What is the Task process? how do you define it?

If you want someone to perform some action then you assign a task to them. like approvals, reviews or simply some information.

    We are working on SRM 5.0 (SP level6). We are able to create the bid invitations successfully from the sourcing cockpit. However while saving the changes in the bid invitations, system shows the error "No approval workflow  found".     Hi Nitin,
      Use T-code OOCU - Task custamising overview. Then SRM-EBP --> SRM-EBP-WFL then active event linking.
      Please activate WS145000026 for automatic approval of bid. or WS145000027 for one step approval of bid invitation.
    This will help to solve your problem. IF not please reply me the error.

    When I am clicking on "Open this task" link in outlook 2010 i am getting error as "Access to the floowing form required". Please help me out to resolve the issue..

    Unfortunately the regedit ActiveX Compatibility GUID wasn't present so I couldn't delete it.  I kept searching and tried this:
     Follow these steps:
    a. Open Internet Explorer.
    b. Click “Tools” and “Internet Options.”
    c. Click the “Advanced” tab.
    d. Scroll down to “Security.”
    e. Un-check “Do not save encrypted pages to disk.”
    f. Click “Apply” and “OK.”
    Restart Internet Explorer and verify if the issue persists.

    Not sure why but if I uncheck the box it works and rechecking breaks it.  Perhaps IE downloads the files on behalf of Outlook and Word, but Outlook can't get to them if the files aren't saved in cache by IE.  Our SharePoint site is secured
    by an SSL/TLS certificate. 

  • Approval workflow - email notification

    Hi,
    I was run out of idea how to complete my assigned job, need oracle expert to help on email notification workflow.
    Currently I am working on workflow enhancement with oracle application E-Business Suite for our company.
    My job is to add in new approval process to approve Bank Details transaction through AME.
    For this Bank Details transaction, the existing approval process is will only route to HR.
    Now my job is to add Admin & Manager approval, which mean once the transaction is submitted and the approval processes are as below:
    Admin --> Manager --> HR
    But this approval process will fall into 2 scenarios as below criteria.
    Scenario1: If the selected Bank Name from List Of View (LOV) not "Other Bank" then the approval process is Manager --> HR
    Scenario2: If the selected Bank Name from LOV is "Other Bank" (once Other Bank selected, user will need to enter the new Bank Name) then the approval process is Admin --> Manager --> HR
    Once Admin approve, Admin will add the new Bank Name into LOV.
    Both scenarios will auto trigger email notification to the approver once there is pending for Admin and Manager approval.
    For scenario1, our email process package able to send out email notification to the manager.
    But for scenario2, email notification not send to Admin. FYI, our Admin is a group of persons assigned to Admin group.
    My doubt here is how to let this email notification able to send out to Admin group?
    Hopefully anyone of oracle workflow expert could help me as soon as possible.

    According to your post, my understanding is that you wanted to use workflow to send emails to the approvers when a task process completed in SharePoint Designer 2010.
    First, when you add the “Start Approval Process” action to create the workflow in SharePoint Designer 2010, you can click on “these users” to set the task process participants and you can choose “One at
    a time (serial)” or “All at once (parallel)” to set how the tasks will
    be created.
    Then, if you want to send an email to the approver when a single task process completed, you can click on “Approval” in the
    “Start Approval Process” step to edit the task process and click on “Change the behavior of a single task” in the “Customization”
    to add the “Send a Task Notification Email” action in “When a Task Completes” section as below:
    And if you want to send emails to the all approvers when all tasks are completed, you can click on “Approval” in
    the “Start Approval Process” step to edit the task process and click on “Change the behavior of the overall task process” in
    the “Customization” to add the “Send an Email” action in “When the Task Process Completes” section as below:
    If you want to use the approval workflow to update the content approval status, then you can add the “Set Workflow Variable” action to set “Variable: EnableContentApproval” to “Yes” after you add the “Start
    Approval Process” action in the workflow, and it should be added above the step “Start Approval Process”.

  • Send an email to previous approver after rejection in OOB Approval workflow

    Hi all,
    I have created OOB Approval workflow with two approvers.
    If first approver rejects then i want it to send an email to the requester. 
    If second approver rejects then i want it to send an email to the first approver as well as requester?
    Is there any way to acheive this? 
    And same should happened when document is approved
    Also how to identify that the first approver has completed their task?

