Admission Audit - conditional admit

Hello - we have about 400 students a year start classes before we have received the required documentation - basically it is a conditional admit.  We are in the process of implementing Admission Audit and can't figure out how to do this.  It appears that once the status has changed to "approved" on the admission tab, you can no longer run the audit.  (We would like to do this to track that the student is sending in the documentation as required.)  Any suggestions?  Thanks!

Hi Denise,
With the creation of an admission application, an Assessment Process and a Requirement Profile are generated. This Requirement Profile is called as u2018checklistu2019.  Please note that requirements should not be defined in different catalogs and all the requirements should be dependent on the programs of study. If these pre-requisites are fulfilled, use Requirement Profile Templates for Admission Audit.
For admission to a program, students need to send documents to the university. If documents are missing, the student should get a reminder mail/letter. Required documents are checked within an admission audit (checklist). A check for a certain document type should be represented by a Sub Requirement. So, the failed Sub Requirements indicate which documents are missing.
To be able to send students appropriate correspondence, the system needs to know which one of the Sub Requirements are related to missing document check or, in general, which of the Sub Requirements should be part of a reminder letter.
Therefore you can set a reminder flag for a Concrete Requirement and for a Requirement Element in a Requirement Profile template respectively. All Sub Requirements within those Concrete Requirements or below those Requirement Elements in a Requirement Profile template, respectively, are considered to be requirements students need to be reminded for.
In your case, the time gap between admission and admission audit run is too high. Run the admission audit for subrequirements and mark the document submitted requirement as not relevant. Approve the application and create admission and registrations. Ask your technical team to develop a report based on admission audit result, read the subrequirements mark as not relevant. Update them manually (Change from not relevant to required) whenever students submits the documents.
However, the above solution is theoretical and i have not tried it but i hopw it will work.

Vinod

    Dear Michael,
    Thanks for such a beautiful and elaborative answer. Please read my comments on the points you discussed :
    Create an admissions record: at this time a requirement profile is automatically generated for the program of study, as long as your program has been defined as 'Use Assessments'.
    Yes its generating a requirement profile automatically as soon as admission record is created.
    In the student file, go to the admissions tab and look for the icon that represents 'Audit Details'. (It looks like the icon for 'syntax check' in ABAP). Click on that.
    On Clicking 'Audit Details' icon it leads to another screen which contains all information like Admission application data but requirements section is blank.
    Now you are taken to a screen where you can see the admissions audit profile for the student. Execute the audit there, and you will see the list of checkboxes and results.
    The requirement screen is blank. No error message.
    Though i maintained the Requirement Profiles and RPT as per Cookbooks.
    I want to download the screen shots of Requirement Profiles and RPT. Please let me know how to upload screen shots in SDN.

  • Admission Audit

    Dear All,
    I configured the admission audit process as per requirements.
    Everything is set properly.
    While booking the student in desired course, system is giving an error message saying no assessment found or the admission assessment is not complete.
    System is not allowing me to create assessment as academic year and session are missing from T.Code screen PIQEVALREGM - Edit Assessment Processes
    Please suggest a solution.
    Thanks in advance.

    Right-click on the assessment in your Progam Catalog.
    Select 'Change object'.
    You will be taken to transaction PP01 for object maintenance.
    Select the 'Sessions of Offering' infotype, and create your entries there.

  • Admission audit - manual override of audit results

    Hello -
    Not sure if this is a config issue on our side or an SAP issue. When the users use the GUI to manually override a particular requirement from the original audit results  ex:  from 'not met' to 'irrelevant' and save, it works.  However, as soon as an audit is executed again (which we want it to do a lot in case that last piece completes it) the manual overrides are wiped out and the original results are returned.
    Did any one else have this issue?  If yes, how did you fix it?  Is there a way to keep our manual overrides?  We followed the audit cookbook for our config.
    thanks,
    Denise

    Hi Denise,
    As Prabhat said this is the design of the framework, it checkes rules during the assessment run and is used as a bases to decide if there is a pass or fail on the rules. There is no hidden IMG entry to enable the overriding elements in the admission audit. This only works if you are intending to approve the admission directly after you override a rule (first save before you approve!).
    We also encounter this requirement at Dutch universities and the need for manual override of rules too. There we used an automatic admission audit assessment run during the night which manual overriden the rules (got back to 'red' again, hence fail).
    We 'solved' this by conducting a thorough investigation on the rules (content) and a re-design of rules to make them more rigid
    OR more flexible. Plus for rules which really needed override capabilities we created a seperate tab in the Student File which provided the flexibility to overrride particular rules per open admission.
    Due to this minor development effort we could keep the standard strenghts of the audt framework and we provide flexibility or overriding rules

