Adding link to item in Workflow Email

I want to send a hyperlink to the current item when a new item is created.  I followed the instructions to use the workflow context and the Current Item Url.
My problem is that is only sends part of the URL.  It should send:
"http://server/site/lists/listname/item"
But it only sends "lists/listname/item"
Any ideas?

  • Adding link to CUP ticket in Email reminder in 5.3 SP8.1

    We have CUP configured to sent an email reminder after a ticket is idle for 30 days to the people that are needed to approve the tickets. This email does not include a link to the ticket itself as it does in other emails from CUP.
    Is there a way to add the link to the ticket referenced in the email that goes out as the email reminder sent to people?
    Again, we are on CUP 5.3 SP8.1

    I'm not sure that there is!
    The only suggestion that I have is to have a static link to the application in the body of the email. Perhaps raise a message to SAP to ask if they are releasing this functionality in a support pack soon?

  • How can I add a link to an item within a workflow email - which will always find the item - even if it's status has changed?

    I've used the method within the SharePoint designer to add a link to the workflow context current item URL, but when the current item status changes then obviously this link will no longer work.
    How can I change this link so that it will always open the item, even if someone has changed it within the list, before I clink on the link?
    This is an important one as over 300 people will use the list and many of these will be emails about items on the list will be in different time zones.  I don't want to have lots of mails from people saying "this list doesn't work" as it's
    critical they keep using it.
    Please help.
    P.S.  I don't know if the <href> method will work, so if someone can confirm to me then that would be great.

    According to your post, my understanding is that add a link to an item within a workflow email.
    I’ m not very clear about the status you said. Please descript more detail which URL do you want to display.
    Per my knowedge, you can display the following url in your email body:
    [%Workflow Context: Current Item URL%]
    [%Workflow Context: Current Site URL%]
    [%Workflow Context: Workflow Status URL%]
    [%Current Item: Encoded Absolute URL%]
    Please start the workflow automatically when an item is changed and changed.
    No matter how you  edit the item or update the approve status, the URLs remains the same.

    In FSCM Dispute Management, we have a requirment to include the sap work item in the email being sent by the workflow - WS01700044.
    The underlying task in it is TS01707928. This Task sends an email to the outlook as well as work item to SAP inbox.
    We want to include Sap Work item in email being sent to the outlook.
    This will help the users to process the workitem directly from the email instead of going to SAP Inbox to process the work items.
    Please suggest the possible ways.

    Sadly, I believe this will require a bit of development to make it happen. The project I'm on now...we are finding that to get it to do what we want it to do, a development to customize the email message to include all the case fields is required.

  • SharePoint 2010 Workflow: Email alert when item is due to expire

    Hi Guys, 
    I have a library which contains a number of customer records. In this library I have a custom date column called End Date which is used to hold a date when the record is due to expire. I would like to create a solution which would send an email alert to someone
    when the record is 30days away from expiring a sort of warning, and another email once the expiry date had been lapsed and the record had expired. Can you please advise how best to create this solution, I should imagine that this would be easily achieved in
    designer however, I've really not got much experience with using designer 2010.
    If someone could help me out with what code to use, or some useful how to's it would be much appreciated.

  • What fired off this workflow? User? Item added? or Item changed?

    As a workflow can be set to trigger when a new document is Added to the library, when an existing document is changed OR by a manual start by a user ( OR any combination of the above ).....
    Can you test programmatically to find out what the trigger was for the workflow in a c# coded workflow? 

    As you will no doubt be aware, when a document is added to a library that has additional columns needing to be filled in, the Item added workflow starts as soon as the user clicks OK after browsing for the document and then the Item Updated workflow fires
    AFTER they have completed the dialog for the metadata. 
    We have to simply capture certain information ONLY the first time the document is added, not on further changes.
    If only the ItemAdded fired AFTER you had finished adding ALL the content!

    I want to add the date/time that an item was added to a library in the email body of a workflow email.  I created a variable and set the date value to Current date.  When the email comes though the date is correct, but the time is 12:00:00 a.m.  Why is that, and is there a way to get the time in the date/time stamp?

    This is one drawback in SharePoint. Whenever you write a field of type "Date and Time" in the workflow email, it will always show the time 12:00:00 AM no matter if you have selected "Date Only" option also. This not only happens in SharePoint Designer's "Send an Email" activity but also happens in Visual studio workflow. There is no inbuilt solution for this and if you are using SharePoint Designer then you cannot get rid of this.
    I was using Visual studio workflows and in order to remove this "12:00:00" part from date, i followed some logic. First i converted my date to a string variable and then used "Trim()" function to trim the "12:00:00 AM" part. Like this i made this working.

  • Workflow email reminders on calculated date column - Paused

    I am having an issue in trying to setup a SP designer workflow to be able to send a notification if an approval is not met by a certain date. I was hoping someone could point out where I am going wrong with the
    workflow details below?
    The workflow is based off an infopath form. The form when submitted sends an email to the appropriate person that an action is required (which works fine). I
    have created a calculated column (Reminder-2A) which is [Created]+20. So the approver has 20 days to approve the form. The workflow is required to send a notification to the user if the form has not been approved.
    I have tried to use the "Start on item change" workflow context & paused the workflow until the ReminderDate is greater than or equal today. There are 2 steps for this approval so I have 2 approval steps based off the FormStatus when the approval
    takes place.
    So the issue stems from the first step not getting released from its pause state. I was hoping that once the form is approved the FormStatus field would force the workflow to complete that step (unpause) and move to the next step but how I have it currently,
    it does not work that way. Can someone point me in the right direction as how I go about achieving this?