  • Rejection of Item deletion in Approval workflow?

    Hi,
    How to handle rejection and approval in the following situation?
     - when I delete an item , it will send a mail to PM(Project manager) and If PM approved , it will allow to delete that item.
    Incase he rejected his request then item should not be deleted.
    How to do this by using spd 2010??

    According to your description, my understanding is that you want to prevent items from being deleted in Approval workflow when the task was rejected.
    Per my knowledge, the workflow created in SharePoint Designer cannot achieve this goal.
    I recommend to create Event Receiver to prevent items from being deleted.

  • Some fields are missing in Current Task - Designer Workflow Approval Task Process

    Hi All,
           I am using approval task process activity in designer workflow. When i go to the single task behaviour page, some fields are missing under Current Task Source.
    Some missing fields are :
    1. Assigned To
    2.External participants
    3. Form Urn
    I am trying to get the above fields but not available. What could be the issue?

    I think your task list is corrupted, could you please try to associate your workflow to another task list in SharePoint Designer > Click Workflows on left navigation > Click to open your workflow > Under Settings section, select another task
    list and test.

    Given a 2013 workflow where we start a task process, how can one get the user who approved the task process, assuming that the task process ending condition is one that requires the choice of one user (namely the first/specific response outcome types)?
    My goal is to use this later in the workflow.

  • How to use a pwa group in CREATE A TASK PROCESS in SPD 2013 for project server workflow approval process

    I am working on a Project Server 2013 workflow. I am creating this using Sharepoint Designer 2013. In this workflow I am using approval process at one stage. I have created a security group SalesManagers in PWA. I want to use this group for workflow approval
    process. I want all users of this group get approval tasks. 
    For this I used START A TASK PROCESS activity in the SP Designer. I clicked on
    this user and created task process. But here I could not find SalesManager group which I created in PWA. I was only able to find the users. I can also see
    Administrators for PWA . But couldnot find SalesManager or any other security group created in pwa.
    Can anyone suggest how I can get the security group created in pwa.

    I believe SPD only recognizes the SharePoint Groups and not the project server security groups.
    The Administrators for PWA, and few other groups like Project Managers for PWA etc., are synced SharePoint Groups with the security groups, which is why they show up in SPD.
    You could create a SharePoint Group for the Sales Managers group and use that in SPD.

  • How to assign tasks in Approval Workflow to a set of users selected from a Lookup table

    I am new to Project Server and I am using Project Server 2013 On premises deployement. Please help me on how to achieve the below scenario:
    I have a requirement where, the initial PDP will have 2 fields (Reviewers and Approvers), wherein the engineer himself will select who the reviewer and approver from the Lookup tables.
    Now I have to start task process with these selected people for approval.
    Say for example , engineer has selected Alice and Bob as 2 reviewers, then
    In the workflow I have :
                 Start Task process with
    Project Data: Reviewers (which is giving error as
    [System.ArgumentException: AssignedTo at Microsoft.Activities.Hosting.Runtime.Subroutine.SubroutineChild.Execute(CodeActivityContext context) at System.Activities.CodeActivity.InternalExecute(ActivityInstance instance, ActivityExecutor executor, BookmarkManager

    Then I tried logging the value of Project Data: Reviewers, It logged the value as Alice, Bob (which looks pretty good),
    Then I tried assigning only 1 person as Reviewer, then also I get the same error.
    So can anybody please tell me where I went wrong. Is it not possible to fetch the data from the values selected as Project Data from the Lookup tables ? If not then what is the workaround I can use to achieve this ?

    Hi Paul,
    Yes I am using SP designer for Workflows. And yes, You were right, there was a mismatch in the names of AD account and the Lookup table, now with 1 person selected from the lookup table it is assigning the task properly. However with multiple selection,
    it is failing.
    As Robert mentioned, the fetched value is a text as "Alice, Bob", which makes 2 usernames as a single text. So when I try to assign a task to this group, which returns value as "Alice, Bob", workflow fails to find such AD user, as it
    is an invalid value.
    So is there any way I can seperate this out to form 2 different username ? I checked for string extraction function in th Workflow, but nothing helped me for this scenario.
    Any input will be helpful.