  • Admissions audit conversion issues and "no audit found"

    hello,
    We used the conversion programs provided to convert any old admission in SAP that was in "created" status to attach an audit.
    However, this process would not work for any approved or rejected admission records.
    We need to be able to reverse a decision in certain cases or even update the year and session.
    If we try we get a "no audit found" error message at the bottom of the screen.
    We also can't delete these admission records to re-create them with an audit due to this error.
    Has anyone run into this problem and if so...did you find a solution?
    Thanks.
    Mike

    Hi Michael,
    Please check the following thread: http://forums.sdn.sap.com/thread.jspa?messageID=10574738#10574738
    This might help in defining, creating a more advanced custom program to solve this issue.
    The most easy solution is to have a new admission record. This could have the same info but has an own (new and correct) status, will have a correct audit profile attached to it and you are able to change any data in future. Subsequently you then can delete the old admission record (direct via tables or via custom program).
    Best regards
    Rob

  • Admission - audit details

    Hello,
    I created admission application, also assessment. In the Student File I'm choosing the Audit Details pushbutton, but there is message "Student is locked by you". Only one session is opened. (I read  message details).
    What's the problem?

    Ls,
    The main reason for the lock error is due to an RFC entry WDSELFSERV - RFCDEST; see below in screenshot.
    To resolve the issue with the locking you can do check a couple of things:
    - apply the note earlier mentioned (please share your customer installation number so that I can ask the IMS team to release it for you)
    - remove the RFC destination which is the same system in which you maintain it.
    - remove ANY setting that you have in the RFC entry WDSELFSERV - RFCDEST. If this is not an option see point 1 .
    Please check and let us know if it worked out/share you customer inst. nr.
    Kind regards

  • Admission code

    Hi gurus,
    In student file>admission tab>create admission application, there is a field as "admission code".
    In F4 definiton help SAP says;
    "Admission Code
    A n alphanumeric key up to twelve characters long identifies the student's admission.
    Procedure
    The values of the admission code are based on GPA, EQ, age and test scores. You have to set the admission codes for students manually because of  the complexity of the rules. According to a students GPA and test scores,  academic conditions can be tied to a student's admission."
    But I could'nt imagine, figure out how I can use this.
    Can anybody give me some explanation, sample for  where to use?
    If a make student to take an exam, and If I decide that which student can be enroll to a program according to result of this exam, can admission code help me executing this scenario? and how?

    Dear Rob,
    thank you so much for the answer
    "You could use the admission code (free format in >Ehp5 and <Ehp5 you can use custom tables behind it) "as a datafield to be populated based on a web admission form". You can then use it as a "extra decision field for the admission (audit) to decide an approval or a rejection*".
    *Ehp5 development:
    Up to EHP 5 the field for Admissions Codes maintained on an Admissions record was a text
    field without restrictions regarding text entry.
    "Admissions Code values that are valid for defined admissions statuses can be defined." Users can then only select fixed values rather than making a free-form entry.
    When an Admissions Record status is changed from one value to another (e.g. u2018createdu2019 to u2018acceptedu2019, u2018rejectedu2019 to u2018createdu2019, etc.), the Admissions Code can be mapped and updated accordingly.
    1... "as a datafield to be populated based on a web admission form"...then what is the difference between "admission code" and "notification number"?
    2..."extra decision field for the admission (audit) to decide an approval or a rejection"...I understand that, this data totally dependent to me, I can fill it with any data I need. Right?
    3..."Admissions Code values that are valid for defined admissions statuses can be defined."...or in a customized table I record pre-defined values and then use these values for all admission to track, report, manage, process all admissions. right?
    thanks again,
    B.R.

  • Waves Plug-Ins and Audition 3.0

    Has anyone else has problems getting Waves Plug-Ins to work with Version 3 of Audition?
    Admittedly, I am using the demo to make sure everything work before I upgrade to version 3 [but that has never been a problem for me in the past].
    I can only get half of my Waves Plug-Ins to work, and the other half says they are incompatible.
    Does anyone have any ideas, because it is next to impossible to get help from Waves.

    I think all you can do is move them out of whatever folder there are in.

  • Need to delete /usr/bin without using terminal

    In a bit of a bind.
    All how-tos detailing how to delete or alter the /usr/bin file involve terminal, but terminal won't work b/c of this error
    login: PAM Error (line 396): System error
    login: Could not determine audit condition
    [Process completed]
    I alterred something in usr/bin and need to change it but must do so with some other program other than terminal (altering that usr/bin file will then fix terminal).
    Kind of a chicken or egg problem.

