message Types: ORDERS and ORDECHG (as Outbound Parametrs) .Assigned those Message Types against defined Sender and the Receiver at Customer Distribution Model . Configured Port and Partner Profile at the Receiver System also.
    Now I have 2 queries.
    i) Is this much of ALE configuration is enough for Transactional Data for communication between 2 systems or I have to do something more?
    ii) For Master Data we configure Change Pointer(we can see field assignments against Change Document Object at BD52 for Master Data Messaage Types) . Is it necessary to configure Change Pointer for Transactional Data or it will autometically handled by the system(field assignments cannot be seen against Change Document Objects at BD52 for Transactional Data Messaage Types)?

  • Need to create sales out of purchase order using idocs

    Hi All,
    I have a requirement to create sales order based on purchase order with in the same sap system and same client(using orders04 idoc type).I have some doubts below could you please some body clarify?
    I know the basic steps in ALE(theritical knowlege)but I need clarifications for below questions.
    1)Which tehnology I should use here ALE or EDI?
    2)With in the same client how can I create 2 logical systems.
    3)How the idoc will go the recevier I mean what all are the ways to trigger outbound idoc from sender side.
    4)Inbound side how the sales order will create based on the inbound idoc?Is it automatic from inbound settings or we have to do anyting for this?
    5)I need to check some conditions with the inbound purchase order data before creating sales order.I think this one we can do in the user exit of inbound function module .Can I control the type of document that it has to create(ex sales order based on some condition or quotation based on some other condition).

                     My suggetion is that develope program to do your scenario... Use BAPI to create Sales order. First confirm with the Functional team for the input for sales order about sales area, company code, conditions type to be used while creation a sales order against Purchaser order... If the details is same then. First get the details of the Purchase order from BAPI " 'BAPI_PO_GETDETAIL' or you can get details by select queries on EKKO & EKPO for header and details....
                    Then pass data to BAPI of sales order creation 'BAPI_PO_CREATE' . to create sales order and handle error with parameter         RETURN                           = IT_BAPIRETURN
    by giving loop on that....and display in the output.....
    This is the simplest way of doing your process...

  • Purchase Order Data Template??

    How are people running their purchase orders using BIP? We are still using the .rdf and I am trying to convert the .rdf to xml but this is a very large report. Is there a data definition where I can see the queries in XML? I have found the .xsd and the template in xsl-fo but I am not sure how to put our customizations into this, as I have never used these before. Any help would be greatly appreciated.

    I suggest you using RTF template for Purchase Order which is easier to make customizations. Sample RTF template for PO is available in Metalink note 748259.1

  • Purchase Order - Pricing Error related to Freight

    Hello All,
    In Purchase Order there is a condition type related to Frieght . Though it is defined manual the system is picking up automatically for few materials.
    Do note that no condition records exists for the same.
    But by default whenever i create a PO for this material the freight condition type is taken into consideration. How can this be avoided ?
    Also note that in condition details for the frieght or any condition ( i mean PB00 etc ) the details tab shown as the last PO condition pricing date for the material / vendor combination .
    Please provide inputs inorder to avoid the same.

    To the best of my knowledge if you are maintaining a condition record for the condition type (with a access sequence) then sytem will automatically propose the price for the combination you have maintained. you delete the condition record and try.

    I am looking for a query that will show all the Purchase Orders with all their base document Sales Orders. However I also need to show those stand alone Purchase orders and Sales Orders.
    What I have is two queries, one for the PO fields en one for The SO fields. I would like a way to combine these two so I have one query with the relevant PO and SO info next to each other.
    The final query will have a top heading structure like this:
    Status,Purchase No.,Supplier No.,Supplier Name,Week,Month,Del Method,Country,Method,Rep.|Status,Rep.,Sales No.,Customer No.,Customer Name,Customer Order no.,Cust. Del date,Doc total,Del Method

    I have tried a union before, and yours works great. However my problem is to display the  PO en SO columns next to each other and not underneath each other.
    Something like this:
    Po No          Supplier          SO No           Customer
    1234           Sup 1             9876              Cust 1
    1235           Sup 2             no SO             Cust 2
    1236           Sup 3             9877              Cust 3
    1237           Sup 4             9878              Cust 4
    1238           Sup 5             no SO             Cust 4
    I have this query, but with this it drops all those Purchase Orders made Stand Alone and without a SO number.

  • Purchase Order - PLD

    In SAP B1 2005B
    I am having 2 queries about Print Layout of PO.
    1. In print layout of the Purchase Order .I want have the total of different taxes individually applied in the document.
    E.g. In PO having some rows with VAT@4% ,[email protected]% and some like having tax code BED+VAT @ 4% ,which is a combination of two individual taxes , So in the Summery of the document,  I want to calculate the total of  individual taxes applied in the document ; whether they are applied separately or in combination.
    2. The document total in words shows in the print layout is like e.g.  “One hundred and eleven thousand five hundred thirty six Indian rupee and ninety two paisa” for   Rs.111, 536.92 instead of “One lac eleven thousand five hundred thirty six Indian rupee and ninety two paisa”
    So please help me on these two issues.

  • PO requisition and Purchase order

    hi Experts
    Just i want to know when u raise Po requisition manually or automatically ..before approving i need to know on hand quantity how i can know in requisition form?
    and when i am going to approve purchase order just i need to know the quantity How i can?

    SP Dash is correct. There is nothing seeded that will let you do that.
    A couple of options
    1) Modify the approval workflows to show the onhand quantity.
    2) Create a personalization on the Req lines (or PO lines) block.
    The personalization adds a new menu option in the tools menu - say ONHAND CHECK
    When user clicks on ONHAND CHECK, the personalization uses the item number in the lines block, queries onhand and displays a message with the qty. You should consider if you want just the onhand , or the available onhand or reservable onhand etc.
    3) Similar to 2 above. But instead of displaying a message, the personalization zooms to the Material Workbench with the item number so user can see onhand.