  • Shopping Cart - Process Controlled Workflow - replace standard task

    Hallo,
    I am on SRM 7.0 SAPKIBKV09 using NWBC.
    I use Process Controlled Workflow for Shopping Cart, and in the process schema definition,
    I replaced the standard workflow task 40007952,
    (with name - SRM Shopping Cart Completion),
    with a copy of task 40007952, task 90000010
    (with name - SRM Shopping Cart BUYER Completion)
    I did that for the following Reason: to ensure that in the Shopping Cart Approval Log, I can distinguish between diffrent approval level, all of type completion.
    Issue is that now when approver is executing the task from NWBC, I get the following error:
    ´No default action found for task TS90000010´
    Any idea?
    tried to apply Note 1409276 - Not all tasks have default action in inbox config, (as this applies to SAPKIBKV06)
    but no success.

    Use these views in SM30 to create entries for customer specific tasks:

  • Need 2 metadata fields from item I am running a approval workflow on to show up on the task list

    I have document library "A" that contains many documents with 6 columns of metadata. I have a simple approval workflow for the library that works as it should in functionality. My users would like it if 2 fields of metadata from the items in library
    "A" would show up in the Task list so they could track the tasks by the 2 fields. Can anyone point me in the right direction here to make this happen? Working in SP2010 with Designer 2010 and IP 2010.

    Hi Ross,
    According to your description, my understanding is that you want to display two managed metadata fields in the associated tasks created in the approval workflow.
    I recommend to edit the approval workflow in SharePoint Designer and new two task fields to display the two managed metadata fields.
    Here are the detailed steps:
    Open the approval workflow in SharePoint Designer and click Approval in Start Approval Process step.
    Click New to create two task form fields in single line of text type.
    Click Change the behavior of a single task under Customization.
    In Before a Task is Assigned step, select Set Task Field under Task Behavior Actions and then set the newly created task form fields to get the values in the managed metadata fields of current item.
    Please refer to the picture below(create a task form field called Managed Metadata for example and mm is the managed metadata column in the list):

  • Difference between Due Date for All Tasks and Duration per task in an approval workflow

    Hello,
    I'm starting to read up and learn about approval workflows in Designer 2010.  I am confused by the fields "Due Date for all Tasks" and the "Duration per task".  I understand that the Due date for all Tasks is the date that all
    of the tasks in the workflow must be completed by.  And I understand that the duration means each task has x number of days to complete.
    But I dont know whey we need them both.  If I have the task duration set to two days and there are 3 tasks involved, then wouldn't the due date be 6 days from the start?  Why would I have a due date for all tasks that is completely different than
    the sum of the duration of days for each task? 
    Please help shed some light!

    Due date for all tasks, this setting specifies the date by which all tasks are due. It’s used for serial and parallel
    task.
    Duration per tasks, this setting specifies the date by which an individual
     task is due, it’s used for serial workflow participants.
    Note, when you create an approval workflow, select task process participants(approvers oob approval workflow), we can also
    select once at a time(serial) or all at once(parallel).

  • Workflow task process participants in serial order: how to make it stop at first rejection

    I have listed 3 participants as task process participants in serial order on my approval process. Currently even if the first one rejects, it moves on to the next one and then next no matter if they reject or approve it. The final outcome is rejected if
    anyone of them reject it.
    Is there a way to stop the workflow and mark the workflow status as rejected if anyone of the participants mark it as rejected?

  • Approval Workflow Task assigned behaviour

    I have a strange issue that has started recently. On a approval workflow, if the users do not add anyone to the cc line on the task assignment, there is only one email generated to notify the recipient of the task . However, if they put someone on the
    cc line as well, a email will get generated for each person on the cc list that will also include all the other recipients. So there are 3-4 emails being generated.  What could cause this and how can I fix it?

    Let verify the following:
    Whether you mean that when you add people to the cc line, several emails will be sent to the same recipient. if it is, perhaps your cc object 
    is a group contains the recipient.
    Whether your approval workflow created with SharePoint Designer 2010 platform. Maybe
    the following checkbox is enabled "For each group entered, assign a task to every member of that group" in the workflow.