    I take it you're no Unix hand, so I hope you otherwise know what you're doing since deleting /usr/bin will remove important files used by the operating system.
    Boot into single-user mode. At the prompt enter:
    /sbin/fsck -fy
    If you receive a message that says "*** FILE SYSTEM WAS MODIFIED ***" then re-run the command until you receive a message that says "** The volume (nameofvolume) appears to be OK." If you re-run the command more than seven times and do not get the OK message, then the drive cannot be repaired this way.
    Next enter:
    /sbin/mount -uw /
    This will make the filesystem writeable. You can navigate by entering:
    cd /usr/bin
    This will take you to the /usr/bin directory. Note that in single-user mode you are root. Much damage can be done if you aren't careful. When you finish enter:
    reboot

    Hello, I restarted from an external Fire Wire HDD. It shows that system, admin & everyone has custom privilages. When I tried to change it: Nothing happens. I opened Terminal and this is what I got:

    login: Could not determine audit condition
    [Process completed]
    and I can't type into it or anything - - - HELPpppp !!!!!

    Hey V.K. I WANT TO HAVE YOUR CHILDREN!!! You saved my life. I've been fighting with these two hard drives for about 5 hours trying to get them to unlock. One of them is my Time Machine back-up disc. So naturally it locked at exactly the same time as I'm having MAJOR problems with my boot drive and my system. All kinds of permissions are messed up. So I was running an experiment to restore my back-up to an external drive before I did it on my main system disc. In the middle it crashed and I had to do a hard reboot. When I did, my drives were locked. I've been in a state of panic ever since. Just on a lark I thought I'd check the forums before I decided to pay Carbon Computing to fix the drive. And for a change, I actually found the answer!!! Anyway, I'm breathing again and my heart is beating for the first time in hours, so THANK YOU! You are a life saver.

  • FGA, module name and SET_MODULE

    RDBMS: Release 10.1.0.5.0
    I would like to audit a table column using an audit condition on the module name.
    The code to do that is:
    begin
       DBMS_FGA.DROP_POLICY(object_schema=>'XXXX', object_name=>'TAB', policy_name=>'FGA_SELECT_TAB' );
       dbms_fga.add_policy (
          object_schema=>'XXXX',
          object_name=>'TAB',
          policy_name=>'FGA_SELECT_TAB',
          statement_types => 'select',
          ENABLE          => TRUE,
         audit_condition=>        'sys_context(''USERENV'', ''MODULE'') NOT IN (''xxxxWebApp [ROOT]'',''app_name'')',
          audit_column=>        'VIP'
    end;
    /h3. PROBLEM
    I can write this simple sql program:
    connect XXXX@mydb
    exec DBMS_APPLICATION_INFO.SET_MODULE('app_name', '');
    select * from tab;And the SELECT is not audited.
    h3. QUESTION
    Is there a way to resolve the described problem?
    Edited by: AleC on 16-May-2011 02:35

    That is correct. You've specified the audit condition will be true when the module IS NOT IN 'app_name'. You've set it to 'app_name' hence no audit.

    How can I get to the Desktop?

    If you were installing system updates and the machine crashed, then it means that only a partila update occurred, and some files have been changed and others haven't, making the machine confused.
    Your best option at this point is to back up all your files, boot from the install CD, erase the drive and install the OS from scratch...fresh. Then do all the updates then install your applications and bring back your files.

  • Trying to capture what reports are being run and by what users

    Hi all,
    A few months ago, we upgraded to Discoverer 11g. One of the fixes I was hoping for was the updating of the query statistics table to see what reports are being run and who was running them.
    The problem is that most users are running Discoverer Plus but they are not "gracefully" closing Discoverer Plus via File -> Exit. They simply hit ths "X" to close the window. Oracle says that when users do this, their statistics are not written to the query statistics tables. I am finding that the EUL workbooks that we have installed are pretty useless due to this and really the only reason I have left the query statistics logging to be enabled. I am now seriously considering disabling this as it is very inconsistent (we do trim the query statistics table on a rolling 180 days of history via concurrent program that deletes stats older than 180 days).
    I am wondering if anyone here has done any logging of what workbooks are being run through some trigger? I see there is a EUL trigger function that we have in place, called post save documents, it records the workbook name, sql, etc. But it does not record the date that it was run. Has anyone modified this trigger so that every time a report is run it logs the report, sql, user and when it was being run to the table?
    I have an Oracle SR open, I've asked this in a couple different ways but they keep coming back to a canned answer of "if the user does not do File -> Exit, it will not log their session to the statistics table... blah blah blah".
    I hope I am making sense in what I am asking for.
    Thank you.
    Regards,
    Jerry

    Hi,
    I have never found the Discoverer stats to be very useful for some of the reasons you have given.
    I don't see that an EUL trigger will do what you want as unfortunately there is no open document trigger. So to get any information you have to rely on the user saving the workbook.
    One option you could explore is to use a DBMS_FGA (fine grained access) policy to audit some of the Discoverer query statements. For example, you can add a FGA policy to the EUL5_DOCUMENTS table that records all SELECTs on the table. That will show you which users are opening the workbooks you have in the EUL. Or you could add a policy to the views/tables used in the Discoverer workbooks and then audit the selects with an audit condition to audit only Discoverer sessions.
    How you do it depends on exactly what you want to audit.