    I think you can use event handler associated with item for item changed. Every time an item has been edited, check whether a workflow instance is still running.     If you don't want to go for coding, you can try below approach, SP designer workflows have this behavior that they do not stop when the item is updated.
    Create 2 lists (parent and child) and a workflow on each (wf1 and wf2) respectively. When your condition meets in the workflow(wf1) of parent list, create an item in child list on which the wf2 workflow starts and pauses till the specified date. Once the
    pause is completed, you can send the mail from workflow 1 or 2 and then delete the item in child list.
    Modify your Parent list workflow to handle the below scenario. If you ever update the item in parent list, delete the corresponding item in child list that was paused/waiting and create a fresh one.
    You need to store the fields Parent list Item ID, version(optional).
    Parent list is your actual list. Child list is a staging one which you never expose to anyone.

    Form link does not appear in email notification
    We have added a custom notification to the OM workflow process. The notification itself has a form attribute which provides a link to the sales order form. This works fine when notification is viewed via worklist - notifications within apps. The link does not appear in the email notification.
    Is there any alternate way to provide a form link to Oracle Applications form that can be accessed via email (after logging into application, if the user is not logged in).

    Similar functionality is available in PO and Req Approval process. Can you take a look at the PO Approval Process workflow? I remember the email notification does show the link, which is a URL link and has parameters in it. This functonality provides where the approvers need to modify the document which is requested to be approved. So they can click on the link, modify and close and approve if necessary.
    Are you expecting them to modify the same or you just want to show query only screen?
    There is a webpage available to see order information called Order Information (user Order Information User resp). You can send parameters to that webpage and that should show login page opening up a seperate session with all the parameters in the URL. Once logged in that should show order information.

    I have created a list and have set up different views.
    Is it possible to auto trigger a workflow Email every-week which shows the list items of only a particular view.
    I am using SharePoint 2013 enterprise.
    I have got SharePoint 2010 and SharePoint 2013 Workflow platforms installed.

    To trigger the workflow automatically every week, I recommend to create a custom timer job to start the workflow and then set the schedule of the timer job to be weekly.

    Try this first - Reset the iPad by holding down on the Sleep and Home buttons at the same time for about 10-15 seconds until the Apple Logo appears - ignore the red slider - let go of the buttons. (This is equivalent to rebooting your computer.)
    Or this - Delete the account in Mail and then set it up again. Settings->Mail, Contacts, Calendars -> Accounts   Tap on the Account, then on the red button that says Remove Account.

  • Why do I not get the checkout option for a pdf type document when clicking on the document link in the SharePoint workflow task?

    We are trying to use workflows to review and edit pdf files in sharepoint 2010. We are having a couple of issues and am hoping someone has the answer.....
    1)  When myself and coworkers click on the pdf document in the library, we get the check out option as expected.  However when we click on the document
    link in a workflow task (on the sharepoint site), the pdf opens as a temporary file and we do not get the check out option.  Why does this happen????? 
    2)  The same thing happens when we click on the document link in the workflow task email;   HOWEVER,  one of our co-workers does get the
    check out option when clicking on the link in the email task.  Why would she get the checkout option using the email and not when clicking on the link in the task list on the sharepoint site ????  We have compared our internet settings and adobe
    settings to ours and found no differences.
    We are using Sharepoint 2010, Windows 7, IE8, Adobe Reader X or XI.  Some of us have Adobe Pro X and have the same issues.

    According to your post, my understanding is that you could not get the checkout option for a pdf type document when clicking on the document link in the SharePoint workflow task.
    I try to reproduce the issue, however, no matter when I click the pdf type document in the library or click on the pdf document link in the workflow task email, it download the pdf doucment and then I can open it.
    It will be better if you can descript how you
    get the check out option as expected when you click on the pdf document in the library.
    Then I upload a
    word type document to the library, no matter when I click the word type document in the library or click on the word document link in the workflow task email, I can open the word document directly and get the check out option as expected.
    I recommend to use the other type docuemts to check whether the check out option works.

  • Delete Workflow items from workflow inbox.

    Hello All,
    We are using workflow in MSS for Compensation Management. As part of this an email will be sent to the managers when a compensation needs an approval. There are some workflow items under workflow inbox ( SBWP ) . How can I delete emails which I don't want to execute. I don't see any delete button. I can see delete buttons for the documents under inbox, but these emails that I want to delete are under workflow in Inbox.

    You are refering to the emails in the inbox ( SBWP ) where I can delete my emails with the help of a delete button. But I am referring to the workflow items that are present under INBOX -> WORKFLOW. There is no delete button on these workflow items. If we execute these workflow items then they will be deleted automatically. I am looking for a solution by which I can delete (clean up) all the workflow items that are not executed from last year so that we can be ready for our compensation for this year.
